What is the average number of guests when catering is provided? Just a ballpark approximation would help. We have found that catering for under 20 consistently is not profitable so I wanted to check with you before I send in the RFP Catering services can really vary. Sometimes requests are for 5 and other times it is for a hundred. You can specify on your proposal response that you will only cater a minimum group of people 2. Can you give me an approximate ballpark for the amount spent on catering services per year by the district? RISD spent over approximately $892,490.00 over the last three (3) years for catering services. ($297,497.00 / year) 3. Roughly how many catered events take place within the district per year? Catering services can really vary. Sometimes requests are for 5 lunches and other times it is for a breakfast for all the staff at a school. Occasionally there may be events that include the whole District. Some events may be: a. New teacher functions b. Beginning of school c. End of school d. Recognition e. Retirement f. Working meals 4. Can you use the same one I sent to Carrollton/Farmers Branch last month? We can piggy back off each other’s bids but with catering services specific locations may be reflected on the response documents and the locations specified for CFB ISD may not be good for Richardson ISD. Also, my bid won’t expire until June, 2019 and another district’s bid would probably expire before my expiration date leaving us unable to use the other ISDs awarded vendors.

Request for Proposal CATERING SERVICES

Proposal # 1387

ADDENDUM # 1

Questions Answers

1. What is the average number of guests when catering is provided? Just a ballpark approximation would help. We have found that catering for under 20 consistently is not profitable so I wanted to check with you before I send in the RFP

Catering services can really vary. Sometimes requests are for 5 and other times it is for a hundred. You can specify on your proposal response that you will only cater a minimum group of people

2. Can you give me an approximate ballpark for the amount spent on catering services per year by the district?

RISD spent over approximately $892,490.00 over the last three (3) years for catering services. ($297,497.00 / year)

Working meals

5. We currently hold a bid approval through EPCNT clause. If you all are a district within the EPCNT organization I think you are able to utilize that agreement. You can reach out to Jana Hunter the Director of Purchasing for Rockwall ISD [email protected] for a copy of that. If there is another way that we need to get on your approved vendor list please let me know and we will be happy to do it.

We are not very close to Rockwall ISD and I am sure would utilize different locations so if you specified locations in the bid you did with Rockwall it will not work for us. Also, I’m not sure that her bid would last continue through June 30, 2019 and if it did not, when her bid expired Richardson ISD would no longer be able to use any of your company’s locations. If you can confirm back that the EPCNT Rockwall bid will include our geographical locations and will not expire until June 30, 2019 then I will be glad to reach out to Jana and piggy back off of their bid; however, if it does not include our local locations and does not expire until June 30, 2019, I would encourage you to complete our package. We have not been able to use as a caterer in the past.

6. I am filling out this application but do not understand Form E. None of my employees are contractors or subcontractors. They are all direct employees of the company. Do I skip this page entirely?

In this instance, should you be one of the responders awarded for catering services, you would be considered a “contractor” for RISD and as a contractor RISD has to determine whether you, the contractor, would have or could have exposure to students. If you or any of your employees (subcontractors) know you will be or potentially could be in direct contact with students then I urge you to review the DEFINITIONS for Covered employees and Disqualifying criminal history. If neither of these definitions apply to you and your employees, then check the first box and sign the form. If you and/or your employees DO qualify for one of the definitions then check the second box and review items (1)‐(4) and then sign the form. In either instance the form needs to be completed, signed and returned.

I do catering for RISD, I never bid on any job. Orders come direct from each school. Am I obligated to fill out all of the paperwork that I printed off?

You must have completed the forms in the past because you are an approved vendor. Unfortunately Texas law makes us go through this process. We have to do this process every 3 years.
