Welcome to Aerodrome Management Services! We would like to take this opportunity to thank you for considering Aerodrome Management Services (AMS) as your training provider.

Aerodrome Management Services Pty Ltd (RTO No. 52413) is a Registered Training Organisation, recognised by the Australian Skills Quality Authority (ASQA) to deliver recognised Vocational Education and Training qualifications, skillsets and short courses.

This handbook has been designed for students that are considering enrolling into one of our courses and provides important information about our company, our training services, and our policies and procedures.

It is important that you read and understand the obligations of AMS, as well as your obligations as a potential student prior to enrolling into one of our courses. It is also important to know that many of the policies in this document are summaries only. The full version of these documents is available on request.

We will strive to ensure that you are provided with as much information as possible prior to enrolment to ensure our course meets your needs, and there are no surprises once you start your training.

Our Training Services AMS is proud of the fact that our courses and resources are designed in-house by our team of industry experts and validated in consultation with our clients and industry stakeholders. Our courses are designed to meet the requirements of industry while complying with the requirements of National Training Packages and VET Accredited Courses. Your Trainers If they are delivering a course for AMS, they are employed directly by AMS (we don’t use third parties). Your trainers will have a vast range of industry experience and chances are they don’t just ‘do training’. Currently our training team assist in regular assignments in ARO relief, airport management relief, security management, and conducting ATI’s around Australia. AMS understands the importance of their Trainers staying current with industry and ensures the training team regularly conduct field assignments, workshops and other professional development activities to keep their skills and knowledge current. AMS is committed to providing high quality training and assessment services to all course participants and ensuring our clients have access to flexible learning options to accommodate the diverse and varied learning styles and needs of their teams. Student Responsibilities It is very important to make the most of your training opportunity. Please note it is your responsibility to do this. To optimise your own learning and successful completion we recommend the following:

o Provide and maintain a safe working environment for self and others; o Attend the full duration of the course; o Complete all required and/or suggested reading and learning activities; o Prepare in advance for each course day; o Be a willing participant and work with fellow students where there are group activities; o Respect the opinions of other students; o Ensure you have a clear understanding of the assessment requirements for your course; o Take responsibility for the quality of evidence that you submit to your Assessor; o Keep track of your progress; o Complete and submit all assessment tasks using clear and concise language; o Be willing to have a chat with your trainer if you do not understand a training activity or

assessment task. Our Responsibilities as your Training Provider We will:

o Provide students with transparent and accurate information about the courses we offer; o Ensure that those attending our courses are treated fairly and without discrimination; o Use trainers and assessors with current subject matter expertise and appropriate training and

assessment experience; o Make reasonable adjustments to the training environment, resources, delivery and

assessment strategies to accommodate student needs, where possible; o Design and develop high quality training and assessment resources; o Store your personal information securely and process any student records confidentially;

o Issue a Certificate of Attendance or a Statement of Attainment (where a full qualification has not been completed), where payment has been finalised;

o Continually validate our training products and services to ensure they are of the best standard; o Seek and acknowledge student and client feedback to ensure we continuously improve; o Uphold all legislation and comply with all regulatory requirements relevant to the operation

of our organisation.

Your Trainers Responsibilities Your trainers will:

o Engage in professionally responsible and ethical assessment practice; o Maintain a safe working environment for self and others; o Provide students with support, advice and assistance where required; o Discreetly offer support options for students with identified language, literacy and numeracy

requirements. Our Pre-Enrolment Policy AMS will always provide prospective clients with extensive advice wherever possible regarding our training products. We do this to ensure we are meeting their needs and considering existing skills and competencies of the individual prior to accepting their enrolment. Access and Equity Our trainers are governed by the AMS Access and Equity Policy. AMS is committed to the principles of equal opportunity and seeks to eliminate all forms for discrimination by ensuring students are treated fairly, with respect and dignity.

AMS promotes, encourages and values equity and diversity with regard to clients. AMS will ensure services offered are provided in a fair and equitable manner to all clients, free from bias.

