LEMS Council Agenda2-27-2018

all votes – majority decisionagenda item deadline: 5pm on the 2nd & 4th Mondays of each month

In attendance: Patti, Jen V., Tree, Chad, Morgan B., Mike F., Steven J., Linda H, Stacy, Tim R., Tom A., Katie, Russ Tabled Items: - LEMS Decision Making Model (Dialogue)We will eventually have a one-pager for each groupTim will pre-make purpose statementTeams will discuss and dialogueFinal product by end of year living document, thoughWhat is the purpose of our teams? It is all about clarity. New Business:-Design Class (Emmons)Presented by John. Arrange dates for kids to have $1 hat day (like March 23rd which is first Friday after Spring Break)Use money to buy Walmart gift cards which would be stored in the counselors’ officeKids could get food, clothing, school supplies, etc. with a Walmart gift card Tim’s Question: Is there a way for he Walmart gift card to prevent buying ammunition or alcohol?Linda’s Question: Have we talked to Walmart to see if they would match donations or contribute in another way?How would we identify these students? Communication to parents with counselors or admin saying that we can offer help to those that need it. Also, Counselors might now right now who would benefit right nowSo--- Students raise the money but counselors disperse the funds-Give Next Presentation (Discussion)- Schedule/FTE survey (Dialogue) - Tabled until after 3/27 meeting

Administration- Safety and Security (Dialogue)We want to follow up with student population, much like at other schoolsOfficer Jay thinks he can pull officers to come talk for 5-10 minutes to kids about the scenarioIt has to be quick so that we can return borrowed SROs to their buildings

It cannot be Wildcat since Wildcat is at three different timesPros: Everything gets done in 45 minutes and only impacts 10 minutes of each grade levelCons: If it happens at the beginning of the period, it might take the rest of the period to “calm back down”, so really not only 10 minutes, also impacts one period of your classes which makes on class different than the rest

For the drill, we have to pre-scheme to include all the support we can, but we want it to be as authentic as possible, but it has to say DRILL

First, we talk. Then the DRILL happens later that week.

Electives and others would want to hear the questions students are asking and how the officers are responding/answering. Tim says don’t feel that you have to go, but you can join a chat if you want, or you can get it at the staff meeting

A parent link will be sent out by Tim.

March 30th – Staff Meeting for 30 minutesThe next Monday or Tuesday would be the 10 minutes talk – Tuesday may be better to have more teachers and students in building? Which do we prefer?Drill – later that same week will have a drill to practice what was discussed- When we set up the chaos situation, the catch-alls will be set up, too

ANY STAFF can call a lock down with *#700We should have stickers on our phones with that number

- District Priorities The Five Middle Schools are hosting a feeder-system meetingAttempt to build a data base around priorities for future planning, mills, levies, etc.LEMS on March 20th, 2018 at 6:00pm (Pizza and beverages provided)

- WordleTim created a wordle about the circle choosing activity from the staff meetingThe Wordle shows what we think we do well and what we think we should focus on in order to be the best version of ourselves as a staff.ExamplesTabled, and we will move on from here

Calendar Events (Feb/March/April):● Feb 28 - Band and orchestra try-it night 6:00-7:30● March 1 - Elective showcase and 6th grade registration night● March 1-8 - Book fair in the library

LEMS Council Agenda2-13-2018

all votes – majority decisionagenda item deadline: 5pm on the 2nd & 4th Mondays of each month

In attendance: Linda H., Paul S., Patti B., Katie C., Stacy, Cathy, Mike F., Tim R., Theresa, Tom A., Russ, Steven Tabled Items: - New Business:- Elizabeth from Give NEXT came to represent the 7 Give Next members with Mr. Emmons.

Gave a survey to find issues in our community. Suicide and Child Abuse are the chosen issues. Got a grant for $5,000. Focus on education and prevention of Child Abuse and Suicide

On March 8th – Hat Day to raise more money. Student will pay one dollar for a ticket to wear their hat – Thursday before Spring Break - Approved

Tim will talk with counselors etc. to see how to make a slogan and advertise to families in a sensitive, age appropriate way.

