Microsoft Office Integration

Provides access to Word, PowerPoint and Excel from within SAPBusiness Planning and Consolidation.

Includes connectivity to the BPC applications so that you can include

live data and reports in your Word documents and PowerPointpresentations.

Utilizes the same Current View across the three Office applications.




The Action Pane

Is a state sensitive task list that is persistent throughout SAP Business

Planning and Consolidation. Consists of the following sections:

– Navigation

– Session Information

– Task Selection or Input Fields

– Available Interf aces

– See Also

Can be minimized when necessary by clicking on the minus sign in theupper right corner.


Navigation

The Navigation section provides a Back,

Forward, and Home button.

The Back button br ings you to the previous Action Pane.

The Forward button brings you to the next

Action Pane (only i f you previously pressedBack).

The Home button bri ngs you to the first Ac tion

Pane for t he particular process you are in.




Session Information

Contains login and current view information.

Logon: shows the active user ID, applicationset, and application.

– To change the application set or application,

select the link, make your selection, then click

OK.

Current View: controls which members are

represented in the active report or input

schedule.

– Al l t he di mens ions and members t o which you

have access are available when the section i s

expanded.


Task Selection or Input Fields

Displays either a list of t asks or input fields thatrequire action.

If a task list displays, clicking a link will perform

a task, open a dialog box, or open another ActionPane.

If input fields display, you must take action by

completing the required fields.

If you make a mistake, you can always click theBack button at the top of the Action Pane.

BPC for Excel: The Current View

The Current View in BPC for Excel contains the available applications

and dimensions for each specific user.

Dimension members whose data you want to display in your

worksheets are selected via member selector windows.

The Current View is user dependent, therefore you wil l only be able toview information that your user profile allows.


Analysis & Reporting

SAP Business Planning and Consolidation comes with a set of predefined report templates and reports.

The reports can be accessed using t he Dynamic Report templates or

from a library of report templates that are stored on the BPC server.

Reports can be modifi ed simply by changing the Current View.

The templates can be customized.




Analysis & Reporting

Saving reports

– Regardless of whether you create a new report using the Dynamic Reporttemplates or modify an existing report template, you can save these reports

locally for use at a later time.

Saving reports as templates

– If you modify an existing report template or create a custom report you can

save it locally as a template for future use.

Modifying report templates

– Only Application Administrators can save templates on the server.

– Al l users can mod ify a template and save i t l ocally fo r t heir o wn use.


Dynamic Report templates

In BPC for Excel, Dynamic Report t emplates reference the files t hat arestored on the client machine which are downloaded from t he server

during the initial logon to the application set.

There are two Dynamic templates folders fo r each BPC application:

– Reports

– Input Schedules

Three file types that are downloaded are:

– TEMPLATEn.XLT

– Description.TXT

– IMAGEn.BMP





Dynamic Report templates that are customized must be saved on the

server. An update to the cl ient machine must be performed for users to see

the new template.

The client update is managed by the template version number.

By default, this template version number is updated automatically.

To manually update the template version number, from the BPC

Administration web page, select “ Manage Appli cation Sets” and logonto an application set. Then from the Action Pane, select “ Set template

version”.



When templates are changed on the server, the updates areautomatically downloaded to the client machines at next logon.

To manually update the client machine, from BPC for Excel, select

eTools/Client Options/Refresh dynamic t emplates.

Because Wizard templates are downloaded to client:

– Include commonly used reports.

– Try to minimize report size as much as possible.

– Perform report development locally, then save to Wizard folder on the

server, when completely finished, to minimize client template refreshes.




Freeze Dimension Settings

By default, the Member, and data retrieved or sent, are based on your

current view settings. You can freeze the current view setting for any/all dimensions in the

Override Member area of the Control Panel.


Scale

In a report, you can choose how you would like to scale the valuesbeing retrieved into the report.

The EVGTS functions in the dynamic template will automatically

reference the Scale field of the Control Panel.




Utilize Expansions

Row and column expansions can be turned on or off, depending on

the required behavior of the fil e. The EVEXP functions fo r the row or columns expansions are found in

the cells that contain TRUE.


Filter

The expansions filter members based upon what is in the Property

Name and Property Value fields.




Park N Go

Al lows you to take a stat ic snapshot of

a live report or schedule. You can lock down the current view,

lock down the data and the currentview, or take the workbook completely

offline.

Taking the workbook completelyoffli ne allows you to view a report or

input schedule even when you are notconnected to your BPC server, using

native Excel.

Working with the Dynamic Schedule Templates






Comments

Provide a vehicle for submitting, storing, and retrieving text

commentary associated with BPC data cells or other BPC unstructureddata elements.

Al low you to annotate the data so that other users can view t hecomments associated with a particular data point (a fully-qualified

current view).

Serve to provide comments on a series of data such as a specificreport or content lib rary document that is not current view-driven.


Submitting Comments

The Add comment link is available on any Action Pane from which thecontext of the page allows you to enter a comment.

Comments can be submitt ed in multiple interfaces:

– BPC Web

– BPC for Excel

– BPC for Word

– BPC for PowerPoint

You can associate the comment with the active workbook or current

view, or you can define a custom current view.




Defining the Comment Context

Defining the context of the comment is performed

in Step 1 of comment submission. You associate a new comment with one the

following:

– The active report or schedule cell.