Your personal information (including the personal information contained on this Enrolment Form and your training activity data) may be used or disclosed by Aerodrome Management Services Pty Ltd for statistical, regulatory and research purposes. Aerodrome Management Services Pty Ltd may disclose your personal information for these purposes to the following parties: o Commonwealth and State or Territory government departments and authorised agencies; and o NCVER. NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the National VET Data Policy and all NCVER policies and protocols (including those published on NCVER's website at www.ncver.edu.au). As part of the Enrolment Terms & Conditions (Step 2 of the online enrolment form), prospective students are required to download, read and acknowledge the full Student Privacy Notice provided.

Unique Student Identifier (USI) Students enrolling into a Nationally Recognised course with AMS will need to provide their USI during the enrolment process. We are unable to issue certification to students that have not provided their USI. For more information regarding USI’s please visit the USI website: http://usi.gov.au/. Individuals who have a genuine personal objection to being assigned a USI will be able to apply for exemption by contacting the Student Identifiers Registrar on 1300 857 536 or the via the USI website. Confirmation of Enrolment Please allow up to 48 hours for us to review and process your enrolment. Once we have processed your enrolment you will receive a confirmation email containing the following information about your course (as a minimum):

• Confirmation of fees (fees are not collected until the course has commenced); • Date of course, start and finish times; • Location/Address of your course; • What to bring to your course; • Forms of ID (where applicable) to bring to your course; • Key course requirements (any pre-course reading, pre-course projects, etc.); • What clothing or PPE to wear or bring to your course; • Catering information.

For some of our courses, students will receive reminder prompts via email regarding any pre-course assignments, projects, and any additional instructions relating to their course.

If you wish for a third party to have access to your records please complete a Privacy Disclosure Form (available on our website) and email to [email protected] as soon as possible.

Change of Personal Details Please ensure you contact us as soon as possible should your personal details change after enrolment; this is primarily so we can get your certificate to you safely. Legislation AMS is committed to ensuring it complies with all relevant Commonwealth, State and Territory legislation and regulatory requirements in its operations as a Registered Training Organisation (RTO). AMS will ensure that:

• compliance with legislation and regulatory requirements is monitored and maintained; • it maintains copies of or access to all legislation that affects its business, and /or services

delivered; • legislation and regulatory requirements relevant to its operations are integrated into its

policies and procedures; • all staff and clients are provided with information regarding changes to legislation and

regulatory requirements that affect their duties or participation in vocational education and training services provided.

Client Selection and Information Policy AMS is committed to ensuring that all client selection processes are fair, equitable and consistent with workplace performance, competency level and the Training Package requirements. AMS is committed to ensuring that current and prospective clients are provided with all relevant training and assessment information regarding the RTO, training and assessment products and its services, so that they may make an informed decision about undertaking training and assessment. Marketing AMS is committed to ensuring its marketing of courses is ethical, transparent and accurate. AMS marketing processes ensure prospective clients are properly informed and protected as we will provide accurate and factual information regarding the training and assessment services we provide. Training Pathways Please refer to your course marketing material for possible training pathways or contact the training team for a chat. Fees and Charges Prior to enrolment, AMS will provide you with a formalised quote that outlines all of your course fees and associated costs. AMS uses a ‘no surprises’ approach to our course fees, so you are aware of any and all fees prior to committing to a course by enrolling. AMS will require a purchase order to secure your enrolment but will not collect fees prior to the first day of training. Please note credit card charges incur a 2% processing fee. Payment for enrolments in individual classroom-based courses will be calculated in accordance with the following sliding scale.

*AMS will take extenuating circumstances into account on a case by case basis. Refunds AMS has a fair and reasonable refund process. We will:

• Not collect enrolment fees in advance, so therefore not needing to utilise a refund policy; • Implement and maintain a process for fair and reasonable refund of fees paid; and • If applicable, provide refunds for fees and charges paid by individuals/clients, where training

