4.0 Business Arising from Previous Minutes

4.1 GWA Technical Committee Planning Day Date suggestions for facilitating this professional development opportunity for Technical Committees – choice between a single session on a Sunday or two weekday evenings. Deadline of Friday 20th March – attendees to send through availability, as well as preference of whether it’s a single session or two 4.2 Potential new award for JNR International athletes who compete in YOG in 2018 Discussion around a suitable award for this achievement, but the issue was raised as to what to do for non-Olympic sports, who don’t have a comparable Junior Olympic event. However, all agreed that recognition should occur and that what was done for the 2014 YOG representatives – i.e. recognition via an AV presentation and framed certificate at the GWA Awards Night, documented in Annual Report etc. – was sufficient for future. GWA to update ‘GWA Regulations – Association Awards’ as required.

5.0 GWA Strategic Activities

5.1 GWA Board Update SC provided an update on:

- GWA Board Review / Evaluation process - Review of GWA Strategic Plan & creation of 2015 Activities - SGC Facility Upgrade (Gymnova) - AGM on 19th April (nominations still open)

5.2 Executive Director Update RG provided an update:

- Staffing Update - Louisa Choi – Volunteer & Events Co-ordinator – in charge of MAG & Club Levels events,

Volunteer Recruitment Initiatives, TeamGym, GymFest - Nicole Colev – finishes up with GWA at the end of the month. New employee already

been appointed and will start at end of April - Industry & Training Co-ordinator – interviews ongoing for this position. - Parking Passes from COV – GWA are no longer getting free passes for the weekends

when there are events and education courses scheduled at the SGC. Negotiations with COV are ongoing, but there is likely to be very few passes coming from next month onwards.

- Statement by a Supplier forms – all judges will need to complete and return to GWA to be able to receive payments from sessions.

- Sporting Schools release (July)

- National Commission Update - o Beginner Judges – age limit recommended to be lowered to 14 years old o Intermediate Judges – age limit recommended to be lowered to 15 years o Online updating to be available for Int Bronze and Advanced Judges at the start of a

new cycle, rather than existing judges having to re-sit the course. o Judging Framework – to be simplified to 5 levels (removal of Int Bronze)

- HP Forums at a National level are being run by Jo Richards – currently for Olympic Sports,

but recommendation is for non-Olympic sports to attend also. Workshops being linked in with 2015 Australian Championships.

- Virtual Assessment Tool / App, IDEAL Testing & Team Future Camps being implemented for MAG, WAG, RG & TRP. Once the roll-out is complete, it will then move to AER & ACR.

- ‘Spin to Win’ – Talent Transfer program. Assisting athletes with transferring either from one gymsport to another, or from gymnastics into other related sports (i.e. athletics, diving)

5.3 2015 Strategic Activities 2015 Strategic Activities have been set for each of the four pillars – Engage & Enthuse, Enable, Excel, Endure & Expand. A draft copy of GWA’s activities for 2015 were provided to all at the meeting. Brief discussion / explanation on the activities which have been set in each area for this year. 5.4 Technical Committee Planning Presented by HR on behalf of GWA WAG TC have a planning document (provided at meeting as a hard copy)which outlines the basic plan for the activities that the TC will undertake in 2015 as well as which months the TC will tackle each task. Positives of having such a plan in place were identified as follows:

- Helps TC Members with expectation management – each member has a better understanding of what they are required to assist with at meetings

- Clear Plan for year so that all members know what is to come - Useful for TD’s to ensure that all activities are being completed throughout the year and at

the right time. Task allocation done early on (Feb/Mar meetings) - WAG are also trialling Atlassian pages (online tool) with the TC this year, to assist with

task management – e.g. being used in the Class 3 Event delivery process.

HR to provide a soft copy of planning document if requested. HR to provide feedback to GWA / other TC’s as to effectiveness of Atlassian pages in planning and delivering events.

6.0 For Discussion 6.1 Judge Succession Planning – Workshop Presented by Nicole Colev on behalf of S&D Manager Paula Dick A Judge Succession Plan is being set up by GWA with the aim of making judging more attractive to the community in order to recruit and retain judges across all gymsports. Brainstorming activity for ideas as to what can be included in the plan – see attached - Identified responsibilities from three different areas – GWA, Technical Committees & Clubs See also attached Powerpoint presentation which NC presented during the meeting.

