1.1 INEIGHT CLOUD PLATFORM OVERVIEW

1.1.1 Project Management and Lifecycle

Most projects that you are working on will follow a typical lifecycle. It is broken down into differentroles and the people involved. We will break those roles and people down into four locations:

l Front office

l Field office

l Jobsite

l Back office

1.1.1.1 Front Office

What are the essential functions of the front office? Whatroles are involved?

The front office focuses on getting work and typicallyhouses estimators who, during the bidding phase of theproject, start out by estimating its value. This is done bycalculating cost estimates, analyzing quotes, andcapturing all the data necessary to submit a bid to theclient.

Once complete, they prepare the bid proposal, submit itto the client, and find out if they are the preferredcontractor to do the work. If they have the winning bid, they can start the planning phase and preparing to buildthe project.

1.1.1.2 Field Office

What work roles are typically found in the field office? What are their primary tasks?

Budgeting and Forecasting

During the execution phase of a project, the field officemanages the budget and forecasting for the project. The

Field office relays this information to the other fieldpersonnel, so they understand what the budgets for thework are, how they should build the job, who the suppliersof materials are, and if there are any subcontractors, etc.

Contract Procurement

Project engineers and managers procure contracts formaterials and with subcontractors.

Work Planning and Quantity Tracking

The field office is where the field engineers andsuperintendents responsible for the work prepare workplans for the foremen and their crews, breaking down thework into manageable pieces. They then create quantity-tracking plans, formulate inspections and create dailyplans to send to the foremen on the jobsite.

Change Management

As issues arise, project engineers record and submit issues, get them approved through the client, andexecute change orders.

Inspections Management

Inspections, as well as actual time and quantities from the jobsite, come back to the field office wherethey are review and approval before going to the back office.

1.1.1.3 Jobsite

What types of employees work at the jobsite? What type of information do they capture as they buildthe work? Where does that information need to go and why?

The jobsite is where you find the quality controller, safety manager and foreman. It is where the workis completed. The safety managers, superintendents and foremen are involved in safety inspections,

Page 12 of 126 InEight Inc.  |  Release 20.2

while the quality controller and field engineers perform inspections before and after the work iscomplete. The foreman also captures the time of each of the craft workers and the quantity completedeach day, based on the plan provided from the superintendent and field engineer.

All this information is relayed back to the field office where it can be verified and approved.

1.1.1.4 Back Office

What functions take place in the back office, related to the project? Why is the back office a criticalelement of managing the project?

The back office is where the account managers and administration staff keep track of budgets, makesure the payroll is correct and completed in a timely manner, keep track of all the accounts payableand receivable, and take care of revenue. After a contract is created, the business manager verifiespurchase orders are generated. All the “actual” data, whether it be time or dollars then iscommunicated back to all the other areas of the job.

1.1.1.5 Problems with Existing Systems

Often issues arise when it comes to communication between all the different areas of a project.Information must flow quickly and accurately between the different areas, but often it is lost,

miscommunicated, or slowly received. In some cases, information must be re-entered in a new systemand is duplicated. This can cause all sorts of issues when it comes to managing a project.

Employing too many systems to transmit information on a project can result in duplication, which is notefficient. Here are a few examples of such inefficiencies:

l Inspections that are completed on paper must be manually input or scanned into a computersystem.

l Hand-written time cards that are misplaced or get wet must to be reproduced and then enteredinto a computer system so that the crew can be paid.

l Quantities established in the daily plan do not coincide with the quantity claiming system.

What issues can you think of that you have experienced on your projects?

1.1.2 What is InEight Cloud Platform?

The InEight cloud platform was designed and is continually updated to address these issues. The cloudplatform of software applications designed to help companies visualize, estimate, manage, control, and connect all aspects of capital and maintenance projects. The cloud platform is built so all the

different applications can communicate with each other. It is also designed to communicate withmultiple different ERP systems such as SAP or Oracle to share key information with the back office.

1.1.3 How Does InEight cloud platform Integrate in to a Project?

Scenario: Step 1

Skyline Construction Company decides to bid on a project to build a concrete foundation.

Upon submittal, the client informs them that they are the preferred contractor for the work. Theynow need to take the project from the estimate to the project execution phase.

Using the InEight Estimate application, theestimating team in the front office builds thecost estimate and submits the bid proposal, including awarded quotes and all biddocuments.

Once awarded the contract, the projectteam then transfers all the information fromthe estimate to InEight Control where theproject can be managed. This includes thecost item estimates, awarded quotes, bidand proposal documents, and the estimatebudget structure. During this transition, theproject management team can modify the estimate easily to conform to how the project will be builtand tracked.