and assessment activities have not been delivered. The full version of our Refund Policy is available on our website. Access and Equity AMS promotes, encourages and values equity and diversity regarding clients. AMS will ensure services offered are provided in a fair and equitable manner to all clients, free from bias. We are committed to providing flexible learning and assessment options, allowing our clients an alternative which recognises the diversity of their individual needs and circumstances aiding them in their learning goals. Language, Literacy and Numeracy (LLN) Most of our course assessments and learning materials contain written documentation and in some cases numerical calculations. This information is provided in all marketing material for our courses. A pre-course assessment is provided to students at the time of enrolment to ensure that all students who commence a training program have an idea of the level of minimum skill and knowledge required to understand the course material and will be able to gauge if they will be able to complete assessments at the course level. If a student requires assistance with reading, writing and/or communication during their course it is their responsibility to discuss this with AMS or directly with their trainer, preferably prior to enrolment or prior to the commencement of the course. Any discussions relating to LLN will be treated with discretion and are strictly confidential. AMS will endeavour to aid students having difficulty with language, literacy or numeracy to accommodate their needs. If a students’ needs exceed the ability of AMS trainers to assist, the student will be referred to an external support agency, so they have the opportunity to obtain the skills required to complete the training program. Support Options for Students At AMS your Trainers and Assessors are your best support. If you have any questions, need some guidance or support please speak to them.

Assessment Policy AMS ensures:

• Its assessment practices comply with the Standards for RTO’s; • It provides assessors with clear information on assessment processes and evidence

requirements and; • That assessments are conducted in accordance with the principles of assessment and rules of

evidence. We are committed to ensuring that all assessments are conducted in a fair and equitable manner, meeting the requirements of the relevant Training Package, industry expectations and standards. We apply flexible assessment options which recognise the diversity of individual client needs and circumstances, facilitating wherever possible the realisation of their learning and vocational goals. AMS will ensure that:

• All assessment options and processes implemented follow competency-based assessment and Training Package requirements;

• All assessments shall be designed with the integrity of the VET system in mind; • Assessment complies with the Principles of Assessment (POA) as prescribed in the Standards

for RTOS; • Evidence submitted for assessment is assessed in accordance with the Rules of Evidence (ROE)

as prescribed in the Standard for RTOS; and • All assessments are conducted by individuals who meet the necessary requirements as noted

in the Standards for RTOs.

Underpinning Principles Competency based assessment is a system of collecting evidence, about a person’s performance to a pre-set competency standard with emphasis placed on what a person can do (the outcome) rather than comparing a person’s achievement to others. Special Considerations – Disability, medical and mental health conditions Clients who experience unforeseen circumstances or have special needs that affect their performance in an assessment may be eligible to apply for a special consideration and reasonable adjustment to their assessment. If you need assistance please let your trainer know, alternatively contact the AMS Training Coordinator on (08) 9221 6777 to discuss further. All discussions are confidential.

Assessment Process Our Assessment Policy provides guidelines regarding the use of professional judgement to conduct assessment. Your trainer will give you full instructions about the assessment process for your course (where applicable) prior to the assessment taking place. AMS is committed to ensuring that all assessment judgements made by our Assessors are consistent and meet the Rules of Evidence. Your Assessor will examine the evidence that you provide and then make a judgment which will be either Competent (C) or Not Yet Competent (NYC).

If you are deemed Not Yet Competent in your initial assessment, you are allowed a second attempt. However, if you are deemed not yet competent in the second attempt, you will be required to re-enrol. Please talk to your Assessor if you have any concerns. Plagiarism and Collusion It is expected that course work completed and submitted for assessment is that of the student. Plagiarism and/or collusion is not accepted and will result in:

• A Not Yet Competent result in the unit(s) where a student is suspected of plagiarism or collusion, and