6.2 Accreditation Course Process Refer to flowchart from presentation 6.3 Workshop Sanctioning Process Refer to slide from Presentation 6.4 Judge Course Resit Process Refer to slide from Presentation 6.5 GWA Annual Award Process Nominations for Award of Merit - International Representation – request from HR that the nomination process be reviewed. Does this award need to be nominated by the TC, when the nomination is seemingly obvious?

GWA to provide feedback at July meeting

7.0 For Noting 7.1 Judging Co-ordinator Budgets & Action Plans KM update. Updated budgets have been received, with the exception of RG & TRP. Judging Co-ordinators reminded that if updated budgets are not submitted by Friday 13th March, then they will not go to the March Board Meeting for approval. As a result, any expenditure which the RG & TRP Judges Assemblies wish to make in the next few months will not be approved. JC’s to be mindful that budgets should be following the concepts outlined in the Gymsport Officials Action Plan. 7.2 2014 Event Statistics Statistics from the entire year were presented at the meeting and provided a snapshot of GWA events for 2014. Each TD was asked to take the statistics to their next TC Meeting for review by the TC. 7.3 Coaching Salto Requirements Deferred to next meeting. 7.4 Member Benefits – 3rd Level Consulting and HR Plus 3rd Level Consulting (Frank Sahlein) Assists with club management & organisation tools. Judge Course Exemptions

• A judge may be exempt from completing an accreditation based on evidence of prior learning & competency

• The ‘fast tracking’ must be approved by GA (via email to education)

• No formal RPL process (at this stage) for a judge accreditation – a judge from overseas can enter the framework where it is deemed appropriate by the state association

• All communication to come through GWA – recorded in IMIS

Judging Course Resit Process

• In the circumstance where a course participant does not pass an assessment task the procedure will be:

• A re-assessment opportunity will be provided on the course if possible and only on task not satisfactorily completed

• If still not satisfactorily completed, the course presenter will be responsible for recommending and communicating a Training and Assessment Plan to the candidate & GWA (via a Re sit notification)

• The plan may include some, all or no additional training prior to attempting the unsatisfactory assessment task

Brainstorm Information From Gymsports & Judging Coordinators Meeting

GWA TC Club All beginner & intermediate judges course going ahead regardless of number of candidates.

Courses presented based on attendees i.e. different language and expectations of understanding for ex athletes as opposed to new parents.

Engage and identify potential candidates with a particular focus on senior athletes as a pathway for continued participation in the sport.

Clubs to have the opportunity of having a judges course in their club should they have minimum numbers.

Identify key new judges and key judges for advancement.

Club workshops provided around learning about judging before undertaking formal courses.

Parent incentive – complete beginner course, judge at event, reimbursed for child’s competition entry fee for 2015.

Provide recommendations to National Commission in regards to recognition for current experience i.e. ex athletes potentially being fast tracked.

Assisting clubs to formulate Individual Club Development Plans with judge succession elements included.

Mentor new judges after undertaking “train the trainer” workshops.

Gymsports / Judging Coordinators Report MAG March 2015

Strategic

• No change to Action Plan for 2015. Steps and processes outstanding being followed between TC meetings.

Risk Management

• Need to fly in FIG judges from other states for QC’s still present despite Brad Mannix (FIG Brevet 4) moving from Victoria to WA for 2 years.

o Solution: more judging course run this year with more participants than in last few years. Continue running courses and increase judging numbers.

Finance:

• Judges Assembly Budget has been submitted to GWA. • Request from GWA Board for financial assistance in SJC Hall 1 upgrades. The MAG TC

raised numerous concerns regarding this. Questions still remain regarding this. Performance:

• Events: none for this period

Planning

• Annual Awards – no comment Education

• MAG Intermediate Course held 7th & 8th February will all participants gaining the accreditation (12)

• MAG Intermediate Bronze Course held 22nd Feb with all participants gaining the accreditation (5)

GYMSPORTS/JUDGING CO-ORD REPORT WAG – March 2015

Strategic:- No significant change since last meeting

Elite & State Team Operational plans outstanding: o State Team plan reviewed and updated at March meeting from information noted in 2014 and

discussion at March TC meeting. To be completed and distributed. o Draft Elite plan completed. Discussed at July 2014 TC meeting. WAG TD to edit with

recommendations from TC and share with GWA & GA. Elite will require more liaising/discussion with GA given recent GA position changes. More information regarding GWA plans also required in order to ensure appropriate

alignment.

