article i - name

The official name of this organization: Collegiate DECA Chapter of Weber State University.

article ii - purpose

Collegiate DECA is a nationally recognized organization. The organization’s purpose is o provide opportunities for personal development in leadership, professionalism, teamwork, and community spirit while creating an appreciation of the American free enterprise system.

article iii - membership

SECTION I: Membership will be based on prospective member’s participation in activities and desire to learn. As a member they are required to pay dues, attend a minimum of one meeting monthly, and be dedicated to the stated purpose of the organization.

article iv - structure

SECTION I: Definition of Officers A. President and Vice President

i. Treasurer, Secretary, Membership Chair, Social Coordinator, and Webmaster/Designer are positions that may be appointed by the President and Vice President.

B. Each officer term will will be one academic school year. C. Each officer must be a paid and active member of Collegiate DECA. D. Each officer must be an active registered student of Weber State University. E. Advisor, a Weber State University faculty member that is experienced in marketing or

business related fields. There may be more than one advisor for Collegiate DECA.

a. Oversee, direct and organize the entire chapter and perform as the official representative of Collegiate DECA Chapter of Weber State University.

ii. Duties a. Ensure that the chapter is following the principles and purpose set forth by

the Collegiate DECA Organization. b. Ensure the chapter is operating in conformity with the standards set forth by

Weber State University’s Department of Student Involvement and Leadership. c. Carries out all all administrative and executive duties. d. Work closely and ensure communication with fellow officers, members, other

chapter Presidents, advisors and the WSU Department of Student Involvement and Leadership.

e. Ensures that no member is denied his/her right of membership. f. Preside over all meetings. g. Attend all mandatory Club Meetings/WSU Meetings or send a fellow officer

as a delegate instead h. Develop innovative practices to improve the chapter in subsequent years. i. Train and communicate with succeeding chapter President so he/she is aware

of their responsibilities to ensure chapter continuity.

B. Vice President i. Function

a. Assisting the President and other officers with the duties assigned to them ii. Duties

a. Organize chapter meetings. b. Responsible for connecting and maintaining open communication with

Collegiate DECA State Officers. c. Develop/enhance the training structure to increase chapter performance. d. Ensure all special events/competitions are communicated to chapter

members.

C. Treasurer i. Function

a. Responsible for chapter funds, which include; coming up with innovative fundraising ideas, managing fundraising activities, collecting, depositing and dispersing funs.

ii. Duties a. Maintain the financial account of the club and present verbal report of the

treasury to the membership. b. Maintain a record of paid members and non-paid potential members. c. Prepare periodically written reports of financial activity and status. d. Maintain an accurate record of sponsors and fundraising efforts. e. Arrange fundraising and sponsorship opportunities for the chapter.

f. Communicate with airlines/hotels to ensure maximum savings for membership participation.

g. Maintain an ongoing figure for each event/average costs per member. Ex. Members can currently expect to pay (X) amount for registration, airfare, room and board for ICDC.

D. Membership Chair i. Function

a. Responsible for membership visibility, awareness, training, and records. ii. Duties

a. Welcome all new members and supply them with a welcome packet. b. Maintain membership directory. c. Manage and carry out roll call at meetings and chapter events utilizing the

WeberSync Involvement application. d. Ensure members receive timely and appropriate guidance, training, and

development upon joining. e. Maintain a measurable membership report, covering individual chapter

engagement, interests, performance. Present ongoing verbal reports of recognition regarding notable progress to the membership.

f. Manage the WeberSync Involvement and Reports sections. g. Maintain an accurate record of all meetings, decisions, and event outcomes.

E. Social Coordinator i. Function

a. To plan, communicate, coordinate, and conduct social and competitive events. ii. Duties

a. Plan and coordinate events such as; WSU involvement, training, community service, social gatherings, fundraising etc.

b. Supply Webmaster with all chapter, state, and international event details so that he/she may post them.

c. Verbally present event details to the membership at chapter meetings. d. Write and send a recap email of all meetings/events within 24 hours after the

event has taken place. e. Market the WSU Collegiate DECA chapter through all possible avenues to

promote awareness and new membership.

F. Webmaster/Designer i. Function

a. Lead the continuing development of WSU Collegiate DECA online presence. ii. Duties

a. Manage WeberSync, Facebook, Twitter, and Instagram content to make sure it is up-to-date, relevant, appealing, and in line with the chapter brand guidelines.

b. Work with other officers so all their updates are available to the membership. c. Take pictures of all events and upload them within 24 hours after the event

has taken place. d. Continually strive for paperless solutions of all chapter documentation and

forms. e. Manage all marketing materials, and develop fresh new promotional resources

for chapter use.

