Senatus minutes
Previous minutes dated 24.02.2020 was approved with the following
corrections.
Inclusion of the suggestion proposed by the department of Physics
regarding the revised fee structure.
The lab fee of B.Sc Physics (Aided) is higher compared to B.Sc Physics
(SF) rather than the lab fee being the same for both the streams.
Matters arising from
the previous minutes
Only 2086 students have completed the online voting to improve the
status of “Madurai as Smart city”.
Senatus secretary to remind the Finance Manager and Financial Advisor
regarding the inclusion of commonly collected fees such as alumnae fees,
library fees, caution deposit etc for PG diploma courses in the revised fee
structure.
Heads/Co-ordinators to ensure that all the students complete the
online voting process by 28th
February, 2020.
Revision in the fee structure of PG diploma/Diploma courses
will be completed by 31st March,2020.
COE, Deans of Academic Affairs and Financial advisor to collectively
work out the fees to be charged for International students and for
applying transcripts
The recommendations on the fees to be charged for
International students and for applying transcripts will be
provided to the administration team by 3rd
March, 2020.
CPEC matters
PG Curriculum
The following recommendations from CPEC was presented in the
Senatus meeting for its suggestions and approval
The required credits for all PG courses as per TANSCHE norms are
90. Thus, departments to ensure the modification of the existing credits
for PG courses.
Modifications proposed to reduce the number of credits in the PG
curriculum
Number of hours is not equal to number of credits
Research Methodology course to be included in Semester III (4 hrs.
and 4 credits). It can also be offered as a Lab cum theory course
Project hours to be fixed as 5 in semester IV
Credits for self-learning course to be reduced from 4 to 2
One library hour to be included in one of the major courses in semester
I and additional work / assignments to be given for the library hour and
to be recorded. It should be mentioned in the syllabus
Value Education is considered as an Audited course with 0 credit. If a
student performs well extra 1 credit to be given
The following modifications were approved
Based on TANSCHE norms the required credits for PG is
90.This will be implemented from 2020 batch onwards.
Norms for PG Curriculum – 2020 batch onwards
Required number of credits to earn a PG degree is 90
Number of credits should be less than or equal to number of
contact hours of the course
Project hours to be fixed as 5 in semester IV
Credits for Self-learning course to be reduced from 4 to 2
One library hour to be included in one of the major courses
in semester I and additional work / assignments to be given
for the library hour and to be recorded. It should be
mentioned in the syllabus. (To include the revised course
content of any one of the semester I course in the
forthcoming Board of Studies and Academic Council
Meeting – Even semester 2019-2020)
The following suggestions with respect to the audited
Course was presented
Already existing pattern can be followed and the students is required to
complete all evaluation components. If any one assessment component
is not completed then it can be considered as formative incomplete
Re-do candidates due to lack of required percentage of attendance can
complete the Value Education (audited course) course along with other
courses

Norms for audited course – Value Education & IVBC
Value Education & IVBC are considered as Audited
courses with „0‟ credit.
No credit, no evaluation for the audited course.
For IVBC courses there is no evaluation component except
for the CEC examination
If the student has the required percentage of attendance (as
per college norms) then the course will appear in the
marksheet as an audited course
Readmitted candidates due to lack of required percentage of
attendance according to college norms,to complete the
Value Education (audited course) course along with the
other courses
To include completion of audited course important criteria
for a student to be recommended for endowed prizes and
honours.
Research Methodology course can be included in Semester II /
III (4 hrs. and 3 credits). It can also be offered as a Lab cum
Theory course.

02.12.2019 and to be passed in BoS meeting on 19.03.2020

the framing of POs for UG and PG by 7th
March,2020.