WAG TC trialling use of Web-based software to assist with information sharing and task management.

Risk Management

Clubs/Coaches/Judges making assumptions & jumping to conclusions regarding National Program. WAG TC & GWA Office focusing on getting information out to the community:

o Pamphlets released in October and December; o Tech Regs & Event Handbook released in draft in December, final version released February; o Presentations on the ALP done in at Conference. Mixed responses. o NL 7-10 Judge Feedback Session held 28

th February to assist coaches with routine construction.

Sessions well received. WAG TC appreciate support of this initiative by GWA office.

Finance

Judging & Judges Committee

Budget o Submitted to GWA for review. o Request from GWA Board regarding contribution to the STC Equipment upgrade. Questions

outstanding regarding this. WAG TC

2014 WAG Talent Squad budget reviewed after Training session #1 and #2. Currently running to budget, unfortunately it has needed to use the full contribution from the Judges Committee that they had budgeted for, which was not originally intended.

Performance

Events – Not Scheduled Item for Period o Ben Barnard (Evens Co-ordinator) ran a Floor Managers course with GWA staff in February

2015. o Use of Music Playlists successful in 2014, minor changes made to processes. Changes being

trialled for Qualification Competition season. o Significant issues with getting Floor Managers for 2

nd half of 2014. Suggest reconsideration of

renumerating these volunteers to make it more attractive given the responsibility.

Event Statistics – unable to comment/provide feedback due to information not being provided.

State Teams o Plan.

As noted above, review of State Team Operational Plan underway, Analysis conducted into appropriate selection scores for 2015. These were added to

the WAG Technical Regulations. WAG Selection Committee & TC need access to reports from Team in order to facilitate

appropriate selections.

High Performance – Not Scheduled Item for Period o Emily Little, Allana Slater (Judge) & Nikolai Lapchine (Coach) selected for Mexican Gymnastics

Open held in Acapulco, December 2014. Emily placed 2nd

AA & Vault. o Emily Little, Yasmin Collier, Paige James, Martine George (Coach) & Heidi Rose (Judge)

selected for Jesolo Invitational to be held in Jesolo (Italy) in March 2015.

Planning

Calendar – Not Scheduled Item for Period o Note: WAG TC submitted request to hold another Perth International in 2015.

Tech Regs / Event Handbooks – Not Scheduled Item for Period o Delays with release –unable to completely finalise documents in timely manner due to

unknowns/decisions outstanding regarding ALP program/ GA Technical Regulations. o Mixed information being received from GA / GA WAG TC, and communication paths are not

formalised. This is resulting in conflicting information being received and communicated. Significant concerns regarding this.

Annual Awards – WAG would like a way of acknowledging YOG athletes/coaches/judges (for any Gymsport). YOG is an IOC event, with only one Oceana place. This should be considered as an appropriate competition for recognition/acknowledgment.

o Acknowledgement at the GWA Awards night was appreciated.

JC Action Plan update - Not Scheduled Item for Period o Completed for 2015, and submitted to GWA office for review.

Education

WAG Advanced Course held in February 2015 with 22 candidates. 19 passing successfully.

WAG TC and Judges Committee to review and improve communication to Judges and Coaches regarding Course and Workshop information (working with the GWA office).

Additional planning for preparatory workshops for Intermediate candidates required, as well as planning for resources to be provided to Beginner judges.

RG JUDGING REPORT Just a few brief comments.

Education Level 7 + Judging Workshop Advanced and Advanced Silver Judges have completed additional updating course on changes to code of point thanks to Kareyn Murray for presenting. International Judging Course Congratulations to Barbara Smith for being one of the 6 Australian judges selected to attend International Judging course in Malaysia.

Events QC #1 Competition was ran well. With majority of sessions running on time only session 3 ran late. Judging ran fairly smoothly despite the need for many comments to be written on judging sheets due to coaches miss interpretation.

State Team Judges have been selected and selection criteria is clear and it is hope will be clear cut after QC #2.

