GETTING TO KNOW THE TABLET

The Geotab Tablet equipped in your tractor is pre-installed into a hard-protective mounting case that will allow for charging while the unit is in its dock and the tractor ignition is on. **NOTE** Never attempt to remove the tablet from the case.

To change screen brightness, click Settings and then Display.

When you first see the LOG IN screen, you will notice that there are only 3 lines to enter your credentials into. Once you fill out the first two lines, a 4th line (Driver ID) will appear like in the second picture. **SEE BELOW FOR EXAMPLE LOG IN INFO** **NOTE** ALL letters are CAPITAL letters and there are NO SPACES when logging into TRANSFLO.

It is a driver’s responsibility to claim any unassigned drive time that THEY performed and have it reflected on their HOS logs. Select any ON Duty or Drive time that you performed and then select “ASSIGN TO ME”.

Adding a Trailer – Click the add button (Blue box with + sign) Search the trailer number by typing in the number in the search box

CLICK on the “Certify and Inspect” buttons for each piece of equipment. *NOTE* If you need to change the trailer asset number, you need to go to the assets button as seen on PAGE 31, clicking that icon will take you back to this screen. Hit the DELETE X next to the trailer number and go through the steps like on PAGE 8.

When you click on the Certify and Inspect buttons on the assets, it brings you to this page. It is a long page so make sure that you scroll to the bottom, verifying that everything is correct on there. At the bottom you will see a box that says, “DRIVER CERTIFICATION”. You will need to place a comment in the Annotate box and click “CERTIFY PREVIOUS INSPECTION”. This needs to be completed daily.

It will bring you to this screen at the top showing it was reviewed.

You will need to scroll to the bottom, If there are defects, mark

them otherwise tap your inspection type and select “NO DEFECTS”

Then you will see this window pop up. You will need to click the YES button to sign your DVIR.

Then it will show that you have completed the DVIR for the tractor as seen below. You will then need to do the same process for the trailer.

Then after hitting YES, hit CLOSE in the top left corner.

HOS – LOGS TAB

When you click on the LOGS tab as above, the following is the page that is displayed on your GEOTAB Tablet. As you scroll down, you will see your logs represented like they would on a traditional paper logbook. It will continue to track time as HH:MM:SS format but will only display in HH:MM, and to see the detail you will need to scroll down on this page.

Focal points on the LOGS tab include: Driver whose logs are displayed, Day of log 1, adding a log 2, log malfunctions 3, log verification (to be done daily to follow FMCSA regulations) 4.

As you scroll down from Figure 1 to Figure 2 below, you will see the descriptions of the duty status when the logs are approved for that day as well as a detailed list of your duty status with date and time as well as location of record and duration on the far right.

To change your duty status. From the HOS DASHBOARD, select the HOS button in either location. *Large button shows current status at the bottom as seen below.

Click on the STATUS tab at the top and it will have your current DUTY STATUS box filled in with color instead of the white button. Simply select the status that you require and a pop-up window will show and allow you

to click to add annotation (description) of the status.

In this example, the duty status is in OFF and you can see what remains for the 8, 11, 14 and 70 hour clocks.

To EDIT your duty status. From the HOS DASHBOARD, select the HOS button in either location.

Click on the STATUS tab at the top and it will have your current DUTY STATUS selected. You may need to change this if this is the current status

that you are trying to edit. If so, change and proceed to LOGS tab.

From the LOGS tab, scroll down to the duty status that you would like to edit (below the log graph).

Select the duty status (as seen in Figure 1) by clicking the icon on the left.

Click the icon by the duty status to proceed with the edit.

*NOTE* You won’t need to edit the Date line or Duration line.

Select your new DUTY STATUS to replace the original status.

You will be prompted to add a annotation (comment) on why you are

changing your duty status. The more detailed you are, the less headaches you will have during a roadside inspection. DOCUMENT,

DOCUMENT, DOCUMENT!

Your record of DUTY STATUS has been changed now. It will return you to this screen reflecting the change.

From the HOS LOGS TAB, select the date that you need to verify and

then select the 1 button. You may need to verify multiple days so if the arrows below are enabled, select to change days or click the date bar.

Then click the AGREE button as seen below.

You may be prompted to VERIFY previous days RODS (Record of Duty

Status) upon logging into the HOS system. SEE NEXT PAGE

Upon logging into HOS, if you have previous unverified logs, it will prompt you to verify to be compliant. You can select each individual day when prompted or scroll to the bottom to select “Verify All”.