• The student will be required to submit their assessment again. Assessment Appeals Our Appeals Policy is based on providing and maintaining training and assessment services that are fair and reasonable and afford a forum where issues or inadequacies regarding assessment can be raised and resolved. The Appeals Policy provides opportunity for appeals to be recorded, acknowledged and dealt with in a timely manner. If you wish to appeal any assessment decision AMS has a documented process for you to access and follow. This is available by contacting the RTO Coordinator at [email protected] or by calling (08) 9221 6777 for a confidential discussion. Our Appeals Process will be explained to you during the introduction to your course, as well as prior to any assessment being carried out. Please note, assessment appeals must be made within two (2) months of the assessment date. The full version of our Appeals Policy is available on our website. Complaints AMS acknowledges the clients’ right to lodge a complaint when they are dissatisfied with the training and/or assessment services and experiences that they have been provided. Complaints are treated seriously and dealt with promptly, impartially, sensitively and confidentially. All parties involved will be kept informed of the resulting actions and outcomes. AMS has a feedback form on its website here. This feedback goes straight into our Safety Management System (SMS) for allocation and monitoring to close-out. The intention of this feedback form is to ensure clients have access to a fair and equitable process for expressing complaints. Applying for Extension Typically, any outstanding course assessment evidence will need to be returned within three (3) months of your course completion date, unless your trainer advises you otherwise. It is expected that assessments are handed in on the due date. However, if there are difficult circumstances, please contact us. Assessment extensions are approved on a case-by-case basis. Requests for extensions must be applied for in writing by emailing the RTO Coordinator at [email protected]. Recognition of Prior Learning (RPL) All students will have the opportunity to apply for Recognition of Prior Learning (RPL). RPL means you can submit evidence for one or more Unit(s) of Competency, and have it assessed by a qualified Assessor without completing the training. AMS believes that no student should be required to undertake a competency or element of a competency in a qualification for which they are already able to demonstrate satisfactory achievement of the performance outcomes stated in the endorsed training package or Nationally Recognised course. AMS always aims to maximise the recognition of a student’s prior skills and knowledge whilst maintaining the integrity and standards of the defined learning outcomes of the specific qualification or course of study. It is expected that any evidence submitted is your own. If you believe you have the necessary skills and knowledge to undertake RPL contact our RTO Coordinator who will provide you with more information and may provide you with an RPL Application Pack (fees apply). Regardless of the type of evidence that you submit as part of the RPL Application Process, Assessors must be confident that the evidence meets the following criteria:

• Meets the minimum requirements of the Unit of Competency(s) being applied for; • Meets any Regulatory requirements; • Is your own evidence and can be authenticated; • That you can perform the competency consistently and reliably; • The evidence is at the standard (a) expected in industry and (b) set out in the Australian

Qualification Framework (AQF); • Is enough to make a final assessment judgment.

Credit Transfers AMS will review transcripts from other training providers for consideration for a Credit Transfer application. You will need to provide your original Testamur or Statements of Attainment as evidence for a Credit Transfer application. We will take copies of your original documents and return the originals to you. From there we will get in touch with the training provider to validate the documents, or where possible we will look up your records via your Unique Student Identifier (USI) record.

Transition to Updated Training Packages AMS is committed to ensuring clients have access to, and attain a skill set, unit of competency or qualification that most closely represents the current skill needs of industry. Where applicable, AMS will ensure students are transitioned from superseded Training Packages within the 12-month transition period from the date of publication of the updated Training Package on the National Training Information Service website. Certification AMS only issues qualifications and Statements of Attainment to those clients who meet the required outcomes of a qualification, accredited course, unit of competency or module, as specified in the relevant Training Package or VET accredited Course. You can enquire about your certification at any time during normal office hours and will need to identify yourself before any information can be released. AQF certification documentation will be issued to a client within 30 calendar days of the client being assessed as meeting the requirements of the Training Package or VET Accredited course:

o If the training program in which the client is enrolled in is complete; o The student has provided their Unique Student Identifier Number as per the requirements of

the Student Identifier Act 2014, and; o Providing agreed enrolment fees have been paid.

AMS will ensure that qualifications and Statements of Attainment issued are within its scope of registration. A clear distinction will be made between AQF certification documents and non-AQF certification issued by AMS. These records will be kept by AMS for 30 years and additionally submitted via the USI system each year as required by the National Regulator. Re-Issued Certificates AMS is happy to re-issue your certificate upon request. Please complete the Replacement Certificate Request Form located on our website. A reprint fee of $27.50 is payable for a Statement of Attainment, and $55.00 is payable for a Qualification (with Record of Results). Electronic copies can be emailed to you free of charge. Personal Property You are responsible for your own property during your course.

Continuous Improvement Our Evaluation Policy is designed to ensure that AMS training and assessment products and services meet client needs and are continuously improved based on the collection, analysis and action taken based on relevant data and feedback. AMS seeks feedback from clients regarding their satisfaction with services they have received. This feedback is collated and reviewed during internal validation meetings with the RTO Coordinator and the facilitators to identify areas of continuous improvement.