- SSS Morning Duty Clarifications (SSS) (Dialogue)SSS is supposed to patrol middle area of downstairs in morning – Passes to libraryDo people to cafeteria get to go through or do they have to go around?Music instruments get to go inMain job to prevent people from going upstairs or to go down the academic hallways.Do we go out front? But then we can’t prevent kiddos from going upstairs or into teachers’ classrooms.Agree that kids are always being chased out of the hallways especially in 8th grade hallway. Close gates to prevent kids from going that way?Clarification from last year about passes:

Library needs a pass Seeing a teacher needs a pass Music students have their instruments as their pass, but then they need to go back

outside Same as above for large projects

No historically to restroom accessHistorically, students need to access cafeteria for breakfast from the cafeteria door

We will keep this. Breakfast students need to go all the way around. The cafeteria door will be shut to prevent students from “escaping” into the academic hallways. Announcements will be made for reminders. Teachers can pull the gates and reopen them if they want. They don’t need to be latched. It is more symbolic. This will not fall on the maintenance workers, though.

- Location of Exercise Machine (SSS) (Dialogue)The exercise machines are in the library and cannot be used during classes. They can be used before school and during lunch. Can we relocate some or one or the one in the lounge for students that need some movement? Maybe some people have another machine that they could donate? Maybe in the learning lab? 6th grade has the little exercise stops in the pod office. Administration- Next Year’s Schedule (Report)Wednesday will always be our “messed up” day every week. Always. Wildcat will be shorter.First period has a 2 minute buffer for electives due to announcementsMove academic focus to Wednesdays too? There will be an FTE survey sent out soon (next week – Wednesday maybe). There will also be a place on this survey to suggest or ask about tiny, itsy-bitsy tweaks to the schedule.

- LEMS Decision Making Model (Report)Tim will be editing this.Discussion in Council February 27th- Conferences (Discussion)Currently we are set for: March 7th 3-6:30 and March 8th 3-6:30Tim suggests a minor change that we subtract 30 minutes from one night and add it to the other to allow for some parents who get off work later. That would make one night 3-6pm and the other night 3-7pm.If you go to your own children’s conferences, try to go earlierNo dinner break. Grab and go dinner will be available in Family Consumer Science room. Get it right after school and take it with you.Tim needs to know by next Friday from the following choices

1. Current schedule2. March 7th 3-6pm, March 8th 3-73. March 7th 3-7 and March 8th 3-6

Calendar Events (Feb/March):● Feb 9/16/23 - Music performances for 5th grade● Feb 19 - President’s Day (no school)● Feb 20 - Professional learning day (no school for students)● Feb 26 - 9:00-11:30 a.m. Honor Choir to Loveland Opera● Feb 28 - Band and orchestra try-it night 6:00-7:30● March 1 - Elective showcase and 6th grade registration night

all votes – majority decisionagenda item deadline: 5pm on the 2nd & 4th Mondays of each month

In attendance: Jen Varella, Patti, Cathy, Paul, Mike, Chad, Stacy, Katie, Tim, Steven, Tom S., Tom A, Russ Tabled Items: - New Business:- LUC Club TWAS Field Trip (Discussion) – Wednesday March 7th- Committees (SSS) (Dialogue)Will there be a committee to discuss scheduling changes details with time change and late start? We will have a year-long process starting in the fall to look at the master schedule. In February, admin will present the little tweaks for next year. Our goal: Keep our current schedule for next year as similar to this year as possible.

See below.- Next year/Schedule (7th) (Dialogue)- 7th Grade has discussed the time of interventions, but Tim has addressed this and will

meet with a few interventionists later.

We are keeping the schedule as similar to this year as possible.

Admin will bring the plan to next council meeting.

So what about extracurriculars? That’s a different thing. Tim is talking about school day stuff.

