General Expectations of a Red Cross Club

Sit down with your advisor, read and then sign the Service Agreement form and return to the1.Red Cross youth services department before your rst meeting.

Schedule a Red Cross orientation for your club at one of your rst meetings.2. Email [email protected] to set up a time and date.

Have each new member sign the Code of Conduct and Club Membership Information forms.3.Return Code of Conduct forms to the Red Cross youth services department but keep ClubMembership forms for the club’s own use.

Email the Red Cross youth services department every month to inform us about4.upcoming events.

Submit Request for Fundraising Approval and Fundraising Activity/Event Budget Worksheet5.forms to [email protected] four weeks before any fundraising event.

MEMBERSHIPA. Membership shall consist of high school students (grades 9-12).B. Club members should possess responsibility and the qualities necessary for leadership.C. Club members should possess an interest in the ideals and principles of the

American Red Cross.D. At least one club member must be designated to attend the monthly youth executive board

meetings in order to keep the club informed of upcoming events and projects.

PresidentThe president presides at the meetings, maintains general responsibilities of all activities, andupholds primary responsibilities to maintain contact with the Red Cross youth services manager.

Vice PresidentThe vice president undertakes the role of the president and assists them in administrative dutieswhen necessary in addition to serving as the chairperson of designated committees.

Secretary

The secretary maintains records of all meetings, reports, plans, and decisions and reports them tothe Red Cross youth services manager. The secretary informs members of meetings as authorizedby the president and oversees the ow of information between club members, of cers and the RedCross youth services manager.

Treasurer The treasurer maintains general bookkeeping of all club funds and documents, dispenses anddeposits all monetary transactions that the club makes. The treasurer will keep track of all income,expenditures and budgeting requirements for all events and activities the club participates in.

HistorianThe historian develops a scrapbook documenting all club projects, activities and events that the clubparticipates in. The historian will be required to photograph and transcribe all major events includingfairs, volunteer activities, partnership collaboration and any other activity the club participates inthroughout the year.

Club MemberAs a club member, you will be expected to uphold the mission statement of theAmerican Red Cross.

STEP 6: Recruit Members for Your Club

How to Recruit Club Members

Facebook Facebook is a great way to recruit members. The Red Cross has already created a Facebook pagefor you to use. You can invite your Facebook friends to join the page and you can post informationabout club meetings. It is important to use Facebook frequently to keep in contact with the membersof your club. Our Facebook page’s of cial name is “American Red Cross Bay Area Youth Services”and can be accessed by typing the of cial name into Facebook’s search eld.

FlyersFlyers can be an important tool for recruiting members. The more visible your club is on campus,the more students will know about it. If your school allows it, try to post yers around the school

frequently. If your school doesn’t allow yers to be posted, research other locations and ways todistribute yers to other students. Posting yers on bulletin boards or passing them out duringclasses are great ways to reach students. Be clever! Does your school allow you to put a big banneron a wall or in the quad area? Get together with your members to paint one. Can you place yers inthe student union, cafeteria, resident hall bulletin boards, school newspaper, publications or in thebookstore? Find out!

Tips for an Effective Flyer (Refer to Appendix B: Marketing Materials)▪ Big font▪ Brief language▪ Include a graphic or two▪ Include contact information (phone number, Web site address or email address)▪ Put your rst meeting’s time and date.

A yer may be the only contact a student has with you and your club before the rst meeting, soit’s important to include the rst meeting’s time and date. Also, remember to use of cial Red Crossbrand standards. See the appendix for sample yers.

TablingSome schools allow clubs to set up tables to recruitmembers. If your school allows it, then try to set up atable. It’s a great way to meet other students and givethem information. Meet with club members to gure out

when people can work at the table.Try to set up the table in areas that students often walk by. Contact your local Red Cross of ce to see if theyhave a banner you can use or paint one yourself to hangin front of the table.

What items should you include on your table? Here are some suggestions:

▪ Mini yers that include contact information, meeting times and dates.▪ Email sign up sheet (refer to Appendix A).▪ Information about the Red Cross. (The Red Cross can supply you with professionally printed yers

or brochures).▪ Fun items you or your advisor can obtain from the Red Cross such as key

chains or whistles.

Other Recruitment Methods

▪ Put an ad in the school newspaper.▪ Announce it over your school’s PA system.▪ Make a short three minute presentation at the beginning of class.▪ Send an email to teachers asking them to announce the club.▪ During events such as a blood drive, set up an information table about your club.▪ Make or buy club t-shirts to wear around campus announcing you are a member of your

Red Cross club.▪

Attend meetings of other clubs with similar interests and see if members would be interested in joining or partnering with your club (such as Key Club or any other community service club).▪ If on a college campus, contact departments with students that may be interested in the

Red Cross mission (such as the nursing or social work departments).

