Product description

Radio Frequency Identification (RFID) is a new generation of AutoIdentification and Data collection technology which helps to automatebusiness processes and allows identification of large number of taggedobjects, using radio waves. RFID technology is being implemented in anumber of industries.

This product is used to track an employees daily attendance. Each and everyperson in an organization is issued a swipe card, where some information isalready stored in the swipe card. When a particular employee swipes his/hercard at the RFID reader, out system automatically detects the person and

decides whether he/she is a authorized person or not. If authorized, thepersons details are shown and his status whether the person is entering orleaving the premises is tracked. If the person is not authorized or if the swipecard is not registered an alarm is raised.

At the end of the month the total attendance of a particular employee iscalculated, based on the attendance percentage the management can easilytake some managerial decisions. This product can also track the daily workinghours of an employee.

System Requirements

Pre- Requisites

1. Java 1.6 runtime environment2. Tomcat1.6 web server.3. Mysql 4.1 database

While installing these soft wares please shutdown all the browsers.

Installation and Configuration

Step 1: Install java1.6 on your machine. Java1.6 is available in tools folder.

While installing please dont change any settings in it. Just keeppressing next button.

Step 2: Install tomcat6.0 on your machine. It is available in tools folder.

Please do not change any settings. Just keep pressing next and finishbuttons. While installing tomcat6.0 at a point it will ask to enter the username and password. Please enter the username as-----admin and

password as-----managerAfter successful installation you can see a tray icon of tomcat in yoursystem tray. It looks like this:

If you cant find this in your system tray just go to start>AllPrograms>Apache Tomcat6.0> and click on Monitor Tomcat.

Step 3: Install mysql4.1 on your machine. It is available in tools folder.

While installing, at a point of time the installation wizard will ask you toenter your email id and password. You need not enter any details.You will find a radio button named skip sign in. select that radiobutton and click next button.Again at a point, you have to enter the password for the root account.This time you have to enter the password. Please enter the passwordas----------abhinavaNext you will find a check box asking you to Enable root access fromremote machine. Select that option and hit next button.

Step 4: Now the web application must be deployed.

Open a web browser. The suitable web browser for this application isinternet explorer6 and higher.In the address bar type http://localhost:8080/

Then you can see a web page some thing like this.

At the top left side of the web page you can see a link named TomcatManager. Click that link. Then a dialog box appears asking you toenter the user name and password.The user name is-----adminThe password is-------managerThen click ok button.

Then you will be redirected to another web page some thing like this.

Scroll down to the end of the web page. At the end of the web pageyou can find a text field asking you to select war file to upload.

Click the browse button. Now browse your system and select the .warfile given to you. The .warfile is present in the rfid project\applicationfolder given to you.

Click the open button. Now the dialog box disappears and the path iscopied into the text field. The web page looks like this.

Now click the deploy button. After clicking the deploy button the sameweb page is reloaded again. At the top of the web page you can find amessage ok.

Now the application has been successfully deployed. Simply close theweb browser.

Step 5: Execute the rfid_ins batch file.

While executing the batch file at a certain point of time it will ask toenter the create database command. Please enter the followingcommand.

create database abhinava;Note: try to see that the create database command ends with asemicolon.After entering the command then hit enter button on yourkeyboard. Then mysql will inform you that the database hasbeen created. Then type exit and hit enter key one again.

Step 6: Go to system tray and find tomcat tray icon. Right click on the iconand select stop service. Wait for a while, so that the server shut downs. Thenonce again right click on tomcat icon and select start service.

Backing up the necessary files

Suppose in future if you want to install the operating system once again, thenthe files and current data will be lost. To prevent this from happening youmust perform a backup. Simply execute the backup batch file supplied to you.After backing up copy the entire rfid project folder to a cd orDVD or anything else, you can conveniently perform system formatting. After performingthe formatting then again start from the beginning.

Starting the application

The entire application comes in two modules. The first module is responsibleto read the information from the rfid kit. The second module is the webapplication which is used to enter the employee details and monitoremployees.

Open the web browse (for best results use internet explorer 6+)

In the address bar type http://localhost:8080/SwipeCardApp

Then a web page is displayed asking you to enter the Id and password.

