1.2. Topics and Target Audience

On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) the ACC-project is supporting partner organisations in decentralized wastewater management as a measure for climate change adaptation.

The project promotes the efficient use of water resources by a twofold approach. Precious groundwater resources are protected by reduced pollution of aquifers with untreated wastewater. At the same time, the treated wastewater is reused thus substituting freshwater.

Beside the practical implementation and testing of pilot constructions of decentralized wastewater treatment plants for domestic and industrial wastewater and methods for reusing the treated wastewater for agriculture, urban parks, and other recycling processes, the project has a strong capacity development aspect. ´This overview intends to highlight the capacity building approach and gives some useful tipps and tricks mainly for the «Distance Learning» courses offered by the ACC-project.

2. Pre-Requisites To guarantee a successful participation at the e-Learning courses, some technical and organizational prerequisites have to be fulfilled – in fact, the obstacles are not very high. However, you should keep in mind that you should reserve a certain amount of time for the training and provide a stable internet connection to take part at the live-events (the webinars). In case of any troubles, feel free to contact us at [email protected], we will be happy to support you.

Following are some technical and organizational issues. You should care in advance to provide a good learning environment by fulfilling the conditions. Again, in case of questions or comments, please contact us.

2.1. Technical Pre-conditions

Internet Access: ✓ ISDN-speed to access the website and the course content (this is the minimum pre-requisite) ✓ simple DSL to follow the live webinars and the videos ✓ (optional): Broadband connection to interact during the discussion at the live webinars

Accounts: ✓ e-mail Account: For application and for identification, you need a functional own (!) e-mail address. You have to

monitor your e-mail account regularly! In case you have more than one address, please provide us only one (preferably the one that you use for registering with Facebook)

✓ Mobile number (SMS): Please provide a mobile number with your application. We will contact you via SMS and/or WhatsApp with important notifications regarding the course

✓ WhatsApp: If you are not registered with WhatsApp, please do so BEFORE the course. We will establish a group in WhatsApp to guarantee that we can reach all participants of the course. (WhatsApp is a free service, Apps are available for all Smartphones or Tablets. Should you have trouble to establish an account, please inform us in advance.)

✓ Facebook: If you are not registered with Facebook, please do so BEFORE the course. We will establish a closed (private) group for the participants. Beside communication, Facebook allows to up-and download ECXEL sheets, PDFs and Word files making it easy to get into touch with each other. Please use your real name (NOT a nickname) and a real photo of yourself (we should be able to identify you). If you are in doubt whether your data are secure, you can delete your Facebook account after the course.

Hardware: ✓ Computer/Laptop and/OR mobile Devices: Tablet/Smartphone.

Software: ✓ Newer operation system on your preferred device. On PCs: Windows 7 or higher | MacOS 10.x; on mobile devices:

iOS 7 or higher | almost any Android version | all Windows-Phones ✓ Up-to-date browser: Preferably «Google Chrome», «Firefox» or «Safari» (browsers are free, available for both PC & Mac) ✓ When you first use GoToWebinar (which we use to host the webinars), you have to download a plugin to your browser

or an app on your mobile device. This software is free; the link to the software comes with the invitation to the webinar. Please note that the download takes a certain time and that you have to enter the first meeting 15 min before the start! This makes sure that you are right in time. If you are in doubt whether the connection works, please contact us to arrange a pilot-meeting before the actual meeting to test everything and to support you.For more details and for a system-scan to check your system, proceed to the ACC-website.

A/V Devices:

For the interactive live webinars you need:

✓ Speakers - You must connect at least a speaker or a headphone to your PC. (Modern laptops or smartphones normally are equipped with a speaker as standard)

✓ Microphone - We can only hear you if you connect a microphone to your PC (Modern laptops or smartphones normally are equipped with a microphone as standard. However, you have to activate the mike on your computer)

✓ Headset - This is the best choice if you use a PC. It avoids feedbacks or echo-effects which can become a problem. A headset is quite cheap when you have to buy it.

✓ Camera - The control-panel in GoToTraining offers the option to enable a camera – provided it is attached to your PC. (Modern smartphones are equipped with a camera by default).But there is no reason to bother If you do not have a camera (or you cannot connect it to your PC). It is much more important that you can follow the presentation of the expert on your screen and that you can hear her/him via Audio (and that we can hear you!). It is not so important if we cannot see you (and, by the way, a camera requires lots of internet-bandwidth).

