Welcome!TheMD-PhDprogram is intended formedical studentswhowish to explore cellular andmolecularmechanismsof disease,combine research and clinical activities and acquire a physician-scientist profile. Implicit in this, is the notion that the majority ofsuccessfulMD-PhDs will pursue an academic career. There are two possible paths toward obtaining anMD-PhD: Track I, where youembarkuponyourPhDthesisimmediatelyfollowingcompletionofyourmedicalstudies;andTrackII,whereyouengageinyourresearchproject after having pursued clinical training for 2-3 years following completion ofmedical school. TheMD-PhD is a Federal program,meaningthatfederallyfundedscholarshipscanbeobtainedonacompetitivebasis.

Thepresentdocumentsummarizesthenecessarystepstoenrol intheMD-PhDprogram,obtainaFederalfellowshipandcompletethedoctorate inMedicineandScience (MD-PhD) at theUniversityof Lausanneor theEPFL according to regulationsupdated in 2017.Werecommendthatyoudownloadthisdocumentfromourwebsite,sothatyoucanusethelinks.

IfyouenrolledasMD-PhDstudentbeforethe fallof2017,pleaserefer tothe“Directivespour leDoctoratenmédecineetèssciences(MD-PhD)effectuéàlaFacultédebiologieetdemédecine»establishedin2013.

2. AdmissiontotheProgram

Thefirststeptowardadmissionconsistsofwritingtothesecretariatoftheprogram(mdphd@unil.ch)indicatingyourinterestinobtaininganMD-PhD.Youwillbeaskedtosubmitasetofdocuments,including:

• ACVwithaphoto• Copiesofallrelevantdiplomasyouhaveobtained• Transcriptsofyourmedicalschoolexamresults• Certificatesofanyrelevantelectivesandinternshipsyoumayhavedone

ThesecretarywillthensetupameetingwiththePresidentoftheMD-PhDCommitteeduringwhichyouwillbeexpectedtoexplainyourmotivation for joining theprogramandhowobtaininganMD-PhDwill affect and shapeyour future career. Youwill beprovidedwithdetails regarding thepreparatory requirements (seebelow)and invited tomeet theMD-PhDCommittee,whichconvenes four timesayear.

3. MeetingtheMD-PhDCommittee

DuringyourfirstmeetingwiththeMD-PhDCommittee,youwillbeaskedtoexplainthereasonswhyyouwishtobecomeanMD-PhDandpresent your future career plans and research project. Following your presentation, youwill be formally admitted to the program. Amentorwill be appointed to youwhowill help youprepare youpresentation towardobtaining a Federal scholarship andwhowill beavailabletodiscussanyissuesthatmayariseduringthepreparatoryphase(i.e.beforeyouformallyengageinyourthesiswork).

4. Selectingaprojectandathesisdirector

At the time of yourmeetingwith the President and your introduction to the Committee, youmay not yet have a project or a thesisdirector,particularlyifyouareinyour3rdyearofmedicalschool.Yourprimarymissionsatthisstagearetwofold:

• toidentifythemedicalspecialtyinwhichyouwishtogainbothclinicalandscientificexpertiseandwhichwillconstitutethecoreofyourfuturecareer;

• tofindtheoptimalenvironment(inthemajorityofcases,researchlaboratory)forobtaininganMD-PhDinyourfieldofinterest.

ThePresidentandCommitteememberscanguideyoutowardfindingasuitablelaboratoryandthesisdirector.However,itisuptoyoutodetermine the field thatyouwant tomakeyourown–one inwhichyouwillbecomeanexpertand towhoseprogressyou intend tocontribute.Onceyouhaveselectedyourfieldandidentifiedapotentialhostlaboratory,youwill,togetherwithyourfuturethesisdirector,defineyourresearchproject.