Scenario: Step 2

The field engineers and superintendents in the field office are ready to begin planning the work. They break the work plans down into work packages that contain the specific quantities, materials, labor, equipment, and budgets associated with each portion of work.

The project manager and engineers procure contracts for material and subcontracted work.

Then, inspections are created for quality of the work to ensure it meets the specifications as wellas safety.

The field engineers in the field office can now go intoInEight Plan to break down the work into work areas, work plans within those areas, and then work packageswhere the work is broken down into components. There, all the components are assigned a WBS code fromInEight Control as well as other important informationand claiming schemes.

Project Engineers use InEight Contract to create bidpackages and submit them to vendors and subs and solicitcontracts.

Engineers also utilize InEight Compliance to create theforms necessary for both the quality and safety

inspections. They can then send these to InEight Compliance Mobile for the responsible person tocomplete them in the field.

Scenario: Step 3

Joe, the concrete superintendent, now has all the work planned for a concrete foundation and isready to communicate all the details to his foreman Jill, so construction can begin tomorrow.

The superintendent can go into InEight Plan and create adaily plan for his crew to erect the formwork needed forthe foundation. He brings in all the quantities, budgetsand claiming schemes from the work package his fieldengineer created and breaks it down into what Jill’s crewneeds to complete tomorrow. He adds production goalsfor the day and safety notes related to the formworkinstallation. He communicates this to his foreman bysyncing it to her, where the foreman can open theInEight Progress app on her iPad.

Scenario: Step 4

In the morning, Jill reviews the plan for the day and determines if any changes are necessary dueto one of the crewmembers calling in sick.

John, the quality controller on the project reviews the quality inspections that he needs toperform that day and creates a plan with Jill to schedule the proper times.

The foreman reviews the plan in the InEight Progress app on her iPad and adjusts as necessary to theplan (e.g., sick crewmember, unforeseen issues).

The quality controller speaks with the foreman and determines when they can complete the inspectionfor the day. The quality controller uses the InEight Compliance app on his iPad to perform theinspection.

Scenario: Step 5

Throughout the day, Jill has kept track of the quantities completed on the formwork but had toadjust the plan to send her crew to build a quick access ramp for an earthworks crew. This wasnot in the plan and she needs to account for it before signing out the crew.

In the InEight Progress app, the foreman can keep a log of notes on the day’s progress and anyunforeseen construction needs that come up. She can quickly add extra tasks to accommodateadjustments to the plan, review each crewmembers’ hours, and sign them out at the end of the shift. She enters in the quantities completed and can see her crew’s productivity for the day. She will be ableto communicate this to the crew in the morning.

Once complete, she approves the daily plan and synchronizes it, so it can be reviewed by thesuperintendent in the field office.

Scenario: Step 6

Joe and his field engineer have received the quantities, hours, and inspections completed duringthe day and now want to review and approve them.

Upon review, they discover there was an issue with the foundation specifications that may resultin a change order. They log this issue to communicate with the client.

The superintendent can open InEight Plan and review thehours for each crewmember, any new tasks created, andthe quantities completed for each of the tasks. He is alsoable to review the daily costs and see how the crewperformed in both man-hours and cost. He can approvethe plan and can make any necessary changes to the plantomorrow based on the productivity information hereceived.

The field engineer is can also verify the inspections werecompleted in the InEight Compliance application.

One of the project engineers records the concretefoundation issue in InEight Contract and will track it,converting it into a change order if necessary.

Scenario: Step 7

The account manager in the back office will now verify all the time for each crewmember andensure they are paid correctly according to the union guidelines.

This information is then communicated to the front office, so the project manager can analyzethe job costs and update forecasting.

Within the ERP system, the account manager and administrators review all the time that has come in,adjust where necessary, and submit the payroll to ensure everyone is paid accurately and on time. They then synchronize this information into the ERP system, where it can be sent to InEight Control soproject management in the front office can review the information.

Scenario: Step 8

At the end of the month, the project management in the front office views all the actual quantityand cost information, compares it to the budget, and projects the final cost of each operation. Forecasts are then finalized for the project.

In InEight Control, project engineers and managers canview all the actual quantities and costs from the jobsiteand analyze the information to determine if they aregoing to meet their budgets. If, after review, they seethat a few operations are spending more time and moneydue to weather delays, they can decide to update theforecasts for those operations accordingly.

They also look at the total quantities for the month todetermine how much of the scope can be billed to theclient.

