Introduction
The Keller Williams Listing System, commonly referred to as the KWLS, is acentralized listing database that is designed to help Keller Williams Realty
associates market their listings online. The KWLS offers new listing details andfeatures and provides you with more control over how and where your listingsare published. Accepted listings will be available to outbound feeds to realestate search websites (Google and Trulia) and for publishing on the KW agent website. The Greensheet Online (GSO) allows you to create, edit, and submityour Greensheet online. The KWLS/GSO combines your listing data withyour transaction information for a unique online system.
Before You Begin . . .Before you create your listing in the KWLS, be sure to have the following itemson hand:
• MLS printout of the listing detail
• Listing agreement copy
• One photo of the property saved to your computer or on a disk: onlyone is required to save your listing, but it is recommended you uploadno less than six images.
TIPS AND TRICKS: Top agents average 14 images per
listing.
NOTE: If you do not
have a photo of thelisting handy, youcan initiate thelisting in the KWLSand add the photolater. You wil l NOTbe able to submi tthe listing forpublishing until thephoto is added.

Navigation Tools
Dashboard Screen
The Dashboard pages are the home pages for both the KWLS and the GSO. The dashboard gives you quick access to the listings and Greensheets you needto find and shows you a snapshot of your data. Dashboard features includelinks to help documents and training and the latest news and updates to thetool
Headers
Simply click on one of the listing/Greensheet headers to sort thelistings/Greensheets by that header.

Tabs
In the KWLS, the listing features are accessible by clicking the appropriate tabfrom the Listing Information screen. When the page tab is active (displayingon the current screen), the tab will appear in orange. When the page tab isinactive, the tab will appear in gray.
In the GSO, the Greensheet features are accessible by clicking the appropriatetab from the View Greensheets screen. When the page tab is active(displaying on the current screen), the tab will appear in green. When the pagetab is inactive, the tab will appear in gray.

Additional page tabs are available for entering additional associate informationin the Associate Details section.
Help Icon
Click on the Help icon to access additional instructional information aboutthat screen. After clicking the Help icon, a new window will appear on yourscreen containing everything you need to know to complete the page. At thetop of each Help page, you will find the section and subsection titles, which
will be helpful when you have more than one page open at the same time.Some Help pages have a Field Function box to quickly reference informationfor all of the available fields on each page. When you are through using thispage, simply click the X in the upper right hand corner to close the page.
Asterisk (*)In the listing entry forms, an asterisk (*) next to the field box indicates that thisparticular field is a required field. You must complete the required field beforethe KWLS will allow you to save your information.

Listing Details
Field Description Field Description
List Price* Enter the price of the listing in numerals only—no commas.
Style Enter the style of the property.
Listing Date Enter the date of the listingagreement by clicking thecalendar icon and then clickingthe appropriate date on thecalendar.
Year Built Enter the year the property was built in numerals only—no commas.
Expiry Date By default the KWLS sets theexpiration date 90 days from thelisting date. If your listingcontract is for a longer or shorterperiod, enter the correct date byclicking the calendar icon andthen clicking the appropriate date
on the calendar.
Lot Size Enter the lot size of the property.
CurrentPrice
Enter the listing price withnumerals only; no commas
Sq. Ft Enter the total square footage of theproperty.
MAP URL If you have a link to a map ofyour listing, enter the URL here.
Bedrooms Enter the number of bedrooms from 0 -20 by clicking the drop-down list andselecting the appropriate number.
ListingStatus*
Select from the available listingstatus options. See Listing Statustable in Chapter 2.
FullBathrooms
Enter the number of full bathrooms.
Property
Type*
Select from the available property
type options.
Half
Bathrooms
Enter the number of half bathrooms.

Enter the house number (physicaladdress street number).
Master Bed Enter a description of the masterbedroom.

Enter the street name of theproperty.

Enter the annual taxes paid from theprevious year in numerals only; nocommas.

