High-Speed, High Volume Document Storage, Retrieval,
and Manipulation with Documentum and Snowbound
March 8, 2007
Imaging Challenge: Insurance Company Usage Profile:
9 to 10 million imported claims documents yearly Approximately 4,000 users across the United States 100,000 – 500,000 transactions per day Simulate the functions used to handle paper documents
Annotations, Bookmarks, and Page Manipulation
Customer Requirements: Speed!!! No installation of client software Secure and maintain the integrity of original TIFF images Audit annotations, page manipulation, and metadata Minimal user training
Current Paper Process
Paper is received by field offices The paper file is accessed by individual processors
Manual mark-up process Reorder documents and pages Add paper sticky notes Add physical bookmark tabs
Paper documents are stored locally until archived
Solution: Documentum and Snowbound
Solution components: Documentum® 5.3 Snowbound FlexSnap®: SI
Snowbound RasterMaster™ SDK Java web application (JSPs and Servlet)
Key Customer Requirements: Entirely browser-based: JSP pages, Applet, Servlet Protects the original TIFF image while permitting mark-up and
page changes Audit trail tracks markup, document, and attribute events Flexible User Interface
Business Benefits
Increase document processing flexibility Facilitates a geographically distributed team based approach Integrate documents with additional company systems Reduce time spent searching for documents Reduce document processing errors
Improve document access Call center reps can confirm receipt of documents
Increase business capacity without increasing headcount

Documents can be viewed concurrently by users Documents can only be edited by one user at a

System Interface: Document List
A set of criteria is used to generate a list of image documents.
Within the BPM application a document list query is executed automatically.
System Interface: Document Preview
Clicking the Preview icon launches the First Page Preview window in <1 second.
RasterMaster™ SDK is used to produce the preview image.
The Previous Document and Next Document links are used to navigate the list of preview images.
System Interface: Document ViewSelecting the document name from the list launches the Applet component in FlexSnap®: SI.
A custom menu displays the viewer mode (view/edit), the attributes and versions of the image document.
To control changes to the actual image document, two custom modes of the applet were designed: view and edit.
The functionality available in each mode is controlled by hiding or exposing the Applet menu items.
System Interface: Document Editing
To enter edit mode, the user selects this link.
In edit mode, attributes are now available for updating.
Additional FlexSnap® functions are available in edit mode.
When the user enters edit mode, the document, the user’s annotation layer, and bookmark file are checked out in Documentum.
If another user tries to edit the document, an error message will display.
The user can leave edit mode by cancelling or saving his/her changes.
Document Attribute Updates
When a user makes changes to the document attributes and saves, the user is returned to view mode and the changes are applied.
Page Manipulation
OR
Move a page within a document, or between documents.
Using Page Manipulation functions,
a user can delete a page from an image document
Modified documents are saved as versions of the original.
Document Annotation
In view mode, all annotation layers on a document are visible.
The presence of one or more annotations on a page is indicated by an icon on the page thumbnail.
Many types of annotations are possible, this image depicts a highlight, sticky note, and arrow annotation.
Document BookmarksBookmarks are set by page and selected from the Bookmarks menu in FlexSnap.
Selecting a bookmark from the menu will take the user to the bookmarked page.
Audit Trail
Actions taken by the user, application, or system can be tracked using Documentum’s audit trail functionality, such as creating new annotation layers, bookmark files, or versions of image documents.
A custom entry may be designed to record events or actions by the application or simply changes in attribute values.

The UI is web-browser based. The only download is the Applet component of FlexSnap: SI at the time of viewing the document.
FlexSnap: SI streams pages one at a time to the user’s machine for optimum performance.
Snowbound caches files from Documentum as users view them to ensure speedy access.
Documents cached
Pages cached
The number of documents cached by the server are configurable and only bounded by the size of the hardware.
Key Customer Requirements
No client install is required Document and page caching for high performance Original document is secured
Documents are versioned when pages are deleted or inserted TIFF document is separated from annotations and
bookmarks preserving document integrity Annotation overlays allow flexibility in displaying and securing
annotations Access to documents is available to distributed
processing teams
Customer Benefits
Significantly reduces time spent retrieving documents
Reduces training due to Applet modes and intuitive web interface
Custom application is DFC based and is independent of Documentum® releases
Increased productivity
