Manual Conventions

The manual is divided into several sections to help youfind the specific information you are looking for. The GettingStarted section (see page 7) describes some of the features of theRoping Assistant, and takes you on a step by step tour of how touse the Roping Assistant. The Command Reference (see page15) gives you detailed explanations of each of the major systemcomponents and menu options. And finally, the Appendix (seepage 94) gives you definitions and describes some “How do I”procedures that are commonly asked about.

Whenever you are asked to select a menu option, thatoption will appear in BOLD, SMALL CAPS. For example, if yousaw FILE, NEW, ROPING, you would first pull down the FILE

menu. Then you would choose the NEW option under the FILE

menu. Then, under the NEW menu, you would choose theROPING option.

Whenever you are asked to click a button on the screen, itwill appear in redline.

Whenever the computer responds to one of your actions, you will see that response in italics.

Please note that the screen shots used in this manual camefrom a computer running Windows Vista. If you are usingWindows 7 or Windows xp, the screens will look slightlydifferent.

System Requirements

You will need the following computer equipment to usethe Roping Assistant Professional:

Minimum: Windows XP with 1 Gig. of RAM and 100Meg HD space

Recommended: Windows 7 with 2+ Gig of RAM and 200Meg HD space

A printer is required to get a hard copy of any of thereports or team listings.

System Capacity

The number of ropings you can maintain is limited only byyour hard disk size. Each roping series can hold up to anunlimited number different ropings, and each roping can hold anunlimited number of teams. There is also a 10 round limit oneach roping. The system will handle up to 99 rotations perround.

Introduction 6

Organizing Your DataWhen you use the Roping Assistant software, all your data

is stored as an “association” that consists of all the cowboys, their addresses and information and all the ropings that thosecowboys participate in. You start with a general association, butyou can create as many associations as you want to keep yourcowboys grouped together. Each association will have its ownset of cowboys with their ratings and their ropings. You caneasily switch between your associations, back them up andrestore them as needed.

Each association can hold as many cowboys and ropings asneeded. Most producers will probably only need the one generalassociation. The main reason to have separate associations is ifyou run ropings with separate handicap ratings.

The Roping Assistant Professional 7

Getting StartedWe are dedicated to making the Roping Assistant

Professional work for you. This section contains some helpfuldefinitions and a complete step by step walk through of theprocess of running a roping with the help of the RopingAssistant.

Using the Roping Assistant Pro.

The Roping Assistant is a powerful tool to help producersboth run and manage their team roping events. It will do signups, arrange teams for roping, and print team listings and time sheets, tracking the times and winners, and even print the checks foryou. It will prepare numbered ropings, drawpots, Pick-N-Draws,and round robin ropings. A Pick-N-Draw roping allows you torun a combination roping where some of the partners are pickedby the cowboys, and some are picked by the computer.

In short, the Roping Assistant is all you need to organizeand track your team roping events. At the end of a roping, you’llhave an organized list of all the cowboys that attended yourevent. You can even keep track of each cowboy’s address rightin the Roping Assistant and then create mailing labels right fromwithin the software.

Note: Please make regular backups of your RopingAssistant data. If something ever goes wrong on yourcomputer and one of your data file gets corrupted, you’ll bevery glad you have a recent backup. For information aboutmaking a backup, see Backup on page 24.

Getting Started 8

Structure and Organization

The Roping Assistant organizes all your work into“Roping Series” and “Ropings” (sometimes referred to as“Events”). A roping series is a general term (see the definitionssection) for all the ropings you will be running on any given dayor weekend. A roping series could be a whole series over severalweeks.

The Roping Assistant will keep each roping series separateso it is organized independently from other ropings you have run,but the cowboys names are shared among all ropings to save youtime when typing them in. If you regularly have some of thesame cowboys coming back to your ropings, you only need toenter them once and they will be remembered for all futureropings.

Step by Step Scenario

Let’s take a step by step look at how you would use theRoping Assistant Pro. to run a weekend roping series consistingof 5 roping events: a #5 and a #6 roping on Friday, and a #7, #9,and #11 roping on Saturday. In this section we won’t go into toomuch detail about why we set things up they way we do, but youcan refer to the Command Reference starting on page 15 to seethe in-depth explanation of everything we talk about here. Thisexample uses Numbered ropings, but you would follow similarsteps for the other types of ropings.

Using the Roping Assistant to perform an event consists offive steps, which are described below: Preparing the roping,Entering the Teams, Arranging the Teams, Printing the teamlistings and time sheets, and running the roping.

Command Reference 16

Append to RopingThis option can be found under the TOOLS

menu. Appending a roping is used to takeseveral smaller ropings and append themtogether into one big roping (mainly used tocalculate winners across all of them.) This is anadvanced feature and needs to be used with care. All the events that will be appended need to becreated with appropriate team numbers andappended in the proper order so all the teamnumbers are in order in the new event.

When appending ropings, the originalroping is left in tact and just added to the newevent. When using this feature, you willprobably run each roping individually and time itindividually, and then pull it all together only forthe short round.

To append a roping, use the followingprocedure. This assumes you have created anempty event that ready to accepts the appendedropings:

Procedure 1. Open the roping that you want to appendinto the new roping (see Open Event onpage 70)

you want to actually append the roping.4. Click Yes to continue with the append, or

No to cancel.A status dialog will appear saying that

the append was completed.5. Click Ok.

You will be returned to the main screen.

The append is now complete.

Arranging TeamsThis feature is found by choosing EVENTS,

ARRANGE / DRAW from the menu. It is used toarrange the teams in their proper roping orderonce the teams have been entered. Arrangingthe teams not only puts the teams in the generalorder you select, but it also spaces the teams sothey are so many teams apart (not back to back). How far apart the teams are spaced can bechanged in the Event Variables (see page 41).

