As we attempt to restart our operations after the COVID lockdown, it is clear that we are dealing with a new normal. As our PM said correctly “Saving lives and livelihoods” is our motto in our strategy to counter this virus. We don’t know how long COVID will stay with us – will it go away or will it become a permanent fixture in our lives? Either way, we have to learn to get on with our lives and learn to live in this new reality. Auto Industry was going through a downturn and now has to face the challenges posed by this pandemic

We have to plan for restarting operations with a Zero Defect mentality when it comes to COVID prevention. A single “defect” or SOP violation can affect the lives of people. This SOP manual has been developed jointly by all our group companies – Lucas-TVS, Delphi-TVS, INEL and LIS, after taking in to account the best practices of several leading companies around the world including in China – including those who have actually dealt with COVID cases in their plants.

We are confident that with strict adherence to these SOPs combined with a sense of personal ownership to our own behaviour in terms of practicing social distancing, wearing masks and handwashing, we will be able to gradually restart our plants and start serving our customers. It will also restart the economy which will help provide jobs to millions of people to feed their families. Our companies have already contributed to the PM’s and CM’s relief funds in addition to distributing thousands of food packets. But the biggest contribution we can make to our country is to build a world class business and create jobs.

I appeal to all to constantly remind yourselves that this is a “ Duty “ that we have to perform as a disciplined soldier in the country’s collective fight against this Pandemic. A single violation can lead to catastrophic consequences to people, their family members and to our country.

In view of the Corona outbreak, the Standard Operating Procedure (SOP) is being prepared and to describe the procedure to be followed by the employees for resuming work once the lockdown is lifted. By following this SOP, the chain of corona spread shall be eliminated (zero defects) and works can be done safely. Its our prime responsibility to ensure health and safety of employees, families and stakeholders.

This SOP is designed to resume the work at all offices / workshops / factory / warehouses / stores of LIS once the lockdown is over.

All necessary precautionary measures to be taken at all places pan India so that the employees / casual cum Security staff feel safe and secure at workplace.

Work From Home

• Employee who is working from home should be available online for official calls / meeting during the working hours.

• They should share the self declaration through mail / whatsapp etc., to their reporting Manager with a copy to HR.

• If employee is feeling sick, having cold or cough, difficulty in breathing, and or fever should stay at home and consult Doctor, inform the reporting Manager and HR.

• Should not move outside home• Employees on maternity / aged above 60 should

continue to work from home

Before start to work

• Employee who start to work from home when he or she feels healthy. They should share the self declaration before resuming office through mail / whatsapp etc., to their reporting Manager.

• If employee is feeling sick, having cold or cough, difficulty in breathing, and or fever should stay at home and consult Doctor, inform the reporting Manager and HR.

• Should follow cough etiquette and use reusable masks

• Should practice social distancing while coming to office

• Should use own transportation• Physical face shield to be used

Guidance while entering the office

• Employee should maintain social distancing at all time and follow queue procedure

• No standing in Group or Crowding at the entrance• Follow hygiene procedures, wash hands and sanitize

while entering the office premises • Thermal Screening of all persons irrespective of the

grades / positions entering to the office premises will be mandatory

• Security staff while checking if found the body temperature is more than 99.5º F, will be asked to go back to his home and the same will be reported to HR

Visitors. • While checking body temperature, if the body temperature

social distancing from one another • Use only disposable glass to serve water or tea and dispose

them separately • Reusable mask to be used.

• Door will be in open condition and employees are advised not to touch doors or close it

• Avoid touching papers and sitting close• Maintain minimum distance at the workplace with

alternative seating – HR will create the roster system• No shaking hands or grouping

• Entry of customers / relatives / friends of employees should be avoided to the extent possible. In case of emergency, they should adhere COVID19 LIS SOP.

• Entry of Amazon / Flipkart / Food Delivery etc to be avoided• Visitors / new vehicle shall not be allowed to the extent possible

/ without valid permission from the highest authority available in each location

• Multiple screening will be done during tea time / lunch break and at the time of leaving the office

• No gathering during the lunch break• Employees must use intercom / online

facilities for discussions / interactions

Visiting Customer’s place

• Corporate Customers would have evolved with their work place SOP’s. Employees who are visiting should adhere their norms without violating LIS SOP.

• Should maintain social distancing at all time • Should carry sanitize, water bottle, food etc., • Do not use public unhygienic restrooms. Ensure hygiene

procedures, wash hands and sanitize while leaving the customer’s premises

• Should use reusable masks all the time• Should use own transportation• All travel should be approved by the Vertical / Functional Head

and should carry visit report

While back to home

• Employee should use his own vehicle• While reaching home not to touch anything• Leave bag, wallet, key etc., at the entrance • Sanitize and wash hands• Should dispose masks and gloves carefully• Should practice social distancing in the

community• Clean the surface of whatever brought

outside including office / Laptop bag• Never allow your pets to reach you when

you return home• Remember that it is not possible to do total

disinfection, the objective is to reduce the list

Upkeeping of Premises (HO/Branch/Stores/WH/WS)

• To ensure the surrounding places inside the premises viz., parking areas, stores areas, backside and near EB / Server areas, waste bins, utility areas etc are cleaned and sanitized properly

• To ensure all doorknobs / handrails / windows and other fittings at the common places are sanitized frequently.