3. Click the Next button (located at the bottom of the screen) to saveyour listing details.
The MLS Information screen will appear.
4. Enter the MLS number for the listing you are creating in the MLSNumber field for the appropriate MLS entity if this listing is only associatedwith one MLS , and then click the Save button,
Or
Click in the checkbox of one or more of the available MLS Name options to select the MLS where you have already entered this listing ifthis listing is associated with more than one MLS , enter the MLS number forthe listing you are creating in the MLS Number field for theappropriate MLS entity, and then click the Save button.
NOTE: Only add
the applicable MLSwhere you havealready entered thelisting. It isimportant that thisinformation iscorrect.

Make sure the Listing was saved successfully message displays onthe screen.
The Listing Information screen will appear and you will now haveaccess to the additional listing features accessible by clicking on theappropriate tab. One listing image is required to be uploaded to thelisting before the listing can be saved.
Images
This tab allows you to add images to the property listing.
1. Click the Images tab on the Listing Information page.
The Images screen will appear.
Please see the NOTE to the right for more information.
NOTE: As of
02/07/07, before youenter a listing into the
KWLS, you will needto install the AurigmaImage Uploader program, whichenables you to addimages to your listing.Simply click theInstall button whenprompted.

2. Click the Add Files button.
3. Locate the image (previously saved on your computer or on a disk),click on the image file to select the photo you want to include with yourlisting, and then click the Open button.
4. Click the Edit description link, type a brief description of the image inthe text box, and then click the OK button.
5. Click the Upload button (located in the upper right hand of the screen)to add the image and the image description to your listing.
NOTE: Only these
image types can beinserted: "*.jpg;*.jpeg; *.jpe;*.gif;*.png; *.tif; *.tiff;*.psd". Themaximum group s izeis 8 MB in a group,so you may need toadd larger s ized
images separately.The maximum of 20images total areallowed.
NOTE: You must
upload at least oneimage to your listingbefore you are able tosubmit the listing forpublishing. It isrecommended that a
minimum of siximages are uploadedto the listing.

Make sure that the Image upload complete message displays at thetop of the screen and that the image appears in the Current Photos section. Repeat steps 2 - 5 to add more images to your listing.
Click one of the sort icons to arrange the order of images as
they appear in your listing. Make sure the Sorting successful messagedisplays at the top of the screen.
Clicking the remove icon will delete the image from your listing.Make sure the Image successfully removed message displays at thetop of the screen.
Clicking the edit link will allow you to edit the description of theimage.
Open Houses
This tab allows you to display details of an open house for a property listing.
1. Click the Open Houses tab on the Listing Information page.
The Open Houses screen will appear.

2. Click on the calendar icon , and then select a date from the pop-upcalendar, which will automatically insert into the Show date field.
3. Click the arrow on each of the Start Time hour and minute drop-downlists, and then select the hour and minutes when the open house willbegin. The minute options are in fifteen-minute intervals.
4. Click the arrow on each of the End Time hour and minute drop-downlists, and then select the hour and minutes when the open house willend. The minute options are in fifteen-minute intervals.
5. Click the Add button to add and save the details you have created foryour open house.
Make sure that the Open house successfully added message displaysat the top of the screen and that the open house displays in the CurrentDates section.
Clicking the remove icon will delete the open house from yourlisting. Make sure the Open house successfully removed messagedisplays at the top of the screen.
NOTE: If you need to
change the date and/ortimes of the open houseyou will first need toremove that open houseand then add a new openhouse for the listing withthe correct information.

Virtual Tours
This tab allows you to add a link to a virtual tour of a property listing.
1. Click the Virtual Tours tab on the Listing Information page.
The Virtual Tours screen will appear.
2. Type a brief description of the virtual tour in the Description field. Ifthis field is not completed, the virtual tour will not display on yourlisting.
3. Enter the URL (address) of the website where your virtual tour islocated in the URL field. Remember to add the http:// or https:// infront of the “www” or the link will not work.
4. Click the Add button to add and save the virtual tour you have createdfor your open house. Make sure that the Virtual tour successfullyadded message displays at the top of the screen and that the open
house appears in the Current Tours section.
Clicking the remove icon will delete the virtual tour from yourlisting. Make sure the Virtual tour successfully removed messagedisplays at the top of the screen.
Listing Links
This tab allows you to add additional links for a property listing. Examples of
recommended listing links include: neighborhood association links, schoollinks, shopping center links, city park links, etc.
1. Click the Listing Links tab on the Listing Information page.
NOTE: If you need
to change the URLof the virtual tour,
you will first need toremove the virtualtour, and then add anew virtual tour forthe listing.

