IMPORTANT REGARDING OFFICIAL NOTICES

The preferred way of officially communicating with students is via e-mail.Each student will receive a NMMU student e-mail address for his/herpersonal use. Please read your student e-mails on a regular basis. It will beaccepted that you received an official communication if suchcommunication has been e-mailed to your NMMU student e-mail address.

Should you wish to forward your e-mails from your NMMU student e-mail address to aprivate e-mail address, you need to set up a „Rule‟ in Microsoft Outlook.

Steps to follow to set up a Rule:

- In Microsoft Outlook add your own private e-mail address to your contact list- Go to one of the e-mails sent to you by NMMU- Click on Rule on the toolbar - Click on Create Rule  - Tick from NMMU…….

- Skip Exceptions- Click Next- Click Turn on Rule  - Finish 

Payments

Please note that only official NMMU receipts issued at  the official NMMU  Cashier PayPoints and bank stamped deposit slips to NMMU‟s bank accounts will be accepted as validproof of payment. The proof of an electronic fund payment presented to NMMU mustindicate that the transaction was successfully processed.

It remains your responsibility to ensure that sufficient time is allowed for thepayment to reach NMMU timeously as electronic transfers may take up to fourbusiness days to reflect on NMMU’s bank account .

Payment methods: 

  Cashier Pay Points at all campusesPayments made at NMMU Cashier Pay Points in respect of your registrationdown payment will immediately reflect as a credit on your student account. Allcheque payments must be made payable to NMMU and crossed “nottransferable”. Altered or post-dated cheques will not be accepted. Verify that the

amount paid and student number reflects correctly on your receipt.

  Credit card payments Credit card payments in respect of application and tuition fees can be made viathe NMMU website under Online Payment of Fees or athttps://paymentgateway.nmmu.ac.za/  If access to the internet is not available, a credit card instruction form isobtainable from the NMMU cashiers by calling 041-5044291.Upon receipt of the completed instruction form, the payment will be processed.The fax number for the credit card instruction form is 041-5041719. Budget planpayments are acceptable.No “cash back” transactions are allowed on credit card

payments.

  Debit cards No “cash back” transactions are allowed on debit card payments. Debit cards canonly be accepted if presented by the card holder.

  Postal and money orders (purchased from the Post Office) are to be made payableto NMMU. When purchasing postal orders it is essential  that you complete your

Bank payments do NOT reflect immediately on your student account.   Allowfour (4) business days for processing. A copy of the direct deposit or electronicpayment should be in your possession for enquiry purposes. Post dated paymentsare not acceptable.

  Electronic fund transfersIf you choose to pay NMMU directly via electronic fund transfer, it is important thatyou indicate your STUDENT NUMBER as your deposit reference. This will enableNMMU to associate the payment with your student account.

The beneficiary must be NMMU for electronic payments. Kindly ensure that the bankdetails of NMMU are captured correctly. Electronic banking is at the payer‟s ownrisk. The proof of payment presented to NMMU must indicate that the transactionwas successfully processed. Post-dated payments are not acceptable.

  Direct deposits (at any bank)Direct deposits can only be acknowledged if you state the STUDENT NUMBER as areference on your deposit slip. The student number will enable NMMU to associatethe payment with your student account. The beneficiary must be NMMU.Verify that the amount paid, bank account and student number reflect correctly on

your deposit slip

NMMU does not issue receipts for direct deposits and electronic payments made via thebank account or for payments received by mail.

The 2013 Student Accounts Guide contains all the rules and regulations pertaining tostudent fees and will be handed to students at the registration venue.

 Also available on the NMMU website at:

International students: Kindly refer to the Fees Guide for International Students.

Sponsorships/Letter from Employer

The confirmation of sponsorship for 2013 must be on an official company letterhead andmust be addressed to NMMU. The letter of authority must be submitted annually to the

Student Accounts section before registration, but not later than 21 January 2013.Letters of authority will only be accepted from pre-approved companies and is subject tothe approval of NMMU.

Sponsorship and bank loan confirmation letters must indicate that payments will bemade directly to NMMU and must contain your student number. The letter must confirmsponsorship and may not contain commitment conditions and conditions that are subjectto academic performance. The signee may not be the student. Such letters will not beaccepted.

The sponsorship amount should exceed the down payment required upfront for 2013.

You will be expected to pay the difference before registration if the sponsorship amountis less than the down payment required. Clearance must be obtained from the Student Accounts section before registration.Fax number for sponsorship confirmation letters: 041-5042858

REGISTRATION

REGISTRATION DATES 2013

New Research Master’s and Doctoral students:All new Research M and D students may register any time but not later than 24 June2013. Your attention is drawn to the General Rule below. 

Rule G4.2.4   If in any year a candidate for a research degree registers after 30 April, their period of registration for that academic year shall not be taken into account for the purpose of rule G4.2.1 (minimum period of study)

Coursework Master’s students ALL Coursework Masters students (new and continuing students) must registerduring the normal registration period indicated above, for the full year (first andsecond semester) as there will be no new intake/registration in July. Students whoregister on or after  11  February 2013 will be liable for a payment of a late registrationpenalty

Contact the programme co-ordinator/HoD with regards to more detail about programmecommencement date (see Faculty Specific Information) for more details.

