Yet the benefits go both ways. Every day we hear from an artist or arts organization whose work has been transformed by the grant they received from the ArtsKC Fund, now in its seventh year. Throughout the pages of this manual you’ll see evidence of how investment in the arts has completely transformed Kansas City, raised its profile on a national and international level, and revealed that the partnership of art and business creates an economic engine that benefits us all. We’ve updated the manual this year, given you examples of several different types of campaigns from large to small, and included the best information of all tips from your fellow Employee Campaign Managers who are resourceful, enthusiastic and highly creative in their efforts to provide funding for the arts in Kansas City. In the 14 years since the Arts Council of Metropolitan Kansas City was founded, the tapestry of art in Kansas City has been almost completely re-woven. Local artists with national reputations are settling here and out-of-towners are attracted by support and opportunity. Resident performing arts companies are able to recruit high levels of talent and a new generation of arts consumers have come of age. We’re so grateful for your partnership in making that happen. The ArtsKC Fund

The ArtsKC Fund is the largest arts fund in the metropolitan area. Money raised through workplace giving, corporate, foundation, government and individual donations is directly granted to a wide range of artists and arts organizations. These recipients include our largest art museums and theatres, mid-sized and startup arts programs, and individual artists throughout the five-county region, all of whom help make Kansas City a better place to live, work and play. Venice, a production which was written and directed by KC Rep Artistic Director Eric Rosen, will be staged at The Public Theater, one of New York’s most prestigious Off-Broadway houses this spring. The show had its world-premiere during the Rep’s 2009-2010 season and will run June 13-23, 2013. Pictured at front is co-creator and star, Matt Sax. KC Rep is an Ovation grant recipient.

Three Categories of ArtsKC Fund Grants

Ovation Grants – 70% of annual undesignated grants are awarded to well-established arts organizations with broad reach and impact throughout the area. All 23 current recipients serve the region with performances, programs, and exhibitions that have a combined annual attendance of more than 2.1 million audience members. Many of these organizations offer admission, education programs, and community performances which are free to the public in order to provide access to the arts for all members of our community. The ArtsKC Fund helps to underwrite these valuable public services.

Catalyst Grants – 25% of undesignated funds are awarded to a broad variety of smaller arts organizations for mission support or special projects for youth, families, and fully accessible and inclusive audiences.

Inspiration Grants – 5% of undesignated funding is awarded to individual artists for projects, performances, or equipment that assist professional development.

Workplace Giving Campaigns

Benefits of a Workplace Giving Campaign? A Workplace Giving Campaign (WPG) is a time-sensitive (1 day, 1 week, 1 month) fundraising effort that offers employees an opportunity to contribute and connect to artists and arts organizations across the five-county Kansas City metropolitan region.

The investment is stronger when corporations and employees partner together to fund the arts. The power of an organization supports the passion of its individuals.

WPG builds teamwork and community. Employees experience the thrill of being part of something bigger than themselves. Enthusiastic participation means the sharing of artistic interests and participation. When a company supports the arts, its employees know that innovation and creativity are valued.

Kansas City’s leading philanthropists have made major contributions, but the arts are for everyone. When your employees give, whether it’s $10 or $100, many learn, some for the first time, about the incredible artists and arts events that the Kansas City area has to offer.

The majority of people in the Kansas City metropolitan region have never been directly asked to participate. When we participate we learn the name of the ballerina in the chorus, the lead guitarist playing in the band or the young playwright whose work is being staged for the first time, we become a part of their team and are invested in their success.

Joyce DiDonato, a mezzo-soprano from Prairie Village, KS, is a 2013 Grammy nominee along with Ovation recipient the Kansas City Symphony. The nomination was for best vocal classical performance for Homecoming — The Kansas City Symphony Presents Joyce DiDonato, in which the singer’s encore was, Somewhere Over the Rainbow. The performance was recorded for CD and also broadcast in a public television special.

ArtsKC Fund FAQs Who decides where the money from the ArtsKC Fund goes? Panels comprised of arts lovers and enthusiasts, board members of arts organizations, working artists and even Employee Campaign Managers sit on all three review panels. The common denominator is a broad appreciation for the arts and cultural life of the Kansas City metro area. Ovation recipients must prepare a multi-page application, an annual report and an oral presentation. Catalyst applicants also provide a multi-page application with financial statements and may attend the Catalyst review panel in order to answer questions. Inspiration grant applicants submit an initial proposal which is reviewed by Arts Council staff before a group of finalists are submitted to a second panel for approval. The Arts Council Board of Directors has final approval of all panel recommendations.

What’s my motivation to give to the ArtsKC Fund? Our community has been greatly enriched by the contribution of artists and arts organizations. This is a way to support more music, art, and theatre coming from our hometown. It’s a hand up to children who have never had an art class in school and a program which helps to encourage artists to live and work here rather than leaving for New York or California to build a career.

Does the ArtsKC Fund serve the entire metropolitan region? Yes! Arts audiences are drawn from both sides of the state line in almost equal numbers, with 52% of the audience members living in Missouri and 48% living Kansas. Additionally, grants are made to individuals and organizations in all five counties (Jackson, Johnson, Wyandotte, Clay and Platte) which the Arts Council represents.

