Eziway is a boutique provider of Salary Packaging and Novated Leasing services to the not-for-profit sector. We offer premium services to over 320 employer clients nationally across Public Health, Disability & Community Services, Charities and PBIs.

Our systems and service model are dedicated to managing FBT-exempt arrangements without fault. In doing so, Eziway:

• disburses more than $484 million a year to meet employee client arrangements

• conducts more than 3,000 onsite education activities a year

• receives more than 8,000 inbound phone calls a month

• makes in excess of 17,000 outbound phone calls a month

• processes more than 2,000 claims a month

PREMIUM PROGRAM SERVICES

FBT GuaranteeSalary Packaging is governed by FBT Legislation and must comply with tax law. Eziway ensures your employees’ packaging arrangements remain compliant, are provided with reconciliation reports at year end and never incur an FBT liability.

Dedicated Service model We offer teams dedicated Client Service Officers (CSO) taking calls, replying to emails, ordering cards and processing claims. Your people will get to know their CSOs by name as our CSOs will get to know your people and program policies intimately. Clients are also assigned a dedicated Customer Relationship Manager (CRM) for the life of the contract. Our CRMs will coordinate the necessary resources within Eziway to deliver onsite education activity to your people. They will conduct Annual Program Review meetings to steer your program and meet your objectives.

Onsite activity Eziway works with all clients to develop a 12-month calendar of Onsite Education Activity each year to meet your expectations for face-to-face engagement of your people. Activity will include: group presentations, inductions presentations for new starters, 1-on-1 consultations booked online by your people, BBQ Lunches, Coffee Cart days, and Car Days.

Faultless administration Eziway Administration System (EAS) is a financially-rated account administration system designed to manage the most complex salary packaging arrangement, FBT-exempt employers. The platform is caps-based making it impossible for employees to exceed their annual limit. EAS is the only safe and compliant system in which clients can self-serve. EAS is wholly integrated meaning every benefit is administered from one system—including novated leases—to consolidate data and streamline reconciliation and reporting. All transactions and amendments are date and time stamped together with the operator’s login to provide a comprehensive audit trail.

Scalability guaranteedEAS logs data on all calls—inbound and outbound—and emails for every client, capturing client name, employee, reason code and consultant. This enables us to accurately benchmark operational workloads across our 320-plus customer base to assemble dedicated and scalable service teams to meet service levels now and into the future.

Compliance and SubstantiationTo protect you and your employees, it is Eziway’s responsibility to operate salary packaging programs that are compliant with ATO guidelines. Substantiation is sought for all benefits including rent, mortgage, personal loans and personal credit cards. EAS tracks regular payments against held substantiation levels and when subs are running low the system emails the employee 3 pays out, 2 pays out, and 1 pay out before calling the employee to avoid suspending the account. Subs can be easily uploaded online, via the App or email.

Best-in-class Technology Our online tools make it easy for your people to register to salary package, set up their benefit items if they choose, and book an appointment to meet one of our people onsite. When they’re up and running, they interact with their account like never before using our Employee Portal Dashboard. Stakeholders will have complete transparency and oversight of your entire program from the Employer Portal Dashboard including building ad hoc reports from 149 data tables. Data is up-to-the-second accurate.

Every permissible benefit Eziway administers every benefit permissible by the ATO including Remote Area, Novated Leases and Meal Entertainment. Choice increases the opportunity for your people to maximise their savings.

All Employee Categories including Casuals Eziway administers salary packaging services for all employee categories including Casuals. We do so with equal simplicity, compliance and faultless management to ensure all your staff benefit.

HELP Debt Management Eziway will calculate the HELP debt repayment rates for employees who have a student debt. As repayment thresholds change or a person’s salary increases, Eziway will recalculate repayment rates and advise employees and Payroll of the need to withhold additional post-tax funds to cover any predicted shortfall.

Company-provided Vehicles (CPV) Eziway manages the FBT component of our clients’ workplace benefits programs. If employees are given a CPV as part of their remuneration, and participate in salary packaging, Eziway will adjust their cap to ‘fit in’ the taxable value (20%) of their assigned vehicle. We ensure that employees never exceed their annual cap.

In 13 years of operation, Eziway has never left an employee with an FBT liability. Employers engage us for our expertise in FBT management as it applies to salary packaging, and our protective measures remain impeccable:

• Our administration system—EAS—is caps based which means it is impossible for an employee to exceed their annual packaging threshold even when they self-serve online. EAS simply will not permit amendments to be made or accounts to be set-up that will result in a liability at the end of the FBT year.

• EAS automatically validates the packaging arrangements of all transitioning employees. In this way, our audit practices ensure that your program will withstand an ATO audit under our administration.

• EAS permits risk-free acceleration of savings to the cap. The system automatically resets packages to zero as the calendar ticks over to a new FBT year. In this way, in-place acceleration arrangements do not continue unchecked into the following FBT Year.

Program stakeholders in Finance and Payroll can logon to their Employer Portal and run FBT reports using live data. You do not have

to wait to receive an end-of-year FBT report from us; you can run reports at any time of year and any time of day to report on our flawless management of your employees’ FBT position.

Eziway warrants all clients and their employees against an FBT liability arising from our administration of their salary packaging arrangements. Putting our Salary Packaging and Novated Leasing experts in front of your people is the most effective way to drive participation in your program. It has been our experience that most employees prefer to speak with an expert in person when investigating their options to answer questions that pertain to their particular circumstances. Stakeholders in Payroll, Finance and HR will not have experienced in this sector, such a sophisticated and flexible reporting tool as provided by EAS through the Employer Dashboard. A series of popular standard reports arranged by function are easily run on live data and exported to Excel format from the homepage.

Yet another feature of EAS is the ease with which it integrates with client Payroll systems each pay cycle to make timely and accurate salary deductions.

1. At payroll cut-off, you will run a Projected Deduction Report (PDR) from the Employer Dashboard.

2. At the bottom of the PDR screen, choose the ‘Export to Payroll’ button which produces a file in a template that is designed for your specific Payroll platform.

3. Input the template file into your Payroll System and conduct your normal payroll process

4. Export the salary packaging deductions out of your Payroll System

5. Import the salary packaging deductions into the EAS

6. Send consolidated funds to Eziway to cover salary packaging remittance
