The NeedThe client was using PeopleSoft HCM 9.1 and wanted to upgrade to PeopleSoft HCM 9.2 to leverage the new capabilities it introduced. Among the many features that the client was interested in were:

• The mobile and self-service capabilities of PeopleSoft HCM 9.2 which would enable the employees to access the system and information at any time, from anywhere, and using any device. Implementing this feature would help boost the productivity of the employees significantly. Given the expansion plans of the client, this would help control operational costs as well.

• The significantly simplified ease of maintenance that has now become possible with PeopleSoft Upgrade Manager (PUM), which enables the client to choose which upgrades to apply and when. With the introduction of the PeopleSoft Continuous Delivery Model, it became imperative for the client to build the capability to handle the regular upgrades that are now expected.

• The significantly improved recruitment and HCM capabilities affecting areas such as recruitment, reviews, time entry process, and more.

• The new customizable Work Centre feature which provides the users with a single view of all their activities and enables them to transact, set and act on alerts, as well as view reports and analytics.

• The new multi-dimensional, real-time decision support analysis capabilities brought on by Pivot Grids. While PeopleSoft 9.2 has several pre-defined Pivot Grids, the users can create custom Pivot Grids easily using the wizard provided by PeopleTools 8.53. This enables users to implement meaningful analytics to gain deeper insights into various operations.

When the client floated the RFP, Hexaware was one among 6 serious contenders for the project. Apart from a detailed proposal, Hexaware also presented their proposed solution and suggestions to the client. It was the proposed solution combined with the Hexaware’s PeopleSoft experience and references that won Hexaware the project.

The client is currently expanding and is building a state-of-the-art hospital that will use the most innovative technology and treatment equipment available to deliver exemplary pediatric and obstetric care.

Enterprise Solutions

The client is a children’s hospital based in California, United States. It has consistently been rated as one of the top 10 children’s hospitals in the US, winning awards and accolades for its pediatric treatments. In addition to being a hospital, the client has invested in research in the areas of brain and behaviour, cancer, children’s heart issues, cystic fibrosis, and pediatric tumors; among other areas.

The SolutionHexaware used an Onsite Offshore model to execute this 8-month project with 5 team members working onsite at the client location and 4 team members working offsite in India.

To ensure a clear and precise definition of the project, Hexaware used a workshop-based approach to brainstorm the requirements, the existing processes, and the contours of the final implementation. The 4-week workshop included the Hexaware functional consultants as well as the client’s IT and business teams.

This workshop helped the client team understand the capabilities of PeopleSoft 9.2 and sharply define their requirements. For Hexaware, the workshop provided a platform for interacting with business users and gaining a clear understanding of the requirements.

has reduced the time for the Position Requisition Creation process from 5 days to just 1.

In addition, through the life of the project, the Hexaware team used Conference Room Pilots (CRPs) to demonstrate the implemented functionality and make any adjustments that may be needed. This approach helped Hexaware catch any deviations early and keep the project on track to being completed within budget and on time. More importantly, the users got a feel for the implementation at various stages.

The implementation involved:• Upgrading from PeopleSoft HCM 9.1 to PeopleSoft HCM 9.2

• Upgrading PeopleTools 8.53 to PeopleTools 8.54

• Redesigning the TAM/CG and hire processes

• Upgrading the following modules:

• Payroll Interface

As a part of the implementation, Hexaware used the PeopleSoft Forms and Approval Builder to automate the position requisition procedures for recruitment. With the new automated workflow that also sent out alerts to the relevant stakeholders and the new mobile capabilities, the client’s employees were able to view and act on the requisitions quickly and from wherever they were. As a result, the time for approvals was cut from about 5 days to just about 1, a savings of 80%.

When building the mobile capabilities, Hexaware used the new PeopleSoft Fluid User Interface to ensure that the user experience with the application across various devices and all screen sizes remains at a high-level.

Hexaware also integrated the system with telemetry.
