Setting Up Xerox® DocuMate® Scannersfor Use with Xerox® FreeFlow MakeReady® Application

The purpose of this document is to assist in the installation/upgrade/set-up of Xerox® DocuMate® scanners (models DM700/DM4700/DM4790/DM4799) and their associated drivers/software for correct functionality with Xerox® FreeFlow MakeReady® software.

The following topics will be covered:1. ConfiguringXerox® FreeFlow MakeReady® software for use with TWAIN™ drivers2. Installing the latest Visioneer® DriverPLUS drivers and Visioneer Acuity Image Processing software3. Configuringscannersin‘Combo’mode(A3flatbedandA3ADF)4. Brief overview of key settings

Important: Before starting any of the following tasks, ensure you are logged into Windows as a Local Administrator. Attempting these tasks asanythingelsecanleadtounpredictableconsequencesandunfavorableresults.

Setting up Xerox® DocuMate® Scanners and Xerox® FreeFlow MakeReady®

1. Configuring FreeFlow MakeReadyi) To ensure the installation and testing goes smoothly, you are requiredtocheckthefollowingregistryentryissetcorrectly.

a) Close the FreeFlow MakeReady application b) OpentheRegistryEditor(Start>Run>regedit>’Enter’) c) NavigatetoHKEY_LOCAL_MACHINE\SOFTWARE\ Documents OnDemand\CurrentVersion\Installation (See screenshot above) d) Open‘ScannerSelection’forediting,andsetfor‘0’.Click‘OK’ e) ClosetheRegistryEditor

ii)FreeFlowMakeReadyshouldnowbereadytousewithyourTWAINscanner driver.

2. Driver Installationi)Beforeanyinstallation/upgradebegins,ensurethatyouhavethelatestdriversforthescanner(s)youwillbeinstalling.Thesecanbefoundatwww.xeroxscanners.com.YouwillneedboththeDriverPLUS driver and the Acuity installer packages for all scanners beinginstalled.(See below)

ii)Whencarryingoutadriverupgrade,beforeproceedingensurethatthe scanner(s) are powered off or disconnected from the PC, and all currently installed drivers and/or software related to the scanner(s) are uninstalled completely using the Windows Control Panel installed programs removal option.

iii)Thedriversandsoftwareshouldbeinstalledinthefollowingorder.Deviationfromthiscouldcauseundesirableresultsand/ornon-functionality of the scanner drivers with FreeFlow MakeReady. If no flatbedscannerisbeingused,ignorea)&b),andjustinstalltheADFscanner packages.

iv) When prompted during the installation process, connect the scan-nertothePCandpoweron.ItisstronglyadvisabletoconnecttheUSBcable(s)directlytothebackofthePC,andnotusethefrontUSBportsoranexternalUSBhub,asthiscancausecommunicationissues.

v)Whenusingaflatbedscanner(DM700orDM4700),theyhavethe functionality to allow the ADF scanner (DM4790 or DM4799) to connectdirectlyintothebackofthescanner,creatinga‘daisychain’.ThisoptionisusefulwhentherearealimitednumberofavailableUSBportsonthebackofthePC,butcanincreaseimagetransfertimes.

vi)Afteralldriversandsoftwarehavebeensuccessfullyinstalled,openFreeFlowMakeReady,andgoto‘File>SelectScannerDataSource’. Awindowwillopenshowingtheavailablescannersources.

Note: When installing more than one type of scanner, do not attempt to use older non-DriverPLUS drivers with DriverPLUS drivers.

vii) Select each scanner in turn to verify the installation was successfulbyscanningatestpage. Do notselectascannersourcewith‘WIA’inthelistedname. Resultswillbelessthandesirableduetoalimitedfeatureset, and are untested in this environment.

viii)Duringthetestphase,whenthe‘Scan’buttonhasbeenclicked,theDriverUIwillbedisplayed.First,setdriverto‘Advanced’ (Dropdown 1),andthennavigatetothefollowingtabs(shown below) for your installed scanner(s).

ix)Locatethe‘ColorCorrection’drop-down.Therearetwochoicesavailable: “Monitor”usesGammatablesoptimizedforLCDdisplayandshouldbeusedforimagearchiving. “Printer”usesGammatablesoptimizedforreproductionandrecommended for use with FreeFlow MakeReady in a production print environment.

x)SelecttheColorCorrectionbestsuitedtoyourworkenvironment,andclick‘Save’.

Note: IfusingflatbedandADFscanners,itisadvisabletosettheColorCorrectionthesameforboth.

xi)Oncetestinghasbeenconcluded,andyourscannersareworkingasexpected,youcaneithercombinethescannersasshowninthenext section, or move directly to the last section.