Any teams that are added after the teamshave been arranged must also go through anarranging process before they show up on theteam listings. This allows you to arrange part ofthe teams, enter more teams, and then arrangethem onto the end (or front) so they aren’t juststuck on the end of the team list without anyspacing.

For Drawpots, Pick-N-Draws, and RoundRobins, this option does the actual matching andcreating of the teams as well as the spacing ofthe teams. With drawpot and round robinropings, all the teams will be completelyredrawn (re-arranged, etc.) every time youperform the draw.

Command Reference 18

With Pick-N-Draw ropings, you have theoption of just arranging the picked teams orarranging the drawn teams as well. This allowsyou to arrange the picked teams and start theroping while waiting for more teams to enterbefore arranging the rest of the event.

Here are the options available whenarranging the Pick-N-Draw:

Arranging ONLY the picked teams (to get the roping started)This option allows you to arrange some ofthe picked teams that have already beenentered without having to arrange any of thecomputer generated “Draw” teams. Thecomputer treats the teams as if they were anumbered roping for this part of the Pick-N-Draw. All the arranging options for aNumbered roping apply here. You can evendo several arrangings of the picked teams(adding more teams each time) before youdecided to add the drawn teams.

NOTE: If you use this option after the “Drawn”teams are added, all the drawn teams will bereset and will have to be re-drawn. This optionis mainly to be able to get the roping started withthe picked teams before adding the drawn teams.

I want to finish drawing all the teams (and close the roping)This option will arrange all the remainingteams (picked and drawn) and add them tothe roping. Once this is done the roping iscomplete. This option will also let youdraw all the teams at once so both the

Page 10: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

picked and drawn teams are spacedrandomly throughout the roping.

Start over with the entire drawThis option when checked will start thearranging process completely over as if youhad never arranged any teams before.

For Pick-N-Draw ropings, use thefollowing procedure to arrange the teams:

Procedure 1. Choose EVENTS, ARRANGE / DRAW fromthe menu.

The Pick-N-Draw Options dialog willappear. From this dialog you canchoose to arrange only the picked teamsthat are currently entered, or to finisharranging all remaining teams (includingthe draw teams). There is also acheckbox to start the arrangingcompletely over.

2. Click the appropriate checkboxes and clickthe Continue button.

If you are arranging only picked teams, the Numbered Roping dialog will appearto finish the arranging (go to step 2under Numbered Ropings.) If you arecompleting the arranging, the Pick-N-Draw dialog will appear (go to step 2 forDrawpots and Round Robins.)

For Drawpots and Round Robins, use thefollowing procedure to arrange the teams:

Procedure 1. Choose EVENTS, ARRANGE / DRAW from

Command Reference 20

the menu. The Draw Teams dialog will appear. Ifthe number of headers does NOT matchthe number of heelers in a drawpot orPick-N-Draw, you will be asked if youwant to randomly fill in the remainingteams (see Auto Fill / Remove on page23). For a Pick-N-Draw, the numbersshown only represent the ‘Draw’ portion. The picked teams will be randomly mixedin once the draw is complete.

2. Set the starting team number (if you wantsomething other than 1) in the StartingTeam box. This could be used to stick tworopings together, with the team numbers ofone roping starting with the last teamnumber of another roping.

3. Click the Perform Draw button to actuallydo the draw.

The message “Success-- The draw iscomplete!” will appear in the dialog boxwhen the draw is finished. If there wereany problems with the draw, the messagewill read “ABORTED -- “ and then givean additional message as to why it didnot complete successfully. The teamsthat were drawn will remain in the eventand be ready to go, while the ropers thatcouldn’t be drawn will appear in towindows combo box on the screen. Youcan pull the box down with the mouseand see which ropers were not able to bedrawn.

4. Click the Ok button. You will be returned to the main screen.

Page 11: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 21

For Numbered ropings, you have a fewmore options. Each will be described belowfollowing the procedure.

Procedure 1. Choose EVENTS, ARRANGE / DRAW fromthe menu.

The Arrange Teams in Roping Orderdialog will appear.

2. Select the roping orderyou want by clicking onone of the options in the‘Roping Order’ box.

3. Click the Ok button. The arranging willbe done and then amessage box willappear to tell you itis complete. Afterclicking the Okbutton, you will bereturned to the mainscreen.

Additional Options are as follows:

Roping Order The roping order box provides the ability toarrange the teams in three different orders. There may be slight variations in the ropingorder due to the spacing the computer attemptsto put between the teams. See Roping Order onpage 82 for more information.

Number of teams to arrangeThis option allows you to specify how many

Command Reference 22

teams you want to arrange right now. Forexample, you can arrange only your first 50teams, and then add more teams and arrange therest later. Generally, you will just use the ‘AllRemaining’ option.

In the center of the dialog you will see a boxshowing how many teams are waiting to bearranged. This is the number that the ‘AllRemaining’ teams will use.

If this option is confusing to you, don’tworry. You don’t ever need to use it. This is anextra power feature, and if you never mess withthis option, everything will work properly.

** WARNING ** If you are usingrotations and this option, you should arrange inmultiples of one rotation’s worth of teams atonce (i.e. if you are using 50 teams per rotation, the number you use here should be a multiple of50.)

Add teams to: You can use this option to select whetherthe teams you are arranging will be added at theend of the roping or at the front. This is useful ifyou have a couple of late entries and you wantthem to be the first to rope.

First Team Number Use this option to specify the startingteam number to use for the teams you arearranging (i.e. you are running thisroping in conjunction with another oneand want to start numbering the teamswith the last team number from anotherevent.)