The default user id is abhinava. The default password is abhinava.

Please enter these details and select ADMINISTRATOR and click SUBMITbutton. If the user id or password is entered wrong then a message appearssaying that user id or password not valid.

Once you have entered the correct user id and password you will beredirected to the home page. Once you get signed in you can change yourdefault user id and password. The home page looks some thing like this.

You have been provided with some links to perform your activities. Let usdiscuss them in brief now.Change password: this link is provided in an image. The image is present in

the top right corner. It looks some thing like this:

Logout: this link is also provided as an image. It is located beside the changepassword image.

Now the company details must be entered first. Without entering the companydetails we cant enter the employee details.

First we enter the departments present in the company. Next the roles /positions in that particular department will be entered. For example thedepartments name can be Technical and the role or position in thatdepartment can be Programmer.

To enter the departments just click Departments link. Then select NewDepartment. Then enter the department name. The web page to enter thedepartments looks some thing like this:

Then select Positions link. Under that select New Position. Another webpage is displayed some thing like this.

Select a particular department and enter the position name.

Once you have entered these details you can view the departments andpositions in appropriate links.

Once these details have been entered then the leave details of the companymust be entered. For that task select Employees link. Under that, selectLeaves link. Then another web page is displayed some thing like this:

The default values are zero. Set the values and hit submit button.

Thus you have finished entering the basic information.

Now enter the employee details. This can be done using New Employee link

which is present underEmployees link.

Enter the employee basic details and hit submit button. While entering thebasic details the application asks you to enter the employee ID. The ID of theswipe card issued to the employee must be entered there.

To know the ID of the swipe card connect the RFID kit to the serial port, thengo to All Programs>Accessories>Communications>Hyper Terminal.

Then enter the connection name and lick OK button. The connection namecan be any thing. For example sample.

Then select a communication port. The port you are selecting must alreadyexist. To know the serial communication port, go to control panel, switch toclassical view, select system icon.

Then go to hardware tab and select Device Manager.

Then a window opens showing a tree. Under the tree you can find a linknamed ports. Click on it to open. There you can find a list of ports available,check on which port the serial port is connected.

Then select the port and click OK button.

Then again another dialogue box opens something like this

Click the Restore Defaults button and hit OK button.

Now swipe the card that you want to issue to the employee at the RFIDreader. Then the information or the ID present in the card is displayed in the

terminal window.

Note down the card ID and enter the card ID in the Employee ID text field.

Once the employee basic details have been entered you can start using theRFID kit.

Connect the rfid kit to the serial port.

Now go to C:\Program Files\Java\jdk1.5.0_15\bin. There you can find a jarfile named RFidPro.jar

Execute the jar file. A window some thing like this appears asking you to enterthe server IP or name, User ID and Password.

Enter the IP address of the system where the product is actually installed. Thedefault user id is abhinava and the default password is abhinava.

Then select a port and hit submit button.

Now you can start swiping.

When authorized swipe card is swiped the employee details of the particularswipe card are displayed in the graphical window some thing like this.

When an unauthorized card is swiped then an alarm is played to alert thesecurity guards or the concerned persons.

This RFidPro.JAR program must be in execution mode for the whole day. If itis closed or terminated then employee attendance will not be tracked. Thisprogram must be in execution mode from windows starting to windows shutdown. Every day after windows start up you must go to C:\Program

Files\Java\jdk1.5.0_15\bin and execute RFidPro.jar. This is a slow andtedious process. So create a short cut of this jar file and move the short cut towindows start up folder. The windows start up folder is present inC:\Documents and Settings\\StartMenu\Programs\Startup. Or you can go to start up from start>All

Programs>Startup. Thus every day after the operating system starts up thisprogram is also started. If in the middle is this program is closed for a whilethen again go to start>All Programs>Startup> and click RFidPro.jar.

When ever you want to monitor the employees you can simply start the serverwhich is located in system tray.

Then connect to http://localhost:8080/SwipeCardApp

Once get connected, you can do the following:

If you want to calculate the salaries for the employees for a particular month,first you must enter the details of the working days for each month in thecurrent year. Once you get it done you can calculate the salaries for each andevery employee.

You can export the attendance and salary details for all employees or for aparticular employee in an excel sheet.
