  • PetPoint Follow Up modules allow for quick, mass completion of items or operations. This Advanced Intake/Outcome Follow Up screens will allow Enterprise users to mass complete Pending and Scheduled Intakes. There is no administrative setup required to use the Follow Up Module. The Follow Up module can be found under the Edit menu in PetPoint (Edit > Follow Up).

  • Select the Intake tab first. Then the Search filter will allow you to search for specific intake type. Leaving everything else as is will bring up those intakes that are scheduled for today. Leaving the Include past due records will bring up those intakes that are overdue.

Intake Follow Up Intake Follow Up allows users to complete Pending or Scheduled intakes and to update/modify fields in the following categories: Status Details: Status, Status Date/Time, Record Owner Intake Details: Intake Type, Intake SubType, Born in Care (checkbox), DOA (checkbox), Asilomar Status, Emancipation Date, Case ID, Jurisdiction, Zip, State, City, City Alias, Location Found Stage & Location Express: Stage, Review Date, Location, Sub Location Animal Holds: Hold Reason, Review Date, Comments You need to enter/change only the specific fields you want to mass-update. Follow Up mass-updates only the data fields that have new or modified data, not fields that have been left blank

  • Follow Up for Foster provides mass update functionality to Enterprise clients for Foster Operation records, so shelters will be able to select multiple Pending/Scheduled Foster Records and: Change their Start Status from Pending/Scheduled to Completed or Cancelled. Change the Start/End Status Date/Time fields without changing the Statuses. Update specific fields within the Start & End Details.

  • You can now use the group that you created (intake – follow up) and schedule them for Foster. In order to use foster follow up a foster parent will need to be assigned.

  • From the top section of the Edit: Follow Up screen, users can filter foster records for follow up by the following options: Status: choices are Foster Start or Foster End, one must be chosen to populate Foster Follow Up Grid and display Foster Details section/subsections. Foster Parent: list of all Person records with Foster Parent Association plus “--All--” and “NO Foster Parent Assigned”. Start Reason: only shown if Status = Foster Start and lists all Foster Start Reasons plus default of “--All--”. Start/End Site: shown only in multi-site databases and displays all Sites in the database plus default of “--All--”. Filters Foster Records based on Foster Start Site or Foster End Site. Foster Reports: See which Foster Parents are Available In the previous version of PetPoint, the Foster: Available report provided information on all persons with an active Foster Association from the person screen, and a count of how many animals those foster parents have. In PetPoint 4.0, user Foster Person Express, group by first name or last name as appropriate. Click “detail” if you want the information on how to contact that person. Alternately, if you want more filtering choices, like whether or not someone has foster animals, a history of their foster animals, or memos, use Foster Person Detail. Foster Reports Run Foster by Outcome Reports The previous “Foster By Outcome” Report information can be achieved by using Foster Animal Details report, choosing the outcome type and subtype as appropriate. You can now also run this same report By Intake, which is new functionality as part of PetPoint 4.0. Foster Reports: See Animals Currently in Foster Previously called “Foster Current,” the easiest way to get this information is to run the Foster Animal Express report. The “Based On” choice should be “foster Inventory date,” and the based on From/To is defaulted to today. You can now also run this same report for animals that went to foster during a certain time period, or based on a specific type, species, breed or age group. Foster Reports: Run a Crosstab of Foster History Previously called “Foster History Age Species Crosstab,” this information can now be obtained from the Foster Animal Crosstab report. Foster Reports: Report on Foster Animals that were Returned Previously called “Foster History Return Age Species Crosstab,” this information can now be found in the Foster Animal Crosstab report. Choose Based On as Foster End Status + Status Date, and choose status = Foster End Status. Then enter the date ranges that you are looking for that animals would have been “returned.” You can now create this Crosstab based on any status or intake/outcome criteria you need. Foster Reports: See Foster History on a given day Previously called “Foster Inventory Report,” the easiest way to get this information is to run the Foster Animal Express OR Animal Detail report. The “Based On” choice should be “foster Inventory date,” and the based on From/To is defaulted to today, but can be changed to any date that you are looking for in history. Foster Reports: Compare Foster Animals with Outcomes Previously called Foster “Outcome Age Species Crosstab,” this information can now be found using the Foster Animal Crosstab report. You can now also run this same report based on intakes, as needed. Foster Reports: See which Animals are "Pending" Foster Previously called “Foster Pending,” this report provided a list of animals that had been assigned a foster parent, but not been picked up yet. This information can be found in report form by using the Foster Animal Express or Detail reports, where the foster start status = “Scheduled” or “Pending,” depending on what information you are looking for and how your organization is using the status fields. You can also obtain this information from the application through the Foster screen, searching for animals that are in the scheduled or pending statuses.

