Posting EESAC Meetings

or phrase to describe

the current state of

your school’s EESAC

STATUS

CHECK

• All District Advisory Committee meetings, including

those that have been previously posted to the

master calendar and those that have not yet been

posted and that must be held using a virtual

platform, should include details on how the public is

able to electronically access the meeting in the

notice information.

• The individual creating the meeting should be

mindful to use all necessary security settings to

protect the integrity of the online system and the

meeting.

• This action is advised due to District office and

school closures in response to Governor Ron

DeSantis/ declared State of Emergency due to the

Coronavirus Disease 2019 (COVID-19) pandemic.

• All meetings must be posted in compliance with

School Board Policy 9125 and the Sunshine Law, s.

286.011. F.S.

• The above-stated requirements should be adhered

to with regard to all District Advisory Committees,

Attendance Boundary Committees, Educational

Excellence School Advisory Councils (EESACs),

School Board Committees, and all other committees

that advise the Board.

EESAC VIRTUAL MEETINGSPlease refer to

*Citizen’s Information requires for all

EESAC meetings to be posted at least

five (5) days prior to the meeting

POSTING EESAC MEETINGS1. Log on to: http://osi.dadeschools.net/

2. On the Left-hand menu bar, below EESAC: Select Post Meetings

3. Fill in the required fields: Employee Number, Birth Month/year,

E-Mail Address then click ENTER

4. Verify that the ‘Required Information’ is correct

5. From the drop-down menu for Category: select ‘School Meeting’

6. Enter the following: Meeting date; meeting Time – (a.m. / p.m.)

(Meeting end time is optional)

7. School/Department: Enter the WORK LOCATION NUMBER followed

by the school’s name (do not include “#” or the letters “WL”)

8. Under Address and Room: enter either

a. The school’s address and the room in which the meeting will be

held OR

b. Type Virtual Meeting: Meeting ID and Password

9. Subject: EESAC Meeting or provide a brief outline/summary of the

topics (agenda items) to be covered during the meeting

10. Contact Person: Enter your name

11. Telephone: Enter your school’s telephone number

12. Click: Add meeting

1. Save and print the confirmation notice, you will need it to cancel

or update the meeting announcement

2. The unique password will not be sent to your e-mail. If you do not

print or write it down, you will not be able to make edits to the

meeting

3. Once Citizen’s Information approves the meeting, they will send

the meeting originator a Meeting Announcement Confirmation

4. The link provided in the Meeting Announcement Confirmation

directs you to the Citizen’s Information homepage

5. To find the approved meeting, click on the link and select School

Meetings

6. You can find the meeting by searching the date on the calendar

7. Citizen’s Information requires for all meetings to be posted at least

five (5) days prior to the meeting

8. The day of posting counts as the first of the five days if the notice is

posted before 10:00 am

9. The day of the meeting will count as the fifth day if the meeting

begins after 4:30 pm

ELECTIONS• Hold EESAC Elections during the first

meeting to ensure compliance.

• Voting members on the current EESAC

Roster shall elect officers.

• Quorum must be established for the

elections to take effect.

• Members of the EESAC represent

constituent groups within a school such

as teachers, parents, support personnel,

and community members.

• Members should consist of 51% non-

district employees and 49% district

employees.

ROSTER• Representation must reflect ethnic, racial,

linguistic, disabled and the economic

community served by the school

(FS 1001.452).

• EESAC rosters list all voting members and

alternates along with their demographic

information.

• An official roster is presented to the School

Board annually for approval per Florida

State Statute.

• Once approved, the district can certify to

the Florida Department of Education that

the EESACs meet the stipulations of state

law.

ACCESSING YOUR CURRENT ROSTER TO REVIEW AND UPDATE

AS NEEDED:

1. Log on to osi.dadeschools.net

2. Under EESAC (left hand side) click on EDIT/MINUTES/BYLAWS/ROSTER

3. Enter your work location number

4. Once page above opens for your school, click on CURRENT EESAC

ROSTER

Make sure you do enough research

to support your points. It’s also a

good idea to pair data with visual

aids like charts or images.

COMPOSITION

WAIVER• The EESAC may submit a request with

an explanation to the EESAC Support

Committee, as established by the

Superintendent, using FM-7292, to

increase or decrease the number of

representatives in one, several, or all

the groups for which representation is

required.

• Once the Support Committee

approves the waiver, the EESAC bylaws

must be amended to reflect the

change in membership.

ASSURANCES

Submit the 2019-2020 EESAC End-of-Year

Assurances and the Continuous Improvement

Reflection Assurances along with the 2020-21

EESAC Assurances with all required signatures

no later than Friday, September 11, 2020.