2.2. Organizational Pre-conditions

Permission by employer or superior:

Please note that GIZ (ACC-project) requires the formal information of your superior (if you are employed in an institution or a company) about the fact that you take part at an e-Learning course beside your work. You have to confirm this information in the application to an e-Learning course.

Occasion to use technical devices at the working place:

Sometimes, participants to e-Learning courses do not have private devices (PC and/or smartphone) at home. In this case, the devices at your workplace have to used for the course. The availability of these devices should be clarified before the course. With your application, you confirm that you can access the e-Learning course and the ACC-website and that you are allowed to take part in the webinars (max. 4 webinars per e-Learning course).

Time frame to complete e-Learning courses:

The e-Learning courses can be absolved beside your work – this means that you need 1,0-1,5 hours per day to read the content and the resources, watch the videos and to take part at the exchange between the other participants and the experts.

You should be well aware of the fact that the time mentioned above is needed to complete the content and the course successfully. Moreover, the setting of the course requires that you join at least every second day. It is not enough to open the course on a weekend only. Every course is only 4 weeks long – therefore, the deadlines for the final tests and the assignments are fixed. It is not possible to extend these deadlines. With your application you accept the course periods and the dates for testing.

2.3. Application

Proceed to ACC-Project webpage (–>Capacity-Development 2018/19) and locale the link to the application form. Please notice that the application is possible only during a limited time.

The link on the website takes you to the application form which you should fill in and send. Fields with an asterisk * are mandatory and need to be filled in before the submission of the form is possible:

2.4. Login-Data and Personal Profile

Your application for a course will be checked and approved within a certain timeframe. After your application is confirmed, your user data (username and password) are issued by GIZ and sent to you by e-mail. These login credentials can then be inserted into the login frame on the website http://www.dwm-acc-jordan.net.

Before you actually start the course, you have to proceed to the e-Learning course and personalize your password (you receive an initial password in the beginning) and complete your personal profile. Learn from one of the following sections how to access the «Class»-list, and how to chance your profile. This procedure will be communicated also in the e-mail which comes together with your login details.

The personal profile consists of the following details:

✓ Your photo (max. 500x500 pixel – please contact us in case you need help to reduce the size) ✓ Your contact-details ✓ Your personal and professional background (in keywords only)

Your profile is confidential and can only be visited by the other course participants. However, the completion of your profile is a mandatory step. Please notice that a further participation at the course is not possible without this step.

3. Delivery Formats

3.1. e-Learning (Distance learning)

E-Learnings are courses via the internet, accessible from everywhere in the world (internet-access provided) with a (tablet-) computer, or a smartphone. The e-Learning courses are guided and moderated by trainers (so-called tutors). This is why the courses take place in defined periods (4 weeks per course). After you applied (and are accepted) your login-details will be sent by e-mail.

Enter the «classroom» to see the structure of the course: 3 of 4 Modules, each consists of several lessons. These lessons are only as long to be completed in one session. One lesson consist of 5-8 pages. Please refer to the attached screenshot.

Summary PDF (Offline)

The course-content is also available in a PDF-version for offline use. You can either download these PDFs to your computer or your smartphone to read the pages in times when you don’t have internet. You can also print the files and use them as a paper-version, should you prefer this. The offline version does not contain resources and interactive parts. The online-tests are also not available offline. The PDF-version therefore only supports you in addition to the actual online version. A completion of the course is NOT possible with the PDFs only.

PDFs are available for download from the ACC-website. The files are available after the beginning of the course.

Resources

Beside the main learning content, organized in the pages of the lessons, the course contains various resource documents additional websites, images and videos. These resources offer additional explanations and in-depth insights to the content. Most of these resources are essential for a better understanding of the context – some of the resources offer just an additional value for those interested in a certain topic.

All resources are allocated the lesson they belong to (every lesson end with a page «Further Resources).

3.2. Webinars

There will be up to four interactive webinars per course (one in each course week), each of them maximal 90 min long. You will receive an invitation by e-mail and by WhatsApp for each meeting. Obviously, the meeting has to be started by an administrator before participants can join the meeting-room. In the e-mail, we use Greenwich Mean Time GMT (Universal time) to indicate the time at which a meeting starts – so please care for a possible time difference between your place and GMT. It is not possible to join a meeting before or after the indicated time. (A detailed description can be found on the website at /webinars )

For those who cannot join a particular meeting (for what reason ever), the meetings are recorded as video-films. These films are available from the course room. You have to login first to watch these recordings.

