My Orthodontics Patient CDs can be used to explain treatment in your practice and then given to each patient to take with them. Your patients can view the multi-media presentations relevant to their own orthodontic care at home.

These custom made CDs are created to contain each patient’s diagnosis and treatment plan together with related information tailored specifically to their needs.

Load your patient’s photos, select from a series of checkboxes, include information about your practice and your My Orthodontics software transfers the necessary information to specially prepared Patient CDs.

Customisable CDs and CD cases At My Orthodontics we appreciate that you will want to customise your CDs to suit your practice.

You can tailor your CD cases to your practice by simply adding a printed 12cmx12cm card inside the CD case with the insert provided. Now you can add your name, logo and practice details to your CDs more easily than ever before.

Your presentation CDs can be further personalised by ordering those that have been professionally silk-screened with your practice logo to completely convey the look and feel of your practice. This service is offered for the one off cost of the additional artwork and films required to personalise your CDs to your own specific requirements.¹

Add your own photos and movies One complete section of the Patient CDs is dedicated to you being able to provide additional multimedia information about your practice.

You can include photos or movies together with some descriptive text and a name for each button so your patients can readily access information about you and your practice from the comfort of their own homes.

By providing a script and images you want collated, audio-visual presentations can be professionally voiced over, collated and compiled as QuickTime® ready to be incorporated into your Patient CDs 2.

Let your patients know what sets you apart and provide them with all the information that you would like them to know.

Include your own documents

Add generic and patient specific documents and your patients can access them directly from their My Orthodontics CD. No need to concern yourself that paper based information has been lost or destroyed in the bottom of school bags or misplaced never to be seen again.

I am very pleased how My Orthodontics has impacted our practice. It allows for a greater understanding of a patient’s problems by patients and parents, especially the parent who was not able to attend.

Creating montages My Orthodontics contains a number of ready to use montages as well as the facility to create an unlim-ited number of montage templates.

Each montage template can contain up to 16 images and can be populated by images from any record stage used for a given patient and then saved for use over and over again.

Montage templates To create a montage template follow these steps.

• Click the “Montage” button on the main image screen .

• Select “New” in the “Montage” menu.

The screen that appears shows a fine grey grid to which image placeholders, text, practice logo and patient information can be added. Create these items are by clicking on buttons at the top of the screen and then dragging them into their required positions.

Right clicking image placeholders brings up a float-ing menu (top right) which enables image place-holders to be duplicated, the aspect ratio of the im-age placeholders to be set, image labels to be shown or hidden and to change the order in which image placeholders are displayed.

Right clicking over text allows the text font and the order in which text is displayed to be changed.

Populating image placeholders with images is ac-complished by “dragging and dropping” images from the image bar on the left side of the screen to the appropriate placeholder. Selecting different record stages allows different images from different record stages to be added to the montage template.

After saving a montage template the “Montage Pre-view” screen appears. On this screen the montage can be further customised and then either printed or saved as a .JPG image, for emailing to patients and referring practitioners, or saved in a file format suit-able for journal publication

Full screen presentations An extensive array of options are available to pro-vide you with maximum flexibility when presenting your clinical images.

The screen shown below is accessed from the “View full screen images” button situated at the left of the main “Image view” screen.

From this screen the following alternatives can be selected:

• 1, 2, 3, 4, or 6 images per view.

• Show selected large view images or images from the image bar located at the bottom of the screen.

• Which record stages will be presented.

• Whether selected images or all images will be displayed.

The Multiselect mode allows similar images from different treatment stages to be chosen by selecting images in only one record stage.

Compare record stages allows similar images from different record stages to be shown at a given time.

Once the appropriate images to be displayed have been chosen the “View full screen” button can be used to view the images in full screen mode.

To scroll through the images one image at a time use the “left and right” arrows on the keyboard. To scroll through the images one screen at a time use the up and down keyboard arrows.

The “Esc” button returns to the main “Image view” screen shown below.

Creating keywords The facility for adding keywords to either a patient’s file or to individual images has been incorporated into My Orthodontics to help keep track of patients and images of particular interest.

To create new keywords:

• Access “Create keywords” from the “Keywords menu”.

• Select whether the keyword is to be applied to a patient record or to an image at the top of the screen.

• Create a section to which the keyword is to be added by clicking on the button with a green cross on the left side of the screen.

• Select the appropriate section and then click on the green button on the right side of the screen.

• Type in the new keyword and click on OK.

• Close the screen.

Adding keywords Add keywords to a record by using the “Add keyword to record” button. Add image keywords by right clicking on an image and choose the “Keywords…” option or select the image (CTRL-click). Click on the “Add keyword to image button”.

From the “Add Keywords” screen

• Double click on the appropriate section. Either double click on the selected keyword or single click and click on the button with the highlighted blue arrow.

• Select other sections and select keywords as required.

• Click OK to exit.

Once a keyword has been applied to a patient’s re-cord or an individual image the “Pushpin” icon will appear either adjacent to the patient’s name or be-low the image to which a keyword has been added.

Notes Notes can be used as either general notes or at-tached to patient records and individual images.

General notes can be added by accessing “Utilities > General notes”. Notes for a patient’s record can be added either from the “Utilities menu” or by using the “Add notes to record” button situated in the bar of buttons at the top of the screen. Notes for indi-vidual images can be added either by right clicking and choosing “Image notes…” or by selecting an image and clicking on the “Add image notes” button.

By creating a section in Keywords called “Notes” and then keywords in that section called “Patient record notes” or “Image notes” you can easily search for the patient records and images that have notes at-tached.

Managing patient records The Patient record management facility is accessed from the “Utilities” menu and is used to delete pa-tients or their individual records from the database.

• Firstly enter the details of the patient whose records you wish to delete and select the correct patient from the window in the centre of the screen.

• Either select the “Delete patient” button or se-lect the record you wish to delete from the bot-tom window and click on the “Delete record” button.

When using this facility, records and images are not permanently deleted from the database but instead are hidden from view. This facility is particularly useful if there are duplicate records in the database.

Minimising duplicate records New features have been implemented to reduce the likelihood of creating duplicate records.

Avoiding duplicate records can be accomplished in one of two ways.

• Click on the “Find/Open patient” button to search for existing records for a given patient before proceeding.

• Click on the “Add new patient“ button and as details are entered make note of similar patients that appear in the window on the right hand side of the screen as the Patient details are entered. Double click on a patient’s name in this window to select their details. This will transfer their details for you, before you add a new record for the patient.

Backing up database Comprehensive backup facilities are now available to give you maximum flexibility in preserving the integrity of your data. The backup can be made to any external drive and options of a full backup and incremental backup are available .

Backups contain all the database information as well as a copy of the clinical images. This informa-tion is stored in a .zip file, which can be compressed to a greater or lesser extent. The greater the com-pression the smaller the final backup file size, but the longer it takes to perform the backup and re-store procedures.

For added security backup files can be password protected and verified to ensure that integrity of your data remains intact.

Database utilities Database utilities is an advanced feature for practi-tioners who have networked My Orthodontics within their practice. Using these functions will require consultation with your Network administrator.

The Database location feature is used to define where the My Orthodontics program looks for the main database and patient images.

The clear database function may be need if users switch off their PCs without shutting down Win-dows® and closing My Orthodontics beforehand, causing the database to be locked.

Exporting the database, allows the database to be exported and sent to My Orthodontics if further da-tabase maintenance is required.