3. Type a brief description of the link in the Description field. If this fieldis not completed, the listing link will not display onyour listing.

1. Click the Documents tab on the Listing Information page.
The Documents screen will appear.
NOTE: If you need to
change the URL ordescription of thelisting link, you willfirst need to removethat listing link , andthen add a new linkfor the listing.

4. Click the Edit description link, type a brief description of thedocument in the text box, and then click the OK button.
5. Click the Upload button (located in the upper right hand of the screen)to add the image and the document description to your listing.
Make sure that the Document upload complete message displays atthe top of the screen and that the document appears in the CurrentDocument section.
Repeat steps 2 - 5 to add more documents to your listing.
Click one of the sort icons to arrange the order of documents asthey appear in your listing. Make sure the Sorting successful message
displays at the top of the screen.Clicking the remove icon will delete the document from your listing.Make sure the Document successfully removed message displays atthe top of the screen.

Marketing Tools
This tab allows you to select the feeds where your listings will be displayedonline.
1. Click the Marketing Tool s tab on the Listing Information page.
The Feeds page will appear.
2. Click in the appropriate radio button to select which feeds you want touse to display your listing. See the table below for more information.
Field Description
Available toGoogle
Select Yes, if you want this listing to bedisplayed on Google, or No if you do not.
Available to Trulia
Select Yes, if you want this listing to bedisplayed on Trulia, or No if you do not.
Available toCyberHomes
Select Yes, if you want this listing to bedisplayed on CyberHomes, or No if you donot.
3. Click the Save button to save your selection(s).

Submit Listing for Review
After you have added the listing details and the available listing features, you
will need to send the listing for review before it will be published on yourKeller Williams Realty agent website and available for outbound feeds.
1. Click the Listing Details tab to go to the Listing Information page.
2. Verify that the listing information is correct, and then click the Submitfor review button, which is located at the bottom right hand of theListings Details screen. Make sure that the Listing has beensubmitted message displays at the top of the screen.

The listing will be reviewed by the designated person in your office, who will then accept the listing or return the listing to the agent (which will require you to edit the listing and resubmit for review).
To confirm that your listing is accepted, you can always check thelisting status on the dashboard by clicking the Return to Dashboard or Find a Listing link on the top of each KWLS screen.
TIPS AND TRICKS: If you need to edit the
listing details at any time, simply click the Editbutton on the bottom of the Listings Details sectionto edit any listing information.

Field Description
MLS Number Enter the MLS number.
Address Enter the physical street address of the property.
City Enter the city name of the property.
KWLS Status Select from the KWLS status options. The Any option is the default selection. Seealso the Listing Status Options table.
Listing Status Select from the listing status options. The Any option is the default selection.
State/Prov Select from the state and province options.
Location Select from the location options. The My Market Center(s) option is the defaultselection.
Agent Name Select from the two agent name options, and then enter the appropriate name in thecorresponding field.

