GUIDELINES EXEMPTION REQUEST | 2020 – 2021 1. Submitting an exemption file regarding the application for one or more exemptions implies that this manual has been "read and approved". 2. Only one application per programm each academic year is allowed. Carefully examine which exemptions you would like to request. A request for exemption of a second semester course will not be reviewed if you already handed in a request for exemption of first semester courses. 3. It is strongly recommended to start compiling the file in time. If you still have to request official documents (such as transcript of records, official course descriptions, ....) in your previous institution you have to take some waiting time in consideration. 4. Carefully read through the description of your VUB programme and sort out which courses of your prior studies are equivalent to VUB courses. This exercise has to be done by the student. Questions regarding which courses can be exempted will not be answered by the learning path counselor of your programm, neither by one of our faculty members. 5. The difference in ECTS credits between the course for which the exemption is requested and course of your previous education may be 1 ECTS credit max. 6. Credits older than 10 years are not retained. 7. Exemption requests for master courses based on individual courses from a (professional) bachelor are not treated. 8. Students who claim an exemption for a master's course on the basis of a bachelor's course, followed within the previous bachelor programm at another institution, and which is granted, can be imposed for another course instead of the course for which the exemption was obtained. 9. Do not request exemptions of courses for which you obtained a VUB credit certificate. These results will automatically be transferred (check your Self-Service). 10. Your request is done by filling out the “Exemption Request 2020-2021” form. The faculty secretariat only reviews complete requests (electronically), that were handed in before the given deadline, and signed by the student. After handing in you will not be allowed to add any additional documents. A manually completed or incomplete file will not be treated (= inadmissible). 11. You hand in you complete request for exemptions by email ([email protected]). 12. Your request for exemption has to be compiled correctly (check the title "composition of your request"). 13. The faculty secretariat will send the decision to your VUB email address. 14. Granted exemptions will be registered in your Self-Service by the faculty administration. Please check before start of the exam period. In case of doubt, contact the faculty secretariat. 15. Register yourself for all courses of your programm at the start of the academic year within the given deadlines. This also means courses for which you requested an exemption too. 16. Keep attending all classes until you are notified by the faculty secretariat of the decision taken. 17. The earlier you request your exemptions, the sooner you will get a final decision. Your request is done by filling out the "Exemption Request 2020 2021" form. This document can only be completed in Adobe Acrobat. If you do not have access to this program, you can complete your document manually, or on one of the PCs in our computer room situated in building B (Pleinlaan 2). The faculty secretariat only reviews complete requests, in printed form, that were handed in before the given deadline.

COMPOSITION OF YOUR REQUEST

A complete exemption request consists of three chapters that are clearly separated by, for example, a new title page or tab

Chapter I: Exemption request

Chapter II: Diploma & diplomasupplement | official transcript of records

Chapter III: Official course descriptions

1. TITLE

Complete this page with your FAMILY NAME (in CAPITALS) and first name (in lower case) and put it in a plastic insert.This will be the cover of your file.

2. SECOND PAGE OF THE REQUEST

"To be filled in by the student": all fields are mandatory and have to be filled in by the dorp downlist. The document has to be signed by the student "read and aproved"

"To be filled in by an employee of the Faculty secretariat": This information will be filled in by receipt of the file by one of the faculty staff. The student will receive a copy of this page as proof that the request was submitted on that day.

3. THIRTH PAGE OF THE REQUEST

On the tirth and following pages:

→ All courses for which you would like to request an exemption per programme→ The external courses stating the previous institution | academic year | result | ECTS→ Note! You fill in each field: manually or via the drop-down lists.

In the example underneath, the student requests an exemption for het course “Human Resources Management” in the master programme (MA) on the basis of the course “Topics in Human Resources Management”

3. Chapter II: “Diploma & Diploma supplement | Official transcript of records”

If you obtained you degree in a previous programme:→ Copy of the official diploma(s) and supplement(s)

If you did not obtain your degree in a previous programme:→ Copy of the official transcript of records with a stamp of the institution and signed by an authorized person.

On these documents, you indicate with a marker the external courses with the results and ECTS of your previous programme on the basis of which you are requesting exemptions. Next to the result you mention the number of the VUB course for which you apply for an exemption (for ex.VUB OO | 01 etc.)

4. Chapter III: Official course descriptions

The official content descriptions of the external courses that were used in the academic year when you obtained the credit certificate. The

documents are provided with logo or stamp of the institution.

A print screen of the official web page is accepted as well. You also put the number of the VUB course unit (for ex; VUB course unit | 01)

on the corresponding ECTS document.

Documents compiled by the student and which he/she provides with a logo are not accepted.

The official content descriptions are only accepted in English, French or German.

If the documents (of the academic year when credits were obtained) are not available on the web site, you

− make a request at the institution for the documents where the credits were obtained,

OR− complete your file with a declaration from your previous institution stating that the content of the course has

not been changed compared to the content on the ECTS sheet of another academic year attached to the students file.
