Introduction At various points in the distribution process the parties involved need information in

order to receive, track, sort and pick goods and despatch them to the correct

destination. The GS1 despatch advice plays a major role here.

The GS1 despatch advice enables the supplier or logistics service provider to inform the

buyer, using EDI, when a Despatch Unit with certain products and product attributes

will be delivered. The GS1 despatch advice is also referred to as a DESADV, an

international term which stands for DESpatch ADVice. We will use the term GS1

despatch advice in this document.

This document sets out the rules agreed upon in the food and drug sector on the use

of GS1 despatch advice messages and provides a practical overview of the most

important requirements for successful implementation.

The document is organized as follows:

- Chapter 1 gives an overview of the main rules and exceptions.

- Chapter 2 provides a detailed explanation of the information required in the

message.

- Chapter 3 sets out what must be taken into account when implementing the

despatch advice in your systems.

- Chapter 4 provides insights on the information required in the despatch advice

for deliveries to a distribution centre

1 Rules

1.1 Basic rules When implementing the GS1 despatch advice you need to observe the following basic

rules:

- you should send one despatch advice per order.

- If you include multiple orders in a shipment to a retailer’s distribution centre, you

should send a despatch advice for each order. A shipment is a quantity of goods

delivered at the same time by a single vehicle to a single delivery party.

- If a shipment/order will not fit in a single vehicle you should divide it into multiple

shipments. In this case you need to send multiple despatch advice messages for

the same order.

- If you are not able to supply an order at all you should not send a despatch

advice for this ‘non-delivery’. Information on non-delivery should be send by other

means, not as part of EDI traffic.

Also, to ensure that the message is compatible with other processes:

- You should send the despatch advice after the doors of the vehicle are closed, so

that the information in the despatch advice matches the goods actually loaded.

- The trading partners in the messages mustbe the same: the buyer in the order

message should be the same as the buyer in the despatch advice.

- The unit of measure for the trade item in the despatch advice must be the same

as the one used in the order. If a case has been ordered, this should be

displayed one-on-one in the despatch advice.

- Orderable units are sometimes delivered in crates. In that case, non trade item-

related crates (crates without a brand imprint) that have a deposit value must be

listed in both the despatch advice and the GS1 invoice. See also ‘Returnable

Assets’ under 2.2 below.

- The number of the paper shipping note must be the same as the number of the

despatch advice.

1.2 Additional rules

Backhaul

Backhaul means that the goods are collected from your premises. If this is the case,

indicate ‘Backhaul’ in the despatch advice, so that the recipient knows that the goods

are ready to be collected. You should send the despatch advice as soon as you have

the goods ready for collection.

Emergency procedure

The shipper and recipient of the goods need to agree bilaterally on an emergency

procedure in case the despatch advice is not available on time. If the despatch advice

is not available when the goods are delivered, the recipient should record the shipping

note number in his receiving system in order to permit invoice-matching. This will enable

the shipment to be accepted in any case.

Backorders in the drug sector

Different from the food sector, backorders are permitted in the drug sector provided that

suitable arrangements are made with your trading partners.

If you are unable to supply a drug store order completely, you should apply the

following procedure:

- An order is divided into two shipments

- You should therefore send a separate despatch advice for each of the two

shipments. Both despatch advice messages should refer to the same order (1:n

relationship).

- The 1:1 relationship between the despatch advice and the invoice should be

maintained, in other words you should also send two invoices.

If you want to supply multiple backorders from different original orders at the same time,

you must NOT combine them in the same despatch advice.

Batch number & expiry date

Multiple expiry dates per despatch unit

When delivering products to a distribution centre, the rule is that one trade item with

one expiry date (i.e. either a “best before” or a “use by” date) must be placed on/in

each despatch unit (pallet/rolly etc.).

Perishable products and fresh produce, however, are subject to the following exception:

For the sake of efficiency, a delivering party may mark multiple (max. 2) expiry dates on a despatch unit if there has been a production change. The products with the earliest date should preferably be stacked on the despatch unit last, so that the earliest date is picked first fot store deliveries.

When the expiry date of a trade item is greater than 30 days, multiple expiry dates may

be allowed on the despatch unit as long as the “oldest” date (that is, the first date to

reach expiration) is used on both the despatch advice and the GS1 label.

When the expiry date of a trade item is less than or equal to 30 days, despatch units

containing multiple expiry dates may be delivered, provided that trade items with the

“oldest” date are the last to be stacked (i.e. at the top) of the despatch unit. Also in

this case the same “oldest” date must be used in both the despatch advice and the

GS1 label.

