CONFIGURE TAX FORM PARAMETERS Training: SentricWorkforce Online Tax Forms

Configuring a Tax Form Administrator Will receive notice of employees’ consent or withdraw for

the electronic tax form Name and email will appear in ESS under Tax Forms for

employee contact Different tax form administrator for each company

Go to the Tool Icon – Setup

Go to Job - Company

Select company from bottom. Pencil Icon to edit.

Add or edit Tax Administrator Information

Go to Pay – Tax Forms

From Actions – Publish Tax Forms

Select Company from list Select Tax year from list Publish to complete task

RELEASE/UN-RELEASE TAX FORM Training: SentricWorkforce Online Tax Forms

Still within Pay – Tax Forms Select Company from list on left Select Tax Year from list on left Tax forms for the employees to display

Release all – available to all employees in ESS

Unrelease all – remove all access to forms in ESS

Release/unrelease individual tax form click Menu Icon – Release or Unrelease.

Employee Name - listed alphabetically (default) ESS Access - if they have access Current Consent - employees’ consent to receive tax forms

electronically Corrected form – produced by Sentric Employee Viewed – indicator Released date

To view tax form click Menu Icon – View

You may also view forms under People – Pay – Tax Forms

Go to My Profile - Pay

In Tax Form section, click Consent

Signature Required component to appear Answer signature questions, select Verify Identity

Click the Paper Icon to view form for associated year.

Select tax form alert from list – click Pencil Icon to edit

BEST PRACTICES Training: SentricWorkforce Online Tax Forms

Test the process and email communications by only releasing the W-2s of yourself and a few other key members. Go through consenting and removing consent, as well as viewing your W-2(s) to make sure you understand the process for your employees.

While employees can consent to receive their W-2 electronically, Sentric will still produce a paper copy for all employees paid in 2015.

If you plan to mail the W-2s, remind employees to verify their primary address in SentricWorkforce ESS or on their pay statement. If address changes are a routed task within ESS, make sure to provide employees a reasonable deadline to allow time for approval.

REMINDERS Training: SentricWorkforce Online Tax Forms

1.4.16 Due to tax deposit restrictions and year-end processing, January 4th is the last day to process a 2015 payroll and still make timely tax deposits. 1.5.16 Sentric will start processing 2015 W-2s and 4th quarter returns. Week of 1.11.16 Look out for the communication from us that you may publish and release your online W-2s. Also, we expect to ship all employer copies of 4th quarter returns and employee W-2 forms. All employee W-2 forms will be shipped directly to your office for distribution. 2.1.16 Furnish Copies B, C, and 2 to each person who was your employee during 2015.
