Supporting Performance Dialogues with

Standardised Reporting according to

IBCS®. With use of SAP BO Design Studio

and Chart-me Add-on.

The project was initiated to support and

improve the performance dialogues within

the marketing & sales community. Scope

of the project was the line management

dialogue from President to Account Mana-

ger and all levels in between. After the

KPI framework was established a pilot

set-up was successfully initiated. One of

the learnings from the pilot was the need

to standardise the look and feel of the

reports. Instead of developing a company

specific standard, Adrie Vreeke (BP Repor-

ting Manager DSM Nutritional Products)

contracted Sybit & Peers to consult on the

standardised notation concept following

the IBCS® rules. To equip the community

with an integrated view of Actual, Budget,

Plan and Previous period information

coming from a variety of sources (multi-

ple SAP ERP systems, Microsoft CRM and

legacy sources) new datamodel in SAP BW

was developed.

With the use of the International Business

Communication Standards (IBCS®), clear

messages and generally valid reporting

standards in form of charts and tables are

generated.

The IBCS® guidelines aim at improving

the understandability of reports and pre-

sentations via efficient structuring. For

this purpose, they include corresponding

rules regarding conceptual design, visual

perception and semantic standardization.

The Task

In future, the salesforce of approximately 350 FTE

spread around the globe were to be provided with

automated understandable reports about the

current and future business performance.

Apart from the reliability and quality of the solu-

tion, there has been a big emphasis on the auto-

mation of the reporting process. With the aim to

reduce the manual effort of the controllers to a

bare minimum.

The Project The Technical Project Development

Schedule consisted of the following steps:

1. Fit Gap Analysis in the SAP BW

Analysis of the data available in the SAP BW

plus Fit Gap Analysis of all information still not

available for the requirements of the Business

Users

2. Integration of the Required Data

Concept for the provision of the missing data

in the SAP BW (CRM data, transformation of

the Sales and Gross Profit data)

3. Notation Manual

Conception and preparation of a Notation

Manual for the reporting (incl. definition of

design rules)

4. ACTUAL Reporting and Derivation according

to IBCS®

Analysis of the existing reports and conceptual

design of the new reports according to the

IBCS® (High Level Design)

5. Setup of the Queries

To provide the respective information from

the individual source systems with due regard

to the imposed requirements

6. Setup of the Reports

By use of SAP Business Objects Design Studio

and Chart-me DS Add-on

7. Implementation of the Dashboards (Reports)

Realization on the BI platform

8. Testing of Data and Reports

Testing of generated reports by Key Users

to get feedback with regard to modification

requests and changes (adaptions)

9. Implementation of Changes within the

Coaching Approach

To ensure an adequate transfer of know-how

10. Preparation of Additional Prototypes

Development of prototypes for the

standardized reporting of other business units