Administration- What to do when not in classrooms (Report)

There are still some safety-based concerns; when you can’t be found, it can be a problem and stressful; it doesn’t look good when a parent comes into the building and there is an issue finding their student; Tim will be sending out an email with the procedure for leaving your classroom with your students; Notify the office by email AND leave a note on your door. If you are absent during a time you are in charge of students, please make sure you enter it is Aesop so we know where you are

Small groups or individuals that are pulled – make sure teacher of record know where you went

Academic focus – keep track of where kids go (sign out sheet, names on board, etc.)

- Principal perception survey reflection (Dialogue)“My Principal communicates a clear and systemic vision for our school.”

About 2/3 agreed or strongly agreed. About 1/3 disagreed. What does this look like ideally? How should it be demonstrated at LEMS? How should it be demonstrated in small groups or indivdual interactions with the principal?

Fuel Up 60 proposal-1 day Food Drive competition between classes within grade level-Larimer County Food Bank. Collected in PRIDE. Winning class gets free Friday in April with Fuel Up PRIDE class and West and Ridder supervises:) Please submit when competition day should be

PARCC incentives-encourage test participation, encourage relaxed atmosphere. See attached. Yes we want reward system. Respond to Cinnamon and Sharla by FRIDAY about Spirit Days theme and Rewards. Tim will communicate with parents to solicit donations for rewards.

PRIDE passes-**Here's What(current policy/practice)=Thursdays are homework day. students need pass from teacher they are going to. If no Friday, HW day is Wednesday. PRIDE teacher collects work for other teacher and puts in mailbox rather than students traveling hall. Passes are created before class**So What(thoughts/suggestions)=Elective propose-Students do make up work with other teachers on days other than Thursday with mutual agreement between teachers. 8th gr-propose only on Thursdays. 8th grade-Do students return after work completed? SSS-Thursdays only. Attendance monitoring. Electives taking precedence of PRIDE. Make up after school. simpler is better. 6th grade-what is priority of intervention work over electives? Classroom teacher gives makeup work to PRIDE teacher for student to accomplish during PRIDE. Two Academic Focus days? Now What(going forward)=Only Thursdays(protects intervention classes). Exceptions for non-Thursdays are decided on teacher to teacher communication. No exceptions for intervention classes. Students must have pass prior to PRIDE.

Proposal: PARCC Incentives/Spirit

Sharla Riott and Cinnamon Garner

Purpose of this plan:

- to encourage test participation - to create a more relaxed atmosphere for testing- to reward students who participate and give solid effort -

1. Spirit Days (Choose 3 from the following for PARCC)

Teachers highly encouraged to participate

Enlist Stuco and leadership students to help with selection, posters, and promotion

“Good Luck Charms”—wear your lucky charms, green, or rainbow wear

“Put on you thinking caps”--Hat Day

“Rock the Test”—band/music T-shirts

“Time to show your nerdy side”—dress like a nerd or intellectual

“School spirit”—maroon and gold

“Sock it to the test”—wear crazy socks

“College bound”--University/College day

“Your future is bright”—neon and sunglasses

2. Ticket Incentives

- taking the practice tests ?

- attendance

- dressing in spirit

-taking allotted time

-ready and prepared with pencils and a book

-Anything else? Genuine effort? Scratch paper Easy to monitor staff suggestions)

Prizes

-Ask for donations from parents, teachers, community members, and businesses (provide a list)

-Each day at lunch, students can drop their tickets of in the cafeteria in the buckets for the prizes they want (similar to how we do it at the staff appreciation). We could have parent volunteers at each lunch to supervise the ticket tables

-Tim draws for the prizes at the end of each day and announces the prizes/incentives available for the next day

-depending on the number and types of prizes, we may need to supplement that a bit

3. Reward student who attend All TESTS ALL DAYS Ice Cream Pride Pass

-Teams divide and cover supervision

-Tim provide the ice cream

-Students get the passes from their test teachers and hold on to them for dismissal from pride

- Students get to eat ice cream in the cafeteria and play BINGO for any leftover prizes or treats

- We could do this on three different days—one for each grade—to avoid big crowds

4. Parent/Family Communication (SELECTED from CDE site)

- Send messenger with link to the CDE Q and A

http://www.cde.state.co.us/communications/factsheetsandfaqs-assessment

- Facebook blasts with bits of the CDE Q and A on them

Question AnswerWhat are CMAS/PARCCTests?

