Newsletter #3 – September 2015 Contingent Leaders Message Its now less than 120 days until the Contingent departs for the pre tour and l hope you are all getting excited! There’s still a lot to be done and we need your help to ensure everything is good to go. Firstly if you have not got your passport, time is well and truly running out. We need your passport details in our online system now and there are still 180 people who don’t have current passport details loaded into our registration system. If you have not organised your passport, please DO IT NOW!! Secondly if you are behind in your payments we need these brought up to date. The Contingent is required to pay out the bulk of our expenses during September and October and we are not able to meet these commitments if people are not up to date in their payments. If you are having difficulties in making payment, please contact me to arrange a payment plan. Our activities team have done a fantastic job putting together an excellent range of pre and post tour activities for you to choose from. Selection for these opens on 1 September, and please read the information carefully later in this newsletter on how to select your activities. This applies to everyone, not just those doing the pre tour. The NZ Venture Organising Committee has assigned the majority of youth member Phase 1 expedition allocations. I hope that you are all pleased with your allocation, but if there are any issues we need to know about these quickly. We hope that by early October you will be able to select your Phase 2 activities, which are done during the second part of the Venture. More information on how to select these will be emailed out once available. There will be a mixture of free and paid options for you to choose from. Now is also a good time to assess if any of your expedition options could be used toward Queen Scout award scheme work. Please check with your Leaders & District/Zone Venturer council. International Commissioners Message Congratulations on being part of the largest Contingent of Scouts Australia to attend an international Scouting event! As well as breaking records, I know that every member of Australia’s Contingent will have wonderful memories of this adventure. Your Contingent Management Team, led by Phil Britt, has developed a very exciting program of activities for you. I am most impressed with the planning that has already gone into the program, to ensure you will not only have unique and fun experiences, but they are also done in a safe environment. From the time you leave home to the time you return, you are not only an ambassador for Scouting, but also an ambassador for Australia. Not only must you observe the Scout Promise and Law at all times, but your behaviour will also be on display. Being Scouts, I know you will want to do Scouting, and Australia proud! Phil and I have recently returned to Australia from the World Scout Jamboree in Japan. What an extraordinary experience it was! Like the World Jamboree, we hope the 13th New Zealand Venture, “Inferno”, will provide you with life long memories. Great Scouting! Just some food for thought; we are still looking for some keen venturers who wish to take part in our informal ‘unit councils’. These meetings are opportunities for you guys to give us feedback and have your input into what goes on during the venture. These gatherings will be held briefly each night while everything is fresh in your minds. Question and Answer Session You’ve got questions? We’ve got answers! N&N will be online waiting for your inquisitive brains on the 31st of August with a live Q&A session starting at 7pm. We are eager to hear what you guys are thinking, to share some more with you about the amazing time ahead of us, and to answering any questions that you might have. Make sure you lock this one in to your calendar – it’ll be an awesome time. The Q&A sessions will be held on the Contingent’s Facebook page: http://www.facebook.com/nzv2016 Nicola Grundy and Nathan Leivesley Assistant Contingent Leaders Dietary Requirements If you have a genuine dietary requirement you must provide a medical certificate from your GP or specialist, or a letter from your religious organisation, detailing what your special dietary requirement is. If you have an allergy to a food item the certificate/letter should also include the treatment plan should you be exposed to that food item. The certificate/letter should be dated no earlier than 1 January 2015 and will also need to be signed by your parent or guardian if you were under 18 at the date of the certificate/letter. These must be sent to the Australian Contingent no later than 14th September so we can make sure everyone is properly catered for at the event. Please post the certificate/letter to Australian Contingent, PO Box 3401, Morwell MC VIC 3841. A Message from the Program team It’s been well over twelve months since we started the task of putting together a pre and post tour activity program. We’ve found the best activities that New Zealand has to offer, and are working with over 30 providers to put together your a trip of a lifetime. Please make sure you read all the attached material so you can make an informed decision. Those on the pre tour please read the separate insert. We are visiting New Zealand at their busiest time of year, so to ensure we could get you places on the best activities we’ve had to book well in advance. Once your activities are selected through the system, these bookings will become final by the closing date (except for medical reasons).
Pre & Post Tour Activities Everyone needs to read this!