Environmental Elective course
As per the UGC letter dated 22.05.2019 the Environmental Elective
course is to be offered with the common syllabus to all Undergraduate
students and six months core module syllabus is also uploaded in the
UGC website. Based on which a common syllabus was framed by the
CES to be offered in semester II (2020 batch onwards).The syllabus
was presented for its approval in Senatus
It was also proposed that departments offering Environmental
Elective course are Physics, Chemistry, Botany, Zoology,
Biotechnology, Economics, History & Social Sciences to include the
common unit framed by CES as Unit I to the Environmental Elective
course and other 3 Units if needed can be redesigned accordingly
A common format to collect course feedback from teachers was
framed.It was proposed that It will be made available online for the
course teachers
It was proposed that based on the teachers and students
feedback about curriculum, departments to take necessary
action by discussing it in the respective department meetings
and the same to be recorded in department minutes.
The Schedule for Board of studies / Academic Council Meeting
for the Even semester 2019-20 has been fixed as following

Course registration The period of registration of NME/Vocational/VBC/IDM
courses starts from 9th
March to till 25th
March, 2020 instead of
3rd
March. Registration beyond this period will not be
entertained.
It was also insisted that the information regarding the course
fee along with the courses to be displayed on the notice boards
and in the college website well ahead of the period of the
course registration. This will enable the students to paythe
course fees (If required) during the time of registration.
Examination related
matters
Suggestions were sought regarding the following examination related
matters
With respect to supplementary examinations can the students for
whom chances are over & not over be treated differently.
• The existing rule for chances over students is the consideration of either
the aggregate (Formative + Summative) marks or Summative Marks
whichever is higher for publication of results, whereas chances not
over students treated as regular students.
It was resolved that for students taking up supplementary theory
examinations after the regular period of study ,only marks
obtained in the summative examination will be considered for the
publication of results.
Can a provision for formative improvement for lab courses after
regular period of study be given?
Science departments felt that it is arduous to conduct formative
improvement for lab courses whereas department of computer science
suggested that provision can be given to students to do formative
improvement.
With respect to formative test improvement for final year students can
the improvement test be given even if the student is AB for formative
The decision regarding formative improvement for lab courses can
be left to the discretion of the departments. If the department
decides to provide formative improvement for lab courses after
regular period of study/during the regular period of study in
semester V and VI(UG) semester III and IV (PG) then it should
be included in the proforma pertaining to the same which will be
sent to the departments by the examination office. It was also
insisted that the departments should document the lab courses for
which formative improvement can be given.
It was suggested that if a student is absent for a formative
assessment, after the retest period the marks to be automatically
converted to 0 (to be done in automation)except for long absentees
Students who take up the summative lab exams by providing an
undertaking in case of lack of attendance, if she doesn‟t fulfill the
required attendance in that semester can she be asked to redo the
course.
• It was decided that the student has to redo the course after
regular period of study.
• Project viva/Internship/Training to be completed by a student
in that semester can be permitted even if the attendance is
below the required.
Currently the rule for those students who indulge in malpractice is to
mark zero in the summative exam and not permitting them to appear
for the next (the following) attempt
Can a required passing minimum of 30% be fixed for each
component of lab cum theory courses?
Can fees be collected from students for taking up Annual
e assessment(UG) and Comprehensive e assessment (PG) ?
• It was decided unanimously that the student who indulges in
malpractice is to be marked zero in the summative exam and
permit them to appear for the next eligible attempt. This will be
implemented from 2019-2020 academic year (even semester)
onwards.
• Required passing minimum can be fixed as 30 % for any
summative examination .It was suggested to have passing
minimum for the formative test, It was resolved that the
suggestion to be discussed in the forthcoming CPEC meeting.
• The difference in the pass percentage of marks during
revaluation is > 10%, third or even fourth evaluation may be
done.In such cases closer two valuation where the difference is
<10% is to be considered.
To encourage more students to take up Annual e assessment
(UG) and Comprehensive e assessment (PG) it was decided not
to collect fees.
It was requested that the COE should ensure that the nominal
amount of expenditure for automation to be included in their
budget and be transferred and be transferred from examination
account to CIT account.