The Colorado Measures of Academic Success (CMAS) are the state’s common measurement of students’ progress at the end of the school year in English language arts, math, science and social studies. CMAS encompasses the Colorado-developed science and social studies assessments as well as the Partnership for Assessment of Readiness for College and Careers (PARCC)-developed, English language arts (ELA) and mathematics assessments. The science and social studies assessments were first administered in spring 2014 in grades 4, 5, 7 and 8. The English language arts and mathematics assessments were administered for the first time in spring 2015.

How are the results used?

The state assessments are summative assessments. Where formative, interim, and classroom-based summative assessments inform classroom instruction on a regular basis, state summative assessments are designed to be point-in-time snapshots of what students know and can do in core content areas. They help students and their families know how they are performing compared to the standards and compared to their peers and how they’ve grown over time. They enable teachers to see how their students are performing against the standards and identify areas they may need to adjust in their practice for the

future. And, they provide school/district leaders, the state, policymakers, and the public with information on how well the system is meeting the goals of helping every child attain academic proficiency

How much time do they take and what is tested?

Overall, the estimated amount of testing time on CMAS is expected to be less than 1.5 percent of typical students' total instructional time. In spring 2015, the math and English language arts tests were shortened and the administration of the tests was condensed into one window. As a result, testing time was reduced by approximately 90 minutes for all students 3rd through 9th grade.Go to the site below for a schedule by content area. http://www.cde.state.co.us/communications/factsheetsandfaqs-assessment

Can parents see samples?

Can students practice?

Sample items and tasks for mathematics and English language arts, along with a range of supplementary materials and additional resources, are available online.A practice test for the English language arts and math tests is also available that includes technology-enhanced items using the same technology platform that was used for field testing, allowing students and educators in all PARCC states to become more familiar with the types of items that will appear on the PARCC assessments. Anyone can view the samples.

Are students with disabilities required to take state assessments? If so, are adjustments made?

State and federal law require all students to be held to the same standards and participate in the state assessment program. There are three ways that students with disabilities can participate in the state assessments: 1) take the general assessment without accommodations; 2) take the general assessment with accommodations; and 3) take the alternate assessment for students with significant cognitive disabilities.

Accommodations are changes in how the test is given without changing what is being assessed. Students with an Individual Education Plan (IEP), 504 plan or English Learn (EL) plan, can use specific accommodations allowing the student better access to the test as long as there’s alignment between the accommodation and the student’s educational plan.

How will these score reports be used to evaluate schools and teachers?

Colorado law requires 50 percent of an educator’s evaluation be based on student academic growth as demonstrated by various assessments or “measures of student learning,” including but not limited to state assessments. Beginning in 2015-16, 50 percent of teacher evaluations must be based on student academic growth measures.

A large part of Colorado’s educational accountability system is based on the results from state assessments. With two years of CMAS English language and mathematics data now available, District Performance Frameworks and School Performance Frameworks will be able to be calculated and made available in the fall of 2016. The score reports will comprise only one part of how district and school accreditation ratings are determined.

When will students families and educators receive the scores? What will the reports include?

Scores for the CMAS English language arts and math tests in 2017 are expected to be released in late summer or early fall. The new score reports for PARCC-developed English language arts (ELA) and mathematics assessments are designed to provide educators, families and students better information about students’ mastery of grade-level academic standards. Score reports offer an overall measurement of performance in a particular subject, as well as how a student compares to other students in the school, district, Colorado and other PARCC states.

agenda item deadline: 5pm on the 2nd & 4th Mondays of each month

In attendance:

Tabled Items:

New Business: *moved to top due to student presentation Phone use (7th grade) – issues in halls -- kids are way late to class, inappropriate pictures being

taken, would like to Plan, Do, Check Adjust for next year. Back-packs to PRIDE class (7th grade) THERE ARE NO backpacks allowed in any classes until the

last bell rings. Teachers, please follow our policy no matter what your last period is… the ERWIN policy is NO backpacks during the day.