Judges Budges Nearly completed.

Judges Fining Not enforced for the higher level events in this part of the year.

Judges Fundraising Quiz Night Additional fundraising is needed to be able to complete judges travel and education so judges committee will running a quiz night in conjunction with RGA. Date and location to be confirmed. I’m back to being Judging coordinator for about the 3rd time, and am very thankful to have a strong committee. SCHEDULE OF RECURRENT MATTERS – GYMSPORTS & JUDGING CO-ORDINATORS REPORT

– AER – MARCH 2015

Strategic

• Our number one priority is to make sure every club with an AER program has a coach who is able to put athletes on the floor at State competitions. This is currently the case for only 2 of the 3 clubs.

• Currently we have 2 FIG Brevet judges, Advanced Silver, 2 intermediate and 4 beginners. Our current strategy is that we need to increase our judging numbers as a minimum to 1 further advanced judge and a further 1 intermediate.

• Promotion: steps need to be taken to improve visibility and awareness of AER in WA. This is being progressed by arranging for AER gymnasts to do displays at upcoming WAG State competitions. This is further being progressed by undertaking training for the State Team to apply to perform at Telethon in October 2015.

Risk Management

• Currently one club that runs an AER program (College Park) does not have sufficiently qualified coaches to put athletes on the floor at competitions. Solution: Lobby GWA to run an AER Intermediate coaching course prior to the 4th May 2015 (closing application date for AER Series I event).

• Compromise will need to be made in respect of Levels 6 and above should a single judge be unavailable. Whilst this is manageable it is not ideal. Solution: Lobby GWA to have an Advanced course scheduled prior to April 2016. Canvas potential candidates for interest in progressing to Advanced accreditation.

• Currently only one club that runs an AER program (NDGC) has a coach qualified to put athletes on the floor at Nationals. This will put pressure on the coaching team at Nationals unless a second coach can obtain the necessary qualification.

Solution: Lobby GWA to assist an AER coach obtain the necessary qualify prior to Nationals in September 2015.

Finance:

• Judges Assembly Budget has been submitted to GWA. Performance:

• Events: Planning for AER Series 1 (7 June) and AER Judges Invitational (5 July) will be undertaken shortly. All competitions for AER, except States, in 2015 are being run on the first Sunday of each month as to avoid potential clashes with other Gymsport competitions.

• State Teams – N/A for this period.

Gym sports / Judging Coordinators Report TRP March 2015

Strategic

• Updated computer for education and competition. • Update software for time of flight. • Increased advanced judges for 2015. • Introducing tumbling for national age.

Risk Management • Increase coaches and judge’s accreditation and meeting demand for high level athletes

and numbers of athletes. • Nearly meeting requirements of high level judges to athlete ratio • 2016 judge’s numbers will increase to enable to run double panels, to reduce competition

time. Finance:

• Finishing the budget to submit to GWA. Performance:

• Athletes competed very strong at national trial with a large number of competing personal bests, making the squad very strong for the state.

• Numbers of levels and age increased at a healthy number for our gym sport. Planning

• Increase workshop numbers in 2016 for judges and coaches to meet the demands of our gym sport.

• Increase judges to national age. Education

• Great start to the year for the judges completing their higher accreditation of the advanced courses.

• Judges numbers increased throughout the beginners and intermediate course giving us a comfortable number of judges for our sport.

Gymsports meeting – ACR – Mar 2015 Strategic

o GA has recently changed the L1-3 manual which has resulted in additional levels included (3A)

Risk Management

o Still few athletes competing at the higher levels. Level 1-5 athletes are increasing however there is a significant improvement required to move from level 5 to 6 in the six months required.

o Lack of appropriate level judges at the higher level requires video judging to be able to qualify. JC is investigating electrnic means to promote qualifications.

Finance

o Judge Budget : Updated budget has been submitted to GWA Performance

o First event of 2015 has one competing pair. o State team plan was reviewed at the TC in Feb.

Planning o Congratulations to Award winners. o Need to reconsider club award (add points for National/National Club

representation). Education

o Planned Beginner and intermediate judging course o Intermediate coaches course planned for May o Workshop for tariff sheets has been submitted to provide further assistance

to coaches, judges and senior athletes.