5. ProjectpresentationandFederalscholarships

Uponelaboratingyourresearchprojectwithyourthesisdirector,youwillpresentittotheMD-PhDCommitteeintheformatrequestedbytheFederalprogram.Theformatrequires2minutesofintroduction,includingthereasonswhyyouwishtoobtainanMD-PhDandyourcareerplan,and5minutesofdescriptionofyourprojectwithnomorethan3supportslides.TheCommitteemeetsfourtimesayear,andyouwillbeinvitedtopresentyourprojectonseveraloccasions.TheprimarygoalatthisstageistoprepareyoutopresentyourprojecttotheFederalCommitteeinBerninviewofobtainingaFederalscholarship.TheMD-PhDCommitteememberswillthereforeprovideyouwith comments and suggestions toward optimizing your presentation. In addition to the oral presentation, youwill provide awrittendescriptionofyourprojectintheformatofagrantapplication(detailsprovidedbelow).

Fortrack IMD-PhDcandidates, it is imperativethatyouhaveaprojectatthevery latestbythefallsemesterofyourfinal (6th)yearofmedicalschool.InDecemberofyourfinalyear,theCommitteewillselectcandidatestosendtoBernbasedonthequalityandfeasibilityoftheirprojectandthequalityoftheirpresentation.SelectedcandidateswillthencompeteforaFederalscholarshipinBerninMayofthefollowingyear,whichmeansattheendofyour“annéeàchoix”asyoupreparetoreviseforyourfinalexams.

The scholarshipprovides3 yearsof salary support, the fourthyearbeing coveredbyyourhost laboratory, according toaprior signedagreementwithyourthesisdirector.CandidateswhoareunsuccessfulinobtainingascholarshipinBernareeligibleforalocalscholarship.IfyouobtainneitheralocalnoraFederalscholarship,itwillbeuptoyourhostlaboratorytoprovideyouwithsalarysupport.

OneoftheMD-PhDCommittee’sprimarymissionsistosupportcandidatesadmittedtotheprogram.ThePresidentandtheCommitteemembers,includingyourappointedmentor,willalwaysbeavailabletoguideandhelpyouthroughoutyourpreparation.

6. Preparatorytraining

InordertobeeligiblefortheMD-PhDdoctorate,youneedtoobtain35creditsECTS(see“Formationpréparatoire”inthe“DirectivespourleDoctoratenmedicineetèssciences(MD-PhD)effectuéàlaFacultédebiologieetdemedicine”updatedin2017).

ForbothTrackIandTrackIIstudents,25creditscanbeobtainedduringthe6yearsofmedicalstudiesattheUNILorinanotheruniversity.Atotalof15creditsareawardedfortheMasterproject,1creditisawardedfora“coursàoption”duringthesecondyear(BMed2)and

3credits are awarded for a “cours à option” in the third or fourth year (BMed3 orMMed1). Additional credits can be obtained byengaginginsummerinternships(1credit/weekofinternship)andattendingsummerschools(typically3creditspercourse).

At the end of yourmedical studies, once you have successfully completed your final exams, youmust attend training in one of thefollowingareas:

• Molecularbiology• Publichealthandclinicalresearch• Imagingandbiomedicalengineering

CoursesareprovidedbytheSchoolofBiologyandtheMedicalSchoolanditisuptoyoutoselecttheonethatbestsuitsyourresearchproject.Youareencouragedtotakeacourseinbioinformaticsandbiostatisticsaswell.

Traininginanyoneoftheseareaswillprovideyouwiththe10remainingcredits.ItisdesignedtoprovideyouwithasolidknowledgebasetoinitiateyourresearchprojectandshouldideallybedonebeforestartingtheMD-PhDdoctorate.However,dependingonthetrainingyourequire,therelevantcoursesmaynotbeavailableatthatmoment.Youthereforehavethepossibilitytoperformthetrainingduringyour firstyearof research,butyouareencouragedtocompletethetrainingasearlyaspossible toallowmaximal timeforyour thesiswork.

N.B. : Students who engage in a research project at EPFL are subjected to EPFL rules and regulations regarding all requirementsrelative to their thesis.

Interviews President/Secretary: The student discusses her/his intentions with the President and the Secretary of the MD-PhD Commission and she/he receives allnecessary information. During the whole program the President and the Secretary of the MD-PhD Commission stay available for the candidate if new meetings,information or help in searching a laboratory and/or funds are needed.

7. Followingregistration

Attheverybeginningofyourresearchwork,youmustassembleathesiscommitteethatwillfollowyourprogressforthedurationofthethesisperiod.Thecommittee’scomposition,establishedinagreementbetweenyourthesisdirectorandyourself,mustbecommunicatedtotheDoctoralSchoolatthelatestonesemesterfollowingyourregistration.

