What is letter writing???Letter writing is an important channel of communication between

two people who are geographically distant from one another. In the earlier times when the telephone and e-mail were not available the only means of communication between people was through letters.

Letter writing is a skill that has to be developed. In general there are two types of letters: Formal, that are written to convey official business information and informal, which are personal letters to communicate with friends and family. A letter is usually one in a series of exchanges between two people.

We have to follow a specific format while writing a letter. There are different formats for both formal and informal

Let us now examine some of the steps in writing formal letter:1.(i) Introducing oneself if it is the first time you are writing.

(ii) Referring to an earlier letter if you are responding to it.

2. Stating the purpose of the letter

3. (i) Stating information required from the addressee.

(ii) Explaining action taken/ supplying information.

4. (i) Urging action to be taken

(ii) Offering assistance in future.

This is the basic structure of a letter. It will have to be modified according to the purpose for which it is written and the person to whom it is addressed.

When you write a letter you should keep in mind following points:

What is a formal letter??????Formal letters are no laughing matter--they can shape

others' perceptions of you, inform the reader of a serious issue, or get you a job. There are two main types of business letter styles: block style and Administrative Management Style (AMS). Block style is the most commonly used formal letter format; it has a salutation and closing, and is good for letters to businesses you are applying to or someone you have met before. AMS style is more succinct and better for internal memos and situations where you have to be very direct. This article will teach you how to write both of these styles, as well as properly address and send an envelope.

We have so far considered the content of letters. A letter also has a typical format:

Name and address of sender: Companies have printed letterheads with the name of

the company printed on them. A letterhead may also carry the name and designation of persons in responsible position.

Name and address of addressee. Date Mode of address or salutation:

Salutation is mode of addressing a person. We may have the following forms

(i) Dear Sir/Madam(when we are writing to a total stranger)

(ii) Dear Mr./Ms/Dr/Professor + Surname(when it is a formal relationship with addressee)

(iii)Dear + name (when two share semi formal relationship)

Reference to previous correspondence if any.

Most official letters carry a subject line just above the salutation. This is for quick reference to the subject.

Content of letter: The content of the letter begins on the next line and is

arranged in two or three paragraphs.

7. Complementary close and signature: Letters usually end politely with the following phrases: Thank you, With regards, With best wishes, Hopes to see

you soon, Hope to receive an early reply etc. The complimentary close is followed by ‘Yours sincerely/Yours truly’, and the writer’s signature in the next line.

Some important points• Nowadays all the parts of a letter are aligned on the left. This style is called the Full Block style.

• The date and signature are very important in letters.• We do not use commas after every line in the address.• Do not begin your letter with hackneyed expressions like, ‘With

reference to your letter dated 10 January……’ or ‘We were happy to note from your letter that the goods have reached you safely…..’

• Never end your letters with hanging participles like ‘Thanking you’ or ‘Awaiting your reply’. Instead write, ‘Thank you’ or ‘We/I await/look forward to your reply’.

What is a informal letter??

An Informal Letter is a letter that is usually written to a close friend or an acquaintance. It is also known as a personal letter and this type of letter does not have 'hard' and 'fast' rules on the format of writing as opposed to a formal letter, although there is a conventional way of writing it.

Useful expressions:

Thank you for your letter. It was nice to hear from you.Your last letter was a real surprise. It was so nice of you to remember about...Thanks a lot for the information you've sent me in your last letter.I've just received your letter. I'm so happy to hear that...I'm sorry I haven't answered earlier but I was really busy with my school.I'm sorry I haven't written for so long but...

Looking forward to hearing from you soon.Well, that's all for now. Will talk to you soon.Give my regards to your Mummy.I hope we will be able to arrange a get-together.Do write back as I'm waiting for the news from you.

Your address (but not your name) usually goes in top right-hand corner, but may go on the left too.The name and/or job title (if you know them) and the address of the person you are writing to goes on the left.To address someone whose name you do not know you can write: Dear sir, Dear madam, Dear sirs, Dear sir/madam.To address someone by name, use their title and surname e.g. Dear Dr. Bansal.To end a letter , use a. ‘Yours sincerely’, if you have addressed the person by name,b. ‘Yours faithfully’, if you begun the letter with ‘Dear Sir’ or

‘Madam’, etc.

Format of an informal letter is different from that of a formal letter. Given below is the format of the informal letter:

Informal letters include personal letters. If it is a personal letter the format is flexible. We might write the name of our city on the top followed by the date. Given below is an example of the format of an informal letter:

The format of a job application is same as a formal letter. The difference is that we need to prepare a resume, which actually means a summary of particulars relating to your background, academic qualifications and experience, if any. Other terms used for ‘resume’ are ‘curriculum vitae’ and ‘biodata’. The general format of a resume is shown below:

Dear Amy,

Thank you a lot for your last letter. It was a nice surprise to hear from you. I'm sorry I haven't written to you earlier but I had to organise some things concerning my trip.

As you probably remember I've always wanted to visit some unusual places. And now, at last, off I went! But you'd never guess where I've chosen to spend my holiday. It's Antarctica! You would never think of it, would you? I'm so excited about the whole event!

The people I travel with are incredible. It's their fourteenth expedition there. They know every path in the snow by heart and they are very helpful. They share their knowledge and experience with me. Would you believe that here everything is different? You even need to set your tent in a special way. It's all very challenging. Tomorrow we plan to move further North so I may not be able to stay in touch for a while.
