HR PROFESSIONAL DEVELOPMENT AND TRAINING PROGRAMMEThe objective of this programme is to ensure that staff have an opportunity to acquire the skills and knowledge they need to develop their full potential as an employee of the University of Otago.

An exciting addition to our programme is the inclusion of eLearning opportunities for some topics. See individual course descriptions to see if a course is available online. Information about how to make the most of your eLearning experience can be found on page 95.

Linked to the course offerings within the programme, we are also able to offer a variety of training services and assistance with other developmental options, such as on-the-job training or mentoring.

Course enrolment information is provided throughout this guide and an online enrolment link can be found on our website within the specific course information.

Our programme offers a selection of courses, encompassing fundamental professional skills such as communication, time management, and supervisory skills.

The 2014 calendar can be divided into four key types of learning:

∼ Workshop sessions on specific topics∼ eLearning modules on specific topics ∼ Blended learning which is a mixture of

workshops and eLearning∼ Training programmes consisting of a series of

workshops organised around a particular theme or skill. In 2014, these programmes include:

In addition to the scheduled programme, sessions may be added as need and demand arises. If insufficient enrolments are received, courses will be cancelled; alternatively, if courses are over-subscribed we will try to run additional sessions.

Wellington and Christchurch CampusesThere is a scheduled programme of courses and workshops planned at both the Christchurch and Wellington Campuses. As well as the programme training, staff can access the eLearning modules listed. Customised SessionsA department’s timetable can sometimes mean that staff cannot attend a scheduled course. If you have at least six participants, the Professional Development team will run any of the scheduled courses at a time to suit your needs.

As well as the scheduled courses, we can develop workshops that are designed to fit the specific requirements of a particular work group or department. This can be a highly effective way of ensuring that departmental needs are met and that learning is transferred into workplace behaviour. Sessions can include material from any of the programmed courses or can be created as required. We have packages already designed for team building, writing team charters and building team communication.

Programmes that can be run as customised sessions within your workplace include:

eLearning ResourcesIn 2014 a range of eLearning modules will be added to the Professional Development programme. These are designed to provide the opportunity to gain skills and information at your desk, and in a way that allows you to interact when it is convenient for you. This exciting addition to the training portfolio is currently in development and while some courses can be accessed in 2014, others will be released during the years to come.

Look for the online modules within the course information. As modules are launched, information will be included in the regular ‘Professional Development Spaces Available’ newsletter. If you would like to have this email update sent to you personally, please contact [email protected].

Belbin Team Roles Does your team understand the roles that each member plays? Belbin Team Roles describe the typical patterns of behaviour that we display when interacting with others in team or group situations. The value of undertaking Belbin Team Roles lies in allowing each of us to benefit from self-knowledge and awareness of people’s differing behavioural styles.

The Professional Development team can build the profiles of your team and link this into a team building exercise. More information and the session approach can be found at page 70. Quality Leadership Profile (QLP)The Queensland University of Technology developed a 360 degree feedback tool that provides reliable and valid data on leadership and management practices. This data is benchmarked with other results from within the tertiary sector.

360-degree feedback is a powerful multidimensional leadership development tool which draws upon the knowledge of people within a person’s own circle of influence: supervisor/s, peers and staff.

Presentations or Public Speaking CoachingAre you uncomfortable giving presentations or papers? The Professional Development team can coach either individuals or groups in effective presentation techniques. The coaching can be arranged around an event and include coaching and rehearsal sessions.

HEALTH AND SAFETY TRAINING PROGRAMMEThe Health and Safety in Employment Act 1992 and the Amendment in 2002 requires employers to inform and train all employees about the hazards in their place of work and how to control these hazards.

Training and orientation will largely be carried out within departments by experienced staff. The University Health and Safety team recognise specific issues and hazards that have been shown to cause injuries, based on accident reporting data. These training sessions are designed to improve awareness and prevention methods to reduce the incidents of these injuries.

It is important to ensure that all staff including those that work part-time, casual or are employed on a fixed-term agreement have the opportunity to attend Health & Safety training courses. This assists departments and the University to meet the legal responsibilities.

If the times of training are unsuitable for you and/or your department, or you have a specific hazard or issue for a training session, we may be able to tailor a session for you. Please feel free to contact us.