Master Schedule for 2017-2018 school year … When will this be completed? (7 th grade) We do not have numbers yet, so we do really not know anything yet. Tim will send out a survey

asking some questions and getting feedback. Tardies to Elective Classes … 7th grade kiddos are not in a hurry to get to elective classes, 7th

grade teachers are working on this… All teachers need to work on holding kids accountable. Can we do Plan, DO, Check, and Adjust for next year (Tardy policy)

SSS Team—Master scheduling… clumps of kids … (GT, ILC, etc…) can we talk about how to make having these kids “fair”? There are times it does not seem fair how kids are divided out. How can we make this better?

What issues go with what group? What are council issues? What are not? We are not always clear on who/what group to go to with issues, discussions, decisions… etc…

“Build a Wall” being chanted outside… How do we help kids with issues going on in the world around us. How do we protect our kids? How do we teach inclusion? Tim—don’t make it bigger than it is… go straight to the groups chanting, don’t give it more attention that it deserves. Don’t lecture the WHOLE for what a FEW are doing. We need to make sure of the MESSAGE we are sending out… we need to be 100% clear on what message we send…

PBIS……is this a place we can talk about some ideas around PRIDE

Newsletter – Can we get a set date like First Friday of the month or 2nd Monday of each month?  When does information need to be ready?  Trying to avoid last minute requests especially at busy times of the year.  We will ask Stephanie when she needs it.

Late start schedule for classes at LEMS??  30 min late start ? 1 hour? 2 hour? Can we get a class schedule compiled in the event this happens?  We will deal with that when it comes up.

6th grade – use & purpose of PRIDE tickets.  Have they lost their luster??  PBIS should be the group that first discusses this....then they can bring to council.  Just to note:  there are still weekly PRIDE drawings, we still use the PRIDE cart every Friday at lunches..etc.

Maybe the better question is:  How effective is our incentive program working?  Are PRIDE tickets working?

We do believe PBIS should review and brainstorm these questions.  Stay true to the process...

Student Agendas … Newer (cheaper) company … Feedback/Discussion  3 sizes  range from $1.99-$2.19  Please let Cathy know what you would prefer after you have discussed with the team.  The $2 one is closest to the one we have now. Tom-- Out of School Experiences--Field Trips... start thinking about.....Typically done- Stipulations/rules are communicated with parents and students ahead of time about students requirements to go on the field trip.  Each teacher, grade level, etc have different thoughts on this particular item, it is causing problems so we need to come up with a new philosophy.

We need to come up with a unified policy for our school.  We need consistency for the sake of parents, teachers and students.

LEMS Council Agenda

11-8-2016

New Business:

• *(Student Council) – Spirit Week Presentation … Request for staff input/approval Proposal on Spirit—Dec 14-21… right before break in Dec. break. Team leads have handout.

•• (General) Veterans Day assembly TOMORROW … Any last minute details? Tim talked about it on

teams today! • (General) Please look over the calendar items below. Let Tom A & Tree know of any updates /

corrections … Lots going on with the holidays & some events may have been added or changed. Please advise.

•• Trend score is going to become “live”… soon.. a few things need to happen before this takes place.

Frequency? Every night? Once a week? Twice a week? •

** Missing work M-regardless of Work habit or standard… once paper is turned in/graded, then put the grade in. District proposal—every time an M shows up, it would deflect that M to IE.. parents would automatically be notified. We would just need to remember to go back and change the M to the grade or a different grade. Trend score will always be IE until that score is changed.

**Another choice ---- M is in grade book and once you change that M to a number, then trend score changes- does not change to IE…..

Team leaders may explain better or if you are confused, set up a time to talk to administration. I might have typed this and NOW you are really confused…. Sorry!

M—notifies parents that something is missing.

E- exempt

IE-- will only show up for parents at the end of the quarter.

(8th grade) Use of passes during PRIDE time. Are PRIDE classes utilizing the Thursday Academic Focus

time for all staff & students? Teachers are saying everyone is doing ACADEMIC FOCUS on Thursdays. Kids should not be leaving PRIDE to go get help in other classes except on Thursdays! Kids should be getting a PASS to leave to go to another PRIDE class.