HOS – EXEMPTIONS AC/YM/PC

There are 3(THREE) EXEMPTIONS and their definitions. *NOTE* - Continual abuse of these exemptions are subject to review by the Safety Department.

Think, is my exemption movement being conducted under the proper conditions and situation?

ADVERSE CONDTIONS: You cannot know about the condition at the time you started your clock for the day. Traffic accidents, bad weather etc. must have developed while you were driving. This rule only extends your 14-hour clock to allow you to get to a safe place to shut down for a qualifying break. It DOES NOT extend your drive clock (11 hr.)

YARD MOVE: This is an ON-DUTY function

that only starts your 14-hour work clock and NOT your 11 hour drive clock. To be used to move around yards at shippers, receivers, maintenance facilities or company yard. Usually to go get a trailer or paperwork.

PERSONAL CONVEYANCE: This is an

OFF DUTY drive function that is to be used while BOBTAIL from Point A to Point B back to Point A. Drivers are not allowed to use this function to advance a load by any means under direction of the FMCSA. This function is limited to 25 miles and when exceeded, it will switch to the DRIVE line on their logs automatically.

From the HOS Dashboard, Select HOS and scroll to the bottom to find the click the view exemptions button.

It will expand the page to allow scrolling further to the image below. Select

the exemption that you want to utilize.

The following screen will pop up asking to APPLY exemption today. This example is for PC (Personal Conveyance).

• Enter your annotation (comment) into the box (REQUIRED)

• Select APPLY

Once activated, the START will turn to STOP and at the top by your

8-hour clock, it will say “PERSONAL CONEYANCE EXEMPTION IN USE”

To end using PC or YARD MOVE, scroll back to where your enabled it

and click “STOP”

By DEFAULT, the Rule Set is configured to the standard 70 Hour/8 Day. If you are needing to do an 8/2 or 7/3 split break, you will need to change

rule sets. When done, switch back to Ruleset A.

Select the RULESET SWITCHER button in the HOS Dashboard.

Select “SWITCH RULESET” and then “RULESET B”

HOS – RULE SET SWITCHER

Ruleset B will allow for Split breaks. This change must be done prior to starting the split break or it will not register properly causing you to run in violation if you drive.

HOS – INSPECTIONS (DOT)

When you are approached for a roadside inspection or subject to an inspection at a DOT scale house. In the HOS Dashboard, click HOS and put yourself ON DUTY for an inspection. Once you have entered your duty status, scroll to the bottom of the HOS Dashboard and select INSPECTION.

Enter any 4 digit PIN number and confirm the PIN. This can be any number of your choosing as doesn’t save permanently, it is only temporary. **Doing this prevents a DOT officer from being able to go into your HOS and view your graph to easily spot any possible violations or to see if your logs are not verified.

Confirm your PIN.

Bring your GEOTAB tablet in with you to the DOT officer as well as the instruction card from your permit book. Failure to provide the card is a DOT violation and subject to CSA violation points.

Hand your tablet to the officer and they will enter their credentials and click submit. When they click EXIT on the top right, it will prompt for the pin. DOT officers will need to hand the unit back to the driver at this time, see

page 33.

After the DOT officer hands the unit back to you, you may enter your pin to return to HOS functions.

**If you DID NOT set a PIN, it will prompt the officer to hand the unit back to the driver. However, it will allow the officer to inspect the various pages of the tablet to locate your logs which is not required.

Play it safe, set the PIN.

DISPATCHED ON AN ORDER –

When you have been dispatched on an order, you will see the following notifications on your tablet.

• Messages

• Loads

• Alerts

In the Messages thought bubble at the bottom on the Dashboard home row, you will see the number of messages that came through as well as on the “Chat with Dispatch” app button (they go to the same place). In there you will see your customer directions for all pick-ups and deliveries. Selecting the BELL or ALERT button will show you your loads tendered. (This is the same place you will see your scan confirmation numbers).

DISPATCHED ON AN ORDER –

The newest or most recent dispatch sent will be the at the top. As you view the times, the bell on the left turns from Blue to White.

Once you open your dispatched order. The First thing to note is the order number in the header bar in blue across the top and 1/3rd of the way down on the left. If the order is a multi-stop load, it will show the MULTISTOP icon in the center.