Thecommitteeincludes:

1. Thethesisdirector(andco-directors,ifapplicable)2. Twoexperts,ofwhomatleastonemustbeexternaltotheDepartmentofyourthesisdirectorandwhomustnotbecollaboratorson

the thesis project.Note that for the final thesis defence, at least one expert of the Jury must be from outside the University ofLausanne; the expert can either be a member of the thesis committee or you may choose an additional expert who fulfils thisrequirement

8. Creditsrequiredduringyourthesis

Inadditiontothe35creditsobtainedpriortoengaginginyourthesisprojectorbytheendofthefirstyearofyourdoctorate,youmustobtain12creditsforcourseworkduringyourthesisperiod.Mechanismsforobtainingthesecreditsareindicatedinthe“Règlement2017pourl’obtentiondugradededoctoratèssciencesdelavie(PhD)”.

9. Bytheendofthefirstyear

• Youmustprepareashortreportsummarizingthesubjectofyourthesis,thethesismilestones/planandresearchprogressbytheendofthesecondsemesterforafirstevaluationbythethesiscommittee.Thereportshouldthenbesentaccordingtospecificinstructionstoyourfundingsourceandbye-mailtoALLthemembersofthethesiscommitteewithacopy(cc)tothethesisdirectorandtheDoctoralSchoolFBM(mdphd@unil.ch).

• CompileandcompletetheECTSdocuments. Aminimumof4ECTS(including2tutorialsaccreditedbytheDoctoralSchool)mustbeobtainedbytheendofthefirstyearofyourthesis.

• ForwardallthedocumentsbypostalmailtotheDoctoralSchoolFBM(mdphd@unil.ch).

10. Mid-thesisexam

Themid-thesisevaluationmustbeheldatthelatest18monthsfollowingthestartoftheMD-PhDcontract,whichinpracticaltermsmeansthestartofyourthesisproject.Theexamprovidesthemeansforyourthesiscommitteetoensurethatyourprojectisontrackandtohelpresolveanyissuesthatmayhavearisenuptothatpoint.Youarethereforerequiredtopresenttheprogressofyourresearchprojecttoyourthesiscommitteeaccordingtoaformatthatresemblesthatofyourfinalthesisexam.

Togetherwithyourthesisdirector(s)andcommitteemembers(includingthepresident),youmustselectanexaminationdate.Atleast15dayspriortothemid-thesisexam,youshouldforwardthefollowinginformationtotheDoctoralSchool:

• A mid-term report presenting the results and research progress (max. 20 pages, double-spaced, 30 references max.). Thisdocumentshouldbesignedbyyouandthethesisdirectorandthensentbye-mailtoALLthemembersofthethesiscommitteewithacopy(cc)tothethesisdirectorandtheDoctoralSchool(mdphd@unil.ch).

• Ane-mailtomdphd@unil.chspecifyingthedate,timeandplaceoftheexam.

11. Successfulcompletionoftheprogram

Completionoftheprogrammeansthatyouwillhavecompletedyourresearchprojecttoastagewhere, inagreementwithyourthesisdirector,itisadmissibleforathesisdefence.Youwillalsohaveobtainedaminimumof12ECTSasindicatedabove.

Please forward thedocuments for validationof the courses youhave takenat any timeduring your thesis, butat the latest 4weeksbeforedepositingthethesismanuscriptattheDoctoralSchoolSecretary'sOffice(=manuscriptfortheprivateoralexam).

