This module gives the user the ability to create a file to transfer data from CAMAvision™ to another computer system such as the tax administration program. Typically values, reconciliation and exemption records are transferred but the ability to transfer extended parcel detail is now available also. When using VCS Value Export for the first time, a couple of options will need to be set. Sometimes it seems that setting these options are purely by trial-and-error but once these are set, the options are usually not changed.

The VCS Value Export module is available via the Extras Modules main menu option.

The below VCS Value Export wizard is then displayed. Click the Select PDF button.

The below dialog box is displayed. Select single Map Areas or multiple Map Areas by utilizing the <Shift> or <Ctrl> keys and then selecting the OK button. Generally the All button is selected and then the OK button.

We will now review the PIN options. Notice with no options chosen, the Sample is a straight 10 characters.

If the Transfer PIN Mask is checked, notice the Sample now includes the system masking. If the Prefix PIN with Tax District Code is checked, notice the Sample now includes the code in front of the PIN. You would also set the length of the tax district. If the Sync PIN field to 40 chars for all files option is checked, the PIN will have a fixed 40-character field length. The next field will start at position 41. This will not be displayed on the Sample. Selecting the Blue Grid to the right of the Prefix PIN with Tax District Code, displays the below table. This allows you to view the School/Tax District table to determine the length of the code to be inputted in the Length field.

If the Add Dash between District and PIN is checked, notice the Sample now includes a dash between the District and PIN.

We will now review the Extended Options:

Export to One File: Allows for the creation of ONE file for all PDF’s exported Transfer Exempt and "Old Home" Records: This option if checked will transfer the allocation record that you have checked Exempt check box. This option if checked will also transfer records with a Class of 999 (TOH). If this option is unchecked, the records that are checked exempt or any "Old Home" records will not transfer. Export Minnesota Land Information: This option if checked will transfer the extended field and Green Acres land information. This information is transferred with each individual homestead classification record due to parcels which may have split classifications.

Export Extended Parcel Info: Exports an extended parcel information file. To review the fields that may be exported and the file layout, select the help button and review the Export Extended Parcel Info topic. Export MN Class as 4-digits: This option will allow exporting the full classification field. MN Use Computer ID instead of PIN: This option transfers Computer ID instead of the PIN. Use .DWN file Extension (instead of .XFR): This option is provided for the mainframe import program that receives the .DWN file extension. The file remains unchanged but the file extension will be .DWN instead of the default .XFR extension.

We will now review the Exemptions Options:

Export Exemption Information: This option creates the parcel exemption files to be transferred. Sequence #: Is a 3-digit number that is added to the end of each parcel number in the exemption file. Valid sequence numbers are: None, 100, 200, 300, 400, 500, 600 and 700. Separator: Is used to separate each field in the exemption file. This allows a field identifier for reviewing where a field begins and ends. Transfer Map Area As: Allows the user to transfer the Name vs the corresponding Map Area number.

Export To Options: Filename Prefix (32 char max): Allows for a prefix to be added to the created default filename. Example: default is pcltrn001.xfr. If a prefix was added such as LORI, the filename would be LORIpcltrn001.xfr Directory: Simply specifies where the created file will reside. This generally is the location where the mainframe/other application is looking for the file.

Once all options are set, select the Export button and the transfer files are created. When the process finishes the below Process Complete dialog box will be displayed.

The Information box displays the Name of the files and the path as to where the files are located as well as the number of parcel files exported. After selecting the OK button, the Information box disappears and you may then print the Export log by selecting the Report button.