Continuing Masters and Doctoral studentsAll students must register during the normal registration period as indicated above.Students who register on or after  11 February 2013 will be liable for payment of a lateregistration penalty

ONLINE/WEB REGISTRATION

It is compulsory for all Research M and D students to register online. Please referto directions below. Although not compulsory for other PostgraduateProgrammes (Honours and Coursework Masters), all students are encouraged tomake use of web registration.

You can now register from any computer, anywhere in the world by logging on to thestudent portal or the NMMU website. Web registration will be open from 11 Januaryuntil 28 February 2013. Students who register on or after 11 February 2013 will beliable for payment of a late registration penalty. 

Your student account must be fully settled and your initial upfront payment mustbe paid before your registration will be finalised. Please note that electronictransfers may take up to four business days to reflect on NMMU’s bank account.Sponsorships: the confirmation of sponsorship for 2013 must be submitted to theStudent Accounts section before you register online. You can also fax the letterto 041-504 2858.

Steps to follow to register for 2013:

Go to the NMMU website and then go to study with us . Select registration and click onregister online .  You will now get to a screen where you have to enter your studentnumber and pin. Click on login . You can request a pin if you don‟t have a pin number by following the instructions on the screen.

1. Click on registration . This can be found at the top of your screen on the left (outsidethe text box). Click on next step  (Indicated in red - at the bottom of the screen).

2.  A document entitled declaration by applicant  will be displayed. Please read andacknowledge the content and then click on I accept . You have to complete thisprocess before you will be allowed to continue with your registration. This is onlyapplicable if this is your first web registration.

3. Click on next step .

4. Your qualification information for 2013 will be displayed. Leave the answer to theprompt should we create a meal account for  you as “no”. Enter your employmentstatus by selecting a value from the list. Click on save and continue . If the system encounters any problems with your registration, it will display an error 

message and you must then click on the notify institution and view errors button. Thiswill notify us of your problem and we will forward it to the correct person for their attention. If the problem has been resolved, you may then click on the try again  button. You may also contact your Faculty Administrator if you experience anyproblems. 

5. The modules for this qualification will be displayed. Make your selection by clickingon the text box on the left. Click on save and proceed once you have selected themodules for which you want to register. Note: you may only register for 120 creditsor the annual total of your programme for any specific academic year.  

6. Click on accept registration  in order to finalise your registration. You can view your 

academic record or you can click on next step  and then click on proof of registration/statement  to print or view your registration details for 2013. Also note thatno amendments can be made after you have completed your registration. You haveto contact your Faculty Administrator if you want to change your registration.  

Student cards 

 All new students will be issued with a new student card in 2013. Your proof ofregistration must be presented before a new student card will be issued. You canprint your own proof of registration when you register online and your student card will

be created at student card stations on campus.

Continuing students will not receive a new student card. 2012 student cards will beautomatically updated as soon as registration takes place. Students in possession of older student cards must have a new one created in 2013.

  If your registration has been blocked for financial reasonsYou will be referred to the Student Accounts who will provide the necessary information.

 A copy of payments made via NMMU‟s bank account is required at all times.   A confirmation letter of sponsorship/award/bursary/grant or loan is required at all times.

  If your registration has been blocked for administrative reasonsYour ID number or other documentation might be outstanding. You will be referred to Admissions for assistance.

  If you don’t comply with the minimum admission requirements Please contact the Admissions Section should you discover that you no longer meetthe minimum admission requirements. The Admissions Section will re-assess your 

application. The contact numbers are listed on page 9 of this guide.

GENERAL RULES 

You are responsible for consistently familiarising yourself with the general rules, financialrules and the appropriate faculty rules of this institution. The general rules and StudentDisciplinary Code appear in the General Prospectus which is issued to you at registration.Student rules are also included in the Institutional Regulatory Code which can be accessedvia the student portal on the NMMU intranet.

Financial rules appear in the Student Accounts Guide which is issued to you at registrationand it can be accessed via the student portal.

 Academic activities, including examinations and graduation, take place from Monday toSaturday.

My Stuff

You can access your own data on the NMMU Student Information System on the StudentPortal. This data is protected by your student number and date of birth and includes onlyyour exam results, progress reports, financial statement and academic record. You can alsoclose this access by selecting the Opt Out button.

You can update your own address and/or telephone numbers.Once you are registered as a student, you may follow the following steps to access your information.

If you login from home / off-campus:1. Logon to the NMMU Website – www.nmmu.ac.za 2. Scroll to the bottom of the screen and click on Student portal (bottom right of the

screen, third bullet from the bottom of the page).3. Follow the steps from number 2* from the procedure listed below.

If you login from any PC on campus: 1. Go to the Student Portal (all registered students have access to the Student

Portal).2. * Click on my stuff (you can find this is at the top of the screen - red toolbar).3. A list of options will be displayed. Click on ITS Student Web access .4. Click on go to ITS Student Web .5. You will now get to a screen where you have to enter your student number and pin

(you can request a pin if you don‟t have a pin number – follow the instructions on thescreen). Click on login .

6. Click on Student Administration (on the left of the screen).

7. Click on address detail . Your address details will be displayed. Please note that thepostal address is used for your examination results, the study  address is your address in Port Elizabeth (where you stay while attending university).

8. Click on the address you want to change. You can now make the necessarychanges and click on save. 

9. You can also change your telephone numbers and cell number by selecting thepersonal contact detail option. This option is just below the address detail option.