Page 12: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 23

Re-Arrange This button is another power feature thatyou may never need to use. It will take thewhole event and re-arrange it. Suppose youhave just arranged the roping, but haven’tprinted any team listings yet. You then discoverten teams that didn’t get entered. You now havetwo choices:

1. You can enter the new teams and use theregular arrange feature. That will add the tenteams onto the front or end of the roping.

2. You can enter the new teams and use the‘Re-Arrange’ button. This will re-arrange all theteams, mixing in the ten new teamsappropriately.

See Also... Roping Order (page 82).

Auto Fill / RemoveThis option only applies to Drawpots and

Pick-N-Draws. If the number of headersentering the drawpot is NOT the same as thenumber of heelers, the Roping Assistant will askyou (when you draw the event) if you want theremaining teams filled in randomly. If you selectyes, the draw will proceed as normal. If youselect no, you will be asked if you want torandomly remove entries to even up the roping. If you select yes, the computer will randomlyremove entries and generate a list of the removedentries so you can print it. If you answered Noto removing entries, then you must manually addor take away entries until you have a matchbetween headers and heelers.

For example, let’s say you are short 10headers. If you use auto fill, the computer will

Command Reference 24

randomly pick 10 ropers that are already headingand give them a free run. If you are using auto-remove, the computer will randomly pick 10heelers and remove them. The computer willonly give a second free run to a header after allthe other available headers have been chosenonce. The first ones to be chosen will be fromthose who have paid to enter the most times.

Backup DataIt is always a good idea to have a recent

backup copy of your Roping Assistant data file. We recommend making a backup every time youadd a significant number of cowboys to yoursystem. This option creates a backup of yourentire Roping Assistant data including cowboys, addresses, teams, ropings, events, etc. It canonly be restored as an entire set. To restore froma backup, see Restore Data on page 80.

To create a backup of your data files, followthe procedure below.

Procedure 1. Choose TOOLS, DATA, BACKUP DATA fromthe main menu.

A message will appear describing what isabout to happen.

2. Click the Yes button to continue thebackup, or the No button to cancel.

If you choose Yes, a file Save As dialogwill appear to help you enter a file to holdthe backup.

the backup is taking place. This processcould take several minutes to complete. Amessage box will then appear saying thatthe backup either failed or succeeded.

4. Click the Ok button.Your data has now been backed up.

See Also... Restore Data (page 80).

Close RopingThis feature is found under the FILE menu

Callbacks ListingThis report generates the teams that will

comeback to the short go or final round. Youwill be asked which round to use for the reportso you can print a callback listing for any round(not only the final round.) The report will printin a ‘Team Listing’ style unless you check theoption for a time sheet style report. The timesheet style report is very handy for running thefinal round

Single Round RankingThis report ranks the teams based on their

times in a single round, from fastest to slowest. The ‘Show Percentile Markers’ checkbox willshow put markers in the report every 10 percentof the teams that it lists. This makes it easy tosee which teams are in the top 10 percent, 20percent, etc.

Team Ranking (Average)This report ranks the teams based on their

average times (including handicaps if you areusing them.) The ‘Show Percentile Markers’checkbox will show put markers in the reportevery 10 percent of the teams that it lists. Thismakes it easy to see which teams are in the top10 percent, 20 percent, etc.

Event TypesThere are currently four different event

types that are supported by the Roping Assistant:Drawpot, Numbered Roping, Pick-N-Draw, andRound Robin. All four types are run the exactsame way, the only difference being in how thesignup is done and how the arranging (ordrawing) is done. All the standard EventVariables apply to all the event types (exceptwhere noted below.). This is one of the thingsthat makes the Roping Assistant so flexible. Below is a description of the signup andarranging of each of the event types.

Drawpot A drawpot is a roping where cowboys buytickets for either heading or heeling or both. Each cowboy is entered individually into thecomputer along with how many times he wantsto head and heel. After all the cowboys havebeen entered in this fashion, the arranging (or

Command Reference 40

drawing) can be done.To do the draw, the computer will randomly

match headers with healers, arrange them in arandom order, and then space the teamsappropriately for roping. From this point on, theevent is run just like a numbered roping.

A drawpot is generally used in conjunctionwith a handicap system to even out therandomness of the draw.

Pick-N-Draw A Pick-N-Draw is a combination of adrawpot and a numbered roping. You enterteams into a Pick-N-Draw the same as youwould in a numbered roping. The difference isthat for each time a cowboy is entered into theroping, a certain number of partners areautomatically drawn to rope with them as otherteams. The teams entered in are taken intoaccount when the draw is performed so the sameteam isn’t created twice. You can add to or takeaway from the draw portion by clicking theDrawpot button on the signup screen. Pleasenote, however, that every time a cowboy ismodified or added to the pick portion of theroping, his “draw” entries are automatically re-calculated (i.e. If I modify the draw portion forCowboy 1, then when I add him in the pickportion again, I will lose the manual changes Imade on his name in the draw because thecomputer will re-calculate his draw entries.)

To do the draw, the computer will randomlymatch headers with healers (taking into accountthe teams that are pre-matched), arrange them ina random order, and then space the teamsappropriately for roping. From this point on, the

Page 21: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 41

event is run just like a numbered roping.A Pick-N-Draw is sometimes used in

conjunction with a handicap system to even outthe randomness of the draw. For more detailedinformation about the Pick-N-Draw roping, see Pick-N-Draw Roping on page 78.

Numbered A numbered roping is a standard teamroping event. Tickets are sold to the cowboysand they match up their own teams. The teamsare then typed into the computer (as a team) tobe arranged.

After all the teams are entered, thearranging can be done in one of three ways:“First to Enter, Last to Rope”, “First to Enter,First to Rope”, or “Random Order”.

