Calendar• To access the calendar functions of MyVeritext click the ‘Calendar’ icon on the right or the

tool bar at the top.

• You can display your calendar in either Month, Week or Day view using the buttons at the top right hand corner of the calendar.

• In the calendar page, you can ‘Schedule’ a new assignment, ‘Search’ for scheduled assignments, or post an ‘Event’ to your calendar. An ‘Event’ is anything extra that you would like to add to your calendar that does not include a court reporter or videographer.

Scheduling: • Clicking on the ‘Schedule’ button will take you to the form where you can schedule a new

deposition, previously described in the Schedule an Assignment section of this guide. All scheduled depositions will be added to the calendar and hi lighted in either blue, red, or green.

• Blue is used for depositions that have been scheduled and are awaiting confirmation. Green is used for depositions that have been confirmed. Red is used to display depositions that have been cancelled, but the information can still be accessed.

• When depositions are added to the calendar, they will also be labeled with icons pertaining to the services requested. The legend to the left of the calendar explains the icons. Depositions will be labeled with either the court reporter icon, the videographer icon, the video conferencing icon, or the Veritext Virtual icon, depending on which services are requested.

• Clicking on a deposition will open up the basic details window, displaying basic information about the deposition. For depositions with several services requested, the icons will be displayed in the top right hand corner of the basic details window. Also, for Veritext Virtual depositions, a link will be present in the basic details window. Just click the link to get to the Veritext Virtual session!

Searching: • Clicking on the ‘Search’ button will take you to the search tool explained in the Searching

for your Documents section. This tool can also be used to search for scheduled depositions. You can also leave all fields blank and hit search to show every scheduled deposition for the past and future.

• After performing a search, the depositions will appear in a list form:

• Clicking on the ‘View’ button will show basic information about the deposition including the Case Name, Location, Location Phone number, deposition Status, and Job #.

• Clicking ‘Details’ will take you to the full order form that was used to schedule the deposition. Click ‘Export to Outlook’ to export the information to your Outlook calendar, ‘Print’ to print the information relating to the deposition.

• Clicking ‘Upload Notice’ will expand the basic details window and allow you to upload a deposition notice to the deposition calendar.

• Click ‘Upload File’ then browse to the file on your computer and click ‘Open’. Notice the max file size acceptable is 10MB.

Creating an Event: In addition to viewing all of your scheduled depositions, you can also add events. Events are any step in a case besides a deposition (e.g. scheduling conference, settlement meeting) that you would like to add your calendar.

• To create a new event, first click the ‘Create Event’ button.

Live SessionsThe ‘Live Sessions’ tool allows you to keep track and join all of your scheduled Veritext Virtual sessions.

• Access the ‘Live Sessions’ tool by clicking on the icon to the right or from the tool bar at the top.

• All of your sessions are displayed in a list. When the Veritext Virtual session becomes active, a ‘Join Now’ button appears and will bring you to the session to log in.

• Remember that you can also join your Veritext Virtual sessions from the event in your calendar indicated by the Veritext Virtual icon next to the time and case name.

Schedule an Assignment

• From the MyVeritext home screen, click the ‘Schedule’ icon on the right, or the quick link at the top.

• You can book your deposition, hearing, mediation, meeting or anything that requires a court reporter or videographer using the online scheduling tool. Notice at the top there is a reminder saying in order to schedule through our web portal the booking must be at least one business day ahead. If your booking is on the next business day, please call us and make the booking over the phone.

• If you are a member of our Veritext Vantage corporate program and are booking on behalf of a corporation, first select the corporation with the buttons at the top of the form.

• Enter the date, time and time zone of the deposition. Select your ‘Delivery’ preference, you can select a ‘Normal’ delivery date which is 10 business days, or you can select an expedited delivery and the desired time frame. You can also select a ‘Daily’, which will deliver the transcript in 1 business day, or select ‘No Transcript Required’ if you will not need a copy of the transcript, or ‘Appearance Only” if you only need the court reporter to be present. If you do not need a court reporter to be present please uncheck the “court reporter required” box below the date field.

• If you have you chosen to schedule your depositions while associating them with a specific case, select the case from the drop down menu. If your case is not listed in the drop down, simply enter the plaintiff and the defendant.

• Select the Scheduling attorney and the scheduling office from the drop down menus. If you need to edit or add new information, click ‘Add’ to enter new information, or ‘Edit’ to modify information already in the drop down menus. This information is stored under your account every time you book an assignment and will be available from the drop down menus, eliminating the need to re-enter information for future scheduling.