1.1.4 Summary

No matter what location you are in or what role you have, the information created for your project iscommunicated to all the InEight cloud platform applications and shared through the Cloud Platform. The InEight Cloud Platform is also able connect and communicate to your ERP system and other 3rd

party applications to utilize the same information, eliminating the need to re-enter data. All thisinformation can then be archived for future reference, and selected information can easily be turnedover to the client.

1.2 INEIGHT PROGRESS OVERVIEW

InEight Progress is one of the applications within the InEight portfolio of products, and is an integratedelectronic time, equipment, and quantity data capture tool.

1.2.1 InEight Progress phases

There are three specific phases in the application: Planning, Execution, and Approval.

Page 22 of 126 InEight Inc.  |  Release 20.2

A daily plan is created by a project member to specify the tasks to be completed and to help ensureproductivity targets are met. These details are entered in the Daily Planning Phase and providestreamlined communication from the office to the field.  Once all the details are entered and the dailyplan is complete, the daily plan is submitted to the Daily Execution Phase.

In the Daily Execution Phase, a project member takes the daily plan out in the field and references itthroughout the day. As work is completed, the project member enters actual hours worked foremployees and equipment. He or she also enters installed quantities, notes/issues and/or pictures todocument issues and reviews the overall productivity.  By claiming installed quantities and enteringactual hours worked as they happen, the project member can view productivity in real-time.  Once allemployees have reviewed their hours worked and signed out of the application, the daily plan issubmitted for approval.

In the Daily Approval Phase, a project member reviews the actual tasks, employees, equipment, hours, quantities and productivity for the plan. In this phase, the hours and/or quantities can be approved asis, or if the approver would like something changed, the plan can be edited or sent back to theExecution Phase.

1.2.2 Daily Plan Work Flow

For all phases of the Daily Planning Process, InEight Progress Mobile communicates directly with theInEight Progress Web application, as shown in the diagram below:

A daily plan can be accessed in either program in any of the phases of daily planning. The programused for a phase may vary from project to project and depends largely on the roles of the projectmembers involved. For example, it may be preferable to have a staff member such as asuperintendent or engineer complete daily planning in the InEight Progress web application becausethey prefer to work from a computer in an office location. The Execution Phase of that same daily planmay be completed by a foreman who spends his or her entire workday out on the jobsite withoutaccess to a computer. In this case the Execution Phase is completed in the InEight Progress mobileapplication. Finally, the superintendent or engineer may also be responsible for approval of the dailyplan which would again be completed in the InEight Progress Web application from the officecomputer.

Mobile Daily Planning has all the same functionality as Web Daily Planning for InEightProgress, but is available as a mobile-only application.

1.2.3 InEight Control Integration

WBS (work breakdown structure) elements are used to link the quantity, hours and cost captured inInEight Progress with the cost elements in InEight Control. InEight Control communicates the WBSStructure (including budgeted quantities, hours and cost) with InEight Plan. InEight Plan then assignsWBS elements to components.

InEight Progress uses the component quantities along with actual hours to determine productivity.

l Reject – Sends the daily plan back to Execution Phase to allow the Executor to revise the planand resubmit

All tabs from the Execution Phase can be viewed in the Approval Phase.

1.2.7 Work Flow Beyond InEight Progress

When quantities are approved in Progress, they can be brought into the InEight Control application(initiated within InEight Control).

1.2.7.1 Hours

When hours are approved, the hours are sent to your payroll system. Once ERP payroll has processedthe hours, as-built hours and costs can then be pulled into InEight Control from ERP payroll (againinitiated in InEight Control).

1.2.7.2 Quantities and Costs

Bringing actual installed quantities and as-built costs into InEight Control allows you to monitor andcompare actual costs and productivity against budgets for all cost accounts. It also helps provideaccurate information to accurately forecast costs.

The following diagram illustrates the workflow of InEight Progress in relation to other products withinthe InEight portfolio and the ERP system. You will reference this diagram throughout the course.

2.2 DAILY PLAN FROMWORK PACKAGE (DAILY PLANWIZARD)

Scenario

Tomorrow, your crew will be starting the steel erection work on your module. You are now readyto plan the work for your crew. During this first day, you want your crew to install the A7connections to foundations. Your crew will consist of a Grove-RT880E crane, 3 Ironworkers and 1Laborer. You want to make sure to communicate the work to your crew and identify safetyconcerns for the day.

In this topic, you will create a daily plan from an already existing work package using the Daily PlanWizard in the InEight Progress web application.

