Mulch Distribution Fundraiser for the Duke chapter of Engineers Without Borders 

 

  

Summary: The Duke Chapter of Engineers Without Borders started a mulch distribution fundraiser to generate funding for materials used in the construction of a bridge in rural Bolivia.  The basic idea of the fundraiser involved purchasing mulch in bags at wholesale costs and distributing it at retail costs with a mark‐up.  The project grossed $2521 in orders, netted $1020 in surplus funding for Duke‐EWB, and delivered 36,000lbs of mulch in 500 bags to the city of Durham.  The project was inspired by the annual mulch fundraiser conducted by Boy Scout Troop 255 in Chevy Chase, Maryland.  In addition, the project was designed to be repeated in future years and scaled up for greater impact.

Market Area: A residential area north of Duke’s East Campus was chosen as the target market for the fundraiser.  The precise target market area was determined by John Miller, the Scholar in Residence at the Urban Land Institute.  The target market area was chosen for several reasons:  a high density of houses per unit area, a high level of

affluence, a large percentage of owner‐occupied homes, and proximity to Duke University.  Consult the appendix for details of the target market, and the actual market for the fundraiser. 

 

Marketing All houses in the target market area received a hand‐delivered flyer, which contained a mulch order form on one side, and some boiler‐plate information about EWB on the other side.  Included with the flyer was a pre‐addressed, un‐stamped return envelope.   The address used on the return envelopes was: Duke Engineers Wihtout Borders, 305 Teer Engineering Bldg, Duke University, Durham, NC 27708‐0271.  (This address worked fine, and I recommend using the same address, or discussing an alternative with one of the Pratt Administrative  Assistants.) Approximately 1000 flyers were distributed yielding a penetration rate of approximately 2.9%.  I suspect that this penetration rate is lower than would be experienced in future years for two reasons.  (1) I believe that the weak economy might have stifled orders, and (2) the aggressive rain during the flyering campaign certainly ruined or weakened many of the flyers that were distributed. 

In addition to using paper flyers, an email campaign was used to further reach the target market.  The WHHNA (Watts Hospital and Hillandale Neighborhood Association) mailing list was used to distribute an electronic copy of the paper flyer along with an email message.  The penetration on this campaign was approximately 0.8%.  (Note: the email campaign yielded almost exclusively large orders over 10 bags, but this could have been a coincidence.) 

A separate, internal email was sent to all faculty and staff at the Pratt School of Engineering.  This email offered mulch at a lower rate for pick‐up only.  Ultimately, only 3 people were found using this option, indicating a penetration rate of 1.1%.  Even at this rate, an email campaign would be very successful if it could be distributed to the entire Duke family of faculty, staff, and employees. 

Distributing Flyers Prior to distributing flyers, individual bags were created containing 100 printed flyers, and 100 addressed return envelopes.  Each person was given one of these bags and a route containing approximately 100 houses.  Prior to the flyering, a map was created for each person indicating his or her target route against a larger

communal record of the target market territory.  The total territory covered is included in the appendix.  All flyer distributors met at the Duke East Campus Bus stop and were given a bag of flyers and a target area.  Then, Tom Rose shuttled people around by car as needed to provide breaks, shelter from rain, new marketing territory, and additional flyers when needed.  Better weather would have greatly improved the flyering campaign. 

In the future, rain dates should be planned for flyering, and flyering should ideally take place over the course of several days or weekends depending on the flexibility of the labor pool. 

Pricing: The pricing of the mulch was set at roughly $1 above the Home Depot price.  This price was chosen based on the experience of the Troop 255 pricing schedule.  The price reflects the quality of the mulch, the size of the bag, and the home delivery service. 

 

Printing: The flyers were printed at Duke University using e‐print at no cost to the Duke chapter of Engineers Without Borders.  The return envelopes for mulch orders were labeled by Tom Rose.  Printed return labels were purchased from office max for $27.73 and printed on an inkjet printer. 

 

Proceeds: The proceeds from the mulch distribution fundraiser were used to support a student project to construct of a bridge in rural Bolivia.  All proceeds were donated to the Duke Chapter of Engineers Without Borders for the above purpose.  