• Air-conditioning can be avoided wherever possible and natural ventilation shall be used (by opening windows)

• Soaps / hand wash liquid / hand sanitizers shall be kept at the required places and replenished periodically

• If an employee found infected, he should be shifted to nearby hospital and necessary tie-up to be done.

• Any violation or hiding the information or not following the guidelines would call for disciplinary action.

• Ensure that disinfectant spray / bleaching to be carried out at the common places frequently

Manufacturing / COCO Unit

• All SOP applicable to office will apply to manufacturing unit• All procedures followed by LTVS will be followed at Ambattur

premises.• Machines and test equipment are to be cleaned by disinfectant

surface cleaner like Lyzol ( Benzalkonium chloride 80%) or its equivalent

Care at Workshops

• All Workshop staff must wear glows at all times• Keep a separate tray to receive the jobs, preferably at

separate location outside the workshop

• Disinfect each job before handling

• Disinfect the job receiving tray frequently• Need to sanitize / wash the hands every 30-45

minutes while handling / repairing the material

• All tools must be disinfected every day• Use paper / tissue to switch on / off light / fan / test

equipment, through the tissue in separate dustbin

• Customer not to be allowed inside the workshop

• Provide water, Tea, Coffee, etc. only in disposable cups

• Avoid physical contact among customers and alsoamong staff

• Before leaving the office / workshop, use handsanitizer / soap to clean your hands and facethoroughly.

➢ Alocohol based sanitizer is to be used (only by wiping, not to be sprayed) for disinfecting Tools,Gauges, Torque Wrenches, bins, Trays, work tables and Test Benches.

➢ Alcohol based sanitizer should not be used on the hot surfaces and also ensure power offcondition of any item during sanitization with Alcohol based sanitizer.

NON CONTACT THERMOMETRE GUIDELINES FOR TEMPERATURE MONITORING

• The Security Guard at Factory Main Gate will take the temperature reading by

using non contact Thermometer.

• The reading will be taken 5 times/ day ie. once during Entry & Exit and one

during lunch and Tea breaks

• Employees with Thermometer Reading up to 99.50 degree Fahrenheit , can

be allowed inside the Factory for Work

• If the thermometer reading shows more than 100 degree Fahrenheit , do

not allow the employees to enter the Factory . Inform the ERT Team

members . Make the employee confined in the war room. The ERT Team will

employee for further medical tests.

Canteen operating procedure during - Covid-191.0 Purpose :

Canteen operating procedure is to be followed in order to avoid before and after their food service for B/fast, Lunch and Dinner.

2.0 Introduction :

This SOP is applicable to all employee/Trainees/contract workman in order to provide safe and Hygienic Food / Canteen and its related

service to fight against Covid 19 at LIS.

3.0 Scope :To cover all employees Trainees and contract workman who is having their food at canteen

4.0 Coverage: Regular, Trainees Contract / Visitors

5.1 Preparedness :To ensure all proactive measures to be followed to fight against COVID 19

5.2 Preparedness at Canteen :

❖Fumigation activity is carried out inside dinning Hall on periodical intervals.

❖Doors, windows Table and chairs are cleaned periodical at regular intervals by House keeping Team.

❖Canteen staff are provided with dedicated PPE like , Masks, Gloves, Coats / Aprons, Shoes cap and also appropriate disinfecting

gadgets like sprayer, brush, etc shall be made available.

❖To avoid gathering Lunch /Dinner timings are planned at regular intervals .

❖Before entry to Canteen every individual wash their hands in the dedicated wash area. Taps are fitted so as to maintain social

distancing.

❖Employees must maintain social distance inside canteen dining hall right from taking their sterilized Plate till washing of the same.

❖Food counters are planned to maintain social distance and the canteen staff are instructed to serve the food items following the same

through single hand service.

❖ Canteen staff are provided with Mask, Gloves etc., during food service. Their health is also periodically

checked and to be free from fever, cough etc., which is done on daily basis.

❖ After collecting the food individuals will take their seats , where in they will sit in the area marked diagonally

on their table.

❖ After completion of their food employees must maintain the social distance and move out to wash area for

cleaning the Plates and cups.

❖ Taps are fitted at equal distance , to maintain social distance and pre washed plated are put in the dedicated

collection trays.

❖ Employees move out following the same social distance.

❖ Canteen staff collects the pre washed plate and send it to cleaning area for complete cleaning and sterilization

of the Plates, cups and tumblers.

❖ After completion food service entire dinning hall is cleaned and disinfection is ensured by appropriate sanitizes

5After CNC on check and inspect the working of cooling fan as well as the followings : Hydraulic motor, Lubrication motor, Spindle motor, Electrical cabinet, Heat sinks and controllers.

6If coolant based machine, remove old coolant, clean the tank and refill new coolant.

After 20 minutes of machine ON condition release emergency push button and lubricate the system with lube inch mode for 10 times with an interval of 30 seconds. ( If lube inch option is unavailable take help of maintenance )

Note : With the help of maintenance take warm-up programme for 30 minutes before beginning production.
