2018 Annual Meeting Program Highlights

Continuing our coverage of the PAISBOA Annual Meeting on April 26, we want to highlight the programs andspeakers from the day. PAISBOA is fortunate to have excellent resources for professional presenters on widevariety of topics within the membership of the association. We not only have experts within our member schools;we have knowledgeable vendor partners who are most willing to share their skill, information, and data toempower business officers to excel.

Dr. Marisa Porges, Head of The Baldwin School, presented a general session for all participants titled: SCHOOLSAFETY AND SECURITY: STRATEGIES. One of the main responsibilities of our schools is to create andmaintain a safe environment for students, staff, and visitors. Dr. Porges shared best practices that independentschool leaders should consider to ensure campus safety and security, while maintaining a welcomingenvironment for community members.

What makes Dr. Porges such an interesting speaker is that not only is she is the first alumna to serve as Head ofSchool, but before joining Baldwin in Summer 2016, she was a leading national security expert. Most recently,she worked at the White House as a senior policy advisor and White House Fellow at the National EconomicCouncil, handling cybersecurity and technology policy. She also served as a counterterrorism policy advisor inboth the Obama and Bush Administrations, at the Departments of Defense and the Treasury. Her perspective onschool safety and security is unique, and focused on the strategic decision­making process around safe schoolsas well as tactical measures that balance the safety and security of students with the culture of a school. Wehope to continue the conversation with Dr. Porges in the months to come as we explore school safety andsecurity from other vantage points.

Switching gears, we heard from Miriam Fisher Schaefer of Friends’ Central School, Mark Cardone ofConnectOne Bank, and Joe Bosch and Dan Froehlich of Janney Montgomery Scott regarding DEBTFINANCING FOR INDEPENDENT SCHOOLS. In answering the question, “How do independent schools financetheir debt in today’s economy?” the panelists gave an overview of the process, then presented a case study onhow ConnectOne and Janney worked with Friends’ Central School to refinance their Series 2002 Bonds,covering capital project costs incurred on the Lower School Campus and financing the cost for renovations to theSchool’s Middle and Upper School Campus.

This interactive session provided participants the opportunity to ask questions specifically about their ownprojects while using Miriam’s experience with ConnectOne Bank and Janney Montgomery Scott as a backdropfor what is possible in financing capital projects. The panel also gave the group a primer in the roles and processin securing debt financing for school capital projects that was appropriate for both novice and veteran business

officers. This team of experts has already agreed to share this program again as a webinar for all PAISBOAmembers—look for our professional development program schedule in the August edition of the FridayFlyer!

HOW HEALTHY IS YOUR SCHOOL? was the question that Scott Barron of School Growth, Inc. started toanswer for participants in the other breakout session. Scott asserts that the answer to this question is critical!Sustained organizational health is unquestionably one of the most powerful assets a school can build.

From extensive research, we have the means to assess it, the tools to develop it, and an understanding of thedisciplines required to cultivate it. Competitive advantage today isn’t won by the “best school.” A school that hasthe organizational health to reinvent itself to sustain enrollment and excellence will always win. Participants inthis workshop were guided through a preliminary assessment of school health and some best practices that willimprove it.

Scott’s work as the chief administrator of three Independent Schools included restructuring the organizationaland financial model for each institution, creating an engaged network with board leaders, administrators, faculty,parents, funders, and community stakeholders to achieve substantial growth goals. Having worked withthousands of schools around the world over the last decade, he created the School Growth Design Frameworkfor understanding the complexities of school organizations and to establish a common language for designingand improving them.

Scott has presented The Laws of the Grapevine, The Consultative Business Officer, and two other workshops ontalent acquisition and performance management for PAISBOA in the last two years. We are working with him ona series of presentations in the 2018­2019 academic year on school and organizational health for our memberschools and universities.

PAISBOA HBT Invites Members to Extend TheirParticipation Agreement As announced at April's Annual Meeting of the PAISBOA Health Benefit Trust, the HBT is inviting all memberinstitutions to extend the Participation Agreement for two plan years beyond the current October 31,2019 commitment date. By extending this commitment through October 31, 2021 in the near future, memberinstitutions will be empowering the HBT to secure advantageous, multi­year contracts with its providers.

The PAISBOA HBT staff will be hard at work this fall researching and negotiating future agreements. Having thecommitted support of all members will be a vital component of the HBT's strength in dealing with ever moredifficult health care markets.

Along with the cost of college tuition, the total amount of student loans amassedeach year is increasing at an alarming rate, and is in many cases a huge burdenof debt that can be a heavy load for employees to deal with. Consider the state ofthis situation today, as reflected in the data below:

Sustainability Workshop Filling Up Fast Anne Sudduth, Boyer Sudduth Environmental Consultants

Interest in the one­day intensive Sustainability Teachers’ Academy on Thursday, August 16 is high.Registrations are limited so please sign up now if you would like toparticipate. PAISBOA, Boyer Sudduth Environmental Consultants, andSpringside Chestnut Hill Academy will host the workshop for areaindependent school teachers and administrators. Teachers from all subjectareas are welcome and will find opportunities to implement sustainabilityconcepts and projects into their existing curriculum.

Led by experts from the Walton National Sustainability Teachers’Academy at Arizona State University, this workshop will focus onsustainability science, how to teach relevant sustainability issues in theclassroom, and develop projects for the school and/or community. Theworkshop content is unique in sustainability education because it is built onresearch from ASU and other leading universities.

