    MINUTES

    Southlands Elementary School PAC Meeting

    Tuesday, October 6, 2009, 7:00 8:29 pm.Location: Southlands Elementary School Library

    Attendees: Mrs. Appleton (Staff Representative), Verlee Bromley (PAC Co-chair), Ian Cannon(Principal), Amy Francis, Joyce Green, Carole Jones (Fundraising), Sarina Kier (DPAC Rep),Michelle Kokan (Co-chair), Angie OBrien, Chrystal Palaty (Recorder) Sofia Sandover, AlisonSilmans, John Stekl (Treasurer), Jennifer Thornton, Heidi Maclean, Jane McCague, AmandaZhang.

    1. Co-Chair Welcome Verlee Bromley & Michelle Kokan, PAC Co-chairsVerlee and Michelle welcomed all attendees, and a round table introduction was conducted.Minutes from the May 2009 PAC meeting motion to accept by Carol Jones, seconded by SarinaKier.

    2. Principals Report Ian Cannon, Southlands Principal

    H1N1 - as mentioned in a notice sent home, the VSB will be directing school responses tothe H1N1 virus. Precautions being taken include hand washing protocols, an increase incleaning of "high touch" areas twice daily, and the school being provided an adequate supplyof soap and paper towels. Students at school exhibiting any flu like symptoms are to remainat home until symptom free. The Board is in close communication with Coastal Healthregarding the H1N1 virus. So far, our school's absentee rates are low and there have been

    no cases at the school. Action Schools BC - School staff have decided to opt into the Ministry of Education's Action

    Schools program. This program is designed to enable schools to meet the Ministryrequirement of 30 minutes of daily physical activity. Each class will receive a bin of sportsequipment and lessons for both indoor and outdoor activities.

    School Choir- due to low interest, the school will not be having a choir this year - although Iam hopeful this will change. Instead of choirs performing at our special events, individualclasses will be performing, the songs will be taught in their regular music classes.

    Traffic Safety - the school crossing guards under the supervision of Ms. Appleton, are nowbusy each morning and afternoon directing the crosswalks. The guards have receivedtraining from a Vancouver police traffic safety officer. We are encountering some difficultieswith people using the staff parking lot as a shortcut, and ask that parents reinforce with theirchildren to use the walkways instead.

    Mad Science - Like last year, the school is bringing the Mad Science group in for noon hourscience activities. The group is having an assembly on Thursday to share the programinformation with the students. This program was very popular last year and many consentforms have already been received.

    School Assemblies - At our assembly yesterday, students from division 1 madepresentations on the code of conduct, the IB learner trait of inquiry, and recycling, Eachmonth we have an assembly and this year each class will be running one assembly. The

    November assembly will be organized and run by division 2. Parents are always welcome toattend assemblies and performances.

    Volleyball signup is happening with Mr. Jung.

    3. Treasurers Report John Stekl, TreasurerJohn distributed the financial statement to August 31, 2009, which is our fiscal year end. This last year we had a surplus $6500; revenues were $2000 more than expected and

    expenses $4200 less than expected. We had $34,000 cash at the end of August, and

    $15,000 worth of equity. Gaming funds provided by the government were approximately half of what was anticipated. The budget is prepared for the June AGM, from information available on May 31, three

    months before the financial year end. Because of these changes (unanticipated revenues, areduction in gaming funds and a decrease in the number of students) the executiverequested extra time to discuss the operating budget and to present a revised budget at thenext PAC meeting.

    Motion made to approve the financial statements from August 31 by Joyce Green, secondedby Sofia Sandover.

    Motion made to approve $800 for Body Science to this years budget by Jennifer Thornley,seconded by Amy Francis, motion passed. Michelle Kokan provided a short explanationabout Body Science, which involves a parent education night and an age appropriatepresentation about sexual health for children. Alison Sillmans will work with Sofia to organize

    the event.

    ACTION ITEM: in June we will request that Body Science is added to annual budget.

    4. Fundraising Carole Jones, Fundraising Pizza/hotdog day. We have 25 volunteers. Next pizza day is October 16

    th; grade 7 students

    will help with Pizza Day to use less parent volunteers. A parent needs to be present for foodsafety and to manage the cashbox. Carol will email all the volunteers about the hotdogs. Asdecided last year, there will be smaller pots this year.

    Subway: reminder that subway day is this Friday. Tupperware fundraiser. Brochure and notice will be sent out Friday, and due October 30.

    There will be a Tupperware open house at Verlee Bromleys home on Tuesday, October 27th,

    between 4 8 pm. The school gets 40% of all Tupperware purchases.

    Purdys Christmas fundraiser. November, for December Winter Social, December 17

    th. Bake sale, auction, Santa, music. Anyone who wants to help

    please let Carol know.

    5. Hearts at School Presentation Angie OBrien Angie OBrien provided a short presentation of the one day health education fair with several

    booths, each highlighting a different heart-healthy aspect, such as sun smarts, nutrition andno smoking. Although the current toolkit is geared to grade 5 and 6, it can be adapted toyounger children. Angie will be in charge of organizing the event, and has four volunteers torun the stations. Further support may be required to get sponsorships, prizes and funds torent banners. The benefit to the school is that it brings in the community to work together toraise awareness of health issues, and allows kids to try new activities.

    Angie will attend an upcoming staff meeting to present the program and get support fromstaff. Ian Cannon stated that the staff is very likely to support this initiative, as the focus onhealthy living matches with the curriculum.

    A concern was shared by Sarina Kier, that activities need to be suitable for the entire schooldemographic, and do not accentuate economic and social disparities.

    A motion was made for Angie to provide a full presentation at the next meeting, and includethe plan: how many people are needed, who would be involved, how many volunteers are stillrequired, how many children do you need to have in the program and what grades,descriptions of what the volunteers will need to do, whether students opt out, a list of

    activities that students may be able to participate in, the buy in from staff and a specificamount of funds needed.

    Action Item: Angie will present the plan at the next PAC meeting.

    6. Southlands Year book Michelle Kokan Request was made for a yearbook coordinator /photographer, as there was no response at

    the beginning of the year. Suggestion: grade 7s take over much of the yearbook production

    as a project. Suggestion was made Sofia Sandover for a yearbook club for Grades 6 and 7.

    Action Item: Ian will ask if any teachers are interested in forming this club. Alternately,perhaps a parent would be interested. This project involves work near the end of the year,and the parent or teacher can chose which month that will be.

    Action item: Ask Paula Heal to make an itemized list of tasks/job description.

    7. Other business PAC Co-chairs

    Ian introduced Sarina Kier, our DPAC representative and explained her role. Call for Traffic and Safety Volunteers. Some discussion around alternatives: class parents

    being assigned a monthly rotation, using parent volunteers only for the first day back after

    holidays, snow days or bad weather days, having Tony Clement visit during drop off, ICBCspeed signs. Sofia Sandover offered to be a float as she is often at the school at this time.

    Action Item: Verlee will phone the city to request lower branches of tree removed, toincrease visibility of safety patrol.

    Action Item: Michelle to contact ICBC to request speed signs on Camosun.

    Action Item: request for senior citizens and extended family to assist. This will be revisitedat the next meeting.

    Class parents. Thank you Heidi Macleanfor volunteering for the Grade 1 class parent!Division 2 class parent role will be shared by everyone. everyone will share the job.

    Alison Sillmans asked about the food in the Earthquake bin fruit leather and granola bars.Unanimous decision to donate the food.