Round Robin A round robin is where every header ropeswith every heeler. The entry is similar to theDrawpot in that each cowboy is enteredindividually into the computer. When the entryis complete, the arrange stage will pair up theteams, arrange them in a random order, and thenspace them for roping. The rest of the ropingruns like a numbered roping.

Event VariablesThis option is found under the EVENTS,VARIABLES menu. It is used to specify thedifferent aspects of an event. Each of theoptions is described in detail following theprocedure below. For convenience, the event

Command Reference 42

variables are grouped under different majorheadings that are listed on the left side of thevariables dialog.

To modify the event variables, follow thesesteps:

Procedure 1. Choose EVENTS, VARIABLES from the mainmenu.

A dialog will appear showing all thevariable options.

2. Click on the appropriate variables section inthe list box on the left (i.e. Money andSignup, Roping Controls, etc.)

The appropriate variable settings will bedisplayed on the right side of the dialog.

3. Set the appropriate options (describedbelow) by pressing Enter to move betweenfields. When all the variables are set theway you want, click Ok.

You will be returned to the main screen.

The event variables are as follows:

Money and Signup

Number of Rounds The variable sets how many rounds will beroped in this event. The maximum is 10rounds per event.

Entry Fee This variable is the entry fee per roper (not perteam).

Maximum Entries This variable tells the maximum numberof times a cowboy can enter an event. Ifthe cowboy tries to enter more times thanis allowed, the Roping Assistant will

Page 22: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 43

generate a warning to notify you. For aPick & Draw, this number is thecombined maximum for the draw portionand the pick portion.

Lump Sum DeductionThis variable allows you to subtract a genericamount from the roping for any adjustments thatneed made. See Payoff Calculation on page 71for more information about how this affects thepayoff.

Lump Sum AdditionThis variable allows you to add a genericamount to the roping for any adjustments thatneed made. See Payoff Calculation on page 71for more information about how this affects thepayoff.

Lump Sum is applied after stock chargeIf this box is checked then the lump sum amountwill be added after the stock charges have beencalculated instead of before.

Stock Charge PercentThis is the percent of the gross money that willbe taken out for the stock charge. This can be apercentage, or, to specify a specific dollaramount, type a dollar sign in front of the number(i.e. $300.00). See Payoff Calculation on page71 for more information about how this affectsthe payoff.

Association Fee This is the percent of the gross that getstaken out for an association fee. This can be

Command Reference 44

a percentage, or, to specify a specific dollaramount, type a dollar sign in front of thenumber (i.e. $500.00). See PayoffCalculation on page 71 for moreinformation about how this affects thepayoff.

Prize Money (per Roper)This is the amount of the signup fee that is takeout per roper to pay for prizes. See PayoffCalculation on page 71 for more informationabout how this affects the payoff.

Roping Controls

Max Team Rating This option specifies that maximumcombination of ratings that can enter aroping. For example, in a #8 roping, youwould be warned by the computer if a 6roper tried to rope with a 3 roper. Fordrawpots, this number represents themaximum combination that the computerwill match together (e.g. If this number isset at 7, then the computer would nevermatch two number 4 ropers together.) Thisnumber does NOT apply to round robins.

Min Team Rating This option specifies that minimumcombination of ratings that can enter aroping. For example, with a minimum ofa #4, you would be warned by thecomputer if a 2 roper tried to rope with a1 roper. For drawpots, this numberrepresents the minimum combination thatthe computer will match together (e.g. If

Page 23: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 45

this number is set at 4, then the computerwould never match two number 1 roperstogether.) This number does NOT applyto round robins.

Max Header RatingThis is the maximum rating that a header can bebefore a warning is shown.

Max Heeler RatingThis is the maximum rating that a heeler can bebefore a warning is shown.

Draws for each Picked RoperThis option only applies to the Pick-N-Drawropings. It specifies the number of draw teamsthe computer will pick for a cowboy for everytime they are entered into the Pick-N-Draw as apicked team. You can change this number at anytime before you draw the roping and the drawwill be adjusted accordingly.

Progressive After This variable controls at which round theroping becomes progressive (i.e. teams musthave caught all their steers to advance.) Another way to look at this is the number ofsteers that each team is guaranteed to getwhether they catch or not.

Allow same partner more than onceBy default, a person can only rope with the samepartner one time. If this box is checked, they canrope with the same partner multiple times. Thisis mainly used for Draw Pot ropings where you

Command Reference 46

have a small number of headers or heelers andthey need to rope with the same partner morethan once.

Teams allowed in the short roundThis variable specifies how many teams arebrought back to the short round at the end of theroping. It is a specific number of teams unlessyou check the “Treat as a percentage” checkboxdirectly behind the option. It would thenbecome that percentage of teams (i.e. 20% of theteams instead of 20 actual teams.)

Short round runs slowest to fastestBy default, the short round will be run in thefastest to slowest time average time order. Ifyou want to reverse that order, check this box.

Min. Roper SpacingThis option specifies the minimum number ofthe teams that the Roping Assistant will use totry to separate a cowboy’s roping teams. Forexample, a setting of 8 would mean that if I justroped, there will be about 8 teams rope before Icome up to rope again. If this isn’t possible, thecomputer will space them as close to thisnumber as it can. Sometimes decreasing thisnumber will let the computer space all the teamsa little better (especially with smaller ropings.)

Give spacing preference to teams at which end of the roping? If it is necessary to run some teamscloser together than is optimal, thissetting tells whether to give betterspacing to the teams at the end of the

Payoff CalculationCalculating the payoffs is a very importantaspect of the Roping Assistant Professional, andit is important to understand how everything iscalculated so you can setup the variablesproperly. Here is the order the payoffs arecalculated.