12. Areyoureadytodefendyourthesis?

Inessence,youareexpectedtowriteyour thesismanuscriptandthendefend itat the“privatedefence”sessionbeforeyourselectedthesis committee (see below). Following a successful “private defence”, you will be allowed to present your research in a formataccessibletonon-scientistsduringasessionopentothepublic.Thefinaldecisionastothesuccessofyourisbasedonthefollowingfourcriteria:

• Thequalityoftheresearchwork(skillsandautonomyoftheMD-PhDcandidate;originalityoftheMD-PhDproject)• Thequalityofthewrittenthesis• Theoutcomeoftheprivatedefence/exam(aka:soutenanceprivée,privateexamororalprivateexam)• Thequalityofpublicdefence/exam(aka:soutenancepublique,publicexamororalpublicexam)

Thefirst threecriteriaareevaluatedbythethesiscommitteeduringthe“privatedefence”,whereasthefourth isevaluatedduringthesessionopentothepublic.Thethesisdefenceusuallytakesplaceinthe3rd,4thor5thyearofenrolmentintheprogram,providedthattheminimum12ECTSofcourseworkhavebeenobtainedandthatthemid-thesisexamhasbeensuccessfullypassed.Itisyourresponsibilitytogetherwiththatofthethesisdirectortodetermineifasufficientbodyofwork,ofpublicationquality,hasbeencompletedinordertoinitiatethefinalstageofthesis.

A. Thesisformat

Consultthe“Howtoformatyourthesis”section(below)todulyorganizeandformatthethesisdocument.

B. Selectyourthesiscommittee

Athesiscommitteeneedstohaveminimumof4membersandmaximumof6andshouldinclude:

• Thethesisdirector(andco-directors,ifapplicable)• Two(orthree,seepage2,chapter2.2)experts,withat leastonefromoutsidetheUniversityofLausanne.Notethatnoneofthe

expertscanhavecollaboratedonthethesisprojectorpublishedwithyou.• Thejurypresident(appointedbytheMD-PhDCommissiontochairthethesiscommittee).

E-mail all thesis committeemembers to select adate for theprivate thesisdefence.Once thedate is set, reservea roomon thecampus to hold the private defence. The composition of the committee, as well as the date and location of the exam should beannouncedtothesecretaryoftheMD-PhDprogram:MrsThérèseLiechti(mdphd@unil.ch)atleast5weekspriortotheprivatethesisdefence.

C. Beforetheprivatedefence(Art.15ofthe“Règlement2017pourl’obtentiondugradededoctoratèssciencesdelavie(PhD)”)

Youwillneedtosend the followingdocuments toMrsLiechti (FBMDoctoralSchool,Amphipôle324,Unil-Sorge,1015Lausanne)atleast5weeksbeforetheprivatedefence:

• Acopyofthethesis(paperversion)• Aletterorane-mailsignedbythethesisdirectorindicatingthename,addressande-mail(thefax,ifany)ofeachjurymemberand

alsothelocation,dateandtimechosenfortheprivatedefence.• AnupdatedversionofyourCV.• Alistofpublications,includingarticlesandabstractsrelatedtothethesisproject.• Twoone-pagesummariesofthethesis,oneinEnglishandoneinFrench.Eachsummarymustbewrittenonaseparatepageand

mustincludethetitleofthethesis,thenameoftheMD-PhDstudentandthenameofthehostDepartmentofthethesisproject.• Aone-pagesummaryofthethesiswrittenforthegeneralpublic,inFrench(pleasedonotforgettotranslatethetitleofthethesis

intoFrench).• TheCertificatewiththecreditsobtainedduringthePhD(hastoberequestedatthelatest4weeksbeforethedepositofthethesis

manuscriptfortheprivatedefencetoprogram.ls@uni.chorforstudentsenrolledinaprogramwithastudyoption,directlytotheprogramcoordinator).

Atthesametime,sendacopyofthethesistoallcommitteemembers.Unlesstheyspecificallyrequesttheelectronicversionofthethesis,eachjurymembershouldreceiveahardcopy(theprinteddocument).

TheDoctoralSchoolwillsendane-mailtothecommittee,withtheMD-PhDcandidateincopy(cc)askingthemtosendtheirreporttotheDoctoralSchoolat leastoneweekbefore theprivatedefence. In this report, theywillprovideanevaluationof the thesisand indicatewhethertheyconsiderthethesiseligibleforattributinganMD-PhDdegree.Afterreceivingthesereports,theDoctoralSchoolwillsendthemtothepresidentofthecommittee.

Uponreceivingthethesis,theDoctoralSchoolwillsendarequestofpaymentfortheexam’sregistration(CHF500.--)tothestudent’sprivatepostaladdress.

13. PrivateDefence

Duringtheprivatethesisdefenceyourknowledgeofyourthesisfieldwillbeevaluated.