2.2.1 What is a Daily Plan?

Once you put your work package together, you break it down into daily segments, or the work you planto accomplish in a given day.

Using the scenario above as an example, your steel erection work package for your module will takemultiple days to complete. You will use daily planning to plan the work in the sequence you are lookingto do it in the ensuing days. Daily planning is a good tool to communicate to your crew your safetyconcerns, quality and environmental risks, and expected productivity.

In the Progress web application, daily planning combines:

l Components

l Resources (employees, and equipment)

l Planned hours

Scenario

You have just finished creating a new daily plan using the Daily Plan Wizard. However, somespecific information was not available on the work package. You will now add this information toinform your crew.

Once you finish creating your daily plan, the next step is to “plan the plan.” In other words, eventhough you already created the daily plan via the Daily Plan Wizard and pulled in the components andresources for the day’s work, you are still missing some important information for planning your work. For example, you still need to enter into the plan the planned quantities and hours you are planning tocomplete and utilize for the day.

This “planning the plan” phase is crucial to making sure the work executes efficiently and on budget. To complete this phase, you'll move from InEight Plan to InEight Progress.

2.4 DAILY PLAN FROM COPY

In this topic, you will create a daily work plan as a copy of an already existing daily plan.

2.4.1 Copy a Daily Plan

In some cases, it may happen that you will need to essentially create the exact same daily plan for anentire week with only a few small changes from day to day. Instead of going through the entire processof creating a daily plan from a work package multiple times, the best process would be to:

1. Create one daily plan using the Daily Plan Wizard.

2. Create a copy of that first daily plan.

3. Make changes as necessary.

The process to create a copy of an already existing daily plan is like that of using the Daily Plan Wizard. You will need to fill out a window similar to the wizard; however, this window will give the option tocopy over all the information you entered in the Planning Phase.

Title Description

1 Plan Date The date that the plan will be executed.

2 Plan Name Unique name for the daily plan; should be auto populated with copy –[name of plan you just copied].

2.5.1 Daily Plan from Scratch

In some situations, similar to the scenario above, it may be necessary to create a daily plan when youhave no other work package or daily plan to use as a building block for your plan.  In this case, you willneed to create a daily plan from scratch.  The biggest difference between creating a daily plan fromscratch and the other two methods covered earlier is that you must add all resources, tasks, andcomponents to the plan manually.

When creating a daily plan from scratch, you will use the Add daily plan window. This window is verysimilar to the Daily Plan Wizard covered earlier in the lesson, except there is only one tab for enteringsetup information.

2.5.1.1 Approver and Executor Roles

Depending on the project settings set up for your project, your daily plans will require an Approverand/or an Executor. You select Approvers and Executors from a drop-down list of the employeesassigned to your project.

Page 72 of 126 InEight Inc.  |  Release 20.2

When deciding on Approver and Executor roles for daily plans, it is important to note thatif you use both an Approver and Executor for your daily plans, only the Approvers canhave permissions to approve daily plans. Executors must NOT have permissions toapprove daily plans.

For example, your project administrator may plan to only allow employees with theSuperintendent role to act as Approvers on daily plans. Under the permissions for theSuperintendent role, your administrator would ensure that the Approve daily planpermissions are enabled.

If you planned to allow employees assigned to the Foreman role to act as Executors fordaily plans, your project administrator would need to edit the Foreman role to make surethe Approve daily plan permissions are UNCHECKED.

In this topic, you will review a daily plan in the Execution Phase in detail and make changes to the planas needed.

To follow the scenarios or Step by Steps in this phase, you must submit your daily plan.

3.2.1 Why Review Daily Plans?

Reviewing daily plans is an essential step in the process of planning and executing work. The review ofa daily plan is the last chance for you to make any changes before the work begins.

In some cases, you may make daily plans several days ahead of time. In these situations, it is possiblethat not all the relevant information is yet available.

For example:

l The components that quantities will be claimed against may not yet be created

l The crew that will be utilized to do the work has not yet been identified

For example, going back the scenario at the beginning of the lesson, while reviewing the plan you maynotice that one of your employees is not included in the daily plan.

These and many other reasons could be responsible for a gap in information between the Planning andExecution Phase. These gaps are what make the review process so crucial to ensuring that the workexecutes properly and efficiently.

In the Execution Phase, a daily plan has seven tabs:

l Overview

l Details

l Timesheet

l Quantities

l Notes/Issues

l Productivity

l Signout

In the Execution Phase of a daily plan, you will notice all system accents change to greenand in the Breadcrumbs area next to the plan name, it will now say Execution.