How much of my money goes directly to the arts organizations? A minimum of 85% of the funds raised will go directly to the grant recipients; up to 15% may be used for administrative and fundraising costs.

Should I contribute to the ArtsKC Fund instead of my favorite arts organization? Never. If you are a donor to other arts organizations we strongly encourage you to continue supporting them. Your gift to the ArtsKC Fund is a way to give to a broader pool and raise the profile of the arts scene as a whole. Especially when we’re talking about support for individual artists, every gift really does make a difference.

Do the grant recipients change from year to year? Yes and no. Inspiration and Catalyst Grant recipients must apply for funding each year so the list of recipients expands and changes. Ovation Grant recipients receive funding annually and new organizations may apply and be added each year.

Is my contribution tax-deductible? Yes, contributions to the ArtsKC Fund are fully tax deductible when no goods or services are received in exchange for your donation.

Food – The Ultimate Community Builder

Host kick-off festivities with a pancake breakfast, donuts, coffee bar, etc. Invite employees to enter a culinary arts contest. A pledge form = a vote

Fun & Games – Competitions for departments, floors, shifts & divisions

Puzzle race using images of famous works of art from KC museums

Sculpture contests using a current local museum exhibition as the theme

Kansas City Arts Community Trivia Game created by the Arts Council

Select a local artist for the week – Tell their story in your newsletter, emails, and intranet. Our ECM Toolkit features Inspiration Grant winners for ideas.

Art Scavenger Hunt – Email clues to teams of associates regarding the location of 10 art related items (located inside or outside).

During March Madness, allow team jerseys to be worn in exchange for a donation and organize a bracket with proceeds to be donated to the Fund.

A few tips to make your job easier

Ask your CEO… o to attend and speak at the company's kickoff and closing events if you have them OR o to send an email in support of the ArtsKC Fund when your campaign begins o to request that Human Resources authorize payroll deduction o to be visibly engaged in the campaign o to kick off a Leadership Campaign with a gift at one of the following levels:

Recognition Circle $300 to $599 Applause Circle $600 to $999 Cheers Circle $1,000 to $2,499 Bravo Circle $2,500 to $4,999 Encore Circle $5,000 to $9,999 Renaissance Circle $10,000+

Use your network to grow your fund o Access the power of friends and supporters to increase your campaign. This year you

can share your unique QR Code for mobile giving so that others may contribute to your company’s ArtsKC Fund campaign.

Everything is better with a posse o If you don’t already have a planning committee, send an email and solicit one, even if

you are doing a simple campaign. o Choose individuals from different departments who share your passion for the arts,

who want to give back to the community and who like to have FUN! o Brainstorm ideas and utilize current arts supporters in your company to share their

passions. Personal testimony is always the most powerful o Small gifts can grow over time. Encourage people to give within their capacity, but use

this as an opportunity to connect everyone to the organizations that the ArtsKC Fund supports, no matter the size of the gift.

Set goals & grow the campaign o Set a percent participation goal or a dollar amount goal. o FYI, the national participation rate is 10% and the average gift amount is $100. o If you won’t have specific arts activities as part of your campaign, ask for a spot on the

agenda of a staff meeting so that people hear about the campaign personally at least once.

o Be sure EVERY employee in your company is asked to contribute. You don’t have to make people uncomfortable. You just have to share your enthusiasm and ask.

o If you are a new large company, consider asking everyone to make a gift of $10 for your first year. A gift that size doesn’t require much consideration and the multiplier effect is huge if you’ve got 500+ people.

o Offer an incentive for giving, no matter the size of the gift. A small donation can be a big deal to someone who sacrifices to make it.

o Personally distribute pledge forms and pre-populate the form with the employee’s name & contact information. In larger companies seek out a member of each department to be your “face.”

Some inspiration from your fellow Employee Campaign Managers…

The “Four Email” Campaign – If your organization wants to support the arts but does not have the manpower or extra time, this is the campaign for you. This would be a great campaign for interested but cautious newcomers and a perfect opportunity for a brief but compelling ArtsKC power point presentation.

Lasts 2-3 weeks

The Four Emails o 1 – The campaign is coming. Here’s why we support it. o 2 – Kickoff of campaign. Brochures are being distributed o 3 – Two days before it ends. You have two more days to support. o 4 – Three days after campaign ends, Thank you for supporting this.

Some years there is a brief gathering for staff with a performance by one of the Talent Ensemble performers

No payroll withdrawal

The Traditional Workplace Giving Campaign – Great for companies familiar with the concept of Workplace Giving. Both involve a Campaign Chair, personal interaction, and a manageable number of activities. Campaign #1

1 month prior to campaign, CEO or Senior leader sends email heads-up, “It’s almost time for the

ArtsKC Campaign”

On Monday of campaign week, company hosts lunch with invited Arts guest.

All attendees receive packet of information that includes letter from CEO or Senior Leader

Another, smaller event is held on Wednesday. One year it was a finger painting contest where donations could purchase tickets to vote on a winner.