  • Step 1: Choose Edit: Follow Up Step 2: Navigate to the Foster Tab To review scheduled / pending items use Edit: Follow Up to select everything that is scheduled AND pending by date, check “include past due records”, and leave the rest of the defaults alone. Click “Find.” Then, go to the Foster Tab and select to search by Foster Start or Foster End and click “Apply.” Once that selection is made, you will have additional filter options of “Foster Parent,” “Start Reason,” (or “End Reason” if you chose Foster End), and Site (start or end, depending on your choice). Step 3: Select Foster Records to Update To change the status of multiple Fosters, check the boxes for each Foster affected (or check the box at the top to check them all), press “Apply Selection.” Step 4: Updating Foster Records To make your modifications to status, status date/time, provider, assistant and site, update the necessary fields and click “Update Foster Records.” If any of the fields are left blank, the original values from the individual records will remain. Video Demonstration: http://www.youtube.com/watch?v=_6HUEfrWjcM&feature=player_embedded Creating New Tests Step 1: Choose Care > Create New Behavior Test Step 2: Add Animal(s) to the Operation Using the same tabbed Animal interface that you have seen in other parts of PetPoint 4.0, look up an existing animal record. If you want to add more than one animal to this operation, you can choose the Animal Search tab to add more animals. Once all the animals are added to the operation, click “tests” to access the behavior test tab. Step 3: Add Test(s) to the Operation On the test tab, fill in the required fields and any additional fields that are appropriate. If you want to add more than one test to this operation, you can repeat the process and click “Add Test” after each one. Please note Category, Test, and Test Result are customer-defined in the Admin Add/Edit Field Values. The fields will stay populated after clicking “add test” to make entry more efficient. Status and Status Date/Time: Status for Behavior Tests can be Pending, Scheduled, Completed, History, or Cancelled. Pending and Scheduled Behavior Tests must have a Status Date/Time in the future. Completed, History, and Cancelled Behavior Tests cannot have a Status Date/Time in the future. Performed By: The Performed By drop-down menu allows users to show who actually performed the behavior test on the animal. This dropdown is populated with the names of all the people in your database that carry the Behavior Personnel Association. Category/Test Name/Results: These drop downs are where users will pick out the tests and results for the Behavior tests. These fields are customizable under Add/Edit Field Value. Re-Test: In any Behavior Tests users can decide if the animal should be retest again at a later date. This is an optional section and not needed to complete the test. To add Re-test information, begin by checking the box, and then enter in the date and time for the re-test to occur. Step 4: Summary Tab The Summary Tab allows you to access the Behavior History Report and Animal View Report on your operation. 28

  • Choose Care > Search/Edit Behavior Test Options for searching for behavior tests include behavior test #, behavior test details (like status, dates, categories, tests and results), animal information, or “last 10.” Search using the test status of pending & scheduled On the Reports Website, the reports associated with the data entered in Care Behavior are: Behavior: Followup - This report lists animals that had a specific behavior result while it was in care, and includes the adopter information for the purposes of following up with that adopter about behavior issues. Behavior: Test History - This creates a report of behavior testing that has been completed. Behavior: Test Missing - This reports all of the current animals in care that do not have a certain type of behavior test recorded.

  • Care Activity Search Options for searching for Care Activity include Activity#, Activity details (like status, dates, categories, type and subtype), Person information, animal information, or “last 10.” Search using the Activity status of pending or scheduled Care: Activity Reports Care: Activity This report is an html-formatted report that contains all of the person and animal detail, in addition to the activity details, depending on the user’s parameter selections. Care: Activity Crosstab This report shows the matching Activities in a crosstab table-style format for numbers reporting. Care: Activity Extended This report is an excel report that contains all of the Care: Activity data spread out across multiple columns.   • Follow Up for Care Activity Tab On the Edit > Follow Up screen, the Care Activity tab appears to the far right of all other Follow Up tabs. Note: the tabs in the current version of PetPoint may differ from the screenshot above as other Follow Up modules are released. Search/Filter The top section of the Edit > Follow Up screen allows users to search/filter the items to select for follow up. The different search/filter options are: Status: Choose “Scheduled” or “Pending” (or both) – checkboxes. From / To – Date/Time fields, editable, you can search for items that are scheduled or pending within a certain time period. Include Past Due Records (checkbox): If marked, returned results will include past due records as well as those scheduled and/or pending during that time period. Animal # – see all scheduled and/or pending items for a specific animal Group # – see all scheduled and/or pending items for a specific animal group Animal Status – filter whether the animals are active, inactive, or both Animal Type – filter by animal type Site – filter by site Location – filter by location & Sublocation Stage – filter by stage Click on “Find" to apply to search/filter. Click on "Reset" to reset all filters to default settings. Mass Editing Care Activity Records Users can make the following edits to multiple Care Activity records: status status date/time record owner follow up date notes Click Update Activities to save.

  • Outcome Follow Up allows users to complete Pending or Scheduled outcomes and to update/modify fields in the following categories: Status Details: Status, Status Date/Time, Record Owner Outcome Details: Outcome Type, Outcome SubType, Asilomar Status, Happy Tails Expiry Date, Jurisdiction, Zip, State, City, City Alias, Release Status, Scheduled Date/Time, Scheduled With, Release Date/Time, Release By Stage & Location Express: Stage, Review Date, Location, Sub Location Animal Holds: Released, Release Reason, Comments You need to enter/change only the specific fields you want to mass-update. Follow Up mass-updates only the data fields that have new or modified data, not fields that have been left blank. Animals who display in the Animal Hold section must have the hold released before an Outcome can be completed for the animal.

  • Release Follow Up allows users to release or modify completed outcomes that have a Deferred status. The available fields on Follow Up Release are: Process Deferred Outcome Release (checkbox) Outcome Details: Scheduled Date/Time, Scheduled With, Release Date/Time, Release By, Happy Tails Expiry Date If the "Process Deferred Outcome Release" checkbox is not selected (as above), mass-changes can only be made to the Scheduled Date/Time, Scheduled With, and Happy Tails Expiry Date. The record will be updated, but the animal will not be released. If the "Process Deferred Outcome Release" checkbox is selected: The Release Date/Time will fill to the current time. Release By and Happy Tails Expiry Date can be modified. After clicking Update Releases, the animal will be released.
