DESCRIPTIONCurrent National Student Loan Repayment Program
NEW STUDENT LOAN REPAYMENT PROGRAM (SLRP) PROCESS ROM 1. When an institution is added, require at least a CAGE # or Federal Tax ID # to be entered. 2. The ROM will submit the MORD by Institution report data to the NGB/RSR. This data shows the payments for each institution by MORD. This is saved as an Excel spreadsheet and is named as follows: mpf_yyyy_MORD.XLS. The yyyy represents the fiscal year. 3. Create ANG form 38-4, no change 4. Create all DD 2475, no change 5. Receives completed 2475s, logs in forms and updates amounts 6. Run SLR Calc for all members due an anniversary payment. Do NOT run the SLR Calc on a member with a future anniversary date. a. If there is not a DD 2058 on file for the member, the process will not continue b. If there is not a CAGE code or Federal Tax ID # for the Institution that is to receive the payment, the process will not continue. c. The SLR Calc routine will calculate the payment for each loan. If the payment(s) is to be submitted to NGB, a transaction record for each payment will be created and stored in the tblInvoice table. d. Print members SLR Calc sheet and place in casefile. (proof that you ran the SLR Calc) 7. NLT the 10th of each month, the ROM will submit any SLRP payments to the ANG Retention Office. This submittal will include any transactions that were created and have an anniversary date that is equal to or less than the end of the current month. These transactions will be downloaded to an Excel spreadsheet that will be attached to an email that will be address to the representative for the sector in which the wing belongs.
8. Transaction payments can be resubmitted. These will also be submitted to the ANG Retention Office via an Excel spreadsheet. The file name that is sent via the e-mail will be named according to the following naming convention: mpf_RSSLR_yyyy.XLS
ROM: 9. Use Pending Invoices report to document those payments that you have sent to NGB/RSR and are waiting for the Payment Submissions report from NGB.
NGB/RSR 10. A SF 1034 will be created for every transaction submitted. The information on the 1034s that are created in this routine will be the basis of the Payment Submission transactions report. a. A report showing the following data from the Payment Submission Transaction table will be submitted to each ROM via email. - MPF - Name - Institution MORD # - Invoice # - Date Submitted to DFAS ROM 11. Import the Payment Submission file into ROMPS using the Import Invoices button. Warning The Payment Submission file must be placed in the same sub-folder that you have listed in: Housekeeping- Update Unit information- File Locations- SLR download path.
ROM 12. Select View Invoice Changes to view any changes from what the ROM submitted and what NGB returned.
ROM 13. Select Pending Vouchers Report & Worksheet as a tool while searching MY Invoice . You can use this document to identify the appropriate MORD # and invoice #. Annotate the Voucher # and Paid Date on the worksheet . These items will be needed to update ROMPS using the Update DFAS Payment Info button.
ROM 14. Select Link to MyInvoice to enter the My Invoice web site. Query and obtain the SLR payment dates and voucher #. Print each individual detailed payment report from this site and include report in the members SLR casefile. Annotate the data on your My INVOICE Worksheet (shown above). ROM 15. Click on Update DFAS Payment Info to update your members SLR data fields in ROMPS. From the MyInvoice Worksheet update all applicable fields with the data that you added.
Using just the MORD # drop down will provide ALL open vouchers for that MORD. Using the MORD # & Invoice # drop down will only provide you with 1 voucher to update
Update the blank Fields (Shown below) using the data from the MyInvoice Worksheet
ROM 16. Click on Create W2 Report to send your monthly report to DFAS. This must be complete NLT the 10th of each month. Email address is: [email protected]
ROM 17. Update ROMPS (Using Master Incentive record) with payment date and produce 38-5 and members payment notification letter.