Note: The money from buybacks is not used inthe calculations. It is assumed to be strictlyproducer's profit.

1. The total owed from the number of teams iscalculated (TOTAL1)2. The prize money multiplied by twice the

number of teams is subtracted from

Command Reference 72

TOTAL1 and a new total (TOTAL2) isfound. (NOTE: The prize money isassumed to be per cowboy, not per team.)

3. The Association fee is taken out, either as apercent or a dollar amount, from TOTAL2. Thenew total is TOTAL3.4. The Lump Sum Deduction is subtractedfrom TOTAL3 and then the Lump SumAddition is added to TOTAL3 givingTOTAL4.5. The Stock charge (either a percent or dollaramount) is taken out of TOTAL4 leavingTOTAL5.6. If the incentive money is a percent, thatpercentage of the INCENTIVE AMOUNT (seeincentives calculation below) will be subtractedout of TOTAL5, leaving TOTAL6. If theincentive money is a dollar amount, it issubtracted out of TOTAL5, leaving TOTAL6.7. All round money is calculated (as shownbelow) and subtracted from TOTAL6 to makeTOTAL7 (which is the average pot money)8. The average ground money (or any otherdollar amounts specified) is taken fromTOTAL7 leaving TOTAL8.9. TOTAL8 (the average money) is then usedto pay the average holes.

Round Money Calculations1. The round percents for the round payoffsare added up for each round (i.e. 5% for round 1,5% for round 2, etc.). This total percent ismultiplied by TOTAL6 above. This givesROUND TOTAL1.2. The ground money (or any other dollar

Page 37: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 73

amouns specified to be paid in each round) isadded to ROUND TOTAL1 giving ROUNDTOTAL2.3. The overall fastgo money to be paid isadded to ROUND TOTAL2 to make ROUNDTOTAL3.4. ROUND TOTAL3 is the amountsubtracted out in step 7 above.5. If rotations are being used, the money foreach round is divided evenly among all rotationswith each rotation paying the same number ofround holes. Any dollar values used (groundmoney) is multiplied by the number of rotationsso each place gets the amount specified in theround variables.

Incentives CalculationNote: If incentives are used, then percents shouldbe used in both the stock charge and associationfee if they apply.1. Count the number of teams that qualify for

the incentives (INCENTIVE TEAMCOUNT)

2. Multiply the INCENTIVE TEAMCOUNT by the entry fee to getINCENTIVE TOTAL1.

3. Subtract the appropriate stock charge andassociation fee from INCENTIVETOTAL1 leaving INCENTIVEAMOUNT used above for payoffs.

Payoff ChecksPrinting payoff checks is a handy feature,

even if you have the computer print the actualchecks. By default, all the winners aresummarized on the Print Payoff Checks dialog, one entry per winner. If a cowboy won multiple

places (i.e. an averagespot and a fastgo) theywill only be listed oncewith the combinedwinnings. This way youcan print a single checkfor the winner instead ofseveral checks.

The check printout isa 3 section form that fitson the size of a regular8½ by 11 inch paper. The

top section is the actual check; the middlesection is a pay stub type summary breakdownfor winnings of the individual in the event; thebottom section is a summary with a sign off lineshowing the roper got their money.

When you print payoff checks, only thosechecks that are marked as ‘Yes’ in the ‘Ok toPay’ column will be printed. By default, all arese the ‘Yes’. You can use the Mark All ‘Yes’button and the Mark All ‘No’ buttons to mark allthe checks one way or the other. Use thePayable and Non-Payable buttons to markindividual entries (as opposed to marking all ofthem.) You can change the amount on anyindividual check by highlighting the winner andclicking the Amount button. You will then be

Perform EventThis option is found under EVENTS,

PERFORM EVENT. It allows you to run theroping event and enter all the times into theRoping Assistant Professional.

** Note ** – We recommend you always keep apaper copy of the times, even if you are runningthe event with the computer.

When you perform an event, the mainscreen changes to the performance screen. Thisscreen can be used to run the event as it happens,

or just as anentry screen toenter ropingtimes into thecomputer. Thescreen isdivided into 4main sections. The top leftsection shows

the teams that are coming up next, who is thecurrent 1 place in the average, and what the lastst

timed team did. After every run, this sectionwill always show the total time for the last team

Command Reference 76

and what place that moved them into in theaverage.

The top right section shows variousstatistics about runs per hour, teams that havecaught in this round, how many teams are still inthe average, etc. Also in this section is apulldown combobox that lists all the rounds androtations in the ropings. You can use this list tojump to any spot in the roping when you areentering times.

The bottom left section shows all the teamsin the current round and rotation. If they havealready been timed for that round, a blue checkmark will appear by their names. An icon of ahand will always mark the next team that will betimed.

The bottom right section shows informationabout the highlighted team in the top part, andthe current fastest times for the round androtation in the bottom part.

There are many shortcuts you can use whenperforming the event (which are listed below). Generally you can follow a very simple processas follows: Press the Enter key, type the time, press the Tab key, type the penalty time, andpress the Enter key again. The time will berecorded and the highlighter will automaticallymove to the next team to rope. Repeat thisprocess until you come to the end of the rotationor round. The computer maintains two sets of “Draw”entries for the Pick-N-Draw:one set that it generates foryour picked teams, and oneset where you can make yourcustom entries. Thecomputer’s entries appear inthe signup box with the word“Computer” in the created bycolumn of the signup screen. Your entries appear with theword Producer in the createdby column. You can’tmodify the computer’s

entries, and it won’t modify yours. If youchange the number of draws that each pickedteam gets, the computer’s part is regenerated butyours is left alone.