3. Combining Scanner Driversi)Thiscanonlybeachievedaftercompletingsection‘2.DriverInstallation’.Ifyouarenotusingaflatbedscanner,orwishtokeepthescannersdriversseparatethenthissectioncanbeskipped.

ii)DependingonyourOperatingSystem,navigatetothe corresponding hardware device page in the Windows Control Panel.

For Windows XP and Windows Vista

Navigate to “Scanners and Cameras” window

Right-clickontheflatbedscanner, and select ‘Properties’

For Windows 8 and Windows 7

Navigate to “Devices and Printers” window

Right-clickontheflatbedscanner,andselect‘ScanProperties’


iii)Fromthefollowingwindow,select‘ApplicationSettings’tab.

iv)Fromthedropdownbox,selectyourinstalledADFscanner. Click‘OK’

v) A pop-up will appear asking to power cycle the scanner. After doingsoandthescannerisready,click‘OK’.Closeallremainingopen windows.

vi)OpenFreeFlowMakeReady,goto‘File>SelectScannerDataSource’. Awindowwillopenshowingtheavailablescannersources. (See Section 2. vi) Selecttheflatbedscanneryouhaveinstalled(DM700 or DM4700).

vii) Initiate a scan. The driver UI will appear.

Note: Thecombineddriver’ssettingsareappliedtoeitherscannerwhencalledbyFreeFlowMakeReady.Thesubtletiesofthisarecoveredinthenextsection.

4. Driver Settings OverviewThissectionshowswhereinthedriverUIthekeyfeaturescanbeenabled/disabled,andhowtosetdefaultpresetsinthedriver.

i)Toenableaccesstotheadvancedfeatures,firstselect ‘Advanced’fromthedrop-downmenu.‘Basic’isthedefault.

ii)Whenusingthe‘Combo’mode,itisadvisabletoenableboth‘Autosource’and‘ADF’.Thismeansthatwhenyouclick‘Scan’intheUI,iftherearenodocumentsintheADF,theflatbedwillautomaticallyscan, and vice-versa.

iii)TochangethescanmodefromBlack&WhitetoColor,usethedropdownasshownbelow.Toenableyourselection,placeacheckmarkintherelevantbox. (Advanced view shown below)

iv) The next few images show where in the driver UI key features can befoundandabriefsummary.Formoredetailedinformation,pleaserefertothemanualonthescanner’sDVD,orclickthe‘Help’button.Also, there are tooltips which display when hovering your mouse pointerovertheiteminquestion.Itshouldalsobenotedthatnotallfeaturesareavailableinallscanmodes(Color/B&W/etc.)


Document Settings – Advanced

These are advanced settings/adjustmentsto‘tweak’orenhancefeaturesenabledonthefirstscreen.

<ScannerName>tabshowsfeaturesspecifictothe scanner(s) installed.

Image Enhancements – Advanced

Additional advanced features to complement the other settings.

Smooth and Remove backgroundfeatures

Image Enhancements – Main

Thispageisforfinetuning the image scan parameters. Brightness, Contrast, etc.

Driver Configuration – Configure

This is where add-in modules, like Acuity are enabled/disabled.

Driver Configuration – <Scanner Name>

Displays the scanner and driver technical information, including scan/roller counts and theabilitytosetthescanner inactivity/sleep timing.

Document Settings – Main

Thisisthefirstscreenyouwill see upon launching theUIforthefirsttime.

Here you have access to allofthebasefeaturesfor setting up the scanner(s)


v)DriverPresetcanmakeanoperator’slifeveryeasyonceconfigured.LaunchingtheUI,theyselecttherequiredpresetandallofthesavedscan parameters are loaded automatically.

vi)Oncealloftherequiredparameters/settingsareset,clickonthearrow next to the Presets drop-down list.

vii)Select‘SaveAs….’Andthefollowingwillappear.EnteryourpreferrednameforthePresetandclick‘OK’

viii)Thesavedpresetwillbedisplayedinthedrop-listandcanbeselectedbytheoperatoreverytimetheUIislaunched.

ix)AnotherfeatureisthatyoucanchooseapresettobeloadedbydefaultwhentheUIislaunched.Thiscanbesetforeachindividualscanner when notin‘Combo’mode,otherwiseitwillbeappliedtobothwhenin‘Combo’mode. Thisissetinthedevice’sHardwarepropertiespage(See Section 3. ii). Clickonthe‘DriverSettings’tab.Fromthedrop-down,selectyourpreferred‘Defaultpreset’.Click‘OK’tosave&exit.