The Australian Contingent activity booking system will OPEN at 8:30pm Eastern Time (6:30pm WA time) on Wednesday 2 September 2015. The system will CLOSE at 11:59pm Eastern Time on Sunday 20 September 2015. Activities will be available on a first come, first served basis. There are over 3500 activity places available so there should be lots of options available for everyone but some popular activities will fill quickly. To access the system log into your application at https://registrations.international.scouts.com.au. Once logged in, click on the “Contingent Activities” link on the left hand side and it will take you to our external activity booking system. From there you will be asked to enter your date of birth before continuing to the system. If you try to access the system before the opening date it will check that your computer is compatible with the system and present a message saying it’s not open yet. WE RECOMMEND THAT YOU CONFIRM YOU CAN LOG IN WELL IN ADVANCE OF THE OPENING DATE AND THAT YOUR COMPUTER IS COMPATIBLE WITH THE SYSTEM. Post Tour Everyone participates in the post tour. You will get to experience two great included activities in Rotorua and then Hamilton before we head home to Australia. Thursday 14 January everyone will undertake the Tamaki Maori Village Experience and Agoventures Adventure Park included at no extra cost. Friday 15 January you have the option of exploring Hamilton at no cost or undertaking an optional activity. The two optional activities are Hobbiton Movie Set Tour ($75) or the Waitomo Glow Worm Caves ($61). The glowworm caves are only available to non-‐pre tour participants as those on the pre tour do this activity as part of the pre tour. To select either of these activities you need to log into the activity booking system. Pre Tour For those undertaking the pre tour, included with this newsletter is an additional information booklet with full details outlining the pre tour activities.
Orientation Days Once more, we need to emphasise how important it is that you make sure that you are attending the Orientation day for your area. Each will run for approx. 1.5 hrs. Leaders: We will be having a Leaders-‐only briefing before each of the O-‐Days. It is important you attend both the Leaders Briefing and the O-‐Day itself. How to make payments Payments to attend Inferno 2016 with the Australian Contingent can only be made online through the Contingent registration system. We accept Visa & MasterCard only. 1. Log into your account at
https://registrations.international.scouts.com.au 2. Click on the ‘Status’ menu. 3. Click on the ‘Make a Payment’ button on the right
hand side above the summary of payments table. 4. Enter or choose the amount you wish to pay. 5. Click ‘Process Transaction’. You will receive
confirmation if your payment has been approved or declined.
6. (Optional but advised) Download a receipt from the status page.
Withdrawal Fee Structure If you do decide for any reason that you need to withdraw from Contingent, you need to let us know as soon as possible (in writing by email or letter). The Withdrawal and Refund policy is set out below: Dates Withdrawal policy Before 30th of June Full refund From 1/7/15 – 31/8/15 Refund of fees less $400 From 1/9/15 – 31/10/15 Refund of fees less $1000 After 1/11/2015 No refund available unless
covered by a travel insurance policy (i.e. recent medical condition preventing travel, etc.)
Any refunds will be made back to the Visa / MasterCard originally used to make the payment. We will allow for swapping of members subject to name change fees. You’ll be hearing from us again soon! During the next two months you will start to receive more information via email from us and the NZ Venture Organising Committee. It’s important to action these requests as quickly as possible and check your email regularly. Our final newsletter will be sent in late October 2015.
Insurance Information On behalf of each Contingent member Scouts Australia will take out a Corporate Travel Insurance policy through Willis Australia Limited. The policy is underwritten and issued by Chubb Insurance Company of Australia Limited Travel insurance is automatically included as part of your Australian Contingent Fees. Introducing the rest of the team!
Gary Steinhardt Transport & Logistics Gary has been a leader for 39 years and has attended 11 of the 12 New Zealand Ventures held (three of which he was the Australian Contingent
Leader). He has also been the Victorian Contingent Leader to many Australian Ventures. Gary is the Assistant State Commissioner – Venturers in Victoria.
Alan Wilson Catering Manager Alan has held many roles but is currently an Honorary Commissioner with the Victorian Branch. This is Alan's second NZV as Catering
manager, the same role he played in 2013. Alan has a lot of experience in running major events including Sub Camp leader for many Victorian Cuborees along with the Victorian Contingent to AV2015.
John Reisinger IT Manager John is currently a Cub Leader at Morwell East in Victoria and has attended the last two Australian Ventures and New Zealand Venture as a line
leader and Contingent Team. John has developed an IT system which allows us to manage a range of on and off site activities and it helps us keep track of all of the Venturers as we move from location to location.
Brad Saywell Assistant Catering Manager Ever since joining scouts 10 years ago, Brad has been driven by a passion for the outdoors in bushwalking, canyoning and caving. While in the venturer section Brad
completed his Queen’s Scout award and also attending an Australian venture. More recently he has played key roles in his Rover Crew ensuring there is always a challenge to tackle. Brad is a thinker and ready to tackle the challenges of NZV2016.