However, to complete a course successfully, you need to actively participance to at least 2 webinars!

We use «GoToWebinar» for these webinars – this means that there will be an automatic download of a plugin to your browser before the first meeting. Contact us for a pilot meeting or perform a system-scan on the ACC-website if you are insecure whether the webinars work properly in your environment. As the GoToWebinar license fees are already paid for the courses, the webinars are free for you!

3.3. Presence training courses (implemented by BORDA)

BORDA added content and resources to the e-Learning courses. Beside these courses, BORDA implements a number of training courses and study visits on behalf of ACC/GIZ. These courses are for invited participants only.

At the time in which the manual is being written, topics and dates for these courses are still under discussion. Therefore, this manual will be updated as soon as new facts are available. Please keep updated for more details on the ACC-Project website www.dwm-acc-jordan.net.

3.4. Blended Learning

The term «Blended learning» indicates each mixture between different forms of delivery of training content. In our case, there are plans to combine the participance of presence courses and study visits with the e-Learning courses. This means that a certain level of knowledge is achieved with the e-Learnings. A successful online test after these course are therefore a pre-condition to apply for the presence courses. The trainings and study visits require the knowledge of the e-Learnings.

More concrete plans for an implementation will be published on the website of the ACC-project and here in this manual (the current version of the manual is available from the website).

3.5. Documentation & Communication

The project website http://www.dwm-acc-jordan.net/ is the centre of all activities related to capacity development and training. It contains the documentation of the project, the e-Learning- and Face-to-Face courses and offers the possibility to apply for trainings and to login to the current e-Learning courses.

The communication between the participants of a course, with the tutors, technical and organizational questions are handled in a forum which is available at /pool-of-experts

Please notice that this forum is restricted in terms of write/read permissions: «Normal» users are allowed to read-only, the permission to write is restricted to users of the ACC capacity development courses. In case of of questions, please ask the web-site administration at [email protected].

In FaceBook and in WhatsApp, we will establish before, during and after all e-Learning courses so-called «private» (closed) groups. The participance to these groups are restricted to registered participants of the courses only. Further information can be found in this document (Technical Pre-conditions -> Accounts) and in the forum on the ACC-website (/pool-of-experts).

4. Construction of the ACC Website The image on the right side shows all pages of the website www.dwm-acc-jordan.net/ as a «Site-map». Most interesting for participants of e-Learning courses is the section «Capacity Development 2018/19». As described earlier, you can apply for a course, login (as a registered user) and communicate with after participants or with the trainers.

Resources (documents, podcasts, videos) used during the capacity development courses can be found in the section «Knowledge and Documentation»

The section «Pool of Experts» holds a Pinboard.

«Webinars » describes GoToWebinar in detail and offers downloads for the apps for mobile devices.

The project website itself makes intensive use of video stockage for documentation purposes. The practical pilot examples (a video documentation of the project work is currently in progress) can be found at http://www.dwm-acc-jordan.net/documentation/.

These sections make also all content related information like training agendas, necessary preparation tasks before the courses and so on available, so please keep updated.

4.1 Closed Section

The section «Internal Communication» is available for the members of the ACC-program steering only.

5. What Participants can Expect This chapter summarizes the services, registered participants can expect and what pre-conditions have to be fulfilled to get benefit of these services.

5.1 Certificates

A certificate will be issued to those participants of e-Learning courses who

✓ updated their personal profiles (People -> Edit your Personal Data) in the first course week

✓ completed the final online test at the end of a course with at least 60% of the total points (don’t confuse the obligatory tests with the «self-tests» at the end of each module which are for your own check only)

✓ participated actively to two of total four of the webinars ✓ participated actively to the discussions during the course (Forum and

Facebook groups) ✓ presented a personal action plan at the end of the course

The certificate will be issued electronically and sent by e-mail. From the image beside you can learn more about the priorities of the particular contributions.

5.2 Discussion of content related questions

Discussion of content related-questions is possible in three ways:

1. Webinars: Each webinar consist of an input session (this might be a lecture by an expert, a powerpoint presentation, a video,…) and a moderated discussion. In this part, participants get the opportunity to ask and discuss questions of interest.

