The purpose of this presentation is to provide you with information on NYSIF’s new Premium Audit Exit Interview Form.

Introduction

The exit interview is conducted at the conclusion of an audit to provide the customer with a complete understanding of how the audit was done and the impact that the audit results will have on the policy’s premium.

The Exit Interview

The main components of an “exit interview” with a NYSIF customer are as follows:

• To fully explain the rating board classification codes applied to the account; to discuss to which employees the codes were applied to; and to describe the amount of payroll included.

• Further, the exit interview points out any changes to classifications and/or changes to payrolls.

• It can be used to apprise the customer of the audit results in comparison to the deposit.

• Discuss and resolve any open questions or issues raised.

Old Exit Interview Form

• Form is handwritten.

• Auditors use one page and make copies at assured, or use a carbon paper form.

• Time consuming to fill out.

• No information regarding potential premium impact.

• Auditor brings in office copy to be scanned to eFile.

New Exit Interview Form

• Fully electronic.

• Policyholder receives a PDF copy via email.

• Form is populated electronically in seconds from the audit worksheets.

• Includes information regarding impact on manual premium.

• Form is uploaded to eFile at the end of the day with completed audit.

• Create efficiencies by eliminating the need for paper forms.

• Provide the policyholder with a completed, legible form.

• By including Manual Premium information, provide the policyholders with an incentive to have this discussion.

• Enhance the exit interview process.

Goals for Use of New “Exit Interview” Form

Early Feedback

• Auditors find it very easy to use.

• Policyholders have provided positive comments.

Future Phase

• Group Managers, brokers, and policyholder will be able to access the exit interview form from their NYSIF online accounts.

• Copies of detailed audit worksheets will be provided at the time of audit.

• Worksheets will also be available on online accounts as well.

• Include a calculation of actual premium.