If this solution is not suitable for you, you may supply products with one expiry date on

each despatch unit (pallet).

Important! Not all retailers in the Netherlands accept multiple expiry dates on the same

despatch unit (regardless of whether the expiry date is greater or smaller than 30 days).

In these situations, suppliers should make a separate despatch unit (i.e. using multiple

platforms) for every different expiry date.

You have two options, then:

Rules for batch numbers

A batch number (or lot number) may be stated for traceability purposes. When multiple

(i.e. different) batch numbers are stated on the same despatch unit, it is allowed to

mention them on the despatch advice, but not on the GS1 label.

The table below contains a summary of the rules for the usage of batch numbers and

expiry dates on the despatch advice and the GS1 label.

Returnable assets

As regards the delivery of returnable assets, we distinguish two types: primary and

secondary load carriers.

Primary load carriers

Primary load carriers are carriers on which trade items are kept during transport and

storage and that are not attached to the trade items, for example pallets, cage trolleys,

rollies, dollies.

If you supply primary load carriers that have a deposit value you should list them in the

despatch advice. If they haven’t a deposit value (one-way pallets, for instance), the

carriers should not be listed in the despatch advice.

Secondary load carriers

Secondary load carriers are carriers in which trade items are kept during transport and

storage, for example crates.

We distinguish between two types of returnable assets: trade item-related and non trade

item-related.

Trade item-related

Trade item-related returnable assets are load carriers that are linked to the trade item in

such a way that it is not worthwhile to administer and invoice the items as loose items.

Non trade item-related

Non trade item-related returnable assets are load carriers that are not linked to the trade

item. The load carriers supplied are administered and invoiced separately.

Rules

- We regard crates with a brand imprint (e.g. beer/soft drinks crates) as trade item-

related returnable assets. These crates should not be listed in the despatch

advice. - Crates supplied without a brand imprint (e.g. CBL/EPS crates) should preferably be

listed in the despatch advice. Agree with your trading partner whether they should

be listed.

- A deposit may be charged on returnable assets. In the case of trade item-related

returnable assets this is collected in the form of a charge on the item invoiced. In

the case of a non trade item-related returnable assets this is collected by

including the returnable assets as items delivered in the despatch advice and the

invoice with zero price and the deposit listed as a charge. - In the case of orders for empty returnable assets (e.g. empty beer crates) you

should treat the returnable assets as an item supplied in the normal way.

2 Content of the Despatch Advice

2.1 Introduction This chapter gives an overview of the main data elements in the GS1 despatch advice.

For a full overview of the fields and definitions see the list of functional attributes in

the EDI Implementation Guidelines (www.gs1.nl).

Chapter 4 provides an overview of the data fields required by Dutch retailers for each

supply scenario.

2.2 Structure The despatch advice comprises three types of lines:

1 The Header Level contains information on the shipment and the parties involved.

2 The Despatch Line provides information on despatch units and packaging.

3 The Item Line contains information on the goods supplied.

There are various ways of listing this information in the despatch advice. You can

choose from the following options:

- Option 1: trade item information only.

- Option 2: trade item information plus information on the load carriers used

- Option 3: trade item information plus load carrier information specified by despatch

unit (SSCC: GS1 Serial Shipping Container Code).

This has the following consequences for the structure of the message:

2.3 Header Level

Message function This indicates that the function of the DESADV is

‘Despatch Advice’.

It is mandatory to include this indication in the despatch advice (This field has

no functional effect on processing).

Message number Number identifying the message

Message date/time The date and time when message was created.

It is mandatory to include this information in the despatch advice.

Message structure Code indicating how the information in the

despatch advice is organized.

It is mandatory to include this indication in the despatch advice.

Buyer

The party to whom the goods and/or services are

being sold and delivered.

Supplier The party selling and supplying the goods and/or

services.

In the case of a commercial shipment you should state the GLNs (Global

Location Numbers) of the buyer and the supplier.

N.B. This does not apply to internal deliveries: see the note later on in this

section under the heading ‘Internal deliveries’.

Delivery party The location where the goods are to be delivered.

You should always state the delivery party’s GLN in the despatch advice.

N.B. The only exception is in the case of backhaul: see the note later on in

this section under the heading ‘Backhaul’.

Scheduled Delivery

date/time

The date and time when the goods are to be

delivered.

Delivery timeframe Information on the period within which the goods

are to be delivered.

You should state a delivery date/time at the delivery address unless standard

rules have been agreed with your trading partners. You can choose between:

· Estimated Delivery Date

· Delivery Timeframe: earliest and latest delivery date/time. This combination

indicates delivery within a particular time window.