 

Labor: All labor for the distribution of flyers and mulch was provided by the Duke Chapter of Engineers Without Borders.  The labor force was coordinated by Patrick Ye in collaboration with Stephanie Chang.  Initial labor estimates, based on extrapolations from data collected by Troop 255 in the third annual mulch fundraiser suggested roughly

45 man‐hours would be needed for distributing flyers in phase 1, and 45 man‐hours would be needed for mulch delivery in phase 2.  Ultimately 78 total man‐hours of labor were needed for marketing and distribution.  For a precise tally of all labor on the project consult the appendix. 

 

Staging Area: Jo Jackson and Phil Martin, two Duke employees who operate East Campus, were gracious enough to allow the use of an East Campus parking lot for the staging of the mulch prior to delivery and/or pick‐up.  The parking lot is located at the corner of W Markham Ave and Sedgefield St.  The parking lot began to fill up quickly on Friday night starting at about 4:30, so U‐Haul trucks were used to block off a large area for staging on the following day. 

 

Trucks: Both of our trucks were rented from U‐Haul at a cost of $118.59.  ($40 per truck +$0.89/mi + tax + $1 fee + gas).  The trucks were rented from the U‐Haul on Guess Road.  This U‐Haul location was extremely convenient.  Located at the corner of Guess Rd and Clarendon St. the center could be reached quickly without having to cross any major roads. 

Of the two trucks that we rented, one was almost brand new and drove amazingly well.  The other truck was old, sluggish, and difficult to operate.  In the future, I recommend requesting a newer truck, or even renting from another facility if needed.  Allowable gross weight, not volume is the limiting factor for hauling capacity.  Trucks should be specified appropriately.  (Bigger = Better) 

We investigated obtaining trucks from Duke Facilities Management Department (FMD), but were not successful.  FMD trucks are typically reserved for exclusive 

FMD use. 

 

Loading Mulch Into the Trucks Old Castle lawn and garden very generously supplied us with a forklift, which was operated by the delivery truck driver.  Myron Taschuk was able to secure a palate‐jack from FMD, which could be used to move the mulch palates around in the U‐Haul

truck.  When used in combination, the forklift and palate‐jack enabled very easy loading of the U‐Haul trucks.  Having seen this process in operation, I wouldn’t recommend loading the U‐Haul trucks in any other manner. 

 

Mulch Delivery Prior to delivery day, a map was printed for each order on the delivery route from Google Maps showing the order destination.  The order forms, which included custom delivery information, were stapled to the back of the map for each respective order.  The orders were then segregated into three distinct geographical areas.  Two areas were covered by one delivery truck, and the third, larger area was covered by a second delivery truck.  A count was made of the number of bags 

needed for each delivery region, so that the trucks could be loaded appropriately.  

Myron Taschuk, a Duke FMD employee, and Kris Spaeth, a recent Duke Doctoral graduate, volunteered to drive the delivery trucks. 

On delivery day, each truck proceeded to its specified order locations in succession.  A car of students from Engineers Without Borders tailed each 

truck.  At each stop, the students and drivers quickly unloaded the required number of bags at the requested location and then departed for the next stop. 

The delivery of all 500 bags took approximately 3 hours.  The trucks were cleaned and returned to the U‐Haul store in the 4th hour.  The minimal waste from the mulch delivery was deposited by hand into a near‐by waste can, and the wooden palates were stacked in the corner of the parking lot.  Phil Martin volunteered in advance to arrange for the disposal of the left‐over wooden palates. 

A broom was needed for sweeping the trucks clean at the end of the day, and duct tape was used liberally throughout the day to repair bags damaged during handling.  In the future, each

truck should be provided with a fresh roll of tape at the start of the day for dealing with routine repairs.  The Duct Tape and Broom was supplied by Tom Rose at no cost to Engineers Without Borders. 