It is best practice when reviewing a daily plan to examine each tab in detail and verify that allinformation is correct.  If any information is incorrect or missing, now is the time to modify or add it.

The following sections walk you through what has changed on each tab from the Planning Phase to theExecution Phase, as well as provide some information on how to add or edit information during theExecution Phase.

3.2.2 Overview Tab

The Overview tab maintains the same information from the Planning to Execution phase.

Like the Planning Phase, under the Tool box talks section, you can add, edit and delete items for eachof the four different areas (Safety, Quality, Environmental, and General discussion).

3.2.4 Time Sheet Tab

The Time Sheet tab is identical to the Time Sheet tab in the Planning Phase, the only difference beingthat it shows all hours assigned to each resource/task in the Planning Phase. You can edit, delete, oradd tasks, labor, and equipment at this point if needed.

This is also where you input your actual hours, which will be covered in detail in the next topic of thislesson.

Going back to the scenario at the start of the lesson, while reviewing your daily plan, you notice thatKurt Fleming has not been included in the plan during the Planning Phase. This is because today is hisfirst day and he is not in the payroll system yet, but you would still like to be able to include him in theplan for the day. Within the Progress web application, you can do this by creating a temporary laborresource for Kurt and then swapping him out with his actual resource once it has been created inpayroll.

The following Step by Step walks you through how to add a temporary labor resource.

3.4 SIGNOUT

In this topic, you learn how to sign out employees on a daily plan.

Once the workday has ended and you have input all actuals into the daily plan, the final step beforesubmitting the daily plan for approval is to sign out all employees on the plan. This is a crucial stepbecause it allows the employees themselves to verify and approve their hours worked.

Each employee is assigned a unique personal pin number that they will use in the signout process. Byallowing the employees to sign themselves out, disputes between a foreman and an employee in hoursworked will be minimized.

Once an employee signs out, a daily plan can no longer be deleted.

For instances where a crewmember is not available for signout, there is also the option to sign out onbehalf of an employee. To do so, this is a setting that must be turned on in the Project settings.

4.1 INEIGHT PLAN/PROGRESS WORKFLOW – DAILY PLANAPPROVAL

4.2 REVIEW ACTUALS

Scenario

You are a field engineer and you are responsible for approving all daily plans that your foremanexecutes. Before approving the plans, you need to review them one last time for any mistakes, aswell as verify that all the employee hours are accurate.

In this topic, you will review the actuals of an already executed daily plan submitted for approval, utilizing the Progress web application.

Page 114 of 126 InEight Inc.  |  Release 20.2

4.2.1 Why Review Executed Daily Plans?

Reviewing actuals in an executed daily plan is the final step before the plan is approved. This lastreview is extremely important; it is the last chance to verify all actual values input during the ExecutionPhase are correct, and if there are any mistakes this is the last opportunity to correct them.

In InEight Progress, once submitted for approval, the daily plan’s status in theBreadcrumbs will change to Awaiting Approval and the color accents will change fromgreen back to blue.

In the Awaiting Approval Phase, a daily plan has seven tabs (same as the Execution Phase):

l Overview

l Details

l Time Sheet

l Quantities

l Notes/Issues

l Productivity

l Signout

It is best practice when reviewing actuals to examine each tab in detail and verify that all informationis correct. If any information is incorrect or missing, now is the last opportunity to correct it.

The Overview, Details, Time Sheet, Quantities, Notes/Issues and Productivity tabs in the AwaitingApproval Phase are identical to their respective tabs in the Execution Phase.  All information entered, edited, or removed in the Execution Phase will be reflected in the Awaiting Approval Phase. Furthermore, the Awaiting Approval Phase has the same level of editing as the Execution Phase doesfor all the previously mentioned tabs.

While six of the seven tabs are identical to the Execution Phase, one tab has changed slightly.  On theSignout tab, instead of the signout area only displaying the employee pin section, now the questionsanswered after entering their pin display as well. In addition, there is now an option to reject anemployee’s signout.

4.3 EMPLOYEE REGISTER

In this topic, you will review the Employee Register using InEight Progress.

4.3.1 What is the Employee Register?

The Employee Register is a log of every employee assigned to a daily plan. The register provides abreakdown of which plan each employee is assigned to for a given date, as well as the planned andactual hours for each of those plans. However, when opened you will only be able to see the employeesfor the daily plans that you are assigned to as either an engineer or a superintendent.

4.3.2 Why use the Employee Register?

In addition to tracking which projects each employee is assigned to and the planned and actual hoursfor those plans, the Employee Register also looks for conflicts. For example:
