Reference checks: A tool for system selection Author: Vicky Bradley, RN, MS, Lexington, Kentucky p urchasing a computerized clinical documentation system for your emergency department is a major investment. Checking vendor references is a key strategy to facilitate system selection. Developing a checklist of questions to ask colleagues who have im- plemented these systems will help you obtain infor- mation about the vendor, software functionality, hard- ware, and implementation. Your colleagues gained valuable experience when they installed their system. The purpose of performing reference checks is to learn from others' experiences, as well as to validate what vendors have professed about their products. Who to call Ask vendors to supply a listing of all their clients with a brief description about what these emergency de- partments have installed. Some vendors will not pro- vide their entire client list. If not, ask the vendor for clients of similar institutions such as: Clients who have the version or modules that you plan to purchase Clients whose emergency department is similar in size and programs (e.g., 36,000 visits a year, university, level I trauma center, treats adults and children) Clients who have same interfaces (e.g., ADT, order entry/results, billing system) Clients who have implemented system within last year Clients who vendor believes have fully imple- mented their system Another way to obtain references is to ask for help on a listserve. If you would be willing to participate in our survey, please send your name, hospital, and tele- phone number to (name, number). The interview will take approximately 45 minutes. Listserve request for information Send the message, and wait for acknowledgment via E-mail and further directions. A sample listserve mes- sage is illustrated in Figure 1. This request is primar- ily to find contacts to interview later by phone. You could also ask your specific questions in a listserve message. Developing your interview guide While you are determining whom to call, develop an interview guide. Sample questions are included in Figure 2. The purpose of the interview is to validate what you have been told by the vendor, to obtain information that will help guide your implementation strategy, and to identify potential sites that you would like to visit. Have your project committee review this list and revise it to reflect your project objectives, spe- cific vendor functions, and questions raised by the team. Invariably someone on your team, or worse yet hospital administration, will have heard a rumor about a vendor such as, "I heard that hospital X had worker's compensation injuries when they used handhelds for data entry." Be sure to follow-up on these leads. I have found it easier to list all the questions on one page and then check off each question as it is answered.
