RFQ –Request for Quote

Purchase Requisition – The department responsible can manually pass a requirement for materials to the Purchasing department through a purchase requisition.

Approval Process - If the process is started with the purchase requisition, the requisition must be approved by the responsible party.

RFQ-Request for Quote – the SAP system helps determine possible suppliers through RFQs and existing purchase orders. The SAP system can make price comparisons between quotations, choose the best source based on price, etc.

Purchase Order Processing – Enter a purchase order through Materials Management.

Monitor Purchase Order – The buyer/department can monitor the status of the purchase order, goods receipt and invoicing.

Goods receipt – the SAP system compares the received goods quantity with the purchase order quantity.

Logistics invoice verification (LIV) – Invoices are checked for accuracy of price and quantity of goods.

Payment processing – Accounting is responsible for vendor payments.

•Before creating a Requisition ask these questions:

Is the vendor in the system?

What are you procuring? Quantity? Unit of Price?

Do you have a quote or contract number?

Delivery address?

Anyone in the organization who needs to procure materials can create a purchase requisition with proper access to SAP and authorization to the transaction

Tips & Tricks:• Keep in mind that processing takes place at the line item level, not the

document level. Each line item may have a different account assignment.• Each user may set up default values under Personal Settings to automate the

entry of Plant, Storage Location, and other fields.• Make sure the Item overview section is expanded. If it is not expanded, click the

Expand items icon (in the upper left corner of the screen, at the left of the words “Item overview” ) to expand this section.

• If you have special instructions for shipping and/or delivery, this must be put in the Line Items text.

• The Requisitioner can be someone other than the person who enters the requisition information into the system.

• If K was selected in the Account Assignment category, certain fields will be displayed; If F, P, or X had been selected, a different set of fields would be shown.

• Campus Purchase Orders can have only one delivery address, while Hospital Purchase Orders can have multiple addresses.

• Accounts can be split only by percent or quantity – they cannot be split based on dollar amount.

Purchase Requisitions”•Select the requisition you would like to copy

Other icons within the Document Overview window:• The adopt icon – to copy existing requisition and create a new

requisition.

• The refresh icon (the two blue circular arrows) which refreshed the previous search.

• The select layout icon – to change the layout in which the documents appear

requisition, either select the “Adopt” icon within the document overview section -OR-

• Drag (with your left mouse key) the document into the “shopping cart” located at the top of the screen

To select line item 10 from the purchase req. 10000021 drill down on the requisition, drill down (by selecting the triangle) to the left of the requisition and either drag it to the shopping cart or select the adopt icon within the document overview window.

Each line layout also includes the short text to provide more information

•You can change a requisition:If a PO has not been createdIf it has been approved; however, any changes may result in new release strategies

•You cannot change a requisition after:A purchase order has been created. Purchasing should be notified by email if a change to a PO is needed. Failure to notify Purchasing could result in duplicate shipment.

Tips & Tricks:• Always keep in mind when working with requisitions that the information is item-

specific and does not necessarily apply to all items on the same requisition.• Most fields that are not “grayed out” will accept changes. Also, if you attempt to

enter and save a change that is not allowed, SAP will not process it and will present an error message.

• CAUTION: You may use the Document overview panel to help find the requisition you wish to process. However, do not adopt a requisition from the Document Overview list by dragging a requisition number to the shopping basket. This action results in adding the line items from the adopted requisition to the requisition current displayed. Just double-click on the requisition in the list to choose it.

Types of ChangesTypes of Changes

Add item – Enter item and ordering information on next available line in Item Overview section.

Delete item – Select item. Click on Delete (Trash can) icon. The item will continue to display, but the Delete (Trash can) icon will appear in the item’s status field. No further processing may take place for an item in delete status. It can be reversed by using the restore function located in the Delete icon drop-down

Account assignment category - Highlight the existing account assignment category and overwrite it with the new account assignment category.

Change quantity – Highlight existing quantity and overwrite it with the new quantity.Delivery date – Highlight existing delivery date and overwrite it with the new delivery date.Account assignment details -• If you have changed the account assignment category to one which requires details, the

Account Assignment tab will open for you to enter information, such as cost center and WBS element.

• If the existing account assignment contained details, you may open the Account Assignment tab and change the cost element details.

• You may change from single account assignment to multiple or vice versa.• You may change the distribution type and values for multiple account assignment items.

For instance, you may change a percentage distribution from 50/50 to 60/40.• You may delete or add WBS elements in multiple account assignment items.

Delivery address – You may open the Delivery address tab and change or overwrite the existing delivery address.

Item text – Select Texts tab in Item details section. You may edit or delete existing Item notes and Item texts.

Header note – Select Header text and you may edit or delete an existing Header note or add a new one.

Cancel a Purchase Requisition Cancel a Purchase Requisition –– ME52NME52NIf a PO has been created, the requisition MAY NOT be cancelled. You must contact Purchasing by email to cancel the requisition.

If a PO has not been created, the requisition MAY be cancelled. Go to transaction code ME52N.
