The vlookup is the most useful yet most mis-understood function in Excel

This is a step by step vlookup tutorial (only 7 steps) suitable for beginners and made

more interesting by including Usain Bolt as itrsquos the quickest (and simplest) way to do a

vlookup This method works in Excel 2003 Excel 2007 and Excel 2010 (you just needto find the fx button above column B demonstrated in the example below)

HOURS WITH ANALYSIS

vlookups are usually done between differ ent spreadsheets but to make it easier to show howthey work Irsquove put the data on to one spreadsheet in the table in the first image below

The table has some of the most famous 100m runners in the world They are numbered from 1to 10 in column B (the numbers are for illustrative purposes only)

Irsquove put the names of the athletes in column C

IMPORTANT You should note that the table on the LEFT HAND SIDE is set in ASCENDINGNUMERCIAL order ie numbers 1 to 10

However the table on the RIGHT HAND SIDE is arranged in ALPHABETICAL order of thenames of the athletes So the numbers in that table DO NOT go from 1 to 10 in ascendingorder

Wersquoll use the vlookup function to get the lsquoPrize Moneyrsquo each athlete has won in column J in thesecond table into column D in the first table

vlookup specimen file ndash Usain Bolt etc

STEP 1

First click into cell D2 ndash as this is where we want the first vlookup result to appear

STEP 2

Now click on the lsquofxrsquo button above column B ndash many people start by typing ldquo=vlookuphelliprdquo but youdonrsquot have to Clicking the ldquofxrdquo button is much quicker

(you will see the lsquoInsert Functionrsquo table pop up ndash screenshot below)

From this window we will select the vlookup function as it is one of the lsquomost recently usedrsquofunctions in the category here

If the vlookup function isnrsquot one of the lsquomost recently usedrsquo functions then change the Categoryto all select lsquoAllrsquo then scroll to the bottom where you will see the word lsquovlookuprsquo and click on it

Click lsquookrsquo and the function arguments window will pop up This table will show the Syntax (afancy word for the format of the formula) and it will display the different parts of the syntax ie

VLOOKUP(lookup_valuetable_arraycol_index_numrange_lookup)

STEP 3

Here you should click into cell lsquoB2rsquo because thatrsquos the first number or reference for which youwant to lookup a value The lsquolook up valuersquo is the corresponding value we want to find in the firstcolumn of the second table ndash so we want to find out what lsquoPrize Moneyrsquo the runner in position 1got in the table that spans columns H to J

Using multiple worksheets is pretty easy ndash I will post an example with multipleworksheets soon but in essence once yoursquove reached Step 5 in the tutorial allyou need to do is then highlight the relevant columns in the other workbook (thefirst column should contain the ldquoreference numbersrdquo that are also in your firstworkbook ndash in my example the ldquopositionrdquo numbers would be the ldquoreferencenumbersrdquo the last column should contain the data you are trying to extract ndash asyou highlight the columns Excel will count the number of columns which you needto put in the ldquocolumn_index_numrdquo field in Step 6 then the rest of the steps are thesame

your case it might be different alphabets depending on where the data is placed inexcel NA is coming up because instead of FH your formula has some numbersafter alphabets F and H (ex F12H10)which is causing the data search range tochange in each cell and the required data is going out of range which is the reasonwhy your output is NA So removing the numbers and putting only FH selects thefull data range Hope my explanation is helpful

Thatrsquos a plausible explanation However if the tutorial is followed to the letterthen the error you have described wouldnrsquot come up that way Step 5 in thetutorial clearly shows that the table array only consists of letters (HJ) notnumbers ndash I have suggested using the vlookup this way to avoid getting theerror you have described So I am unsure as to how Rwest got his errorHowever I am also intrigued

I have two columns of data which make up a histogram column B contains frequencyand column C contains the histogram bin midpoint I want to get the mode of the dataSo I can use the max function to determine the row with the greated number of countsand then use vlookup to give the value of the corresponding bin

I have one example that works just fine finding the correct row each time However Ihave another exmample where vlookup always gives the value at the bottom of thesecond column no matter what the values are in the first column

I have typed the values in by hand so I know they are not preceeded by lsquos or anything likethat All colums are formatted ldquogeneralrdquo
