REPORTS

There are over 120 standard reports within roomMaster 2000. Using Enterprise version, there are a further 30 reports, charts and graphs. This Custom Report Library is free of charge to Australian users and offers reports to assist with the calculation of Bureau of Statistics Quarterly reports, sales figures excluding and including GST to assist with the lodgement of BAS Statements.

PDF Capabilities – we have embedded PDF capabilities in roomMaster. PDF files are seen as the best way to share information among a wide variety of computers and users, since virtually any computer can view a PDF file. Most importantly, roomMaster 2000 Version 9 has the PDF – creation tools built in, so you do not need to purchase Adobe Acrobat to create these PDF files. (Enterprise Version*)

E-mail Reports – Virtually any report, guest folio, city ledger invoice within the standard set of roomMaster reports can be e-mailed directly from roomMaster 2000 as a PDF file. The entire Night Audit packet can be converted to one PDF document in a matter of seconds, then distributed to a list of recipients each night such as the owner, general manager or a corporate head office all automatically. Quick report

Attached to each data area in roomMaster 2000 (reservations, guest history, city ledger, in house, guest profile) is the Quick Report feature which allows the user to create the desired report on the fly by naming the report, then selecting from a pre-defined list of fields within that database, the details required for the report. Each report can be saved and used at a later date using an alternative date range or criteria.

Report Writing

The Premier (SQL) Edition allows you to write simple and advanced SQL statements to form run-time reports which can be placed on the Reports menu for any user to simply execute. This option is designed for intermediate and advanced computer users to create simple or complex queries, save it, and then attach it to the Reports menu so any user can simply execute it and get the information they need.

Any SQL report you create can be exported to excel, enabling more extensive data mining capability with no additional modules required.

In the standard roomMaster version, in addition to the more than 120 reports available in roomMaster, a report writing package is available which allows the user to write their own customized reports and add them to the standard roomMaster report menu. InnQuest Australia has prepared an additional 30 plus report library which includes GST analysis, marketing reports, transaction history, and alternate arrival and departure reports. These are distributed free with roomMaster, and can be used as templates for creating your own reports. In addition to the Report Writer, the ENTERPRISE* version of roomMaster features a very easy to use basic Quick Report facility which allows quick user definable Columnar reports to be produced with ease.

roomMaster 2000 is available in four different editions, so you can get the features needed for YOUR business.

Enterprise Edition

Enterprise Edition is made available free-of-charge for the first 30 days after roomMaster is installed. This allows you to try out the features before you decide to upgrade – we thoroughly recommend the purchase of this module for any medium to large property as the development is largely focused in this area.

Travel Agent Allocations: Allows a group block for allocations to specific travel agent contracts with an automatic ‘give back’ on unused accommodation. As each Agent Contract is formulated, roomMaster 2000 allows the user to set up the contracted dates, rates, give back and manages the bookings through a separate availability.

Share Guest Facility: Allows full room share functionality by allowing the user to place an unlimited number of people in the same room, each with their own reservation, folio, rate code or package as well as their own arrival and departure dates. Full guest profile is kept of the share guest. Breaking apart and moving shares to another room is as simple as picking a new room.

Charts & Graphs: A wide variety of line, bar, and pie charts comprise a key component of the roomMaster Enterprise Edition. Each chart is completely configurable, including font, color, type, scale, and even the data itself! View the charts on the screen or print for management presentations. All reports are available in PDF format for emailing.

Within many of the charts there are options to view different subsets of your property's data. For example, the "Room Revenue" chart can be broken down into total room sales and number of rooms sold, taxable rooms sales and number of rooms sold, and non-taxable rooms sales and rooms sold. The flexibility of these graphs cannot be understated. If you want to take the current year's occupancy chart and add a line for the next year's goals, you can enter the estimates for the next year and have it appear on the chart with your current data. Enterprise Edition allows you to create beautiful and readable charts with your roomMaster data in either flat (2D) or 3D formats, as pictured here.