• Select who to confirm with at your firm from the drop down menu. You can add or edit the parties available in the drop down menu by using the ‘Add’ and ‘Edit’ buttons. This information is stored under your account every time you book an assignment and will be available from the drop down menus, eliminating the need to re-enter information for future scheduling. Entering the ‘No. of attorneys’ and ‘Total Witnesses’ helps Veritext ensure that you are provided with ample space for all parties involved with your assignment.

• Enter the address of where the deposition will take place. You can select previously used locations from the drop down menu, or enter a new location. If it is a location you would like to be saved for future use, make sure to check the ‘Save Location to List’ box. If you would like Veritext to arrange a location for you, check the ‘Need a Location?’ box, and we will take it from there.

• Enter the Witness information, the time the deposition will commence, and the type of witness. To add multiple witnesses to this booking, click the ‘Add’ button and another row of blank fields will appear to enter the next witness’s information.

• Select the Services you will require in addition to your court reporter. These are divided into standard services, and video services. If you need an interpreter, please enter the language required in the field that loads after checking the “interpreter” box.

• Under ‘Additional Information’ there are custom fields that Veritext can set up for you. This can include information like Claim #’s, File #’s, or anything else you would like to collect as you book the assignment so you can then search for this information later.

• Under ‘Notes’ there is a notes field where you can enter any miscellaneous notes that you would like Veritext to know about the deposition.

• You can also attach a notice to your booking under the ‘Notices’ heading. Click the ‘Upload File’ button, navigate to the file on your computer, and upload the file to your assignment. This is helpful for Veritext to ensure accuracy of your documents and required for the court reporter to conduct a case caption at the start of your deposition.

• Finally, click ‘Save’ at the bottom of the form. The assignment will be added to your calendar and submitted to Veritext. We will confirm with the party you have specified.

Access FilesThe Access Files is the quickest way to get to your most recent files.

• Click the ‘Access Files’ icon on the right or the link from the tool bar at the top.

• The ‘Access Files’ tool automatically runs a search and displays all of your files for the past year. You can adjust this setting by clicking the ‘Click here to show/hide filter’ to expand the advanced filter and adjust the parameters to whatever you need. The advanced filter functions are explained in the Search Tools section of this guide.

• The results of the Advanced Filter can be exported to an Excel spreadsheet or a PDF file. They can also be bulk downloaded and downloaded as a packaged folder to an email address.

• Clicking ‘Export to Excel’ will export all of the information relating to the exhibit files into an Excel spreadsheet. The spreadsheet will include the witness name, exhibit number, case name, assignment date, assignment number, and scheduling office location.

• Clicking ‘Export to PDF’ will create a PDF document containing the same information as the Excel exhibit list: witness name, exhibit number, case name, assignment date, assignment number, and scheduling office location.

• You can use the ‘Search’ field to quickly filter the results of the advanced filter. Just type a keyword in the ‘Search’ field and it will immediately filter your results without reloading. Note: the ‘Search’ filter does not effect the export and download functions, the export and download buttons will export and download the results of the Advanced Filter, not the ‘Search’ filter.

• You can also check the squares to the left of the assignment date to further narrow down which files you would like to download.

• To exclude files from the download or email, unselect the squares on the top right of the results table. The default setting includes all files.

Search Tools:To access the MyVeritext search tools, click the ‘Search’ tool on the right, or from the menu bar at the top.

Access the different search functions available with MyVeritext by clicking the desired function’s tab at the top of the page.

Transcripts & Exhibits Search:

You can search for transcripts by using a date range or by using the search criteria functions.

To search by date, either select ‘Anytime’ or select the desired date range.

You can also find transcripts and exhibits by using the search criteria. The search criteria can be used to search for transcripts according to Plaintiff, Defendant, Witness, Case, etc. Even the custom fields in your order form can be selected from the drop down menu. You can add multiple search criteria to create a more accurate search.

Click ‘Search’ to display your search results.

You can quickly filter your search results even further by using the quick search. The quick search is the field in the top right hand corner of the search results window. Type anything in the field and the results will be quickly filtered without even needing to reload the page.

Clicking on any headers of the columns in your search criteria will organize them in alphanumeric order.

Click the ‘Files’ icon in the same row as the deposition to get access to all file types available in the MyVeritext repository. You can also get quick access to the PDF transcript by simply clicking the hyperlinked Witness name.

Veritext delivers an ASCII file, a PDF full version transcript and a PDF condensed transcript, an E-Transcript and a Textmap file standard. All of these files are accessible through the MyVeritext repository and will always remain in the repository unless they are requested to be removed. Veritext can provide additional file types listed in the chart below:

To quick download a single file, click on the Witness Name or document description in the same row as the preferred file type.

To download all assignment files, including all transcript formats and exhibits, click ‘Download Files’ and MyVeritext will create and download a .zip file. Please note, that depending on the size and number of files, download times may vary.