The entries you make are intended to offsetthe computer’s entries. For example, suppose

Page 40: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 79

John Doe isn’t in the roping, but just wants toenter into the draw portion. You can add himinto the draw portion only. Or, perhaps JohnDoe want to get in the draw portion two extratimes: you can add him as a new roper in thedraw portion and his custom entries will beadded to the computer’s entries to give him thetwo extra entries.

You can also remove entries from the drawportion by entering a negative number for aroper. For example, John Doe has been enteredinto the draw 6 times by the computer, but forsome reason you only want him in 4 times. Youcan make an entry for John Doe heading -2times. This will be added to the computers 6times and only leave him with 4 entries.

This may sound complicated, but once youhave done it, it is really very simple.

Report EditingAll reports in the Roping Assistant are

printed from the Report Editor. It is basically asmall word processor where you can make anychanges to the text before printing the report. None of the changes you make will affect youractual roping data, only the printout of thecurrent report.

If you want to save your report to disk, you can use the Save Report As button on theupper left side to save the file as an PDF file orother format for importing into a wordprocessor.

Roping InformationThis feature is used to change the

information associated with the active ropingseries. You can use this option to change thedescription of a roping series, the date of aroping series, or any of the attributes of a ropingseries. To change the description or date, moveto the appropriate field and type the newinformation. For information on each of theroping options, see the descriptions below.

Roping Options Simply check or uncheck each option toactivate or de-activate it by clicking withthe mouse on the appropriate box.

Show Event Date on ReportsIf this is checked, the date of the eventprints on all applicable event reports.

Use Team Sequence NumbersIf this is checked, the ordering of teams isdetermined by the sequence number enteredin the sequence field when the team wasentered. The teams are first sorted on this, and then arranged in the order chosenduring the arranging process. If it isn’tchecked, the sequence numbers are ignored.

Allow Switch-End TeamsIf this option is active, you will be warned ifa team has entered an event again by justswitching ends (i.e. the header is nowheeling and the heeler is now heading.)

Roping OrderThe Roping Assistant offers three different

ways to arrange your teams in a numberedroping. In a drawpot, a Pick-N-Draw, and around robin roping, the teams are alwaysarranged in a random or a pre-determined order.

For numbered ropings and the picked teamsin a Pick-N-Draw, the computer keeps track ofthe order in which the teams are entered. It canthen offer you three different was to arrangeyour roping teams. Each option is describedbelow.

If you are using sequence numbers, theteams will be sorted first by sequence number, and then by the roping order you have chosen.

With any given roping order, there may besome variation due to the need to space theropers so they aren’t roping back to back. Thedifferent roping orders are as follows:

First to Enter, First to RopeWith this order, the teams are arranged in

the same order they were entered into the RopingAssistant.

First to Enter, Last to RopeWith this order (the most common one), the

teams are arranged in the reverse order from howthey were entered. This makes the first teamsthat entered, the last teams to rope.

Random OrderWith this order, the teams are arranged in a

completely random order regardless of what

Page 42: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

order they were entered into the RopingAssistant.

RotationsRotations allow you to divide a large roping

into several smaller groups. This option is foundunder the EVENT, ROTATIONS menu. You cansetup automatic rotations (the Roping Assistantwill generate them for you) or you can manuallychange any of the assigned rotations.

Before you assign any rotations, you mustarrange the teams in their roping order.

To automatically assign rotations, followthe procedure below:

Procedure 1. Choose EVENT, ROTATIONS from the mainmenu.

The Setup Rotations dialog will appear. The box in the upper right corner will showhow many teams have and have not beenassigned rotations.

2. Set the size of each rotation (the number ofteams per rotation) in the ‘How many teamsdo you want in each rotation’ box. Thedefault of 50 teams is usually a goodnumber to use.

3. Set the number of teams (from those NOTalready assigned rotations) to group intorotations. This number will automaticallybe the total number of teams that needrotations (unless you change it.) If youchoose to, you can group fewer teams than

Command Reference 84

the number of teams that still needrotations, and then do the rest at a later time. If you do this, you should do it in multiplesof the rotation size.

4. Click the Make Rotations button. The teams will be assigned to a rotation.

There are two other options that can be usedwith the automatic rotations. They are describedhere:

Redo all teams gathering ropers into the fewest rotationsIf this button is used then the teams will

be grouped before assigning rotationnumbers. NOTE: This will not preservethe roping order you have chosen. It alsore-assigns team numbers because teampositions change dramatically.

Grouping arranges the teams so that asingle cowboy will have all his teams in onerotation. The rational behind this is that ifthere are 6 rotations, I may not want to haveto rope in three different rotations. I amnow free to rope in my rotation, and thencome back at the end for the final round.

Sometimes it isn’t possible to put aroper’s entries all in one rotation. Whenthat is the case, the computer will try andput the roper in a back to back rotation.

Clear all assigned rotationsThis clears all the assigned rotation. You

can then assign everyone to rotation one or redothe rotations. This box is seldom if ever used.

Page 43: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 85

There will be times when you just want tochange one team (or several teams) into differentrotations. You can modify any teams’ rotationindividually by following the procedure below:

Procedure 1. From the Setup Rotations dialog, highlightthe team (shown in the listbox on the left ofthe screen) or teams that you want to changerotations for.

2. Click the Change rotation for highlightedteams button.

A message box will appear ask for thenew rotation number you want to move theteams into.

3. Type the number of the new rotation andclick the Ok button.

The team or teams will be updated withthe new rotation number.

When you are finished working with rotations, click the Ok button to return to the main screen.

Shortcut There is a toolbelt button for rotations.