Enterprise Edition gives you the ability to look at your property's data in an entirely new light. For example, the Company charts show year-to-date figures, last year's sales, as well as average pay days -- you can see who your important accounts are, as well as who is slow to pay. The average daily rate and occupancy charts will help you see

Account Type Summary - A guest-by-guest breakdown based on checkout date, showing types of charges and payments. Commission statements - Shows revenue or charges made from a room and amount of commission to pay the owner based on that total. Company History - A detailed breakdown of each company's business with your property - each person who stayed, details about their stay, and total amount of revenue. Company Ranking - View your company master sorted by who brings your property the most business, including a "percent of revenue" for each company. Dayend Close Recap - A day-by-day summary of the day-end close report. Export Guest Profiles - Send information from your Guest Profiles to an ASCII-text file. Payments Received Today - A summary of all payments received on the current audit date, with a summary by payment type. 13-Month Accounting - Accounts are summarized for a 13-month accounting period (4-week segments). Travel Agent History - Agent-by-agent listing with guests booked and commissions paid. User Activity - User-by-user detail of guest stays. This is useful for running commissions for reservation clerks, as this report can calculate commissions based on percentages or flat amounts per night, room revenue or check-in. Foreign CurrencyThe Foreign Currency features in Enterprise Edition allow you to setup different currency values on a daily basis and have the system calculate, display and print converted values. If you process a transaction which has been flagged as Foreign Currency, the conversion window will appear to prompt you for the values and present you with the native equivalents.

Account History Drill Down and Balance UpdatesA quick summary of your account history can be viewed in roomMaster Enterprise Edition. Starting at the account code level, you can select an account and quickly see its balance for each month. Double-click on a month and you can see the amounts for that account code for each day in the month.

The Update Account History feature allows you to add past month's data from other systems so Accounting Reports will reflect more history. This is especially handy for the charts and graphs that are also included in roomMaster Enterprise Edition.

Premier Edition

The SQL Edition offers the same functionality of the Enterprise Edition, however, with an SQL backend. By using an SQL Engine backend, there are many features which cannot be achieved through the TPS (ISAM) database system, the default database within roomMaster 2000.

Whether you have 5 users or 100 users, SQL Anywhere's Adaptive Server Anywhere (ASA) is a powerful database solution for server applications, providing high performance out-of-the-box with low maintenance and cost. The ease of use, security, speed and administration features are the main reasons why InnQuest Software chose ASA over MS-SQL Server and other open/free solutions.

Easy to Administer - Deploying an SQL solution for roomMaster 2000 had to be almost as simple as the current TPS solution, as InnQuest Software knows that most environments do not have 'computer departments' and 'tech people' onsite. The ASA solution is a self-administering and self-tuning system, which minimizes the need for a computer person to be involved. Backups can be setup to execute at a set time or when certain events occur automatically.

Performance and Scalability - High performance is achieved immediately with the self-tuning query optimizer and innovative query processing algorithms. ASA also handles multiple processors and a wide range of platforms, although at the current time, InnQuest Software support is only available for the Microsoft Windows platform. (IT departments running Linux/Unix are able to run and support the roomMaster database on those operating systems themselves)

True End-To-End Security - ASA offers 128-bit strong encryption options, resulting in true end-to-end security that meets the needs of customers in a privacy-conscious environment and meets some new credit card standards. Communication encryption protects the packets of data being sent through-out your network and wireless network.

Converting from the Basic or Enterprise Edition of roomMaster 2000 is a very easy process, and most of your data is converted quickly. The first thing you'll notice is the speed of roomMaster as well as the ability to quickly filter the browse screens in sub-second response time. In addition, there are no purge or archive requirements because the size of the database is limited only to the size of the hard-disk allowing you to keep years and years of data in the current roomMaster 2000 system, without purging, and without noticing a speed difference.

The External Posting Interface bridges the gap between your hotels other data systems and roomMaster 2000. Phone calls, in-room movies, and restaurant bills from your existing systems can automatically post to roomMaster 2000 via a data stream put out by external devices (eg PABX).

Free call accounting with no charge for updates

EPI can also price your phone calls, eliminating the need for a separate call accounting device. Using EPI to price your calls allows you to update rates instantly, saving you hundreds of dollars. You also have the ability to rate calls for an unlimited number of area codes, dialed digits, regions, and countries.

roomMaster.net allows guests to reserve rooms from your Web site directly, to print off a confirmation of the booking and leave a credit card as security for the booking. You control the number of rooms to sell via the web site, and you control the room rates and details of the rooms. Your Corporate clients, Travel Agents and special customers can use their own log in code to make bookings and free up the reception staff allowing them to concentrate on the customers on site.

Your web site designer would place a ‘Make A Reservation’ tab on your web site and, when the guest clicks on this button, will take them to a screen similar to that shown below.

This screen can be adapted well to suit your website theme and can be a reservations clerk which operates 24/7. All internet bookings are tagged and reported on – the bookings are automatically taken from availability, the reservation record immediately on your roomMaster 2000 system for you to check or change if need be.