2. Forum: in the forum in the course, participants can post questions or discuss about problems raised in the course and to upload own resources or solutions.

3. Social Media: Describes how to establish and to access the private FaceBook group to discuss personal questions.

5.3 Support

Participants of Capacity development courses can expect support and help in organisational, technical and content-related questions.

✓ General Support: For questions related to course and application please contact [email protected]. In case your question is of general interest, your question (and our answer) will also be posted to the forum to help other participants.

✓ Technical Support: Technical questions by any registered participants related to login problems, regarding hard- or software and problems with using the webinars will be answered within 24 hours. Please post your question into the forum or direct it to [email protected].

5.4 Group & Follow-up

You can get an overview about who else is with you in in the e-Learning course. Please proceed to «People» to get a list overview. By clicking on a certain name, you can see a short profile of the person. With «Edit your Personal Data», you can update your own profile, change the password and add a photograph.

Pool of Experts:

The ACC Project («Decentralized Wastewater Management for Adaption to Climate Change in Jordan») strongly aims to create a national pool of expertise in different domains related to decentralized wastewater management (DWWM) so that Jordan becomes confident in implementing and scaling up the decentralized sanitation approach in a sustainable manner.

As a registered member of the capacity development measures offered by the ACC-project, you are eligible to apply to this network. Experts belonging to this network will be introduced with their profile and competences on our website.

6. What we Expect of Participants

6.1. Completing the Profile

When you are accepted as participant to an e-Learning course, you have to first update your personal information. You can do so by logging in to the course, proceed to «People» and from there to «Edit your Personal Data» (please refer to the previous section of the manual for screenshots).

Here, you should complete your personal profile, and – most important – change your password from the initial value you received to a personal one. Please note, that we cannot see your password; in case you forgot the password, please contact the administration. Your password will be set back to the initial value and afterwards, you can personals it once again. Please note, that every section of this personal profile sheet has an own button to save your changes.

Why is this step mandatory? If you successfully entered and updated your profile, the technical course administration can easily see, whether your software/hardware is compatible to the course if there are no further problems to enter the course room. Please notify us immediately in case of questions ([email protected]).

6.2. Fulfilling Technical/Organizational Requirements

Some pages ago, all technical and organizational requirement were mentioned (refer to page 6 ff). With your application, you confirm that you fulfill these requirements. In case of doubt, please contact us.

6.3. «Lesson finished» Confirmation & Learning progress

At the end of each lesson (and of the self-tests), there is a button «Lesson finished». After completing a lesson, please hit this button. This turns the lesson-title in «Lesson progress» into green and gives you a short overview on your learning performance. The button «Lesson finished» disappears after you once hit it – so please don't use it before you are really done with this particular lesson.

6.4. Tests

Self-Tests:

There are multiple choice tests at the end of each module to give you the opportunity to check yourself whether all of content offered in this module has been understood correctly.

The «Self-Tests» are for your own check only and have no effect on the final grade. However, if you are able to give correct answers to the questions in the «Self-Test», you are well prepared for the mandatory online test (see next paragraph)

Mandatory Online Test:

There will be a multiple choice test online for approx. 3 days at the end of the course. The successful completion of this test is obligatory in order to receive a certificate. However, if you dealt with the self-tests, you are well prepared for this online test!

Assignments:

Together with the online test, you can be asked to submit a written «Action Plan», showing how the course content is transferred into your day-to-day work.

6.5. Evaluation

At the end of the course, you will be asked to fill in a brief evaluation sheet. After an e-Learning course, this will be an online form, in Face-to-Face trainings, it is a paper based form. The questions are based on the criteria, GIZ developed for an evaluation of capacity development. The answers are quite important to improve the course content further and to better meet the expectations and needs of participants.

6.6. Active Participation

It is not enough to read the learning content and complete the online-test. It is required to actively participate:

✓ Forum:The course forum a allows structured and detailed discussion, as well as the up- and download of files. To complete the course successfully, an active participation is expected. You can introduce your own comments or answer questions of other participants or the trainers – important is that participants come to own solutions during the course. The forum is available here ››› (please note that that you have to be logged in to open this link)

✓ Webinars:There will be at least 4 webinars during each e-Learning course. You have to take part at least at two webinars; not only bey logging in but to actively discuss with the other participants and the trainers. If you do not have a microphone, you can also participate with text-only (chat-window). Your activity is recorded during the webinar.If you miss a webinar, we require that you open and watch the recording of the event. To do so, you must register before.