G. Advisor(s) i. Function

a. Responsible for serving as a liaison between the students and the faculty of Weber State University.

ii. Duties a. Mentor for career development, marketing and business concepts. b. Guides, suggests and advises chapter officers and activities. c. Resource for chapter activities and Collegiate DECA training materials. d. At least one advisor is required to be present at every chapter meeting.

SECTION III: Duties of Members A. Members

i. Duties a. Required to pay dues. b. Actively support the organization and its projects. c. Required to attend one chapter meeting a month. d. Required to attend two chapter social events. e. Required to attend one chapter community service event. f. Required to compete in either the State or International competition.

ii. Removal a. Failure to comply with codes of conduct of Weber State University, and any

set forth at officially recognized DECA events codes of conduct (conferences and competitions) will result in immediate dismissal from the DECA event and possible removal from the chapter.

article v - election procedures

SECTION I: Method of Voting A. Elections will be held in March. Timeframe for election campaigns will be for a period

of two weeks. B. 75% of members must participate in order for the elections.

C. In order to win, candidates must have the majority of votes.

SECTION II: Procedures for Election A. Any member in good standing is eligible to run for office. B. One-Page Paper

i. Candidates are required to write a one-page paper on why they are running, and how they plan to contribute to the Collegiate DECA Chapter of Weber State University.

ii. This will be handed into the officers and posted on WeberSync for all members to see.

C. Candidates may run for more than one position, but may only choose one position, in the event they win both elections. i. The remaining position will then be awarded to the runner-up.

D. Current officers are eligible to run again, for the same position or a different one. E. All candidates are required to give a speech on election day. F. There is no number of candidates required for any position. G. In the event of a tie, advisor(s) will act as the tiebreaker vote.

SECTION III: Information On Offices to Be Voted Upon A. The officer positions to be voted on are President and Vice President. B. The positions of Treasurer, Membership Chair, Social Coordinator, and Webmaster

may be offered for elections. i. If not, these positions will be filled based on nomination/appointment by the

newly elected President and Vice President.

SECTION IV: Special Election Process in Case of Resignation or Impeachment A. Elections will be held one week after any case of resignation or impeachment. B. Any member or current officer is eligible to run. C. One-page paper

i. All candidates must write a one-page paper on why they are running, and how they plan to contribute to the Collegiate DECA Chapter of Weber State University.

iii. This will be handed into the officers and posted on WeberSync for all members to see.

D. If a current officer wins the election, another election will take place the following week for the position they vacated.

article v - impeachment process

SECTION I: Reason For Impeachment A. Failure of officer to follow the responsibilities and guidelines as outlined in this

constitution may result in impeachment.

SECTION II: Impeachment Process A. A member or officer can impeach an officer only if they fail to fulfill the

responsibilities and guidelines as stated in the constitution. B. To start this process they must first contact the advisor, then list the reason(s) for

the impeachment in a formally written document. C. The officer in question will then be notified by the advisor and be given a copy of this

document. D. In exactly one week, the impeachment hearing will be held. E. A jury of at least six participants will be created from fellow officers, advisor(s), and

appointed members. F. The jury can only hold the officer responsible for the charge(s) presented, if they

conclude that the charge(s) are legitimate. G. The final verdict which the jury makes must be with a 3/4 majority vote. H. If the officer is impeached then a special election will take place as outlined in Article

V, Section IV.

SECTION III: Who Will Preside Over The Hearing A. The chapter advisor(s) will preside over the hearing.

article v - ratification of constitution

SECTION I: Starting the Process A. To start the process, a member must first submit a formal proposal to the officers.

SECTION II: How Proposed Changes Will Be Deliberated A. The officers and advisor(s) will review the formal proposal at an officers meeting. B. The officers will then provide feedback on the formal proposal. C. The member will then have one week to develop and submit a refined proposal to the

membership.

SECTION III: How will proposed changes be voted on A. The member who proposed the ratification must present their formal proposal to the

membership at the next chapter meeting. B. Chapter members will then vote on the proposal, with a 50% vote needed to pass. C. In the event of a tie, the advisor(s) vote will act as the tiebreaker.