• (Counseling/ESS) Clarification on copiers. Are both copiers unavailable during the 12-2 window? Carin has copiers in use from 12:30-2:00 PM. Daily…. when she has a lot of stuff, she does use both copiers, but otherwise only one. Please try NOT to send stuff from your computer to copy between 12:30-2:00PM

•• (Counseling/ESS) Phone call clarification … Do outside calls ring directly into the classrooms

instead of going straight to voicemail? YES… they do ring in your room… sorry.. no way to fix at this point. Office does tell parents to email if possible. Administraton has looked into this.. there is NO fix.

• Revisit field trip and/or community service expectations & return to classrooms (trickling into classes at different times … how can we best address this as a school?) … There is a field trip on Nov 18th for all orchestra and drama students. (Tim) Military Card Writing Decision  Tim received 1000 THANK YOU cards that are to be used to write to military personal....  to be written by our students... would impact about 5-10 minutes of a PRIDE class... teachers could commit to doing sometime before Nov. 9.... would want teachers to look through cards to make sure they are appropriate... and then collect and give to Tim.  VOTE PASSED!

(Tim) Staff Meeting Decision- Tim handed out results of the voting. YES (the same)  20.9  % said yes YES (with changes) 73% NO (none at all) 6% 93% of our staff believe we should have staff mtgs--  Team Leaders have the print out of results SHARE OUT--  happy that is was so positive, happy 93% of our staff saw the

validity of a staff mtg.  cool that people want to share successes, categories were really positive, positive tone to people's comments, appreciate having a chance to be together,

NOW WHAT? A good idea to have an agenda-- celebrations/recognition around successes (Golden Apple/ Shouts outs)

Building wide critical announcements, Mixer ideas for the meeting.- Staff might want to jump on this and be a part of this... Low stress, time to be together....

TIME of meetings -- Last working Friday of every month-- 6:45 AM-7:10-- be a professional about making up the 20 minutes for the meeting during that month-- trade out minutes-- leave early or come a little later... You just can't save it all up and use it in one lump sum.

(7th grade) PRIDE class numbers … Plan-Do-Check-Adjust feedback?  Tim and

Jake met and then went to PRIDE team and got input and made corrections about nwhat we are doing with PRIDE... about the numbers of kids in a PRIDE class-- Admin does work to balance things as best as possible....doing what is best for kids... numbers are very balanced....  Admin and Counseling are continually working to balance numbers and to honor teachers and students.

(7th grade) Classroom support / Can district provide more support?  We are trying our best to work with what we have.. at the moment, we do not have extra help... we are not a top priority with the district.... our needs are not severe compared to the needs of others in the district. We do recognize that we need help.. want to recognize our Special Need teachers for how hard they work....

(7th & 8th grade) Learning Lab update/clarification … No hours or limited hours?

There is NOT a Learning Lab... ESS will continue to support when they can and when there is a need.

(Tim) November 9 Veterans Day assembly.  During PRIDE class at the end of

the day.  Tim will create a video on how kids should act during the assembly.  Please view prior to coming to the assembly in your 6th period.  6th period will bring their kids to class... electives will bring the 8th grade students in the gym and the 8th grade teachers will meet them in the gym.

(7th grade) Can PRIDE be graded pass/fail (S/U) like Wildcat?  Using A, P, PP, &

U seemed antiquated.  Is this something the PRIDE committee can discuss?  We will look into it but for this year it will remain the same. Can't change anything for this year but can revisit for next year.

Lock Down Drill Feedback-- We need to make sure our doors are always locked.                                               When students are hiding they should be out of site from the door and window.                                             Make sure lights are OFF                                            Old Business:

Question to the group:  What is my role as an individual on Council?                                      What is our role as a team within the school?

We would also like to know what Administration needs from this group??

At the very least this a group of experts who have a perspective on things within Erwin. We need to communicate, get feedback and make decisions.***Important that someone from other teams, communicate to us about decisions that are made and then we would get feedback.