The instructors from Walton are considered national leaders, and theirtrainings are sought after by independent and public schools interested in research­based sustainability teaching

Save the Date! Fall Sustainability Group meeting

The PAISBOA Sustainability Group will gather for its fall meeting on Wednesday, October 24 from 5:15 ­ 7:30pm at Springside Chestnut Hill Academy. Come learn about connecting your school with nature and the power ofBiophilia (and what exactly that is). More details will be shared as the date approaches.

Coordinated by PAISBOA and Boyer Sudduth Environmental Consultants, the Sustainability Group is a networkof environmental sustainability champions from area independent schools. The group gathers three times a yearat member schools, tours "green" campus features at a host school, with time to network with peers. At eachsession, the group discusses a specific sustainability topic over dinner provided by the host school.

Representatives range from faculty members who play a role advising student environmental clubs, to directorsof experiential education, members of a school "green team," STEM/STEAM coordinators, facilities managers,and heads of school or directors of finance from smaller schools. New sustainability representatives welcome.

Claim Scenario #1: General Liability claim as a result of injuries sustained by a contracted bus driver from a fallwhile assisting a child off of the bus. The claimant alleges that the sidewalk outside of the school was crackedand uneven and caused the fall.

The learning opportunities with this claim are:

Proper maintenance of school grounds can aid in reducing the likelihood of injuries from slip and fallsituations.Contracts can go a long way in determining liability when dealing with contracted services. They can alsohelp in identifying the scope of responsibilities from the contracted individuals.Photographs of the area of the incident should be taken immediately to either substantiate or refute a claimregarding possible slips, trips and falls.There should be at least one member of school staff present and available during drop off/pick up to assiststudents in lieu of outside third parties who are unfamiliar with the conditions of your school grounds.

Claim Scenario #2: General Liability claim as a result of injury to an athletic participant while attending a clinichosted by an athletic club who rented the school’s facility for their practice. The claimant suffered an injury onpremises and brought a suit against the school.

The learning opportunities with this claim are:

A well drafted “Use of Facilities Agreement” with clearly written hold harmless and indemnity language canhelp reduce the school’s responsibility with regards to a bodily injury claim as a result of outside vendorsusing the school’s premises.When allowing outside vendors to use your school premises for their activities, be sure to keep at leastone member of the school’s personnel on site to pro­actively manage situations that could give rise to apotential safety hazard.

Consider Developing Your Transgender Policy This Summer

Although transgender adults in the United States make up only .6 percent ofthe population, it is only a matter of time before your school will have atransgender student or faculty member. Schools do not want to wait until thesituation comes up before first addressing these considerations. Since thereis little federal guidance on transgender issues, schools should first look totheir state and local laws to see if they have any legal obligations.

Once a school determines the scope of any legal obligations, it should thenwork with its top administrators to decide what policy would best fit the school’s mission. As with most newpolicies, the devil is in the details, and we recommend that schools have a team designed to construct andimplement the policy. This will involve considering how to address issues including uniforms, restrooms, lockerrooms, field trips, name usage, pronoun usage, descriptions on official and unofficial school documents, schoolactivities and athletics.

Be careful not to overcommit or guarantee what the school will do as you may need flexibility to address differentissues that may come up based on your campus and community. Communication will be key, and some schoolsfind it is helpful to designate a liaison, sometimes chosen by the transgender student, to communicate with thetransition team. This can be particularly helpful to head off harassment or bullying if the person knows that theyhave an advocate that they can come to with issues. Finally, consider coupling the introduction of your new policywith training as this can be a new issue for employees, parents and students. Effective and sensitive training canavoid some painful missteps.

Evaluating Your Plan and Fees? Think More, Not LessMarcie Carroll, Carroll Consultants

Should you reduce your plan's fees to better serve participants? Many vocal experts speaking on behalf ofinvestors and participants say "yes" ­ unequivocally. But what about the investors and participants themselves?What do they say?

Invesco Consulting teamed up with language experts Maslansky + partners to get the answer. The nine­monthstudy included in­depth interviews with commission­based brokers and fee­based advisors, dial­session focusgroups with 90 investors, and a North American survey of 1,000 investors in the U.S. and Canada.

Throughout the study, there were very few complaints from investors about high fees. Certainly, there wereconcerns about fees being a drag on returns. But investors were far more worried about overcoming theirmounting financial obstacles. They talked about how the industry has grown more complicated ­ the markets,investment options, retirement liabilities, investment regulations and taxes. And they said they need help and arewilling to pay for it, because they don't have the time or the inclination to do it themselves.

In the broader context, these investors wanted value ­­ services, guidance and investments in exchange for fairand reasonable prices. Three distinct themes emerged from the research with investors and participants: besmart with our money, help us with more than investments and keep us on track. When you consider how to bestserve today's investors, these are the three primary benefits to focus on.

1. "Be smart with our money." In the absence of value, costs matter most. In the abundance of value, costsmatter least. Investors are not asking for low fees; they're asking for high value. They expect to pay a fair pricefor financial services, because anything of value costs something. As for the low­cost option? Low costs usuallymean high risk. That cheap car, half­off shirt or discount plumber often remind consumers that they get what theypay for.

It matters what they pay. How do you tell investors that you are being smart with their money?

In the study, several different approaches were dial­tested. The transcript below shows the results of one dialsession where investors listened to a message about being smart with their money. The investors were eachequipped with remote control dials and reacted to the message by dialing up when they liked what they werehearing and dialing down when they did not. All participants started their dials at 50. When dials reached 70 andabove, the messaging worked. When dials fell to 35 or below, the messaging failed. The numbers below, in red,indicate how investors reacted to the messaging.