– The activ e Current View.

– Custom Current View.


Defining the Comment Context

If you select Custom Current View, you can

define the following for each dimension:

Single members.

Al l members [ALL].

No members (Dimension not selected).

Comment History

When a comment is submitted to the same data intersection asanother comment, both comments are maintained.

Comment history is included in the View Comment interface by

selecting Show Comment History.

Comment history is included in BPC for Excel by appending the

version number after the returned comment.




Reporting on Comments

To retrieve comments in BPC for Excel, you can use the EVCOM or the

EVCGT functi ons for individual cells. In addition, you have the ability to run reports to access multip le

comments, across the entire application, via:

– BPC System Reports

– View Comments option f rom th e Action Pane


SAP Business Planning and ConsolidationSystem Reports

From the BPC for Excel Action Pane, click Open System Reports.





Or, from the BPC Web Action Pane, click Launch BPC System

Reports.



From the System Reports Action Pane, click Comments Report.




Comments Report

Select parameters and run the report.

Step 1: Select context, current view values.

Step 2: Select comment history, priori ty, keyword.

Step 3: Select origin, date range.

Administering Comments

Users or teams can be given access to add or delete comments in

security.

AddComment: abil ity to add comments.

ManageComments: abili ty to delete comments.




Comment Tips

When you v iew comments from the Action Pane, reporting on [ALL]members for all dimensions will not necessarily return all comments inthe application.

If you ignored some dimensions when you submitt ed the comments,

you will also need to ignore those dimensions in the report context.

Creating & Publishing Books

Is a four step process.

In BPC for Excel, you need to:

1. Create reports to be included in the book.

2. Create a book using a default book template.

3. Publish the book using the Book Publication Wizard.

In BPC Web, you need to:

4. Add the published book to an SAP Business Planning and Consolidation

Web page.




The Book Template

Is a pre-formatted worksheet used to create a book of reports.


Book Template Fields

A book template may contain the fol lowing fields:

BOOK: the title of your book.

CLEARBOOK: specifies whether to replace existi ng reports o r

accumulate to existing reports.

SECTION: denotes the beginning of a section.

CLEARSECTION - allows you to replace only a section o f a book

instead of the entire book.

REPNAME: report filename, location and title.

FIXKEY: sets dimension members for all reports in the book.

SUPPRESSKEY: suppresses a dimension member if the value is equalto zero.

VARYKEYS: li sts dimensions and dimension members for which the

book of reports is being created.

SECTIONEND: denotes the end of a section of the book.




Validating the Book

Validating checks your book fil e for errors in syntax, structure, and

information provided. If there is an error in your book file, you wi ll receive a pop-up message.

The error will also be highligh ted in the book file.


Publishing a Book of Reports

Select ePublish/ Book Publication Wizard.

The Book Publication Wizard will guide you through the steps to

publish or print a book.

1. Select a destination for the book

- BPC Web (HTML/PDF)

- ASCII

- Printer

2. Select a book to publish

3. Select the section(s) of the book that you want to publish




Adding a Web Page

From the Content Library, select Add a new web page.


Displaying a Book on a Web Page

Add the Web-Ready Book object to the page by d ragging it to the

desired location.




Displaying a Book on a Web Page

Follow the Action Pane prompts to:

Enter the name you woul d like to appear as the titl e of the item.

Select the desired pixel height of the item.

Select the book from the list of books available to you.

Select the book section you want to add.

Select Show as list of reports if you want to display the list of reportscontained in the book, or select Show as a specific report to select one

or more specific reports from the book.

BPC Web: Content Library

Is a repository for storing files that you want to share.

– Valid file types inc lude Word, HTML, Excel, PowerPoint, text (su ch as an

email), and images.

Presents you with a Content Library Lis t page.

– This page contains all th e files that have been added by BPC users.

– To open a file, click on the Title.




Content Library List Categories

:allows you to select items to display on tabs or delete.

Title: the name of the web page or file. – You can click the title to open the file.

Document Type and SubType: document types and subtypes are usedfor sorting and filtering purposes.

– Document typ es and subtypes are defined by administrators, but subtypes

can also be defined on the fly.

Application context: you can post fi les that are application-speci fic or

not.

Team Access: lists access rights.

– Each item that is posted is assigned user or team access.

Date: the date the file was posted, or the web page was added.

BPC Web: Live Reporting

Provides you with the ability to create a report using drag & drop.

You can start from a blank page, or edit an existing report or input

schedule.

In addition to creating a report, you can add an interactive chart to itthat gets updated as you update or drill down on the report.

Retrieve all data

– Clicking this link refreshes data values in t he entire document or slideshow.

Expand All

– Al lows you to expand func tions con tained i n embedded BPC for Excel

objects.

Send all data

– Af ter at least one data value has been inserted in your document or

slideshow, you can use this command to send the value to the database.

– If there are multiple inserted data values, this command sends all of them to

the database.




Office Integration Example in Word


Office Integration Tips

Immediately after inserti ng an BPC for Excel object, size the object

in you r document while the object is still in edit mode.

To apply the current view to a data value or report, first select the

value or report, and then update the current view.

To double-check the current view of a data value, hover your

mouse over the value.