Copy the information one-on-one from the order. A delivery timeframe is

preferable, as this is the most flexible option.

Buyer’s order number Number identifying the buyer’s order.

If the shipment is being sent in response to an order you should include the

buyer’s order number in the despatch advice.

N.B. If you are supplying goods on the basis of VMI (Vendor Managed

Inventory) there will be no order, so you should not state an order number in

the despatch advice.

Backhaul

Backhaul indicator Code indicating that the buyer arranges the

transport of the goods.

Ship from The location where the goods are to be collected.

If the goods are to be collected by or on behalf of the buyer (backhaul) you

should use the backhaul indicator and state the Ship From address in the

despatch advice. You must not use Delivery Party in this case.

N.B. In the case of backhaul you should interpret the delivery date/time as the

date/time when the recipient can collect the goods from the Ship From

address.

Cross-Docking

Ultimate consignee The location (e.g. supermarket) where the goods

are to be delivered via a transhipment point.

Delivery date/time at final

destination

The date and time when the goods are to be

delivered to the ultimate consignee.

In the case of cross-docking you should state not only the delivery party’s

GLN (or the Ship From address in the case of backhaul) but also the ultimate

consignee’s GLN, and optionally the estimated delivery date/time at the final

destination.

N.B. If there are multiple ultimate consignees/final destinations, state this

information in the despatch line, not the header level.

Internal deliveries

Consignor The party delivering the goods.

Consignee The party receiving the goods.

In the case of internal delivery by or to a logistics provider (e.g. delivery from

a factory to the provider’s distribution centre) you should state the GLNs of

the shipper and the recipient instead of the buyer and the supplier.

2.4 Despatch Line You will have 0, 1 or more despatch lines depending on the structure you are using.

Despatch line number Number identifying a despatch line within the

message

It is mandatory to include the despatch line number in the message.

Load carrier information

(GTIN + quantity)

Information on a carrier on which trade items are

kept during transport and storage and that is not

attached to the items.

In the case of Options 2 and 3 you should state the primary and secondary

load carriers as packaging totals in the despatch advice. If there is a deposit

on the load carriers you should list them as item lines in the despatch advice

in order to permit invoice-matching.

N.B. In the case of Option 3 you should state the load carriers under the

appropriate SSCC. In the case of Option 2 you should state the load carriers

as totals for the entire shipment.

SSCC Serial Shipping Container Code, unique

international number identifying the despatch unit.

In the case of Option 3 it is mandatory to state the SSCC. In the case of

Options 1 and 2 it is not permissible to state the SSCC.

Cross-docking

Ultimate consignee The location (e.g. supermarket) where the goods

are to be delivered via a transhipment point.

Delivery date/time at final

destination

The date and time when the goods are to be

delivered to the final destination.

In the case of cross-docking, if there are multiple ultimate consignees/final

destinations you should list the ultimate consignee for each SSCC. Multiple

ultimate consignees can only be listed if you use an Option 3 despatch

advice.

Nesting

Despatch line number

(parent)

Number identifying a despatch line within a

message.

A special case of Option 3 applies in the case of mixed rollies, as each rolly

has multiple SSCCs. An additional level is therefore used to indicate which

SSCCs have been combined on the same rolly. This is referred to as ‘nesting’.

See the examples for the delivery and receipt process in the Implementation

Guidelines.

2.5 Item Line Creating multiple item lines for the same GTIN (Global Trade Item Number) in the

despatch advice is not permitted, except in the case of promotional variant numbers and

magazine editions. If you are using Option 3, however, the same GTIN may be

combined with multiple despatch units (SSCCs).

Item line number Number identifying an item line within the message

It is mandatory to include the item line number in the message.

GTIN Information identifying a trade item.

Delivered quantity The number of units of an trade item delivered.

You should always state the GTIN and the quantity of the item delivered.

Delivered net quantity The quantity of the trade item delivered, excluding

packaging, specified as weight, content, volume or

length.

In the case of pre-packed variable weight items you should state the net

quantity. This is the quantity used as the basis for invoicing.

This indication can be important in the case of cross-docking if the primary

load carriers need to be explicitly invoiced at the cross-docking location.

Promotional variant

number

Attribute identifying a promotional variant of the

trade item.

If the promotional variant number is stated in the order it must also be stated

in the despatch advice.

N.B. Goods may be covered by special offer conditions without this being

indicated in the order. In that case you and your trading partner should agree

in advance whether or not the promotional variant number is to be stated in

the despatch advice.

Edition identification Attribute identifying the period of a publication.

The edition identification may be stated in the case of magazines.