✓ Facebook:During the course, a closed FB group for all participants is established to show you all activities and dates during the course. Please do not use any nicknames or «fake»-accounts – the course administration has to identify you clearly. Should you be in doubt about the security of your data: a) It is possible to delete your FB-account after the course and to erase your personal data, and b) the course uses a closed group, so nobody from outside the course can see what you wrote.More details on Face-Book, WhatApp et al: Discussion –>Social Media (please note that that you have to be logged in to open this link)

7. HOW TO…

7.1. …apply for a certain course

Normally one month before a course actually starts, the application form is online. Watch out for the link to the application form on the page Capacity-Development. The link to the application also comes with the course announcement.

Beside others, we ask for these details in the application form:

✓ e-mail address – a personal address is required. All important course data (username, passwords, certificates…) are sent with email. Be sure to apply to your account at least every second day.

✓ Mobile Phone Number – beside e-mail, we also approach you with important messages via SMS and WhatApp. ✓ Motivation – You are required to tell us in brief what the reason for joining a course are and what you expect for your

professional career after having completed the course. This helps us a bit to understand needs and requirements better and thus to improve the course.

7.2. …enter my username & password correctly

You receive your login-data with the first e-mail you receive. It consists of a username and an initial password (refer to section 2.3 2.3. Login-Data and Personal Profile for further instructions). The username and your password are case-sensitive, so it DOES matter whether you use upper or lower case characters. Should anything prevent you from login: This is the main reason for it (the other reason is that you mis-typed your username or login – so please try again before calling for help). If for any reason you lost your password or username: Contact us (and PLEASE tell us your full name in the email); we’ll be happy to help you.

7.3. …change my password and update my personal profile

With the first e-mail, you receive an initial password (normally < start > or < pass > ). Please login to the course-room, proceed to People –> Edit your Personal Data and update your personal profile, change your password and upload a photo. Please notice that there are three «Save» buttons: for each of the three sections one button! Changing your password and updating your profile is a mandatory step.

7.4. …act when I observe technical obstacles ✓ Is your internet connection working? Go to a page like for example www.google.com to check. Sometimes, the local

network fails or is temporarily overloaded. This is not a problem, just try again later. Only in case this problem consists longer, get in contact to your local provider or with us.

✓ If a certain function inside the course does not work properly, please try to use another browser. Almost all problems are resulting from the fact that «Internet Explorer» is used. Should you be forced to use this software, please update it at least to the latest version. A much better choice is to use «Google Chrome», «Firefox» or «Safari» instead as browser software to go to the internet. All browsers are available free.

7.5. …navigate in an e-Learning course 1. Login to the course with the credentials you received 2. Proceed to «Classroom» (Main menu) 3. Select a module (e.g. II. WASTEWATER MANAGEMENT) 4. Select a Lesson (e.g. L7. Effective Sanitation Delivery) either from the main overview on the page or form the menu left 5. Inside the lesson, navigate forward and backward either with the symbols |‹‹ ‹ › ››| or the «Content» on the right. 6. Don’t forget to click the «lesson finished» button on the last page of each lesson (Further Resources). This gives an

overview in «Learning Progress» which lessons are completed and which ones you still have to work on.

7.7. …act when I am awfully behind the schedule of an e-Learning course

In a distance learning, it is quite normal to be not in schedule at any time. Remember, the trainings are performed beside your daily work – and the workload maybe higher from time to time… Sometimes, you might also be not able to go to the internet because you are on a mission or field trip.

In any cace, it very important to inform your trainer about this in advance. Use the form «Contact your Tutor» for this. It is enough to do this in very brief. It is very difficult for trainers to deal with silent participants…

If you are really behind the schedule (for what reason ever), get into direct contact with your trainer. In almost every case, we can find a solution how to proceed!

7.8. …locate additional resources and off-line readings (PDFs) of the trainings

The last page of each lesson is the «Further resources» page, Here you can find everything that we consider as important to really understand the content of the lesson. The off-line PDFs of the course content are available on request.

Should you need further information on a special topic, don’t hesitate to ask the trainer for this!