RESIDENTIAL COLLEGES PROGRAMMEThe residential colleges provide an exciting and unique environment for both students and staff. We recognise that our scheduled training courses often do not fit with your time frames. As a result, we offer a customised training approach, where workshops can be created for your specific needs.

We can provide workshops to support the leadership skills of your Residential Assistants or to build communication skills within your permanent teams. We are experienced in designing physical activities to promote team building.

The following options can be run for either staff or the Residential Assistants:

∼ Option 1: Communication. This 3 hour workshop is intended to make participants aware of their own personal communication style and how it may affect their interaction with others.

∼ Option 2: Team building. This option is designed to focus thinking on team goals and objectives. It is structured around a team building activity which can be customised to the needs of the team. This option can include the creation of a team charter or enhanced by using Belbin team roles profiling.

∼ Option 3: You decide. This option is completely customised to your needs. We sit down with you and plan a workshop based on your identified requirements.

Career DevelopmentThe following career development courses are designed to help staff progress through their career path. The courses can be taken sequentially, or on an individual basis. They will be run between 1pm and 2pm on the last Friday of each month. Between each of these courses will be an opportunity where staff can bring their CVs and cover letters along to a workshop and receive feedback.

Identifying resources to assist your career planning

Learning objectivesIf you want to take more responsibility for your career then this session is for you. This session provides guidance in how to proactively plan your career, whether you choose to stay within a role or move to achieve a career goal. We will look at resources available to assist you to plan your career and how to focus on active choices and actions.

Learning objectivesThis workshop assists you in identifying the key skills you possess. This is an excellent workshop if you are thinking about applying for a new job or promotion.

Session approachThis workshop helps you to understand the importance of disengaging, empathising, enquiring, disclosing and depersonalising when faced with one-off or on-going interactions where communication has become difficult or adversarial.

Intended audienceThis course is useful for any staff member but will be of particular use to those who work in situations where people can become upset or confrontational.

Learning objectivesUnderstanding and appreciating diversity is extremely important when considering the value it can add to the workplace. This workshop will focus attention on the strength that can be gained as members of a diverse working environment, and discuss some of the common myths and fears people face. ∼ Identify some of the various factors that contribute to diversity in the workplace including culture, generational differences and styles

∼ Go back into your workplace with an increased understanding of diversity and its benefits

TAILORED TRAINING PROGRAMMESThe Professional Development team offers a tailored training service whereby specific courses and programmes can be produced to meet identified professional development or training needs within a division, department or team.

What are the benefits?Tailored training often allows participants to see more clearly the relevance of training to their work environment; learning and development is tied to a specific need. As such, attendees are more likely to apply the knowledge gained and transfer new skills into regular workplace behaviour. Participants from the same work area can also benefit from a shared frame of reference and a shared language in the topic area. An added bonus is that time spent away from the regular day-to-day routine is often seen as a good team building experience.

How do we arrange it?If you are interested in discussing some tailored training, please contact any member of the Professional Development team (see page 15 for full contact information). We will meet with the key people involved to discuss training needs and clarify exactly what content is to be covered. The training course or programme is then developed to address these needs within the context of the particular environment.

In some cases, this means designing a completely new course or alternatively combining relevant material from a variety of existing courses.

Belbin Team Roles

Learning objectivesA team is more than a group of people with similar job titles. It is a congregation of individuals, each of whom has a role which is understood by other members. This session is intended to give participants an introduction to the world of Belbin Team Roles.

Session approachIn short, this 3 hour session is about discovering how teams can best work together. By understanding and playing to the strengths of each member, the entire team can work more effectively and obtain better results.

Prior to attending the session, Belbin Team Role profiles will be constructed for each participant, including a self-assessment by participants and feedback from a number of observers. The Belbin system is not a psychometric test: rather it is designed to uncover workplace behaviour.

By looking at clusters of behaviour, participants will be identified within the nine team roles defined by Dr. Meredith Belbin. Although we can actually play all roles when necessary, participants usually find they have two or three natural strengths.