N.B. Edition identifications are currently not used in the food and drug sectors.

Best before date The date up to which the product may be sold.

Use by date The date up to which the trade item may be

safely consumed or used. This should be used for

fresh meat, fish and sliced vegetables.

If you supply products with an expiry date on the consumer packaging it is

mandatory to include this information in the GS1 despatch advice.

The use of either a “best before” or a “use by” date depends on which type

of date can be found on the packaging. You should use only the type of date

which appears on the trade item itself. The usage of both “best before” and

“use by” dates on the same message (for the same trade item) is not allowed.

N.B. In the case of products with no day indicated in the expiry date (e.g.

May 2015) the following industry-wide rule has been agreed:

The day in an expiry date should preferably have a valid value on the GS1

label and in the GS1 despatch advice: the last day of the month should be

stated.

It is allowed, however, to state a zero day value (i.e. 00) on the label and in

the despatch advice. If you state a 00 day value on the label this must also

be stated in the despatch advice.

In other words, it is no longer permissible to state a 00 day value on the label

and a valid day value (e.g. the 31st of the month) in the despatch advice for

the same product; the two dates must always be the same.

Batch number Attribute identifying a collection of products that

were produced at the same time or were

subjected to the same processing process.

For the sake of batch traceability you can state the batch number (or lot

number). This may be important when using Option 1 or 2, as the SSCC is

not available there for tracing purposes.

3 Sending the Despatch Advice

3.1 EDI format You can exchange GS1 despatch advice messages in the EANCOM format, which is

supported by the standard EDI software.

3.2 Mapping Mapping only applies to integrated EDI. By ‘mapping’ we mean translating messages

into a format that can be processed by your system automatically. Mapping is needed

by both parties, the one sending the messages and the one receiving them.

The software required for this can take the form of a special EDI module in your ERP

system and translation software to perform the mapping. You will also need someone

who has sufficient knowledge of your system and the EDI standard to define the

mapping in the translation software.

N.B. This should not be confused with the GS1 document ‘Mapping EANCOM’. The GS1

document indicates where functional attributes need to be specified in EANCOM

DESADV messages.

3.3 Envelope The final step is configuring message communication. Again, this step only applies to

integrated EDI. You will need at least one electronic mailbox for this. You can also

decide to outsource the safe communication of your messages to a third party.

Each organization will usually have one electronic mailbox. This is the simplest and most

transparent approach, and you are advised to use it wherever possible. All the messages

intended for a particular organization are sent to the same electronic mailbox. If you are

a supplier and receive an order, you can send the acknowledgment of order, the

despatch advice and the invoice message to the same electronic mailbox.

Logistics provider

If your logistics provider sends the GS1 despatch advice messages to your customers,

the provider should state its GLN only in the envelope. In the actual GS1 despatch

advice it should identify your company as the ‘Supplier GLN’.

The harmonized field list for deliveries to distribution centres was compiled by asking a

representative sample of retailers in the food and drug sectors what GS1 despatch

advice fields they need in order to make the goods receiving process at their

distribution centres as efficient as possible.

The list below is the industry standard for deliveries to distribution centres. You can

therefore use it as the basis for developing your GS1 despatch advice messages to all

Notes on Deliveries to Distribution Centres:

(1) In the case of backhaul (the customer arranges transport) the Backhaul Indicator

and Ship From address are mandatory. In all other cases these fields must be

left empty and the Delivery Party is mandatory.

(2) Copy one-on-one from order

(3) Copy one-on-one from order. In the case of VMI deliveries there is no order, so

this field should be left empty.

(4) Secondary load carriers such as EPS and CBL crates should preferably be listed

in the message. Agree with your trading partner whether they are to be listed.

N.B. Branded secondary load carriers/returnable assets (e.g. beer or soft drinks crates with a brand imprint) must not be listed in the despatch advice.

(5) Copy one-on-one from order, otherwise do not include.

(6) Mandatory for variable weight items.

(7) Mandatory for items with an expiry date on the consumer packaging.

Use By date: highly perishable items such as fresh meat, fish and sliced

vegetables.

Best Before date: other items with an expiry date.

(8) Mandatory in the case of medical drugs, optional in all other cases. You may

decide for yourself whether to include the batch/lot number in the message.

Example: Delivery to Distribution Centre

Delivery to distribution centre comprising three homogeneous pallets. In the despatch

advice the three pallets are treated as separate despatch units (pallets). There is a

deposit on the pallets and crates, so the pallets and crates are listed in both the PAC

Segment and LIN Segment (for invoicing purposes). Each pallet is given a unique SSCC.
