Special Events Manager Summary The Special Events Manager is an integral part of the Development team who is responsible for annual giving, major gift initiatives and fundraising events for Anderson Ranch. This position coordinates the administrative and logistical aspects of all philanthropic events including, but not limited to, the Recognition Dinner, the Annual Art Auction, lunchtime Auctionettes, and the Holiday and Spring Open House. Applicant must have 5+ years experience in special events within an art-related environment and experience living in a mountain resort community. Applicant must attend all events.

Core Responsibilities

The Special Events Manager is responsible for the planning, organization and budgeting of all fundraising events, including:

- the Recognition Dinner, supporting the event chair and art auction committee, preparing for the event, working with the venue, vendors, maintaining event records and managing all ticket and table sales as well as logistical oversight, art handling and conducting necessary follow-up and thank you letters. Extensive coordination with the Executive Director, event honorees and committee is required;

- the Annual Art Auction, supporting staff and volunteers working on art acquisitions, maintaining solicitation records, tracking the solicitation process, event coordination and staffing, coordinating art handling, providing information for auction catalog, maintaining event records, logistical oversight, conducting necessary follow-up and thank you letters, oversight of intern and Special Events Assistant, who will assist with artwork tracking, framing, development of online auction catalog via Paddle8, and other event logistics. will work closely with the Executive Director to organize and plan Art Auction Committee and jury meetings;

- Lunchtime Auctionettes coordination during summer workshop season including assisting Artistic Staff in soliciting artwork donations, organizing staff and interns to run Auctionettes, and maintaining related materials; and

- other fundraising events and future events.

In addition, the Special Events Manager will:

- prepare financial analysis and reports to the Finance Committee on the Recognition Dinner and Annual Art Auction;

- prepare reports for quarterly Board of Trustees meetings; - prepare receipts of incoming event contributions and ticket

sales by check, pledge and credit card, plus in-kind gifts and artwork donations;

- run all credit card transactions for events; - enter gifts into database using consistent entry procedures; - generate acknowledgement letters in a timely manner; - maintain donor records as they apply to event attendance and

contributions; - maintain and update auction component of database; - work with other administrative staff on database issues; - attend database task force meetings; - coordinate volunteers for fundraising and cultivation events; - track and thank event volunteers; - grow volunteer base for events; - provide Communications Staff with pertinent facts, contacts and

images for fundraising and special events marketing; - write text for Annual Report on events fundraising; and - attend all events.

Requirements The ideal candidate for the position of Special Events Manager will have:

- non-profit and/or fundraising experience and knowledge of the visual arts including art-handling experience;

- strong written and verbal communication skills; - organizational skills and attention to detail; - the ability to plan and administer multiple concurrent projects; - knowledge of event scheduling, production, administration and

sponsorship; and

- proficiency in computer applications including Microsoft Word, Excel, PowerPoint and Raiser’s Edge.

Applicants must have 5+ years experience in special events within an art-related environment, a degree in a related field (Liberal Arts, Communications) and experience living a mountain resort community.