Thedefence(1-2hours)willbeconductedinthefollowingorder:

• 30-40minuteoralpresentationbytheMD-PhDstudent• 2roundsofquestionsfromtheexperts• Discussionamongthecommitteemembersandformalgrading

ThelanguageofthethesisdefenceshouldbeeitherEnglishorFrench(butpreferablyEnglish);thechoiceoflanguageshouldbedecideduponbycommonagreementamongthecommitteemembers,thethesisdirectorandtheMD-PhDCandidate.

Duringthediscussion,thecommitteeassigns3grades(rangingfrom1to6;apassgradeis4;halfpointsareaccepted)forthreeaspectsofthethesis:

• Theresearchwork(skillsandautonomyoftheMD-PhDcandidate;originalityoftheMD-PhDproject)• Theclarity,depthandstyleofthewrittendocument• Theprivateexamination,includingthequalityofthepresentationandresponsestoquestionsraisedbythecommitteemembers

Youwillneedtoobtainaminimumgradeof4oneachoftheseabove-mentionedaspectsinordertopasstheexamandtocontinuetothepublicdefence.Onceyouhavesuccessfullypassedtheprivatedefence,youmustselectadateforthepublicthesisdefence,togetherwiththecommitteemembers(ataminimum,thecommitteepresidentandthesisdirectorarerequiredtobepresent).Thepublicdefenceshouldtakeplaceaminimumof3weeksfollowingtheprivateexam.Oncethedateisagreedupon,youmustreserveanauditoriumtoholdthepublicdefenceandannouncethelocation,dateandtimetoMrsThérèseLiechtiattheFBMDoctoralSchool(mdphd@unil.ch).

Ifthecommitteerequestscorrectionsofyourthesis,theyshouldbespecifiedinthedocumentcompletedduringtheprivatedefence(the“procès verbal”). Your thesis director is responsible for checking your corrections. She/he has to receive the corrections and informMrsLiechtithatthenewversionofthethesisisacceptableinitsrevisedform,atleastoneweekbeforethepublicdefence.

Thefinalprintedversionofthethesisshouldbehandedtothepresidentofthecommitteeat,orpriortothepublicdefence.Duringtheprivatedefence,the“procèsverbal”documentwillbefilledoutspecifyingwhetherthepublicdefencewillbeheldinFrenchorinEnglish(or,exceptionally,inanotherlanguage,uponagreementofthecommitteemembers).

14. PublicDefence

Asindicatedabove,thepublicthesisdefencetakesplaceatleast3weeksfollowingtheprivatedefence.Attheendofthepublicdefence,themembersofthecommitteedecidewhetherthethesisisjudgedasacceptable(“réussi”)ornot(“pasréussi”).Ifthedecisionispositive,youwill receive the“imprimatur”page (officialapproval that the thesiscanbeprinted) fromthecommittepresident,acopyofwhichmustbeincludedinallfinalcopiesofthethesis.

15. Afterthepublicdefence

A. Boundcopiesofthethesisdocument

Afterthepublicdefence,youhaveamaximumofsixmonthstoprepareofficialboundcopies(see“Howtoformatyourthesis”sectionbelow)ofthethesisdocumentanddistributethemasfollows:

• 1copyfortheDoctoralSchooltobesenttoMrsThérèseLiechti• 1copyforthedepartmentwheretheresearchwasdone• 2copiesforthethesisdirector• 1copyforeachmemberofthecommittee.Toavoidwastingpaper,timeandmoney,werecommendthatthejurymembersbe

contactedtomakesuretheyreallywantafinalhardcopyofthethesis.Youdonotneedtosendacopytothepresident,unlessshe/herequestsit

• 3 copies for theBCUL (BibliothèqueCantonal etUniversitaire Lausanne), oneof themwith a summaryof the thesis in English.These3copiesfortheBCULshouldbeaccompaniedbyaformavailableonourwebsitehere.

PleasenotethatyouhavetoremainenrolledattheUniversityofLausanneuntilthethesishasbeendepositedtotheBCULandtotheDoctoralSchool.

Thethesiscanbepublishedon-lineattheUniversityofLausanne,throughtheSERVALwebsite.