Team EntryThis dialog is accessed from the Team

Signup dialog. It is used to enter and modifyteams in an event. This dialog will varydepending on which type of event you areentering. The dialog contains the informationabout one team for Numbered and Pick-N-Draw Ropings and the information for one cowboy for

Command Reference 86

Round Robin and Drawpot ropings. When the team (or cowboy) is complete,

click Ok to accept the entry. If everythingchecks out, you will be asked for the nextcowboy. There are, however, several checks thatare done on each team. If the team or one of thecowboys on the team fails any of these checks, you will be given a message on the screen andasked if it is alright to accept the team anyway. If you click Yes, the team will be added likenormal. If you click No, you will be returned tothe entry screen so you can cancel or modify theteam.

Drawpot Use the following steps to enter a cowboyinto a Drawpot. To change the information, youwould follow the same steps, but change onlythe new information.

1. Type the cowboy’s name in the ‘Name’field. Notice that as you type, the CowboyList box on the right starts to search for theright cowboy. Once you find the rightcowboy, press the Tab key.

If the cowboy already exists in thedatabase, the cowboy’s number andrating will be filled in for you.

2. Optionally, enter the cowboy’s associationid (if you have that field turned on), andthen press Tab.

3. Enter the cowboy’s ratings. This is veryimportant to have if you are usinghandicaps. Press Tab to move to the nextfield.

4. Enter the number of times this cowboy will

Page 44: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 87

be in the event as a header, then press Tab. Leaving the field blank will assume zero (0)times.

5. Enter the number of times this cowboy willbe in the event as a heeler, then press Tab. Again, the default is zero.

6. Click Ok to add the entry.A new entry screen will appear.

Round Robin The team entry for a round robin is identicalto the drawpot. The only thing you need toknow is that a cowboy can’t head and heel in around robin, and a cowboy can’t be entered morethan once in a round robin.

Numbered Roping The process for entering a team in anumbered roping consists of entering aheader and a heeler.

1. Type the cowboy’s name in the ‘Name’field under ‘Header Information’. Noticethat as you type, the Cowboy’s for HeadingList box on the top starts to search for theright cowboy. Once you find the rightcowboy, press the Tab key.

If the cowboy already exists in thedatabase, the cowboy’s number andrating will be filled in for you.

2. Optionally, enter the cowboy’s association number (if you have that turned on), andthen press Tab.

3. Enter the cowboy’s rating. This is veryimportant to have if you are usinghandicaps. Press Tab to move to the nextfield.

Command Reference 88

You are now ready to enter the heeler. Repeat steps 1-3 on the heeler side of the screento enter his information. When you are done, click Ok to accept the entry, or Cancel to startover with this team.

If you are using incentives, the computerwill automatically turn on the incentivecheckbox for the team if their team rating fallsbelow the number you have set (see EventVariables on page 41). You can manually checkor uncheck the incentives checkbox.

If you are using sequence numbers (i.e.every team that entered was stamped with anincrementing number to preserve entry order),you would put the sequence number in thesequence field before accepting the team. Theteams would then be arranged by their sequencenumbers before being arranged for roping (TeamSequence Numbers on page 81).

Pick-N-Draw The team entry for a Pick-N-Draw isidentical to the drawpot for the draw portion, andidentical to the numbered roping for the “Pick”portion. Initially, you will be in the numberedroping entry. To switch to the “Draw” entry, click the Drawpot button (which only appears ifyou are entering teams into a Pick-N-Draw). When you are finished entering the “Draw”teams, you will be returned back to thenumbered entry. You can switch back and forthas often as you need to. Every team that isentered (as opposed to being “drawn”) in a Pick-N-Draw will appear in the team signup windowwith an asterisk (*) by their name. That showsthat this is an actual picked team and not one

Page 45: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

that the computer has generated. For a Pick-N-Draw, you will seldom need

to fill in the draw portion because the computerwill automatically fill it in for you based on howmany drawn teams each picked roper gets (set inthe variable settings (see page 41)). At any time, you can see what the computer has built on the“Draw” side of the roping by clicking theDrawpot button on the signup screen.

Note When you are on the “draw” screen of thePick-N-Draw, the entries the computer has madefor you will appear with the word “Computer” inthe created by column while any custom entriesyou have made will appear with “Producer” inthe created by column (see Pick-N-Draw onpage 78).

Team InformationThis dialog is accessed from the Team

Signup dialog. It is used to change the attributesof a team. Each of the attributes is describedbelow. When you are finished changingattributes, click Ok to save the changes, orCancel to cancel them.

Team Number The team number is simply the descriptionused throughout the Roping Assistant to talkabout a particular team. It in NO way affects theposition of the team. You have the ability tochange the team number because you may wantto change it in certain circumstances.

For example, suppose I moved team number

Command Reference 90

14 down to the 25th position. I could thenchange the team number to 25A (since there isalready a team 25.) This makes moving a teamless confusing in the team listings.

As you change the team number, acheckbox will appear saying where the team willbe moved to if you leave the box checked (i.e. ifyou changed team 14 to 25a the computer wouldmove the team right after team 25 unless youuncheck the box not to move it.)

Rotation This the rotation that the team ropes in.

This is an incentive team This lets you mark a teamas an incentive team.

Team Roping OrderThis option can be found under the EVENT,

ROPING ORDER menu. It is used to make quickmanual adjustments to roping order once youhave arranged the teams. For example, twocowboys might be sharing the same horse, but

they are roping back toback. Use this screen tomove one of the teams. The move will then bereflected in all thereports.

If you just need tomove a single team, thequickest way is to go

back to team signup and use the “Change TeamInformation” button to just change their number. The team roping order screen is more for makingmultiple changes quickly.

To manually change the roping order, usethe following procedure:

Procedure 1. Choose EVENT, ROPING ORDER from themain menu.

The Team Roping Order dialog willappear listing all the teams.