Pick‐up Orders People contacted through the internal Duke marketing effort were offered mulch for pick‐up at better‐than‐retail prices.  There were three clients who utilized the option and came to pick‐up their mulch on delivery day.  Their orders were laid out in metered piles and labeled at the beginning of the day so that they could be picked up at any time without supervision.  Fortunately, someone was always present to meet customers during a pick‐up and I recommend planning to have one person manning the distribution center at all times in future events to speak with customers.  

Mulch Acquisition: Old Castle Lawn and Garden (located in Southern VA) supplied the mulch for the 

Duke Engineers Without Borders Fundraiser.  They supplied the mulch at a cost of $1.99 per bag + $200 per delivery truck.  (This included a discount of $0.07 per bag.) Each truck may deliver up to 810 bags.  Our order was deliverable on a single truck. 

Mulch is delivered on wooden palates in increments of 45 bags.  Our total order was for 12 palates and totaled 540 

bags. 

Payment for the mulch was provided by Duke using a mastercard.  Diana Hanson coordinated the payment by phone with Wendy, the primary old castle representative.  

 

Banking and Accounts Receivable: “Duke University” was the designee on all checks.  Jim Gaston volunteered the use of the Smart Home mailbox for collections of the mulch orders.  The Smart Home mailbox is located at 305 Teer Engineering Bldg, Duke University, Durham, NC 27705.  David Schaad, the advisor for the Duke chapter of Engineers Without Borders arranged for a unique fund code (Duke accounting cost object) to handle all

revenues and costs of the mulch fundraiser.  Diana Hanson, the business manager for the Civil Engineering Dept processed all the checks from client orders. 

A paypal account was established to handle payments by credit card.  $663.75 in mulch orders were processed using paypal.  Paypal includes a processing fee of approximately %4 on all orders placed by credit card.  The paypal account was used for the reimbursement of all expenses other than the mulch.  All funds remaining in the paypal account after reimbursements were paid was issued to Duke in the form of a check for deposit into the Engineers Without Borders account. 

 

Thoughts for Future Expansion • This annual mulch sale should 

take‐over the mulch market in Durham.  There is no reason why Duke cannot become #1 in mulch in Durham in 3 years. 

• Expand at least 4 times to approximately 2000 bags in 2010. 

• Brand the sale the “Duke Mulch Sale” or something similar for recognition in future years. 

• Involve other organizations.  Allocate profits according to hour‐based labor effort, and bill the fundraiser as a method to raise money for your own organization. 

• Consider partnering with Duke Garden, they have an image that would be useful for mulch.  They also might have a client list that could be used for marketing. 

• Consider partnering with Trosa (www.trosainc.org).  Trosa has access to all the needed tools for this project including a nearly limitless labor pool and access to moving trucks.  They would be a natural partner for handling logistics.   

• Do more email marketing within Duke.  Consider trying to hit all of Duke including the Med Center. 

• Use direct mail marketing to last year’s clients. • Consider using direct mail marketing to last year’s clients, while 

simultaneously flyering a new, separate area.   • Contract a management student to complete a business analysis for 

expansion purposes.   • Create a sign to use near the staging area for communication with the public. • Publicize the mulch sale on www.duke.edu and http://ewb.pratt.duke.edu.  • Consider an arrangement with Old Castle Lawn & Garden where they donate 

the mulch in exchange for a tax write‐off.  Depending on the accounting, this

might even be more profitable for them because they can deduct the mulch at retail prices, but they only take a short‐term loss at their production cost. 

• Investigate the cost of a mulch‐bagging machine.  This might be extraordinarily profitable in the long run.

uke was started in 2005 by

cShane and Jean Foster, two

Civil & Environm

ental Engineering undergraduate students in the Pratt

School of Engineering. The group’s first project w

as a mechanical aerator

designed to increase dissolved oxygen in w

ater. This device was tested in the

summ

er of 2005 in Banda Aceh, Indonesia, to help local shrim

p farmers

recover from the devastating tsunam

i the previous w

inter. The students also w

orked on a riverbank erosion-control project in Papua.

Since then, EWB-D

uke has grown from

five students to over 25 active

mem

puters, rainwater harvesting

systems, peanut shellers, w

ater quality testers, and w

ater distribution systems.

Our projects have spanned the globe: from
