Open Access Bulk Edit Business overview Business need JDA Category Management customers are increasingly being tasked with creating and maintaining larger quantities of planograms, floorplans, and other objects. Managing attributes of these objects over many versions is difficult on an individual basis. Customers have requested the ability to maintain attributes for multiple objects at one time in a Bulk Edit manner.

Current functionality Currently, there is no functionality in Open Access or Data Manager that allows the bulk update of object attributes or data. Customers typically use a workaround to perform bulk updates using table editing functionality in Space Planning and Floor Planning. They have also created customized Data Manager and Open Access tools to perform updates for multiple objects.

Functional requirements An Open Access user can create a selection of objects using the features within any specific object maintenance page. The user can individually select object rows in the object grid, or can select a new option in the hierarchy control, Select Node, to select all objects in that level of the hierarchy. The Select Node option can be further filtered using the page’s Status filter, the grid filter for the object rows, or both filters.

After a group of objects is selected, clicking the Bulk Edit option at the bottom of the grid displays a pop-up wizard to edit specific criteria.

The first page of the wizard shows the details of the objects selected for editing. If the current user has administrative privileges, a check box is also displayed to Allow updating objects locked by other users. If the user does not have administrative privileges, then any objects that are locked by other users are not updated, even if they were selected for editing.

Clicking Next displays the next step of the wizard in which the user can identify the attributes to be modified. In this step, entering a value in any field, choosing a value from a drop-down, or clicking a check box selects that attribute for editing. The check box to the left of the value name is automatically selected to indicate that the value will be updated by the system. Selecting an un-selected check box without specifying a value tells the system to enter a NULL value for all selected objects. Clicking a selected check box deselects that attribute, so the associated values are not changed. After all values to be changed on all tabs are selected, the user can click Next at the bottom of the wizard to go the final wizard input page.

On the final wizard page, the user can choose to have the Bulk Edit job run on the next scheduled run, or at a future selected date. The user can also specify the number of errors that are allowed before Bulk Edit processing is stopped for this request.

Clicking Finish displays a summary of the created request. Requests may be viewed and edited from the System > Bulk Edit page in Open Access. Only the attribute changes and processing choices may be edited after a request is submitted. The objects associated with the request cannot be changed. If an

error was made on object selection, the user must delete the original request and submit a new request with the correct object selections.

Bulk Edit processing jobs may be submitted for processing on an individual basis, or Process All can be selected to process all objects if the scheduled date is not selected or is in the past.

To review the log associated with a completed request, the user can click the icon.

To review any object updates that have failed, the user can click the icon.

To re-submit failed objects in a project for processing again, the user can click the icon.

From any CKB object maintenance page, right-click a hierarchy node and select Select Node. This action selects all objects from that level of the hierarchy in the grid and disables individual row selection in the grid.

You can further filter the grid with the grid filter located at the top of the grid, or with the status filter located on the left side of the page.

You can clear the Select Node selection by selecting Clear Node on the hierarchy control.

Click Bulk Edit to invoke the Bulk Edit wizard The first page of the Bulk Edit wizard shows the objects selected for editing. An administrator can select Allow updating objects locked by other users to allow locked objects to be updated. Click Next to move to the next page of the wizard to select the edits.

Choose edits to be made to selected objects If a check box to the left of an attribute is selected, it indicates to the processing system that the attribute should be updated to the specified value for all selected objects. If the field value is left blank, this indicates that a NULL value is to be entered for all records.

If the check box to the left of an attribute is not selected, that attribute is not updated by the Bulk Edit process.

Clicking Next causes the wizard to move to the final selection step.

Choose processing parameters The next step in the wizard is to determine whether to have the Bulk Edit request processed during the next scheduled batch processing run, or to select a future date for processing.

You can also specify the number of errors after which processing for this request will be halted (the default value is 100).

Click Cancel to reset all selected parameters and return to the first page of the wizard.

Click to abandon the request entirely and return to the Maintenance page without submitting the request.

Click Finish to submit the request to the processing system.

Request review After the request is submitted, a summary of the request is displayed.

Click Done to close the form and return to the object Maintenance page.

Process Bulk Edit requests From the System > Bulk Edit page, if you select one or more request records and click Process, the selected records are submitted to the Bulk Edit batch processing system. Records are then marked with a Status of In Queue. Manual selection of individual requests for processing overrides the Scheduled Date value.

If you click Process All, then all records for the current user that do not have a Scheduled Date or where the Scheduled Date is less than or equal to today are moved to the processing queue. Administrator users can also select the All Users check box to move all records for all users to the processing queue, respecting the date criteria.

You can select one or more request records and click Delete to delete the selected request records that are in a Pending, In Queue, or Processed status.

You can hover over the Object column of any row and click to delete that individual record or click to edit the record. When editing a record, you cannot modify the objects selected for the request, but can change the attributes to be modified and their values, the schedule date for processing, and the error count before the Bulk Edit process fails.

Manage editing form templates Each object has its own form template that can be edited to limit the fields that your company wants to include for Bulk Editing. Editing the form templates follows the same process as editing any of the previously supplied Open Access forms. See “Forms” in the JDA Open Access OnLine Expert.

Business scenarios This functionality is intended to be used in situations where many individual records for a given object need to be updated with the same values.

For example, a retailer may decide to consolidate two categories of planograms into one for all future planograms. The user could select all planograms to be updated from both categories. After selecting Bulk Edit, the user would select the Category field and enter the new name to be used for all selected planograms. This process is much more efficient than updating each record individually, or than opening all of the planograms in Space Planning, changing the Category value, and then saving everything back to the database.