When you click on the STOPS icon, it will bring you to this page showing the SHIPPER, Additional Stops and the CONSIGNEE. *Click the stop for additional details from this screen and click on the BOL # for more

information. It will also show you a map of your location.

Next you will need to ACCEPT your load

Whenever you see a SWIPE ARROW as in the image below, you will see

the description on one side and the arrow on the other. Red arrows indicate that information is needed for entry.

Confirm accepting the load by clicking PROCEED.

Scroll down through the load information to ensure that you have all of what you need for the assignment. When ready to send CONFIRMATION, Swipe the blue arrow to the right.

After swiping right, the following screen will appear. You will need to

select SEND in the top right.

After load confirmation is sent, the SHIPPERS address will appear here.

Then you will send your ARRIVAL AT SHIPPER call by sliding the blue arrow to the right again. At this time while you are loading, you can still select the STOPS button at the top to get into each individual stop to get additional information like the TEMP setting, PIECE COUNT, WEIGHT, BOL #, PO #, etc. Then by clicking BACK at the top, it will bring you back to this same spot before going all the way back to the LOADS TENDERED screen with the ALERT bells. (See Pages 34 & 35)

After Sliding the RED Depart Shipper, the following screen appears.

This is your DEPART SHIPPER / LOADED CALL screen. You will need to scroll down and fill out as much information as you can to send a successful loaded call. Required Information includes:

Upon arrival at your consignee, verify that your delivery addresses match and SWIPE the blue arrow to the right to send the arrival call.

In the ALERT Tab (Page 34) click on the order you just completed and select SCAN at the top. OR use the scanner app on the dashboard.

REQUEST FUEL SOLUTION

To request a FUEL SOLUTION (and routing), click on the Fuel Solution app button on the bottom row of apps. It is the one that looks like a fuel

pump.

Enter the letter that matches your current fuel level and click send in the

top right corner. Remember to error on the side of less fuel than you have so your fuel solutions are not leaving you short of the stop.

It will then return you to the main Dashboard as seen in figure 1 above.

To request a lumper, click on the Lumper App button ( $ ) on the bottom

row of apps.

When the following screen opens, fill out any applicable fields below and

Safety App Button – This is going to be your main avenue for communication with the Safety Department in Fort Dodge, IA. On page 1 of the DASHBOARD (as seen below), click on the briefcase or “first aid kit” App button.

SAFETY – ACCIDENTS

Click on the ACCIDENT App button on the top left in the Safety Dashboard. Reminder that ALL accidents or incidents need to be reported to safety or by calling night operations to report. If through night operations, someone within the safety department will follow up with you on the next business day.

Clicking on the Accident App Icon will bring you to this screen. It will walk you through the process of dealing with an accident and what information is needed.

SAFETY – OS&D

Click on the OS&D (Overages, Shortages and Disposition) App button on the top left in the Safety Dashboard. Reminder that ALL product claims or rejections need to be reported to safety or by calling night operations to report. If through night operations, someone within the safety department will follow up with you on the next business day.

Clicking on the OS&D App Icon will bring you to this screen. It will walk you through the process of dealing with a product claim and what information is needed. **Don’t dispose of anything unless directed to do so.

Click on the Transflo ELD Video App button on the top Right in the Safety Dashboard. This is a useful tool to assist you should there be an issue in forgetting on how to go through a process within this tablet.

Select the ►► button below and it will populate a greater list of short how-to videos for you to watch. Some are as short as 24 seconds and

others as long as 1 min 16 sec. The other three are pre-loaded videos to watch for reference with common questions.

SCHEDULED HOME TIME or SHOP NEEDS If you are logging off to go home or in the yard when there is the possibility that a shop employee may grab your truck for service needs, please go into the HOS function (Page 14 & 17) and ensure that your duty status is in OFF DUTY, then click the graph tab to verify all of your logs (Page 25). MOVING OUT OF YOUR TRUCK TO GO TO ANOTHER If you are logging off to move into another tractor, please go into the HOS function (Page 14 & 17) and ensure that your duty status is in OFF DUTY, then click the graph tab to verify all of your logs (Page 25). Then click BACK to return to the HOS Dashboard and on the top by your name there is a silhouette of a person, click that and then click LOG OFF.

It will show that it is SAVING and exit you back to the main Transflo

Dashboard. At this time, you will click on the silhouette on the top right to log out again. This will exit all tablet functions and be ready for the next

driver.