To pick and choose which files to download, deselect the boxes next to the files to be excluded. For example, to download only the Link PDF and the Condensed PDF, deselect all other boxes. An entire section of boxes may be deselected by clicking the gray box in the top left corner of the section. Once the desired files are selected, click ‘Download Files’. The MyVeritext zip file will contain only selected files.

Exhibits Search: Use the Exhibits search to search for exhibits only. Here you can again search for exhibits using date or criteria, but now you can also search by exhibit number.

You can combine the criteria and exhibit search to search for a specific exhibit number in a particular case, or from a particular deposition. You can also leave the exhibit number field blank, and select a case to bring up all exhibits from a specific case.

Click ‘Search’ to run your search and display the results.

From here you can again use the quick search filter in the top right hand corner, organize results using the headers at the top of each column.

A huge time saving tool is the ability to export exhibit lists to your desired file type after performing an exhibit search. This is especially helpful if you are preparing for trial and need to create an exhibit list for every exhibit marked in a given case.

• Clicking ‘Export to Excel’ will export all of the information relating to the exhibit files into an Excel spreadsheet. The spreadsheet will include the witness name, exhibit number, case name, assignment date, assignment number, and scheduling office location.

• Clicking ‘Export to PDF’ will create a PDF document containing the same information as the Excel exhibit list: witness name, exhibit number, case name, assignment date, assignment number, and scheduling office location.

You can bulk download exhibits by checking the box to the left of the Assignment Date in your search results and clicking the ‘Download Files’ button.

Assignments Only Search: The next type of search is the ‘Assignments Only’ search. You can use this search to find any bookings you have with Veritext whether it is a deposition, mediation, hearing, trial, etc.

• Search by a date range with the drop down menus, or select ‘Anytime’ if you would like to include all assignments. Also notice you can check the ‘Include cancelled assignments’ box if you would like to search across these documents as well.

• Select if you would like the search to find documents that pertain to ‘any’ or ‘all’ of your search criteria using the drop down menu.

• Using the search criteria drop downs, create whichever combination of criteria you need. Click the ‘add’ button to add as many criteria as you wish. You can search through any of the fields in the drop down menu, including any custom fields you have set up with Veritext on your order forms.

Full Text Searching: Because all of your transcripts and exhibits are OCR’d as they are uploaded to your MyVeritext repository, you can perform complex full text searches across all of your documents.

Like the other search functions available with MyVeritext, you can search by date range or search criteria.

The Full Text Search is located at the bottom of the search screen.

• Select ‘Transcripts’ or ‘Exhibits’, or ‘Transcripts and Exhibits’ from the buttons on the left depending on if you would like to perform a keyword search across either or both.

• You can also check the ‘Exact Match’ box to search for a specific phrase.

• For help using the Boolean search capabilities with the Full Text Search tool, click the link that says ‘Click here for help on searching’.

• Lets run a basic search. We will select ‘Transcripts’ only and input the word “device” into the full text searching field, and hit ‘Search’. Note: You can not run a full text search within an exhibit search, they must be run independent of one another.

• The Full Text Searching tool runs the search across all of the transcripts, and organizes them in a list according to their relevance. In the column on the left it labels them with a score out of 100 based on relevance, and how many hits are included in the document. The keyword is hi-lighted inside the document in yellow, and you can navigate through the documents or hits by using the blue buttons at the top. Clicking ‘View Files’ will show all files associated with the assignment, and clicking ‘View Details’ will show the detailed scheduling form used to book the assignment.

• In the top left corner, you can access the ‘Snippets View’ by clicking on the tab.

• The Snippets View is a text document displaying the hi-lighted keyword(s) contained in your

search and a “snippet” of surrounding text from the transcript. This document can be saved to your computer and printed out using the ‘Print’ and ‘Save’ buttons at the top of the page.

Veritext MobileDownload the free Veritext Mobile app from the iOS App store or the Google Play store for your Android device. The Veritext app has powerful features for attorneys, paralegals and legal

SettingsThe settings section of MyVeriext allows you to tweak preferences for your homepage as well as edit, add and remove ‘Callers,’ ‘Attorneys,’ and ‘Locations’ used in the drop down menus while Scheduling online.

• Access MyVeritext settings by clicking on the settings icon in the top right hand corner of the page.

• The question mark button provides access to Help, and the arrow button will log you out of MyVeriext.

• Click on the heading to expand or collapse the menu.

• Click ‘New’ to add a new entry.

• You can sort the information by clicking on the column heading, for instance click ‘Attorney Name’ and the information will be sorted alphabetically by attorney name.

• Click on ‘User Preferences’ to adjust the number of Upcoming Depositions and Recent Uploads displayed on your homepage. Click ‘Save’ after making the adjustment.