Animal Welfare Training Modules

Learning objectivesAll personnel using animals in research, testing and teaching must be appropriately qualified and have a working knowledge of the Animal Welfare Act 1999, in order to work with research animals at the University of Otago. Training is assigned to personnel, following Animal Ethics Committee (AEC) review of applications to use animals for research, testing or teaching. Training assignments are appropriate to the proposed animal manipulations, as defined by the AEC application. The training programmes available include ten online courses. They are as follows:

Defensive Driving/Van Handling

Learning objectives Staff (and designated students) may be required to drive vans or to drive on gravel roads in the course of their work. The hazards and skills associated with safe van handling and defensive driving skills are important risk management tools for maximising the safety of these tasks.

Session approach This course has two key elements. On the completion of this course participants should be able to describe:

∼ Human factors as they apply to driving∼ Risk reduction techniques for dealing with driving hazards

In addition, differences between driving a car and van will be discussed. Issues covered will be the differing centers of gravity, driving on a gravel road, and driving with a van full of people.

Fire Warden Training

Learning objectivesThe objective of this course is to give staff the training necessary to ensure the safe and expeditious evacuation of all building occupants. This course will also provide valuable skills to those that may find themselves in a fire situation.

Session approachThe course will provide participants with an understanding of fire behaviour, basic survival techniques, evacuation of buildings involved in fire and the correct use of extinguishers. The course is based on both theory and practical sessions. Fire Extinguishers handling will involve live fire.

FIRST AID TRAININGFirst Aid courses are run by RED CROSS in their training rooms in York Place. Please be mindful of our cancellation policy for these courses.

Cancellation policy: First Aid courses are very popular and as places are limited the courses are generally full. We have had a number of cases where people have reserved a place and then do not attend, depriving someone else of the opportunity.

For this reason, if you cancel within one week of the course, then you will be charged the full fee unless you can find a replacement. If you do not attend the course the full fee will be imposed. We will strictly adhere to this policy.

Workplace First Aid

Learning objectivesThe Workplace First Aid course is a comprehensive 12 hour course and is the minimum requirement for those appointed as the Departmental First Aider. Providing Flexible Learning Opportunities What is eLearning?eLearning is the use of technology to enable you to learn at your computer rather than attending a workshop.

It may seem that you have done most of your learning in a classroom, but you would be surprised how much you have picked up from TV, books, the computer and even movies. Learning can come from anywhere and eLearning allows you to access information in a place and time that suits you.

In 2013, Professional Development introduced eLearning modules and this development programme will continue; introducing modules that you can access through your computer. This means that you can access the information when it suits you rather than waiting for a programmed time.

What do I need to access eLearning?You will need your computer, some paper (for your thoughts/ideas) and that is all. If you work in a busy office, you might want to think about accessing the eLearning at another computer or using headphones to limit any distractions.

The computer will need Flash Player installed.

What do I do if I don’t have access to a computer?Contact a member of the Professional Development team and we will talk through some options for you.

Does it cost money?Similar to attending workshops, for some of our eLearning there will be a cost. The cost will be found in the course description within the booklet. On enrolment, you will be sent a link and

access information. Once you have this, you can commence the learning at any time.

How do I know whether a course is a workshop or eLearning?The course description, this booklet or online, will tell you what the format is for the topic. Some courses will be held as face-to-face workshops, others as eLearning and some as a mixture of both.

Tips for effective eLearningHere are some tips to make the experience really effective.

∼ You don’t have to do it on your own: If there are other staff who plan to do the training, organise a group session. You might access the eLearning in the same room or get together after the session to talk about the material.

∼ Be an active eLearner: When you come along to a classroom based workshop, your facilitator has planned for your comfort. They have thought about lighting, sound, possible distractions and any physical movement. When you access eLearning, you need to ask yourself the following questions:

� Are you in a noise free area or do you need to think about headphones?� Have you turned off your phone and email alerts?

Placed a notice on your door, or informed your co-workers that you don’t wish to be disturbed?� Is your screen clear and does your

lighting assist your learning? ∼ Plan to limit distractions: Plan for an uninterrupted period of

time. Book the time out in your calendar and perhaps place a sign on your door. Turn off the phone and email alerts.

∼ Check that you have the system requirements: If you are unsure, check with your IT person.

∼ Participate: In a workshop situation, your facilitator reinforces learning by using discussions, practice exercises, case studies and other activities. In a workshop you have to participate. With eLearning, the modules will have similar activities to encourage reinforcement and if you take advantage of these activities, it will make your session more effective.

∼ Take advantage of the extras: If there are additional resources or links to more information use these to build your knowledge.
