FESTIVAL CONDITIONS Please read these carefully, together with the Class specifications.
1. ENTRIES
The Festival will strive to accommodate a performer’s other commitments,
if a note is attached to the entry form, but it cannot guarantee this.
a) Entries must be received, on a WLPF Entry Form, by the closing date.
Forms received without the correct fees will not be processed.
Except in Examination Classes, performers may only enter once
in a Class. The Festival reserves the right to combine or divide
classes where there are few or many entries.
b) Entrants will receive a notification form, after the entry closure
date, indicating acceptance of entry, receipt of fees and giving the dates
and times of classes entered. If such notification is not received at
least fourteen days before the date of the festival, immediate enquiry
should be made. The Festival cannot be responsible for postal errors.
2. WHO MAY PERFORM
a) All classes, unless described as ‘Open’, are restricted to AMATEURS.
An ‘Open’ class may be entered by both amateurs and professionals.
For this purpose anyone whose principal means of livelihood is pianoforte
teaching or performances shall be deemed to have Professional status.
b) Performers who have been students of our Adjudicators within the
prior twelve months may not perform in front of that Adjudicator.
3. AGE
Age is reckoned from the closing date for entries. Age limits must be
strictly observed and any query about age must be made before the
performance. Performers in age restricted classes may be
required to produce evidence of age before receiving awards.
4. WHAT MAY BE PERFORMED
Performers may not submit a work in more than one class, or a work with
which they have won a class at a previous West London Pianoforte Festival.
Works specified in Set Works Classes may not be submitted in other classes.
5. CLOSED CLASSES
These are restricted to performers who have played in
pianoforte solo classes of at least three previous performing arts
or music festivals during the past 5 years, but NOT won
First Prize in any, regardless of how long they have been learning.
Page 5
6. NON-COMPETITIVE CLASSES
Performers in Non Competitive Classes receive an adjudication, report
sheet and certificate, but no categorisation, place medal or prize.
7. DATES, TIMES AND ORDER OF PERFORMANCES
a) The Festival will endeavour to accommodate a performer’s other
commitments if a note is attached to the entry form, but it cannot
guarantee this. Performers are expected to perform at the time stated.
b) The Festival reserves the right to start a class or announce a
performance up to 15 minutes earlier than the time stated. However,
unless every performer has had an opportunity to perform, or indicated
that they do not wish to, the class will not conclude prior to the stated
commencement time. Performers not present when their performance is
announced may be given the opportunity to perform at the end of the class.
c) The Festival reserves the right to combine classes where there are
few entries, and to divide a class where there are many entries.
d) The order of performances will be decided by ballot, but the Festival
reserves the right to make any alteration in the order of the programme.
8. ADJUDICATOR’S COPY OF MUSIC
A copy of works to be played must be provided for the Adjudicator,
except for Set Work, where a copy will be provided by the Festival.
A photocopy is acceptable for this, provided performers also exhibit
their purchased copy. Performers are reminded that it is illegal to copy,
by any means, without the copyright holders’ permission and for this
reasons photocopies will not be returned.
9. TIME LIMITS
Where given, time limits must be observed. If any allotted time is
exceeded, the Adjudicator may stop the performance by ringing a bell.
In classes which allow more than one work or instrument, the performance,
including the break between works, must not in total exceed the time
limit. Performers who exceed a time limit, will be marked on their
performance within the allotted time, but no prize will be awarded.
10. ADJUDICATORS
a) The Festival reserves the right to substitute or appoint adjudicators
other than any whose names are published in the syllabus.
b) Any form of unsought communication with the Adjudicator
by performers, teachers or other interested parties, before, during or
after the festival, is absolutely prohibited and would render the
performer liable to disqualification.
Any communication must be made through the Festival Administrator.

