TimeLOG Web is an innovative Web based system and allows for the easy management of any employees’

activities in an organisation, may it be time and attendance, access control or even absence request.

EFFICIENT AND EASY - A comprehensive way to achieve accuracy and

efficiency in all employee activities for payroll purposes. It is a multi-organisation, multi-site system which allows for easy management.

REAL-TIME INFORMATION - The system gathers all attendance data and

combined with pre-set work agreements, calculates, in real-time, working hours for payroll calculation.

EASY ACCESS EVEN ON THE GO - Web User Interface module enables

use of the organisation’s Intranet and provides accessibility to the system to all employees. Staff can clock in on the go, allowing non office employees to clock in from the field. Manager can use GPS tracking to verify clock location.

EMPLOYEE AUTHROISATION LEVELS - Accessibility to data and reports

is given at different levels, according to each employee’s position and authorisation level. The employee can view and update his/her reports, while the manager can view and approve the data of employees in predetermined levels.

ACCESS CONTROL MODULE – limit access to any specified area, see in

real time the exact location of any individual and produce reports on the location and movement. Includes CCTV monitoring interface and personalised card printing.

NOTIFIER MODULE - Unique managerial tool for the administrator to

Personnel Screen: Advanced Employee Management

The comprehensive employee management screens can be used to view a whole company or a single department or branch, the selected employees can then be ordered by first name, surname or employee number.

Presence Information Panel

The employee list also acts as a real-time status list; each employee record is either red or green box showing if the employee is in or out of the building.

Daily Browser: On screen viewing & editing of clocking & hours, making multiple adjustments and even book absences.

The software collects data from the clocking terminals in real-time, allowing managers’ instant access to employees clocking times as they arrive or leave work. If employees forget to clock in or out, the system will automatically alert the user of this in an errors list.

A missing clocking can be manually inserted and a reason may be recorded. If a clocking is amended, the original is kept for reference. All manually edited data is clearly marked on screen and on reports. Similarly, daily and weekly hours can be added, changed or removed, again with a full audit log of who made the change and when.

Exceptions: Employee warnings and discrepancies

Lateness, missed breaks, leaving early, absences, are all automatically highlighted. In fact you can set the system up to flag up any types of anomalies that may be relevant to your business. These maybe things like minimum daily hours not reached or unexpected employee clocking, pretty much anything you can think of. This information can be viewed in detailed lists, or sometimes it may be more useful on a 12 month chart, so patterns of infringements can easily be seen. This data can be filtered on screen and has become invaluable when employee reviews are conducted.

Schedule Screen: Advanced graphical shift and absence planner

One of the most useful and widely used areas within the software is the graphical Scheduler.

It has a graphical roster planner where groups of employees may be scheduled to work specific patterns of shifts. This can be done over any date range and set to repeat. This can be quickly edited at any stage if employees change their shifts, even after the event. The planner automatically calculates planned clocking and hours vs. actual clocking times and hours worked so far this period, helping ensure staffing levels are within your required range. This powerful feature gives ultimate control and flexibility to the user, making payroll preparation as quick and simple as possible.

It allows a user to see rostering on a daily, weekly or monthly rolling basis view for either one employee and or whole department, company etc ensuring that they don’t have to many employees of a certain type away at the same time.

You can create your own leave types and colours in addition to setting background rules for how employees get paid or holiday deducted when booking. For example if an employee works on a bank holiday they might get a different rate of pay to normal. Leave can be booked directly on to the calendars and number of paid holidays remaining is displayed. Pending and not approved leave may also be recorded.

Absence Request/Authorisation

Each employee can request their own holidays and leave from the web module, they simply view their holiday planner and request a new period of leave. An email then automatically sent to the employee’s manager to be approved.

The supervisor has the option to approve or decline the leave request and can add their own comments to the leave booking. Once the supervisor has approved the leave an email is sent back to the employee informing them that their leave has been approved.

Virtual Terminal: Clock In Through the Web

The web module also can be used to allow employees to clock in and out from their PC when they start and finish work. This can be great for home based employees, employees who spend their time travelling such as sales representatives and engineers or even employees in a call centre environment.

Timesheets and Reports for Managers

The Web Module is not only a powerful personal information tool but is ideally suited for managers who need to view their employee’s time and attendance data from wherever they may be. Administrators are able to view any of their employee’s time and attendance and leave information and produce timesheet and payroll reports that are emailed directly to their inbox.