Budgeting can be complicated. The main things you must think about when budgeting for an eventis yourEXPENSES & INCOME. Here are a couple of examples:

A) Internal to Red Cross (i.e. events)a. Expenditures (money spent)

i. Price for venue and price for setting up a booth ii. Expenditures for amenities such as tables, decoration, drinks and food iii. Expenditures for transportation for club members (if needed)

b. Income (money coming in) i. Ticket prices ii. Number of tickets iii. Multiply number of tickets by the ticket prices to get revenue

B) External to Red Cross (i.e. candy sales)a. Expenditures

i. Cost of purchasing boxes of candy from a wholesale company (Costco). One boxis a single unit.

ii. For each similar type of box of candy, multiply the amount of the units by the saleprice. Add the totals from each different type of candy purchased. iii. If you purchase 10 boxes of candy at a time at an average of $15 per box, your

expenses will be $150. (10 x $15.00).b. Income

i. Sell single units of candy at $.50 with bags each holding 30 pieces.ii. If you buy 10 boxes that hold 32 pieces of candy and sell each unit at $.50, your

Step-by-Step Fundraising IdeasHere are some great ideas on how to raise money for your club or to support local, national orinternational Red Cross efforts. Many of these ideas include using a table, banner and of cial RedCross materials such as pamphlets or information cards. All of these items can be obtained fromyour local Red Cross of ce in the Bay Area so don’t be afraid to ask! Fill out and include informationon Request for Fundraising Approval Form (refer to Appendix C). Please let us know the quantitydesired, when you need them by and who they are for.

After your fundraising event, you have a few options of where you can have your club’smoney deposited:

Your school may maintain an account for registered clubs. If so, then you can submit and deposit1.the money raised into the school account. (Some schools may not have this option, see #2.)Submit the money raised to the general Red Cross youth services account in your county.2.You may choose to combine both options, keep some money for your club at the school account3.and donate some to the Red Cross youth services program.

If you are a high school student attending any of fundraising events off campus, remember,youmust get a permission slip signed by your parent or guardian.

Ideas:When choosing a location to sell tickets, think of big gatherings. Your club could set up a table inthe quad and sell tickets before an event that is happening later in the evening, such as a sportsgame or performance. Members could also personally sell tickets to family members and friendsbefore the event.

Description:Sell baked goods to students or faculty to raise money.

On the day of the bake sale, hang a banner in front of the table announcing the bake sale and7.where the proceeds will go.Consider having information about the Red Cross and your club available on the table. Ideas: Baked goods that are Red Cross themed would be fun and eye catching. Perhaps members couldbake red-and-white cupcakes by adding red dye to the batter and using vanilla frosting. Baking red

velvet cake would work as well.In addition, consider setting up a table with baked goods in the faculty lounge at your school. If youcan get permission from the school, set up a table with baked goods before teachers arrive in themorning and leave a donation bucket on the table.

Candy, Snac or Healthy Treat Sales

Description:Sell candy to students to raise money for your club.

What Yo Need:Bulk candy, decorated boxes to carry candy around in, a small box or envelope to store money inuntil all the candy is sold and the Candy Fundraiser Tracking Form included in this guide.

What Yo Do:Contact the American Red Cross Bay Area Chapter and send a completed Request for1.Fundraising Approval form and Fund Raising Activity/Event Budget Worksheet [email protected] approval from your school to sell candy, snacks or treats.2.Have club members sign up to sell food.3.Buy bulk food from a warehouse store like Costco or Sam’s Club. Figure out beforehand how4.much food should be bought. If you buy too much, you will be stuck with it later and it will hurtyour pro ts.Have members decorate a box to sell food out of and make sure each has an envelope or small5.

lock box to put money in.Distribute food to members. Use the spreadsheet included in this guide to document who in6.your organization has taken food to sell and how many pieces.When everything has been sold, have the treasurer collect all the money or leftover food. Ideas:When decorating boxes to sell food out of, clearly state it is for sale on the box and where themoney will go. This will catch the eye of students who may not necessarily know the seller.

Consider taping wallet cards about the Red Cross to each candy bar. To obtain wallet cards, pleaseinclude the request in your Request for Fundraising Approval form.

Holiday Gift Wrap Services

Description:Set up a booth at a local store during the holidays towrap gifts and solicit donations.

What Yo Need:

A location, gift wrap, ribbon, tape, scissors, a bannerannouncing the gift wrap service, a collection jar,information about the Red Cross and club members whoknow how to gift wrap presents.