Exam remuneration The DA in the exam remuneration of the semester appointees
will be calculated based on the number of days wherein the
faculty were involved in evaluation of answer scripts as it
mandates that maximum number of paper to be evaluated per
day is 36 according to MKU regulations.
If the number of papers to be corrected is < 36,the number of
days to allot DA should be counted as 1
Summative
examination schedule
Suggestions were sought regarding the following changes in the
Summative examination schedule
To conduct regular and supplementary exams separately
In above case can the supplementary exams be conducted as two
exams per day
So that regular exams get over earlier & supplementary students will have
time to prepare
Can the summative exam duration be reduced to two hours and can it be
conducted in three slots – 9-11; 12-2.00 and 3-5 pm and for supplementary
Exams in only two slots - 9-11 and 3-5 pm?
It was approved to conduct regular and supplementary exams
separately. The question papers (3 sets) to be set by the external
examiner for both regular and supplementary exams .It will be
implemented from next academic year 2020-2021onwards.
The suggested changes in the duration of Summative
examination of both regular and supplementary were approved.
Formative test
duration
It was proposed to conduct one formative test per day for both UG and
PG students and the duration of the formative test to be fixed as
One hour (30 marks) for UG and one and half hours (45 marks) for PG
and it was also suggested to conduct the regular classes after each
formative tests
The suggestion was considered and it was also advocated to use
the shaded roof tops of the residential halls for conducting
formative tests to circumvent the space constraints.
July supplementary
examination
Instead of July Supplementary can the outgoing/ passed out students be
allowed to appear for any 6 papers for UG (Sem I –VI)& 4 Papers for
PG (Sem I –IV)
The suggestion was approved. It will be implemented from this
academic year 2019-2020 (even semester) onwards.
Retest Question
papers
It was stressed that all the departments should adhere to the college
norms with respect to retest (Portion for retest to be inclusive of
portions of two formative tests)
It was emphasized that Heads/Co-ordinators ensure that the
retest question papers are sent to the examination office
irrespective of the number of students writing the retest
Admission PG prospectus will be uploaded in the website by 28th
February 2020.
It was reiterated that it is impossible to run PG diploma /diploma
courses if viable number of students are not admitted in these
programmes.
Fees refund policy will be available in the college website
It was requested that the faculty members involved in admission
process to carry out document verification with utmost care to avoid
discrepancies during the time of admission.
Heads/Co-ordinators to make sure that the faculty involved in
admission explains clearly the fee refund policy to the students
during the time of admission
Students can start applying online for PG/PG diploma
programmes by 3rd
March, 2020.
Admission for PG/PG diploma programmes will start by
1st April,2020.
The application fee for Hostel application is Rs 200/- and Rs
100/- Diploma courses.
College day College day and union valedictory will be held on 28th
March,
2020 at 9.00 am. Student should give their attendance at
8.30 am in their respective departments.
College bus Money transactions related to college trips (such as driver bata) with
the college bus driver strictly should not be entertained
Any money transaction pertaining to the college bus should be
done only in the Vice –Principal office.
Attendance
Heads/Co-ordinators to stringently instruct their faculty colleagues to
mark the attendance for their respective classes on the same day
without fail.
Repair work inside
the College campus
Any crucial repair work to be undertaken during summer
holidays can be requested by sending an email to the Principal
by 5th
March,2020.
Principal report Principal solicited the co-operation of the Heads/Co-ordinators to
update the activities and achievements pertaining to their respective
department in the automation portal as soon as the programme is
completed. This will enable smooth retrieval of information and data
for the compilation of Principal report.
New Hostel Building
Plan
The architecture of the new hostels that can accommodate 1000
students will be shared with hostel warden and resident office bearers
tonight(27.02.2020) at 8.00 pm. Principal invited interested faculty
members to join the meeting and provide critical opinion on the same