2. Highlight the team you want to move withthe mouse.

Other teams that involve one of the samecowboys will be listed at the bottom of thedialog so you can see what other teams theyare roping with.

3. Use the buttons on the dialog box to movethe team up or down, or to place it after a

Command Reference 92

specific team number. Click the Ok buttonwhen you have completed the moves youwanted to make.

A message box will appear asking you toconfirm that you accept the new ropingorder. If you click Yes, the order will bemade active. If you click No, you will bereturned to the Team Roping Order dialogso you can cancel.

There are several buttons on this dialog thatare described below:

Move Team UpThis button will move the highlighted team

up one position in the roping order.

Move Team DownThis button will move the highlighted team

down one position in the roping order.

Move Team After #This button will move the highlighted team

after the team number you specify in the boxdirectly below the button. You can move team#1 below team #50 by typing a 50 in the box andclick this button.

Renumber This TeamThis button will let you change the team

information about the highlighted team. Manytimes you will want to give the team a differentnumber after moving the team, or give it adifferent rotation number. For example, after

Page 47: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 93

moving team #1 after team #50, you might wantto click this button and change the team numberto 50A. (See Team Information on page 89).

Renumber All TeamsUse this button if you want to automatically

renumber all the teams according to the neworder you have created. You may want to dothis if you have made several changes andhaven’t posted any of the team listings yet. Thecomputer will start at 1 and renumber all theteams according to your new order, thus savingyou from having to change a bunch of teamnumbers manually.

Definitions

The following definitions are used throughout thismanual. A good understanding of how the RopingAssistant is defining the following words will help youunderstand how to get the most out of your product.

Event An event is a single team roping. Multiple events make up a complete roping series. Anevent might be a #9 roping, a DrawPot Roping, a RoundRobin, a Pick & Draw, etc.

Main Screen This is the opening screen that youfirst see when you run the Roping Assistant. Thisscreen becomes the point of reference (or starting point)for most of the procedures listed in this manual.

Drawpot A drawpot is a roping where each roperis entered individually and then the computer matchesthe ropers to form teams. All teams are matchedrandomly.

Numbered Roping A numbered roping is onewhere each roper picks all his teams. There is nomatching of teams by the computer.

Page 48: Started. 7 Users Guide - Team Roping Software roping series can hold up to an ... Highland the roping you want to open and choose F ILE, O PE N from the menu (or simply double click

The Roping Assistant Professional 95

Pick-N-Draw A Pick-N-Draw is acombination of a numbered roping and a drawpot. Eachroper picks a partner (or multiple partners) and then anappropriate number of random partners are drawn forthem.

Round Robin A round robin is a roping where eachroper is entered individually and then the computermatches each header with every other heeler and viceversa.

Roping Series A roping series refers to a series orcollection of individual events. A roping series mightcover an entire week or just a single day, and includemultiple events (i.e. a #9, a #7, and a #9-Century event.)

Toolbelt The toolbelt is the bar that sits rightbelow the menu on the main screen. It provides one-click buttons to quickly start the most common tasks inthe Roping Assistant.

How Do I?

This section contains some of the most commonquestions and gives one of the solutions for each. Theremay be several ways to answer the same questions. Only one solution is given here.

How do I change the spelling on a roper’s name?Use the Edit feature under the Cowboy

screen (see page 28) to edit the cowboysinformation and change the spelling on hisname. The change will immediately take effectthroughout all ropings.

Appendices 96

How do I sort the ropers in the signup dialogs? Most the dialogs that have several

columns of information now have appropriatetitles on each column. To sort the list by thatcolumn, simply click the mouse once on thatcolumns title. The computer will sort theinformation and then re-display it in sortedorder. To sort the information in reverse order, hold the CTRL button on the keyboard whileclicking on the column title.

How do I add teams to a drawpot or Pick-N-Drawafter it has been draw and is already running?

To add teams to a drawpot or Pick-N-Draw roping after it has already started (so youdon’t want to re-draw the whole roping), youmust change the event to a numbered roping. Once it has been changed, you can then addteams and the arrange option will let you justarrange the teams you have add that haven’tbeen arranged yet (see Arranging Teams on page17).

To change the event type, right click theroping and choose properties and then click onthe Numbered Roping option. Be sure to clickOk to save your changes.

How do I use my own Handicaps? The Roping Assistant allows you to enter

your own handicaps for each roping event. Thehandicaps will print on the team listings as wellas the time sheets. For detailed instructions onhow the use handicaps, see Handicaps on page61.

The Roping Assistant Professional 97

How do I customize my reports?Any report created by the Roping

Assistant is put into a text window for you toprint to the printer or just look at on the screen. You can add anything you want to the report, orremove anything by simply typing newinformation or deleting information. Anythingyou change in this text window will also showup on the printed report. See Event Reports onpage 33.

You may also use the global options onthe File menu under the Reports tab to changethe font size and spacing.

What are the teams listed under the “WaitingTeams” section on the ropings screen?

When a roping series is open, all theevents in that series are listed on the screen. Tothe rights of each event, the Roping Assistantshows the total number of teams that havealready been arranged (i.e. assigned teamnumbers), and the number waiting for teamnumbers. The “Waiting Teams” is the number ofteams that have been entered, but not arrangedfor the roping. Every team must go through the‘Arrange / Draw’ phase before they are ready torope.

Why do some of the ropers have brackets aroundtheir names?

Brackets around a roper indicate that theygot a free run (see page 53) because there was aheader/heeler mismatch when the event wasdrawn.

Appendices 98

What are the dollar signs ($) and asterisks (*) thatappear on my reports?

A dollar sign is used to show the teamsthat are marked as incentive teams. An asteriskshow which teams were the picked teams of aPick-N-Draw roping (as opposed to the teamsthat were drawn.)