Two additional emails are sent

Person to person donation requests are made of each employee

Pledge forms may be turned in for two weeks after campaign

Campaign #2 Letter from Campaign chair to SVP level and above, asking for participation in campaign

Reception held for executives. Often they bring in grant recipients as guests

Campaign Chair and key executives speak at Officer’s Meeting and distribute pamphlets

Often a performance at the Officer’s meeting

Other information shared in the weekly newsletter

Thank you notes are sent to all donors

Donors are eligible to receive corporate tickets to arts events throughout the year

The Highly Creative Team Building Campaign – Not only raises money for the ArtsKC Fund, but also introduces your employees to the fantastic art scene in Kansas City. Campaign #1

Lasts 5 days

Kickoff lunch to start includes AKC performance or other event like Marching Cobras + Arts Council speaker. Paperwork distributed afterward.

Big ticket item drawing each day for donors (iPads, electronics). The more you give the more tickets you qualify for.

Campaign goal can be a percentage in an economically challenging year or a dollar amount. If goal is met, the company provides rewards such as time off or special days

Coin Competition or Penny Wars between departments

Weeklong company-wide participatory game with one winner each day

Management is highly committed and very visible

Campaign #2 1 week active campaign, 1 additional week to give. Email goes out at the beginning and

announcement is made at all-staff meeting on Monday.

Usually one activity each day. Examples include: o Musician playing in the largest office area for a couple of hours in the morning o Bake sale o Tour of arts organizations such as Mattie Rhodes or the Bolender Center

Emails go out at the end of each day with the next day’s activity

Silent auction is ongoing throughout the week, an easier option in a difficult economy

Company leaders began a trend of auctioning off ‘experiences’ several years ago. Now it has grown to include other employees - Slots at a cocktail party, seats at an authentic Indian dinner.

The UMKC Conservatory's Distinguished Professor of Music Composition, Zhou Long, won a 2011 Pulitzer Prize for his opera Madame White Snake. The UMKC Conservatory of Music and Dance is an Ovation recipient and offers in-state tuition to Kansas students residing in and around the metro region.

The Multi-Site Campaign – Activities & fun with employees in a lot of locations Campaign #1

Music and visual art competition begins three weeks before campaign kickoff. A winner is voted in each department and those go on display at a central location at the beginning of the campaign.

Senior leader meeting in the morning and employee reception with art competition winners at the end of the day are kickoff for campaign. Art is unveiled and musicians are recruited to perform.

Additional fundraiser was created by selling a calendar with photos of art from earlier competitions

Arts and entertainment tickets and other items are solicited for a silent auction.

Very competitive between departments – an award is given to the department that raises the most money and this travels from year to year. Each department has a leader for their campaign.

Campaign chair changes every year and changes departments

Campaign #2 One week, usually late February/early March

Raffle - $5 for a ticket or 3 for $10 for attempts to win:

o a pair of Sprint Center suite tickets to a Big 12 Conference Game

o a pair of Sprint Center suite tickets to a concert

o 4 AMC gold movie passes

Can buy a denim day for $5 per day or $15 for the week

Silent auction of art pieces using recycled components that are used in the company’s work. This event is the largest fundraiser.

15-20 facility locations

Accessible Arts, a Catalyst grant recipient works to increase engagement in the arts for people of all abilities. Here, Jo Ann Fluke, executive director of Groovability, performs with her partner. Groovability teaches dance to individuals with physical disabilities and their non-disabled partners.

Make giving easy with a variety of ways to contribute Personally distribute a pledge form to each employee, and/or send a personal e-mail message with links to all giving options. A “personal” ask increases giving! Annual Pledge, paid through Payroll Deduction The most successful campaigns are those that offer the option of contributing to the ArtsKC Fund through payroll deduction. Mobile Giving – Our Newest and Simplest Option!

Text “artskc” to 816-399-3039 and you’ll receive a highly secure* link to donate from your

smart phone! Or ask us for a QR Code that is unique to your company or even your department so you can track your donations. One-time Gifts Employees may choose to contribute to the ArtsKC Fund by making one annual gift by check or credit card payment. Checks should be made payable to the Arts Council of Metropolitan Kansas City. Online Contributions One-time gifts to the ArtsKC Fund may also be made by credit card. As with the mobile giving option we can create a unique code that will enable you to track all gifts from your company. Recurring Contributions Employees may choose to have their credit card billed in monthly or quarterly installments. A minimum of $10 per billing applies. Cash Contributions Cash contributors will receive annual tax letters when they are accompanied by a complete ArtsKC Fund pledge form. Pledge Form Completion – We cannot send you an acknowledgement letter for tax purposes if we don’t have your contact information! Pledge forms must include:

Your campaign is your own. But here are the things we absolutely need you to do:

Submit the appropriate copy of each payroll deduction pledge form to your payroll administrator.

Fill out the ArtsKC Fund Campaign Report (found as a PDF in the ECM Toolkit at www.ArtsKC.org ) FINAL REPORT DUE NO LATER THAN JUNE 15th.

Call the Arts Council to schedule pick up of your pledges, contributions and final report.

Announce the amount raised and thank every donor. If your CEO will send the thank you emails,

even better.

Personally thank your campaign committee and key volunteers.