What Yo Do:Contact the American Red Cross Bay Area Chapter and send a completed Request for1.Fundraising Approval form and Fund Raising Activity/Event Budget Worksheet [email protected] local businesses to obtain permission to offer gift wrapping to shoppers who have2.made a purchase at their stores. Sometimes merchants require a contracts but most of the timethey do not. Instructions for obtaining a Certi cate of Insurance is located in the appendix.Ask if the business can supply you with a table and chairs.3.Some businesses also provide the gift wrap materials for non-pro ts to use. If your business4.doesn’t provide materials, consider asking other local merchants to donate supplies. You can callother businesses or send them a letter to solicit donations. Remember to send a thank you cardfor whatever you receive (example donation letter and thank you note in appendix).Have club members sign up for speci c hours during the day(s) set by the business to gift5.wrap items. Make sure there are enough people at all times to work at the table. If high schoolstudents are gift wrapping items, make sure there is an adult chaperone around to supervise atall times and that each member has lled out and turned in a parental consent form.On the day of the event, place a sign on the table being used to announce the gift wrapping6.service, letting shoppers know the services are being offered by an American Red Cross youth

club and suggesting they can make a donation to the Red Cross for the club’s services.Place a decorated tip jar on the table for customer donations.7.Complete a Fundraising Event Re ection Worksheet and return it to the youth services8.department at [email protected].

Ideas: Consider having of cial Red Cross pamphlets and materials on the table for customers to take.Please make note of your need for materials on the Request for Fundraising Approval form when yousubmit it.

Be polite and respectful of donors because you are representing the Red Cross. You are wrappingfor donations only. Remember, you are not charging to gift wrap items and it’s up to the donor whatthey decide to contribute.

Accept only check and cash donations. Checks should be made out to “American Red Cross.”

Do not have food or drinks other than water on the gift wrap table. Take turns taking breaks toget food.

No kidding around, swearing, any crude language or gossiping in front of donors or any otherinappropriate behavior.

Be sure to ask for a manager when you call or visit arestaurant. If you nd a restaurant that will sponsor your event, set up a night and timeframe withthe restaurant to invite people to come and eat.Design a yer to give to club members, friends and other students. Include the date and location3.of the fundraiser on the yer (and be sure to specify that the person has to give the yer to theirrestaurant server for their purchase to go toward your club.) Ideas:Restaurant chains often host these types of fundraisers. Try to promote your event to as manystudents and parents as possible when advertising your event. If it is permitted, consider passingout yers to patrons outside the restaurant on the night of your fundraiser.

Some restaurants let fundraisers have a section of the restaurant to themselves. If your restaurantallows this, consider asking if you can decorate your section with red balloons and place informationcards about the Red Cross on tables.

It’s that time again! We are pleased to inform you that our annual American Red Cross YouthServices Gift Wrap fundraiser will be held this year for 14 days during late November and Decemberat Serramonte Mall in Daly City. This annual fundraiser raises needed funds to support our RedCross youth leadership programs. Funds raised provide scholarships for high school studentsparticipating in our annual Leadership Development Center, Red Cross National Convention andLeadership Conferences, and in support of youth leadership programs and community serviceprojects. The scholarships support student attendance from low income families. These scholarshipsare vital to our program’s success, ensuring that we can continue to provide leadership opportunitiesto all students in the Bay Area.

The Leadership Development Center is held at Mills College in Oakland annually in July. Thisovernight camp is designed to build strong leaders and positive relationships among Bay Area youth(entering grades 9-11). Students gain experience and training in team-building, leadership roles,CPR and rst aid, disaster and emergency preparedness, HIV/AIDS awareness and InternationalHumanitarian Law. Workshops include diversity issues, public speaking, trust activities, communitycircles, fun and challenging group games, and much more.

We are asking Costco biz/person to donate gift wrap supplies, especially gift wrap, for ourfundraiser, so that money to purchase these supplies is not subtracted from our funds raised. Yourdonation will help our youth to reach their goals and have more opportunities to be ready to serve inour communities. Our programs are marketed on our Web page as well as through direct mailings toschools. We would be grateful for your support. Donations can be sent to the address below or wecan pick them up! Instructions for Obtaining a Certi cate of Insurance

If your club would like to hold an event, the venue that you choose to use may require a Certi cate ofInsurance from the American Red Cross. It is important that you ask the contact at the venue if theyrequire a Certi cate of Insurance well in advance, because you will need time to submit all of theproper paperwork.

Obtaining a Certi cate of Insurance may vary between institutions. The following are some generalguidelines. The process may take a few weeks so begin early!

Contact the owner of the venue and ask if they need a Certi cate of Insurance from the1.American Red Cross.

If they require a Certi cate, ask them for a letter/contract that outlines exactly what they want2.covered by insurance, event details and the date of the event. This letter/contract may have tobe issued by the venue’s insurance company.

After you obtain a letter/contract from the venue, submit it to the youth services department [email protected]. The department will process it with our insurance company andsecure a certi cate of Insurance.

The youth services department will return the Certi cate of Insurance to you and contact4.at the venue.
