Quick Guide to PeopleSoft Registration

Term Activation • For a student to register for a career for a term, they must be

term activated for that career for that term. To be term activated for a career for a term, they must be active in a program plan stack as of the term begin date.

• To manually term activate:

Select your student. Notice that this student is only listed one time in the search, but can be active in multiple careers.

The student has not been term activated; notice the Term value is blank:

Type in the registration term, in this example 2119, and tab out – all fields will populate. Check to make sure the Eligible to Enroll checkbox is checked. Save.

If your student is not active in their program plan, the following error pops up.

Review the program plan stack and note the following:

If a student is discontinued and was not in attendance during the last two regular semesters, refer the student to the Office of Admissions. Check student’s attendance in Student Grades.

If a student is discontinued but was in attendance during the last two regular semesters (student may have withdrawn), Registrar will readmit the student by adding a new row in program plan stack, effective date equal to the term start date, and RADM – readmit as program action. If a student graduated, refer the student to the Office of Admissions. In any other cases, check with a supervisor. Once a student is term activated, they are ready for enrollment.

Quick Enroll • Navigate to:

Click Add a New Value. Enter student ID, career, institution, and term and click Add:

Enrollment actions: Enroll – Enroll in class section.

Add Grd – Add grade to an already enrolled section (this option is available to authorized users). Change GRD – Change an existing grade (this option is available to authorized users). Chg WL Pos – Change wait list position (ignore this option). Drop – Drop an existing class. Drop to WL – Drop to Wait List (ignore this option). Norm Maint – Normal Maintenance – use when editing number of hours a student is enrolled in or changing an enrollment action reason (this option is available to authorized users). Remove Grd – Use when we need to remove a grade (this option is available to authorized users). Swap – Drop one class and add another but don’t drop unless you can add successfully. Class Nbr – The lookup to the right will search classes when action is Enroll or Swap, it is the student’s schedule if any other action. Related classes 1 and 2 are the non-graded components associated with the class sections, for example a lab or studio associated with a lecture.

Click on Units and Grade tab.

If you want to add the class with a grade (on those occasions when doing retro enrollment), it can be added here. If forcing a specific repeat code, it can be done here as well. This option is available to authorized users.

Click on Other Class Info tab

If this class requires permission and we are not using student specific permission setup for this section, we could enter the permission number here. Drop if Enroll has values when dropping component classes, ignore this option. Ind Study Instructor – not used. Ignore this option. Action Reason describes a specific reason for enrollment, usually needed for Bursar action. Create Transcript Note – not used, ignore this option.

Click on General Overrides tab

Override the need for an Appointment when registering during priority enrollment. Unit Load overrides the minimum or maximum hours for a term. Time Conflict overrides a class time conflict. Action Date Override will then enable the action date to be entered. We would do that when trying to back date a drop or add for a student. Requirement Designation – not used, ignore this option. Career override is used when overriding career pointer settings. Career override is when, for example, an undergraduate student takes a graduate class for undergraduate credit, or a graduate student take an undergraduate class for graduate credit. DO NOT CONFUSE with “out of career” which is when, for example, an undergraduate student takes a graduate class for GRADUATE credit.

To register a student for a class out of career, you must check whether a student has a program plan stack of the appropriate career. For example, ND.DF.GRAD.

If yes, term activate the student in that career. If not, contact Registrar to create a new program plan stack of a different career. Then term activate the student in the new career. Return to Quick Enroll, select the appropriate career, and enroll the student for a class out of career. Service Indicator will override all service indicators that you have access to override. Requisites will override all requisite rules.

Click Class Overrides tab

Closed Class will allow override of a full section. Class Links will override a component setting. Class Units allows the Units and Grade tab’s Unit field to be editable and the units for the class for this student can be changed. Grading Basis allows the Units and Grade tab’s Grading Basis to be editable and changed (GRD to AUD). Dynamic Dates Override – ignore this option. Wait List Okay – ignore this option. To process enrollment press SUBMIT. The Save and Add buttons on the bottom of the Quick Enroll screen are for the request itself; they do not process enrollment. The Study List link on the bottom of the screen is a great tool to look up classes a student is enrolled in this term.

Enroll a Student with Negative Service Indicators • Negative service indicators (NSI) are denoted with a red sign on top of the page.

Click on the red sign and you will see this page:

The Office of the Registrar will apply advising holds to students registering online. Students may have several registration holds, one per semester. Academic advisors will release the indicators using the Advisor Self Service. However, students may also come to the window to register. Please review the registration form signed by an advisor and release the applicable hold. You may not release or override any other service indicator unless the office who issued the hold approves the release.

To release a registration hold, click the REG link. Then click the Release button on the next page.

Click OK on this page:

Now a student can register for a term.