Publish Status
KWLS Status
See the table below for detailed descriptions for each status category.
KWLS Status Options
KWLSStatus
Description
Initiated This is the default setting. The record can be saved in the database, but will not be available tothe outbound feeds (eg: Trulia.com) or on the Keller Williams Realty websites. Indicates thatthe agent is still working on the listing. A record cannot return to this state after it has beenSubmitted.
Submitted The listing is complete. It will not be available to the outbound feeds or on the websites untilit is accepted. When a listing is returned to agent and resubmitted, the status will change fromReturned to Submitted.
Accepted The listing is complete and has been accepted by the Market Center. It will be available to theoutbound feeds and included on Keller Williams Realty websites, when applicable and if theagent so chooses.
Returned The listing has been submitted, but returned to agent by the Market Center with appropriatereasons explained in the notes section.
Listing Status
Listing Status Options
Listing Status Definition
Active Listing is for sale. This is the default status for initial listing entry into KWLS.
Pending Listing is pending a contract agreement.
Pending Contingent Listing is pending a contract agreement that is contingent on the sale of a buyer’shome.
Pending TakingBackups
Listing is pending a contract agreement and backup offers are considered.
Under Contract Listing is under contract and is no longer available to the websites and other
outbound feeds. Withdrawn Listing is withdrawn and will cause the listing record in the system to expire.
Temporarily offmarket
Listing has been taken off the market temporarily.
Transaction not closed Contract has not gone through to the MORE system and the listing is availablefor editing and marketing purposes.
Sold Listing property is sold.
Expired Listing property is expired and must be removed from the websites and theoutbound feeds within 24 hours.

Edit a Listing
If you need to edit one of your listings, you can easily revise the listing details
or the listing features (image, open house, virtual tour, or listing link) at anytime.
Edit the Listing Details
You can edit a listing detail and save your changes in a few simple steps.
1. Click the Find a Listing on the top navigation bar.
2. Click on the link in the MLS column for the listing you want to edit.
The listing record will appear on the screen.

3. Click the Edit button located at the bottom of the listing record to editthe listing details.
The Edit Listing Detail screen will appear.
4. Edit one or more of the listing details fields, and then click the Next
button located at the bottom of the screen to save your listing changes.Make sure the Listing was saved successfully message displays onthe screen.
The MLS Information screen will appear.

5. Confirm the MLS information associated with the listing is correct, andthen click the Save button.
If the MLS information for the listing is incorrect, edit the informationand then click the Save button.
Edit the Listing Features
To edit a listing feature, you will need to first remove the incorrect listingfeature, and then add or upload a new listing feature.
1. Click Find a Listing on the top navigation bar.

4. Click the appropriate tab to go to that section of the listing feature onthe Listing Information screen.
The appropriate listing feature section will appear. The image belowshows the Listing Links feature.
5. Click the remove icon to delete the feature item (open house, virtualtour, listing link, document, marketing tool or image) from your listing.Make sure a message displays at the top of the screen indicating it wassuccessfully removed.
6. Create or select a new listing feature, and then click the Add button orUpload button to add/upload and save the listing feature you havecreated. Make sure a message displays at the top of the screenindicating it was successfully added or uploaded and that the listingfeature displays in the Images/Open Houses/Virtual Tours/Listing Links/Documents/Marketing Tools section.

Contract to Close
A Greensheet must be completed for every transaction. A KW listing must be
first entered into the KWLS when applicable, and then accepted by thedesignated person in your Market Center before you can access the onlineGreensheet.
When you are ready to complete a Greensheet, please have the following itemson hand:
• Fully executed, signed sales contract
• Other addenda pertaining to the property as required by your state andyour Market Center for the Team Leader’s (or designated Greensheetreviewer’s) acceptance

Before you submit your Greensheet for acceptance, ensure that all of the
information saved in the Greensheet is correct. To open a saved Greensheet,you must first go the Find a Greensheet screen or simply click on theappropriate tab on the dashboard.
1. Complete one of the fields, and then click the Search button on theFind a Listing screen to locate your Greensheet.
Or simply click the appropriate tab on the dashboard screen.

Field Description
General Information
Close Date* Click on the calendar icon, and then select the date this closing was
funded. If entering a new Greensheet, enter the expected date thisclosing will fund.
Contract Date* Click on the calendar icon, and then select the date of the signedcontract. In order for the Greensheet to be accepted by the MC, thisdate needs to be in the current period of the local WinMORE system.
Type/Class/Source
Type* Click the arrow on the drop-down list, and then select one of the Type options. (An example of the “Other” option is a personaltransaction with $0 company dollar.)
Class* Click the arrow on the drop-down list, and then select one of the
Class options. This field details additional information about thetransaction.
