Framatome ANP was formed from the merger of two global nuclear industry leaders, Framatome and Siemens, to offer its clients the best technological solutions for safe, reliable, and eco- nomical nuclear plant performance. Need to Share Technical Files Across Departments The Nuclear Fuel business group of Framatome ANP used a Product Data Management (PDM) system to manage technical definition documents such as product specifications and drawings. An ERP system managed part numbers and bill of materials. The two systems overlapped one another in some but not all areas. To make the process of producing and managing technicaldocuments more efficient and to facilitate sharing andreuse of content, Framatome ANP decided that Designand Manufacturing should share a common technical filesdatabase with a cohesive, hierarchical file-coding schemeand capabilities such as version control, check in/checkout, workflow, and lifecycle management. “We concludedthat we needed a solution that would complement ourexisting ERP system with efficient enterprise content man-agement features,” said Jean-Claude Leroux, configura-tion manager at Framatome ANP.

Strict Quality Controls and Regulatory RequirementsFramatome ANP has a strong commitment to quality. Its quality management system is based on the ISO 9001(2000 version) standard and is consistent throughout the entire company and its subsidiaries. The company isalso a member of the EFQM (European Foundation forQuality Management) and has developed a Total Qualityprogram based upon continuous improvement of process-es and constantly striving for excellence. Nuclear energyis also a highly regulated industry. Consequently, frominitial design to production and maintenance, the fuelassemblies and other products developed and manufac-tured by Framatome ANP must adhere to strict qualityand regulatory requirements.

Technical documents such as manufacturing specificationsand drawings must go through detailed analysis and reviewphases. In the “expert assessment” phase, the document isanalyzed in parallel by various experts, compared withreference documents, and amended or modified as neces-sary to reach a consensus. In the “validation” phase, thedocument is distributed in a preset order to people whosesignoff is required, including the author and other review-ers. Said Leroux, “We were looking for a way to electron-ically create and validate documents while complyingwith quality and regulatory requirements.”

Documentum SolutionIn July, 1999, Framatome ANP issued a request for pro-posal to seven content management providers, hoping tofind a single solution that could manage and share PDM

content as well as other enterprise content. In September,1999, the company chose the Documentum platformbecause, according to Bruno Iacono, studies manager atFramatome ANP, “Only Documentum met every one ofour requirements in its entirety.”

Vendor reputation and permanence also played a role in the decision. Framatome ANP confirmed its choice ofDocumentum by contacting Documentum customers invarious industries — for instance, investigating how theDocumentum platform enabled the research and develop-ment teams of a software publisher to keep up with thelatest technological advances — and consulted a compara-tive study of content management solutions completed bythe French independent analyst firm, CXP. “The resultswere all in favor of Documentum,” said Iacono.

Framatome ANP’s initial implementation of theDocumentum platform was a short-term project implemented only in France. After five months, theDocumentum system was rolled out to the company’sfour operating regions. Today, 250 users at 10 locations in France, Belgium, Germany, and the U.S. all interact viathe company intranet with content stored in a centralrepository located in Lyon, France.

Optimizing Content Reuse Across the EnterpriseFramatome ANP integrated the Documentum platformwith its existing ERP system and set up the Documentumrepository to mirror the taxonomy of document collec-tions within the ERP system. With the Documentum ECM

platform, Framatome ANP can create “virtual” or compound documents that have within them multiple files created by multiple authors, and it can automaticallycollect these “children” documents, keeping them togetheras one. When a user creates a new version of a file, forinstance, the compound document containing that file isautomatically updated.

“The ability to virtually link documents was a decisivefactor in our choosing Documentum,” said Leroux. “Itenables us to dynamically create technical documentsfrom already available document components to meet the needs of different users — a feature we found to beunique in the market.”

Accelerating Production of Technical Documents To further streamline the production of technical docu-ments, Framatome ANP also leveraged the workflowcapabilities in the Documentum platform. Now in theconsensus phase, for example, when an expert has comments, he can annotate the PDF file or add a comment in a Microsoft Word file that will automat-ically accompany the file for other experts or validationreviewers to view. Also, all the relevant experts are auto-matically notified via e-mail when a change has beenmade, and they can easily see how the new change affectsrelated documents. In the validation phase, when a finalsignoff is required, the system automatically prompts theuser for a password that enables an electronic signatureand annotates the document with signature and date fields.

By standardizing on Documentum as the content manage-ment platform for the entire Nuclear Fuel business group, and having a central repository with built-in search capa-bilities, finding content is easier than ever. For instance, when reviewing a technical document, users can, with just a few clicks of a mouse, easily consult reference documents stored in the repository. And the versioning, audit trail, and security features of the Documentum platform enable Framatome ANP to create and validatetechnical documents that comply with ISO 9001 proce-dures and other quality and regulatory requirements.

Managing Multiple Types of Content with Single RepositoryThe Documentum enterprise content management solu-tion enables Framatome ANP to manage multiple types of content — drawings, diagrams, reports, letters, memos, folders, forms, etc. — for Design, Manufacturing, Pro-duction, and other functional areas. In addition to CAD

files, the repository holds Microsoft Office documents, aswell as PDF, TIFF, EPS and other types of files. PDF rendi-tions of the CAD files are automatically generated. ThesePDF files become part of the same workflow as MicrosoftOffice documents and often move through the workflowlinked to such documents.

Quick Ramp-Up for UsersBecause the Documentum ECM platform tightly integrateswith Microsoft Office, Adobe Acrobat, CAD tools, andother standard software, users can become familiar with it in only one day of theory and hands-on training.“Within a few weeks, Framatome ANP employees wereusing it as if they had always had it,” said Leroux. Accessvia the company intranet also makes the system easilyaccessible by authorized users whether on the road or inone of the company’s offices around the world.

SummaryBy accelerating the production of technical documentsand facilitating content reuse and access to information, the Documentum ECM platform is helping FramatomeANP increase efficiency and improve collaboration. Nowthe company can better leverage its technical content acrossfunctions as well as across its widespread enterprise.
