Notification Procedure When disaster strikes, have a plan to quickly let people know about a potential disruption in business operations. Create a calling tree to cascade your message. Test your calling tree periodically. Remember, in an emergency your message is confidential. Train your employees to refer all outside inquiries to your company’s Media Relations expert.

Officers-in-Charge You will need a team of trained experts to lead the recovery effort. Appoint OICs in now. OICs should rehearse their plans as a group to identify dependencies and ensure proper sequencing.

Key Contacts A disruption in your business will require special processing by your downstream partners, suppliers and service providers. Develop a list of internal and external contacts. Keep notes about the services you will need in the event of an emergency.

Critical Business Functions In an emergency, it is important to focus your limited time and resources on the activities that are mission-critical. List the processes necessary to keep your business running. Create a box of mission-critical supplies and store it at your alternate processing site.

Critical Staff Determine how many employees are needed to perform critical business functions. Let employees know if they have been designated as “critical”. Ask for their enrollment, but do not force them. Plan ahead to accommodate special needs (travel, child care, meals, etc.)

Locations Emergency scenarios will vary in severity, depending on the type of outage and the estimated duration. You may need to manage multiple plans at multiple recovery sites. Maintain strong business partnerships with property managers.