The Federation and it’s member Festivals, including WLPF, are committed to ensuring safe environments for children and young people and believe that it is always unacceptable for a child or young person to experience abuse of any kind. We recognise our responsibility to safeguard the welfare of all children and young people, by a commitment to recommend best practice which protects them.
This policy applies to our Board of Trustees, paid staff, Adjudicator members, volunteers, students or anyone working on behalf of the Federation and our member Festivals.
We recognise that:
the welfare of the child/young person is paramount
all children, regardless of age, disability, gender, racial heritage, religious belief, sexual orientation or identity, have the right to equal protection from all types of harm or abuse
working in partnership with children, young people, their parents, carers and other agencies is essential in promoting young people’s welfare.
The purpose of the policy:
to provide protection for the children and young people who participate in our festivals, including the children of festival members
to provide staff and volunteers with guidance on procedures they should adopt in the event that they suspect a child or young person may be experiencing, or be at risk of, harm.
We will seek to safeguard children and young people by:
valuing them, listening to and respecting them
adopting child protection guidelines through procedures and safe working practice for staff and volunteers
recruiting staff and volunteers safely, ensuring all necessary checks are made
sharing information about child protection and safe working practice with children, parents, staff and volunteers
sharing information about concerns with agencies who need to know, and involving parents and children appropriately
providing effective management for staff and volunteers through supervision, support and training.
The Federation will review this policy each year in November in line with NSPCC guidance, or sooner in light of any changes in legislation or guidance. All changes will be communicated to our member Festivals in time for the start of the new Festival year.

The British & International Federation of Festivals and its member Festivals,
including WLPF, use the following policies and procedures to provide
SAFER FESTIVALS FOR EVERYONE 1.WLPF adopt the BIFF single, definitive Child Protection Policy
2.The WLPF designated Festival Safeguarding Officer (FSO) is:
ROGER DAVIES telephone: 07710 222 892
3.Best practice advice in the form of 2 leaflets:
Safe Working Practice and Festival Child Protection
including clear reporting procedures for anyone with a concern about a child, together with support and training for all Festival staff and volunteers.
4.Appropriate recruitment and induction procedures for all new staff and volunteers responsible for providing safe environments for everyone attending/performing at a Federation Festival.
5.All Festival personnel wear a badge to identify their roles. All teachers/parents/guardians/carers are asked to report all incidents of any nature to anyone wearing a Festival badge. All reported incidents will be handled in accordance with the Safe Working Practice and Festival Child Protection best practice advice. In addition we will ensure a quiet area/room is available, where concerns can be expressed in private.
6.For the duration of a Festival all teachers/parents/guardians/carers are responsible for the continuous care and supervision of their own children/pupils. If they are unable to attend personally, they must delegate their responsibilities to an identified adult and ensure that their children/pupils are aware of the identity and name of the person responsible for their care. This includes supervision throughout all Festival venues, practice and changing areas that may be provided. The Festival cannot take any responsibility for property left unattended.
7.No unauthorised photography, audio or video recording of children and young people is allowed at our Festivals. Where parents/guardians/ carers do not wish photos to be taken at all, then the responsible adult attending should ensure that their child is not included in official photos.
8.Some children and vulnerable adults may have specific needs in order to take part. If this is the case we ask the responsible teachers/parents/ guardians/carers to contact the Festival Organisers prior to arrival. The Festival actively seeks wherever possible to meet these needs, but must know beforehand in order to prepare support – or to advise that help cannot be provided on this occasion.
9.The Festival’s Child Protection Policy and approach to Creating Safer Festivals for Everyone is published explicitly in our Syllabus, Programme and Website. By completing and signing the entry form all parents/guardians/carers and teachers of entrants under 18 (or vulnerable adults of any age) confirm that they give (or have obtained) the necessary consents for the entrants to take part in the Festival.
Without consent the entry to the Festival cannot be accepted.

Can you help us? The running of the West London Pianoforte Festival and any
linked concerts depends on a small number of unpaid
volunteers who take on various tasks to organise it,
and then act as stewards while it is in progress.
Volunteers would be appreciated to help with the
following stewarding tasks:
Greeting competitors and visitors
Checking in the performers
Selling entrance tickets and programmes
Announcing the classes and individual items
Organising and selling light refreshments
Organising and serving lunch for the
Adjudicator and stewards
Organising and running a raffle
We would very much like to extend our pool of volunteers
for the Festival, so if you feel you could give some time
to help us before or during the festival, or if you know
anyone who would like to help, please contact:
